Terms and conditions Applications must fulfil the following criteria: • The application is for up to $3,000 in funding. • The project will be undertaken within communities in which Wespine operates. This includes the Dardanup sawmilling operation and areas impacted by pine plantations which supply product to Wespine. • The project will deliver economic and / or social benefit to the communities in which Wespine operates. • Organisations which Wespine will support include local schools and kindergartens, and not-for-profit community and industry organisations. • Wespine will not generally contribute to for-profit programs, political parties or organisations with religious affiliations, individuals or individual sporting teams (preferring to support organisations or groups) or customer requests. • The project demonstrates alignment and preferably have direct linkage to Wespine’s sphere of influence of the business (e.g. promoting environmental awareness or sustainability, reuse / recycle projects, promoting use of wood). 1. Applications for grant funding will be offered twice in each financial year, usually in August/September and February/March. The program may be deferred or cancelled at the discretion of Wespine. 2. Organisations are only eligible to receive one funding donation in any given financial year, up to a maximum of $3,000. 3. The funds are available to not‐for‐profit organisations that can demonstrate a direct positive influence on the communities in which Wespine operates. 4. All applications will be reviewed by the Wespine Employee Donations Committee and approved by the Managing Director. 5. Where possible funds should be expended in the local community where the project is taking place. 6. Wespine reserves the right to accept or reject any application received. 7. Successful applicants will be required to provide Wespine with an evaluation of the project and acquittal of the funding received, based on the criteria for receiving the grant allocation, within eight weeks of the completion of the event / project. 8. Acknowledgement of Wespine must be included in any advertising and on any material relating to the project for which the funds were allocated. 9. Unless otherwise agreed, the applicant will need to be an incorporated not‐for‐profit organisation or seek the support (sponsorship) of an incorporated not‐for‐profit organisation to administer the applicant’s funds and provide accountability for the grant. 10. The grant will be utilised for the purpose as outlined in the official application received, unless authority to change the purpose is agreed in writing prior to funds being expended. 11. The grant funds will be utilised within the specified period, unless authority to change the timeline is received in writing prior to the expiry date, and if not the funds will be returned to Wespine in full. Wespine Community Grants Fund September 2021 12. The funds shall only be paid over to the organisation once Wespine has received an official Tax Invoice. 13. All unexpended funds shall be returned to Wespine within one month of receiving advice that the project has been completed or is not to continue. 14. Wespine is under no obligation to check bank details prior to the transfer of any funds to the organisation. 15. Grant funds are provided on a one‐off basis and should not be seen by the applicant as an entitlement to any further funding in future funding rounds. 16. Wespine will not be held responsible for the success of the approved purpose for which the grant was given or for any losses or additional costs incurred that are associated with the approved purpose. 17. The applicant must comply with all Local, State and Commonwealth laws applicable to the approved purpose. 6. Declaration This declaration is made by the applicant (an eligible incorporated organisation) or an appropriate sponsoring body on behalf of the applicant: I declare that I am currently authorised to sign legal documents on behalf of the organisation; I declare that all the information provided is true and accurate; I give permission to Wespine to contact any persons or organisations in the processing of this application and understand that information may be provided to other agencies, as appropriate; If a grant is provided I am aware that grant Terms and Conditions as outlined above will apply to ensure the project is appropriately completed and accountability requirements are met; If a grant is provided I agree to ensure that appropriate insurances are in place (e.g. Worker’s compensation, volunteers, professional indemnity, public liability, motor vehicle); I agree to run the project as stated, and provide a final acquittal report and Statement of Financial Income and Expenditure to demonstrate how the grant funds were utilised to Wespine within eight weeks of completion of the project and that the final report will need to demonstrate achievement of the project objectives; and I declare that the organisation is financially viable and is able to meet all accountability requirements.
