MINIMUM WINE ORDER As a premier North Carolina winery, Childress Vineyards produces an impressive portfolio of award-winning wines to appeal to all wine lovers and satisfy a range of budgets. Whether you choose a variety of wines or limit your event to a couple of popular favorites, our wine list of estate and proprietary wines will make a memorable impression on every guest. MINIMUM WINE ORDER REQUIREMENTS A minimum of one case (12- 750 ml bottles) per 20 guests is required for all evening events. Each 750 ml bottle contains approximately four glasses of wine. We suggest planning on two glasses of wine per person. A complimentary wine tasting for up to 4 guests is included with the wedding package. Reservations for this tasting can be made with your Event Sales Manager. Wine orders should be placed with your Event Manager prior to the scheduled event date. Scheduled date will be noted in your provided timeline. In case it is needed, additional wine beyond the amount of your initial order can be available. Simply provide us with your credit card number to authorize the release of additional wines for service to you and your guests. Beverage service will end 20 minutes prior to scheduled event end time. FAQ Programs & Facility We strive to provide excellent service to our guests, however, some accommodations cannot be met. Please inquire with your Event Manager about the placement of decor in each venue. If items of interest cannot be easily moved, we may provide solutions for incorporating our decor. Removal of everyday furniture may incur an additional fee. How much time is allowed for set-up and clean-up? Timing varies and is dependent upon your chosen wedding package. Please inquire with your Childress Vineyards Event Manager for your day-of itinerary. What is the timing for my ceremony rehearsal? You may schedule a rehearsal with your Childress Vineyards Event Manager at any available date prior to your wedding. Typically rehearsals should be concluded by 5 p.m., however, exceptions can made if there are no other events scheduled. Do you allow decorations? Our grounds and facility offer a spectacular backdrop, however, you may wish to add decor to personalize your event. Any rental or personal decor is the sole responsibility of the client. Such items can be delivered and picked up only during setup times and the client is responsible for placing in the venue. Childress Vineyards will not be responsible for any misplaced or forgotten items. Removal of everyday furniture may incur an additional fee. Is staffing included in the pricing? No. Childress Vineyards has a firm commitment to guest service and satisfaction. We require event attendants to be present during all functions. Our staff is responsible for the success of your functions including setup, breakdown, and all food and beverage service during your event. The number of attendants you will need is determined by the size and complexity of your function. Can you recommend nearby hotel accommodations for the wedding party and guests? We often refer guests to the Holiday Inn Express & Suites at Vineyards Crossing next door or the Hampton Inn Lexington. Though we are not under the same ownership and cannot book reservations for you, the hotel has accommodated the majority of our wedding guests in the past and has done a reputable job doing so. FAQ Programs & Facility Does Childress Vineyards provide rental options? Childress Vineyards has tables, chairs and additional rentals are available. If you prefer different options, tables and chairs may be rented from outside vendors. All outside rentals are the responsibility of the client and must abide by the vendor guidelines. Standard sizes include 4 ft. and 5 ft. round tables as well as 6 ft. and 8 ft. by 2.5 ft. wide rectangular tables. For the most current linen and centerpiece rental options, please consult your Event Manager. What are the departure guidelines? Childress Vineyards does not allow the use of sparklers and/or any kind of flame on premise. Any item that is biodegradable or easily cleaned up is allowed for your exit (I.e. glitter and confetti are prohibited but real or silk petals are allowed). If you are uncertain about your item or have questions, please consult with you Event Manager. Are tents included in the pricing? Tents are not included in pricing, however, they may be rented from an outside vendor. Ask your Childress Vineyards Event Manager about recommended vendors. Can you recommend any local vendors? With the exception of catering services and wine providers, you are welcome to select your own vendors for your special day or event. We can provide you with a list of appropriate vendors from the surrounding area. Vendors are allowed access to the winery during specified setup and clean-up times. A certificate of insurance naming Childress Winery, LLC as an additional insured party is required of all outside vendors. Please consult with your Event Manager. Can we have a drone? Yes, drones are permissible during evening events only. We require all drone photographers/videographers to be licensed and must be pre-approved with a signed liability contract through your Event Manager at least two weeks prior to your event. Due to the privacy of our daytime guests, drones are not allowed during our normal winery business hours. Do you offer Day-of Coordinators? No, our staff does everything venue related (setup, breakdown, food & beverage service). We do require weddings to have a wedding planner and/or day-of coordinator. You may choose your own planner/coordinator, or we can provide a recomended list of planners/coordinators if needed. Childress Vineyards Weddings | 40
FAQ Catering: Food & Wine Catering Services are supplied by Childress Vineyards Bistro and have the first right of refusal. Please ask your Event Manager for a catering menu, an estimate of catering charges and details regarding your wine list selections. If you have something specific in mind, our chefs will do their very best to accommodate your culinary wishes. If the Childress Vineyards Bistro is not able to offer catering services, a list of approved caterers will be offered. May we provide our own outside caterers? Though you may utilize outside vendors for planning, photography, decor, wedding cake, etc. we ask that you use our catering services for your wedding day. Outside catering services are not permitted, unless otherwise approved by your Childress Vineyards Event Manager. Childress Vineyards holds the first right of refusal for event catering based upon scheduling and availability. Does catering include a wedding cake? Wedding cakes are not included in catering; you will need to provide your own wedding cake. A cake plating fee will be applied at $1 per person for all Classic Packages. Cake plating is included in Signature and Luxe packages. However, assorted dessert options are available as an option within catering pricing. Do you offer kids meals? Yes, please inquire with your Event Manager for menu options. Can we bring our own alcohol? All alcoholic beverages must be approved of by your Childress Vineyards Event Manager. Any unapproved alcohol onsite is subject to confiscation. You may inquire about a temporary liquor permit for the day of your event should you request other beverages than wine and beer. Do you offer a discount on Childress Vineyards wines? Yes, all of our Fast Track Wine Club members receive a 20% discount on their total wine order throughout the year. Inquire with your Childress Vineyards Event Manager on how to sign up for our wine club and for more info on included benefits. Can we offer a cash bar at our event? We cannot arrange a cash bar, however, a wine and beer host bar can be offered to your guests if planned in advance. Liquor beverages are not allowed on premise without a special permit. FAQ CONTRACTS & PAYMENTS Childress Vineyards has a firm commitment to sales service and satisfaction and holds the first right of refusal.. Please ask your Event Manager for an estimate of charges and details regarding payment scheduling for your event. Planning and day-of details can also be discussed with your Childress Vineyards Event Manager. When is the final headcount needed? Final guest count is due no later than 14 days prior to your event date. What if my final headcount changes? Changes in guest count could be subject to additional fees. Please refer to your contract for details. How much is the deposit to book? In order to secure your date, we require a security deposit of 50% of the rental fee for events more than 6 months out. We require a security deposit of 100% of the rental fee for eventss less than 6 months out When are all of my other charges due? All other charges are due no later than 2 weeks prior to event. Do you offer refunds? Given the length of time in advance most weddings and other events are scheduled, it is often difficult for us to book another event for the same date should you decide to cancel. We do not offer any type of refund for cancellations. We expect all rented areas to be returned to the original state at the end of its use. You will be held responsible for any misuse of property by you or your guest. If premises are left in a state of disrepair, additional fees will be applied to the card on file. All rates, policies, and terms listed in this publication are subject to change without notice. Final guest counts are due, estimated as closely as possible, fourteen days prior to the event date. Room rentals are subject to availability. This brochure and any other published materials concerning the use of our facilities are for informative purposes only. The Childress Vineyards logo is property of Childress Vineyards, LLC. Any use of the Childress Vineyards logo by any entity or means is restricted. Please review the Childress Vineyards rental Agreement with the Event Manager for complete details. Should any discrepancies arise between this brochure, other printed materials or information obtained from other sources, your Childress Vineyards Rental Agreement takes precedence.
