Youth Still Exhibits Department Rules Submission of entry constitutes as agreement to these rules. 1. Eligibility: a. The competition is for youth residents of California ages 5+ years old as of January 1st. b. 4-H entries will be verified via county project lists. Only entries in related projects will be counted as 4-H entries and be considered eligible for 4-H sponsored awards. Upon entering, please indicate 4-H club and project in 4-H for eligible 4-H entries. c. With the exception of eligible special competitions, 5-8 year-old exhibitors have no entry fee, receive no premiums, receive participation ribbons, and may enter ONLY in the designated 5-8 year-old categories and in special competitions for ages 5 and over. d. With submission of entry registration, exhibitor confirms their ability to deliver entry to the fair on the posted delivery date(s) and time(s). Entry fees will not be refunded. Late entries will not be accepted. 2. Entries: a. Unless otherwise specified, there is no entry limit per division or class. b. Exhibitors must prepare non-food entries within one year of the opening date of the Fair. c. The Fair will provide an exhibit tag using the information provided upon registration. d. Exhibit tags will be printed as entered. Any changes to the entry title or category must be emailed prior to the posted registration deadline. Once the deadline has passed, no changes may be made to the title or category entered and the entry will be judged as entered. 3. *NEW* Juried Exhibition: a. With the exception of Baked/Decorated/Preserved Foods, the Youth Still Exhibits Department is now a juried exhibition. Not all entries are accepted for physical display at the Fair. All entries must be registered online with required images submitted by the registration deadline. The number of images required will be indicated upon entry upload. Entries will first be judged from the uploaded images and given a score from each judge. Scores will be combined, with the top percentage of scores in each category being invited for physical display at the fair. Entries will then be judged in person and placings will be awarded. b. Exhibitors whose entries have been selected for physical display will be contacted via email on Friday, May 6th. Exhibitors will receive a separate email for each entry that has been selected for physical display. Entries that are accepted for physical display at the fair cannot differ from the uploaded image or the entry will be disqualified. c. Entries that are not selected for physical display will be virtually displayed at the Fair. d. ALL entries, regardless of whether they are chosen for physical display, will receive physical ribbons when earned. Ribbons will be available for pick-up on the published release day. 4. Tips & Instructions for Entry: a. You will need a digital photo (or PDF when indicated) in order to enter. b. Digital Image Size: For online entries, the ideal resolution in pixels is 800x800 (length x width). Images that are larger than this need to be resampled (resized) to that size while still maintaining the original aspect ratio. Exhibitors may choose to upload images that do not match the “ideal size”. Youth Still Exhibits Department Rules Continued Submission of entry constitutes as agreement to these rules. c. Division and Class: An entry eligible in more than one Division and/or Class should be entered in the Division and/or Class for which it best qualifies. The Alameda County Fair or the judge may disqualify or transfer entries to the correct category (at their discretion). It is not, however, the responsibility of the Alameda County Fair or a judge to transfer an entry to the correct class or division. d. Title: Use a short title. Titles may be abbreviated to accommodate the label space. Please choose your title carefully. The title cannot be changed later. The exact title is what will be printed on the exhibit tag of any displayed entry. e. Description: The description may be brief. Mention of medium and subject content is ideal. The description will not be included on the exhibit tag. 5. How to Enter All Entries (& Upload Digital Images for Round 1 of Judging): a. Review the Youth Still Exhibits Department rules. b. Entering online requires a credit card. No entries are accepted before the entry fee has been paid. c. Make sure the digital image of your artwork is on your computer and that you know where it is on your computer (saving it to your desktop might be easiest). d. Go to: https://alamed.fairwire.com/ and Register/Log-In. e. Select the “Create Entries” option. f. Choose the Department/Division/Class for each entry. g. Enter the Title (and description, if desired). h. Complete payment of entry fees. i. After payment, select UPLOAD MEDIA and follow the prompts to upload the digital image file that corresponds with the Title/Description. If you have multiple entries, please carefully look at the Title/Description in the top right-hand corner when uploading the digital images to ensure the image matches the entry. j. Refunds will not be issued for failure to upload entries. k. Entry Confirmation: Upon receipt of entry fees, an email confirmation will be sent. This will be your receipt for the entry fee. 6. Display, Handling, Presentation, & Release of Entries: a. The Fair Association reserves the right to refuse any entry or refuse to display any entry considered not to be in the best interest of the Fair. No entry will be accepted where an exhibitor prescribes conditions under which they will exhibit. Once submitted, all exhibits are under the direct control of the Fair Association and cannot be removed until the specified release day. b. Greatest care will be exercised in handling exhibits, but the Fair Management, Alameda County Fair Association, and the County of Alameda will not be held liable for loss, theft, or damage of any kind from any cause. c. Youth Still Exhibits Department Rules Continued Submission of entry constitutes as agreement to these rules. d. Upon submitting an entry for physical display at the Fair, the exhibitor agrees to pick up the entry after the fair on the posted release date. Failure to pick up the entry may affect selection for display at future Alameda County Fairs. e. Any unclaimed entries or ribbons will be held at the Exhibits Office until Labor Day. After that point, they will be discarded. 7. Judging & Awards: a. Entries (with the exception of Special Competitions) are judged using the Danish System of Judging where exhibits are judged against a scorecard. There is the availability of multiple 1st, 2nd, and 3rd places. Every entry will receive a placing and a ribbon (with the exception of 5-8 year-old categories which will not receive a placing but will receive a ribbon). i. All 1st place winners in a class will compete against each other for the Best of Class and all Best of Class winners within a division will then compete against each other for Best of Show. Judges may choose to omit Best of Class and Best of Show if there are no qualifying entries. ii. There is the availability of a Best of Class and Best of Show in 4-H and in Open Youth within the same entry category. b. Qualified judges are selected by the Alameda County Fair. Judging decisions are final. c. Cash Awards per class: 1st Place: $2.00, 2nd Place: $1.75, 3rd Place: $1.50 for most categories. d. Sponsored Awards: i. Sponsored awards will be awarded from eligible entries selected for physical display and delivered to the Fair. Each entry may only win one sponsored award. ii. The Fair does not guarantee the payment of Sponsored special premiums and awards as they are secured in good faith. Division Specific Rules and Information Baked Food: 1. General Information: a. Youth exhibitors may enter in both periods and do not need to specify which period each entry will be submitted. b. Entry Deadlines & Delivery Information i. Period 1: June 14 with delivery on Friday, June 17th from 7:00-10:00 a.m. ii. Period 2: June 26 with delivery on Wednesday, June 29 th from 7:00-10:00 a.m. c. When entering more than one item per class, the recipes must be different. d. Within any year, each recipe may only be entered once. e. Original recipes are not required (with the exception of the Guittard Chocolate and King Arthur Baking Company special competitions). f. Entries must be made from scratch and may not use any prepared mixes (with the exception of Tricks With a Mix special competition). g. Refrigeration is not guaranteed. h. Pies & Pastries: Pies are to be entered in a clear, glass pie plate. Please label the bottom of the pie plate with the exhibitor’s name. i. Judging Standards: 20% Appearance, 25% Texture, 45% Flavor, 10% Inclusion of Recipe. j. Cash Awards per class: 1st Place: $2.00, 2nd Place: $1.75, 3rd Place: $1.50 k. Enter: 1 whole loaf, cake, pie; 7 cupcakes, cookies, candies, muffins, rolls, scones, etc. (multiple items should not be individually wrapped) 2. Special Baking Competition Details: a. Special Baking Competitions are judged using the American System of Judging where there is only one 1st, 2nd, and 3rd place in each class. b. Open to youth ages 9 years and older as of January 1st. c. Judging Standards: 20% Appearance, 25% Texture, 45% Flavor, 10% Inclusion of Recipe. d. Cash Awards per class: 1st Place: $8.00, 2nd Place: $6.00, 3rd Place: $4.00 (unless otherwise noted). e. Special Baking Competition Categories: i. Cereal Treat Bars: A great “Road to Summer” snack. Use your favorite cereal to make cereal treat bars! Enter by 6/14. Deliver on 6/17 from 7:00-10:00 a.m. ii. Cookies on the Road: Enter by 6/14. Deliver on 6/17 from 7:00-10:00 a.m. 1. Did you know that every state has a state cookie and/or most popular cookie? Choose a state (one you have traveled to or wish you could travel to) and create that cookie! Enter any chocolate creation using at least 10 oz. of any combination of Guittard Chocolate products and must not include any pre-packaged cake/frosting/etc. mixes. 3. Guittard packaging must accompany your entry at the time of delivery. 4. Entry must be the original entry of the exhibitor and may not have been entered and won in any other competition. 5. Submit two copies of your recipe: on only one copy, also include your name, address, phone number, and email in the upper right-hand corner. 6. iv. King Arthur Baking Company Special Competition: 1. Enter by 6/26. Deliver on 6/29 from 7:00-10:00 a.m. 2. Entries must use only King Arthur Flour. Provide proof of purchase upon delivery. 3. All contestants must use a King Arthur Flour Baking Company Drop Cookie recipe found on the King Arthur Baking Company website. Cookies & Bars | King Arthur Baking 4. Judging Standards: 25% Appearance/Creativity, 25% Texture, 50% Taste 5. Prizes Sponsored by King Arthur Baking Company: a. 1st Place: $40 Gift Card, 2nd Place: $25 Gift Card, 3rd Place: Tote Bag v. Mix it Up! Tricks with a Mix: Use your favorite pre-packaged mix and make something new. Enter by 6/26. Deliver on 6/29 from 7:00-10:00 a.m. vi. Entries should be delivered on non-returnable, disposable plates. i. Pies are the exception and should be delivered in a clear, glass pie plate. b. At the time of delivery, each entry must be submitted with a complete recipe. Recipes will only be viewed by the judges and will be returned to the exhibitor. 4. All Period 1 baked food items will be discarded prior to Period 2 delivery. Items may be discarded prior to that time if they become deteriorated; this is at the discretion of fair personnel. 5. Ribbons, Judge’s comments, and recipes will be available for pickup in Building C any time the fair is open beginning Sunday, July 3rd. Any desired ribbons, comment cards, or recipes not picked up during the fair must be picked up on the exhibit release day and will not be mailed. Decorated Food: 1. Enter by 6/14. Deliver on 6/17 from 7:00 a.m. to 10:00 a.m. 2. When entering more than one item per class, each item should use a different predominant technique. 3. Entries must have been created within one year of the opening date of the Fair. 4. A Styrofoam or cardboard form should be used, but all non-structural decorations must be edible. 5. Please deliver on a covered, firm surface with no more than 1 ½” beyond all edges of the entry. 6. Deliver: 1 Cake, 7 Cupcakes, 4-7 cookies (cookies must be handmade). 7. Upon request, the exhibitor may place their decorated cake on the judging table with the assistance of department personnel. 8. Judging Standards: 30% Appearance, 25% Icing, 25% Uniformity in Decorating, 10% Originality & Creativity, 10% Difficulty Factor. Entries will be judged on decoration only (there will be no tasting). Preserved Food: 1. Submit one jar per entry. 2. All entries must be entered in a standard canning jar with new screw bands (no paraffin seals). 3. Entries in the “Any Other” classes may only be entered if there is no class listed for that category. 4. Exhibitors must attach a label to the bottom of the jar with the product name, date prepared, preservation method, and any unusual ingredients. 5. Vinegars & Liqueurs should be entered in a glass bottle or decanter. 6. Dried foods may be entered in a canning jar or any self-sealing bag or container. 7. All jars (except for dried foods, vinegars, or liqueurs) must be properly sealed. Unsealed jars and jars that are unable to be opened by the judges will be disqualified and may not be displayed. 8. Please have proper headspace. Judges will be using the headspace guidelines in the most recent version of the Ball Blue Book. 9. Ribbons, Judge’s comments, and recipes will be available for pickup in Building C any time the fair is open beginning Sunday, July 3rd. Any desired ribbons, comment cards, or recipes not picked up during the fair must be picked up on the exhibit release day and will not be mailed. The following categories are all juried exhibitions and require media to be uploaded upon registration. 5-8 Year-Old Projects: 1. Entries must be clean, neat, and ready for display. 2. Items that are soiled or showing wear will not be accepted, judged, or displayed. 3. Spray adhesives, rubber cement, and masking tape do not reliably hold. Please use permanent adhesive when possible. 4. All painting/drawing and photography entries selected for physical display must be mounted on mat board or heavy card stock. Maximum Size: 24” x 36” (length x width). Only canvas artwork may be framed and must be ready to hang with picture wire. Professional matting is NOT required. Photo size must be 8x10 and mounted on 11x14 mat board or heavy card stock. Photos may not be framed. Creative Writing: 1. A PDF upload is required to complete the entry process. Entries will be printed and placed in a creative writing book to be viewed at the fair. 2. Entries are limited to TWO pages. If more than two pages are submitted, the entry will not be selected for inclusion in the creative writing book at the fair. 3. Judging Standards: 40% Creativity, 20% Structure, 20% Language Use, 10% Mechanics (spelling, grammar, formatting, etc.), 10% “Wow” Factor. Computer Science: 1. Entries must be completed entirely by the exhibitor. 2. Please preview entries on multiple platforms to ensure entries will function properly at the Fair. 3. Follow all copyright laws in use of text, music, and images. Violations will result in disqualification. 4. All entries must be able to be viewed publicly via the registered URL. 5. Websites: a. Home page must have the exhibitor’s name and date last updated or posted. There should be at least three exhibitor-created pages in addition to the home page. b. All non-original work (pictures, clip art, ideas, text, etc.) must be cited on the page in which they appear. c. Websites must be public from the entry deadline through the end of the Fair. d. Judging Standards: 25% Originality, 25% Functionality, 20% Interactive Design, 15% Layout, 15% Proper Citation. 6. Videos: a. All work must be original. Only the first 10 minutes of the video is guaranteed to be judged. b. Judging Standards: 30% Achieves Objective, 30% Accurate/Relevant/Creative, 15% Continuity/Pacing/Story/Transition, 15% Technical Value (Focus/Audio Effects), 10% Instructionally Significant. 7. Computer Based Animation: a. All work must be original. b. Judging Standards: 25% Character & Design, 50% Animation, 25% Final Product. Fiber Arts: 1. Entries must be clean, neat, and ready for display. 2. Items that are soiled or showing wear will not be accepted, judged, or displayed. 3. All quilts and wall hangings must have a 4” sleeve to accommodate a cross pole for hanging. Sleeve must be continuous across the width of the piece. Fold a 9” strip of fabric in half and sew with a ½” seam, making a long tube. Place seam against the back of the piece and baste or blind stitch the sleeve in place 1” below the top and ½” from each side, taking care not to sew through the front. 4. Categories: a. Needlework: i. Framed pieces must have glass/plexiglass removed, have the back neatly finished, and be ready to hang with picture wire or have an appropriate stand. ii. Judging Standards: 25% Appearance, 50% Workmanship, 15% Difficulty Appropriate for Age, 10% Suitability b. Quilting: i. In cases where someone other than the exhibitor completed the quilting, please specify the quilter’s name upon entry registration. ii. Judging Standards: 50% Art, 50% Construction. iii. Cash Awards per class: 1st Place: $2.50, 2nd Place: $2.00, 3rd Place: $1.75 c. Sewing: i. There is a Hand Sewing division and a Machine Sewing division. Please ensure entries are in the correct division. ii. Judging Standards: 30% Appearance, 60% Workmanship, 10% Difficulty Appropriate for Age. Hand Crafts: 1. Entries must be clean, neat, and ready for display. 2. Items that are soiled or showing wear will not be accepted, judged, or displayed. 3. Arts & Crafts: i. Jewelry items must be mounted for display on a board with no more than a 1” border beyond the edge of the item or in an appropriately sized box. ii. No toy generated entries (Lego, K’nex, Erector, etc.) will be accepted. iii. Exhibitors may use pre-cast and pre-stamped articles as long as they complete all artistic and finishing work and indicate which portion was pre-made. iv. Ceramics must have the year and exhibitor’s name or initials inscribed on all pieces before firing. No unfired or unbaked clay items will be accepted. v. Judging Standards: 25% Appearance, 50% Workmanship, 15% Suitability & Difficulty Factor, 10% Creativity. b. Paper Crafts & Scrapbooking: i. All entries must be predominately made from paper with minimal non-paper items (such as buttons or brads as accents). ii. Pre-cut kits are not allowed. iii. Please credit the source if the layout is not an original design. iv. If selected for physical display, scrapbook pages should be submitted in a page protector with a maximum size of 12”x 12”. v. Judging Standards: 40% Appearance, 30% Workmanship, 20% Difficulty Factor, 10% Originality & Creativity. c. Wood Working: i. Kits are not allowed. ii. Painted wood items should be entered under Arts & Crafts. iii. Judging Standards: 20% Appearance & Artistry, 60% Craftsmanship, 10% Originality, 10% Suitability to Purpose. Hand Craft Special Competitions: 1. Please indicate if the entry is an original design. 2. Finished entry must be at least 2” in size and either freestanding or mounted so it is freestanding (leave no more than 1” undecorated perimeter). 3. Hand Craft Special Competitions are judged using the American System of Judging where there is only one 1st, 2nd, and 3rd place in each class. 4. Open to youth ages 5 years and older as of January 1st. 5. Judging Standards: 20% Appearance, 40% Workmanship, 15% Difficulty Factor, 15% Creativity, 10% Compliance. 6. 7. Category Special Instructions: a. 5-Minute Craft: i. 5-Minute crafts are fast and easy crafts that everyone can make. Search YouTube or the internet for ideas and show us your favorite 5-Minute craft! b. Bling Something!: i. Add Bling to a bag, purse, cell phone case, shoe, or anything else you can think of. ii. Include a photo of the original item prior to embellishment for before/after comparison. c. Egg Carton Craft: i. Egg carton(s) should be the predominant material. d. Going Green: i. Any recycled, refurbished, or repurposed craft. ii. Include a photo of the original item(s) prior to embellishment for before/after comparison. iii. Maximum size: 24” x 36” without prior approval. e. Literature Based Craft: i. Create an arts & crafts entry inspired by/based on literature. ii. Items may be flat or 3-Dimensional. No paintings, drawings, or creative writing. f. Road to Summer Crafts: i. Map it! – Must use a printed map as a key material in the finished craft. ii. On the Road! – Features any road or roadside attraction. iii. Road Trip Crafts – Crafts, games, or activities to make time fly while on the road. g. Shoebox Float: i. Float must be made from a traditional cardboard shoebox no larger than 9”x 13”. Miscellaneous Exhibits: 1. This division is for entries with no other provided category. 2. Exhibits may include a poster board (minimum size: 18”x 22”; maximum size: 22”x 30”) or educational displays (cardboard or foam board bi-fold or tri-fold). 3. Weight limit is 15 pounds. Base size limit is 18”x 24” without prior approval. 4. The use of Lego, K’nex, and similar items are restricted without prior approval. 5. Written reports will not be accepted. 6. Rockets may not have live engines. 7. Judging Standards: 20% Appearance, 25% Learning Related to Project, 25% Workmanship, 20% Accomplishes Purpose, 10% Suitability & Difficulty Factor. Painting & Drawing: 1. Flat art only. Please enter 3-D art pieces under Arts & Crafts. 2. All entries selected for physical display must be mounted on mat board or heavy card stock. Single table setting limited to 24”x 24” with a 15” height limit. a. A 24”x 24” piece of sturdy cardboard, wood, or foam board covered with fabric or paper is required as the base of the setting. All components must be placed only on this board. 4. Include menu and related centerpiece. Use appropriate service & utensils and make sure the setting matches the items on the menu. 5. Nothing edible or alive may be a part of the display. 6.
