The 2020-2021 BGCN After-School Program will begin on August 17, 2020. Based on CDC and Hamilton County Health Department guidelines and recommendations, we will continue to limit the number of children we serve in order to allow for social distancing and safety precautions due to the COVID-19 pandemic. With the focus on the health and safety of our members and staff, the Board of Directors and Club Leadership established that a maximum of 120 children can participate in the after-school program. We will open registration to children who are attending three elementary schools; North, Stony Creek, and White River. As we have seen, the pandemic changes quickly and we will be constantly evaluating the situation and our ability to provide services. If cases increase, we may be faced with closing the facility and shifting back to our Virtual Clubhouse as a programming alternative. If the situation improves, we may be able to open up to more members and return to more normal environment. We will continue to be in close contact with our families as future decisions are made. Attendance Children must attend school in-person, not virtual. In order to come to the Club, he/she must have attended school that day and must arrive at the Club on one of the buses. There will be no exceptions. Calendar The Club Calendar can be found on our website at www.bgcni.org. We are not planning any revisions at this time. If changes occur to the calendar due to the progression of the pandemic we will communicate that with staff and families. Cleaning In addition to our regular facility and bus cleaning practices, we will continue increased cleaning and disinfecting practices of common areas and high-touch surfaces. Each program area will be cleaned and disinfected, with an approved EPA product, in-between activities and deep cleaned and disinfected nightly. Closings If we have a confirmed case of COVID-19, we will follow direction from the Hamilton County Health Department. This may include enforcing a quarantine of a pod of members or closing down the facility for a period of time. Many of our new procedures are designed to support contact tracing should a confirmed case occur. These procedures will assist the Hamilton County Health Department with quickly identifying and contacting individuals that may have been exposed. COVID-19/Illness We ask parents to be extremely attentive to the daily health of their children and to ensure their child is symptom free and safe to attend the Club. Club staff will have their temperature checked and will answer a health questionnaire daily upon arriving for work. Anyone with a temperature of 100 or higher or who answers yes to any two of the health questions will not be allowed to enter the building and will need to return home. A member who becomes ill while in our care (regardless of their temperature or symptoms) will be isolated and required to wear a mask. A call will be made to the parent/guardian. We ask that parents have a plan in place and we will require that the child is picked-up within 30 minutes. 3
If a member or staff member exhibits two or more symptoms of COVID-19 they will be required to be out of the program for a minimum of 10 days from the first day the symptoms appeared AND be fever free for 24 hours (without fever- reducing medicine) and with improvement of respiratory symptoms. If the symptom(s) are diagnosed as something other than COVID-19, then they may return to Club when they have been fever-free (without fever-reducing medicine) for 24 hours. If we have a confirmed case of COVID-19, we will follow direction from the Hamilton County Health Department. This may include enforcing a quarantine of a pod of members or closing down the facility for a period of time. If a member or staff member tests positive for COVID-19, they will not be able to return to the Club until all of the following conditions are met (1) out of school for at least 10 days, (2) all symptoms are gone, (3) fever-free (without fever- reducing medicine) for 24 hours. If a household member is referred for COVID-19 testing, all members living under the same roof shall not attend the Club until the results of the COVID-19 are known. If a household member tests positive for COVID-19, all members living under the same roof must refrain from attending the Club for the 14-day quarantine period. Many of our new procedures are designed to support contact tracing should a confirmed case of COVID-19 occur. This will assist the Health Department with quickly identifying and contacting individuals who may have been exposed. Fees A semester fee of $125 (includes membership and transportation) will be required at the time of registration. Online registration periods will be in August and December. Financial assistance is available. Please contact our office at 317.773.4372 or email info@bgcni.org to begin the application process. *The application process takes up to one week once all required paperwork has been submitted.* Reduced rates expire at the end of each semester and parents will need to reapply. If you have been previously approved for a reduced rate, you must reapply before registering for the fall semester. 4
Field Trips Field trips will be evaluated on an on-going basis and, if taken, will meet all social distancing and mask guidelines. Members selected will be required to have written parent permission to attend. Food BGCN will continue to offer three food programs: Daily snack, Meals to Members, and Weekend Snack packs. All meal programs are free for our members to participate in. Members will be sanitizing hands prior to eating. Masks will be allowed to be removed during snack and meal times. Allergies will need to be specified on the membership application. Alternative snacks are only made available once required medical paperwork is provided to BGCN. Vending Machines will be closed until further notice. Members are encouraged to bring a water bottle. Water fountains are closed, but water stations will be provided. Outside food will not be allowed to be brought in. Daily snack will be provided to members during scheduled group snack times. BGCN provides meals on Mondays and Thursdays to members at a designated group meal time. Weekend Snack Packs will be given to each member on Fridays upon departure. Format The traditional Club programming format has changed to enable BGCN to establish safety and health measures amid the current health concerns. This does NOT detract from facilitation of activities and programming, however does limit full usage of building and our conventional member choice model. We realize that this a dramatic change from our normal format, however, all members will be expected to follow the rules and comply with the safety policies. We will utilize a 1:10 staff to member ratio and do our best to maintain assigned member pods consisting of 2 staff and 20 members. A program rotation will be formatted based off the above protocol in which members will participate in assigned activities with their groups. Masks Masks are currently required based on the statewide mandate by the Governor of Indiana. Members and staff will need to wear masks while in the facility, and they will be required during transportation to the Club. Members should have their masks that they have used during the school day with them, but additional 5
masks will be made available as needed. Cloth masks, neck gaiters, disposable masks and medical grade masks will be acceptable. Hours of operation Club hours will be 1:30pm-6:00pm Monday through Friday on school days. Parent Handbook The Parent/Member Handbook can be found on our website at www.bgcni.org. Please review our medication, late fee, and discipline policies prior to registration. Members will be required to follow the safety protocols and all Club rules at all times. Please note that COVID related policies are not reflected in the handbook. Personal Belongings We ask that all personal belongings, that do not relate to the school day, remain at home. Members will not be able to access their belongings throughout the program day once they are checked in with the front counter staff. Members will have access to their homework and school-issued iPads during Power Hour (homework help sessions). Members will not be allowed to have their cell phones with them during the program and must remain in their backpacks for safe keeping. Please keep all toys, stuffed animals, etc. at home. Pick-Up To maintain social distancing and safety protocol a call-ahead and curbside pick-up has been put in place for departure. Parents/ Guardians will be instructed to do the following; 1) Call-Ahead 5-10 min prior to your arrival. This allows us to relay to the member that their ride is on their way. a. When calling, a BGCN team member will ask that you provide your name, child’s name and vehicle description (make, model, and color of vehicle) and how far away you are. b. Please do not call more than 10 min ahead of time as your child will be sent back to their group. 2) Curbside pick-up will take place in the turnaround at Door #1. a. The entry for car line is at our parking lot entrance nearest Conner and 17th. Please enter there. b. We ask that the driver and any passenger remain in your car and stay in the car line until the member(s) are safely in the vehicle. 6
c. BGCN team will assist cars 1 to 2 at a time. We ask that you be patient. d. No transactions will be made via the car rider line. 3) Members will be called from their group and sent out to the vehicle that is picking them up. a. Members will only be allowed to enter from the passenger side of the car for their safety. Programs Our BGCN team will continue to provide engaging activities and enriching programs during our after-school hours. Areas such as academic success, healthy lifestyles and character & leadership will be our key focus. Members will have an opportunity to participate in Power Hour, Triple Play, STEM, Arts, and Smart Decisions. Throughout the week, members will participate in high-yield learning activities and spontaneous fun. Games and contests will be held amongst the groups to build camaraderie and belonging within their Club. Registration Registration will be limited to children attending North, Stony Creek, and White River Elementary Schools. We will take a maximum of 120 members per semester on a first come, first serve basis. Registration periods will be in August for the first semester and in December for the second semester. Registration will be completed online at www.bgcni.org. Restrooms Restrooms will be cleaned and disinfected, with an EPA approved product, throughout the program day. Members will practice social distancing if waiting in line and masks will be required. Members will be reminded of proper handwashing techniques and a poster promoting proper handwashing techniques will be on display in the restrooms. Transportation Bus service will be provided to those who are registered for the semester and attend North, White River, or Stony Creek elementary schools. Masks are required on buses for students and drivers, and students will have assigned seats. One student will be permitted per seat (siblings may sit together). Buses will be cleaned, with an EPA approved product, between routes and at the end of each day. 7
Noblesville Schools will transport from North Elementary, and BGCN will transport from White River and Stony Creek. We will work with Noblesville Schools on bus routes and timing to ensure all registered members have a bus assignment. Visitors/Volunteers Visitors and volunteers will be restricted until further notice in an effort to promote health, safety, and social distancing. 8
