Conference Schedule Booth Space Approximately 8' deep x 10' wide display area with 8’ Move In high back wall drape and 3’ high sidewall drape. Tuesday, June 14th 12:00pm—5:00 pm Registration Fees: $495 through December 31, 2021 $595 through February 28, 2022 $645 through May 15, 2022 Exhibit Hall Hours $695 through June 15, 2022 Wednesday, June 15th 10:30 am — 4:30 pm Booth Includes: One skirted table and two chairs. Exhibitor Reception Registration for two complimentary booth personnel 4:30 pm – 6:00 pm This allows admittance to all conference functions, including workshops, meals and receptions. Thursday, June 16th Conference materials and gift bag. 8:00 am -11:00 am Attendee list - a list will be sent prior to the conference and a final list will be sent after the conference. Move Out There is an additional charge of $150 per person for Thursday, June 16th additional booth personnel over the complimentary allotment. All booth personnel must complete the attached registration form. Booth Assignment Register as soon as possible to improve your chance of receiving the booth of your choice. If you are a returning exhibitor and purchase by February 15, 2022, you will receive priority consideration on booth location. For payments received or postmarked after February 15, Region V will assign booths factoring both tenure and booth size. How to Reserve Your Booth Complete the attached Exhibitor Space Agreement and Exhibit Booth Personnel Registration Forms and submit with valid form of payment. Payment Payment must be received with contract to confirm booth reservations. Contract must be received with proper payment by the deadline dates indicated. Contracts submitted must be date/time stamped by 5:00 pm (Eastern Standard Time) of the deadline date indicated. VPPPA, Inc. does not accept Purchase Orders. Additional Services Once your exhibitor registration is confirmed with the VPPPA, you will receive Exhibitor forms for additional service items such as electrical hook up, decorations, Wi-Fi/internet access and audio visual. Other Information Security: The exhibit area will be closed during non-conference hours. The VPPPA Region V Chapter assumes no liability for merchandize left unattended. Hotel Reservations: Kalahari Resorts and Conventions 7000 Kalahari Drive, Sandusky, OH 44870 Once the room block has been filled, reservations will be accepted on a space available basis only. An online group reservation page will be posted to the Region V website in February 2022. The Kalahari Resort and Conventions website is below: https://www.kalahariresorts.com/ohio/ Cancellation Policy: Exhibit booth space is non-refundable. Hold Clauses: Exhibitors shall indemnify and hold harmless the VPPPA Region V Chapter and the Kalahari Resort and Conventions and its service agents from all liability (damage or accident) that might ensue from any cause resulting or connected with transportation, placing, removal or display of exhibits. Exhibitors shall indemnify and hold harmless the VPPPA Region V Chapter, the Kalahari Resort and Conventions and their respective employees, board of directors, membership and agents against any claim or expenses arising out of the use of the exhibition premises. The VPPPA Region V Chapter maintains sole discretion in the acceptance or refusal of applications. Applications received and accepted, will be recorded in order of receipt and space will be assigned on a tenure and booth size basis, with consideration given to sponsors. The VPPPA Region V Chapter reserves the right to exercise final say on all decisions. Interruption of the Conference: Should any contingency prevent the holding of the Annual Region V VPPPA Chapter Conference, the VPPPA Region V Chapter will return such portions of the amount paid for the space determined equitable by VPPPA after deduction of such amount necessary to cover expenses incurred by the VPPPA Region V Chapter in connection with the conference. If for any reason the VPPPA Region V Chapter determines the location of the Region V VPPPA Chapter Conference should be changed or the dates of the conference postponed, no refund will be made, but VPPPA shall assign to the Exhibitor in lieu of the original space, such other space as the VPPPA Region V Chapter deems appropriate, and the Exhibitor agrees to use such space under the same Rules and Regulations. The VPPPA Region V Chapter shall not be financially liable or otherwise obligated in the event that the Region V VPPPA Chapter Conference is cancelled, postponed, or relocated, except as provided herein. Indemnification: Conference attendees and guests, to the extent permitted by law, agree to indemnify VPPPA and its officers, directors, agents, and employees, of and from all claims, de- mands, or suits for personal injury or property damage, including costs and attorney fees, in any way arising out of or related to third party claims based on indemnifying party’s negligent acts or omissions in connection with the Region V VPPPA Chapter Conference.
