Description of Wedding Services CEREMONY TIMES All ceremonies are held while the restaurant is closed for lunch/dinner service. Morning ceremonies typically start between 10:15am-10:30am on weekdays and 9:15am-9:30am on weekends. The ceremony must conclude by 11am on weekdays and 10am on weekends. Set up may begin no earlier than 8:30am. Afternoon ceremonies typically start between 4:45pm-5:00pm on weekdays and 4:15pm-4:30pm on weekends. The ceremony must conclude by 5:30pm on weekdays and 5pm on weekends. Set up may begin no earlier than 3:30pm. If you are not holding your wedding reception at the Willows immediately following the ceremony, you and your guests must vacate the property by 10:45/5:15pm on weekdays and 9:45am/4:45pm on weekends. This is to avoid congestion created by your guests leaving at the same time our lunch/dinner guests begin arriving. Therefore, it is recommended that you begin your ceremony at 9:45am/4:15pm on weekdays and 9am/4pm on weekends. CEREMONY LOCATION and CHAIR SET UP You may choose to have the ceremony take place inside or outside (in front of) the chapel. (24) white wooden folding chairs are included in the set up for outside ceremonies (3 rows of 8). (16) white wooden folding chairs are included in the set up for inside ceremonies (4 rows of 2 on each side of the aisle). Up to 8 additional white wooden folding chairs may be added on at $4.00 per chair (for outside ceremonies only). Mahogany chiavari chairs may be rented instead of (or in addition to) the white wooden folding chairs. There are a total of 40 chiavari chairs available for rent. Absolutely no items may be taped to any of our ceremony chairs. BRIDAL WAITING ROOM One of our private banquet rooms, the Imaikalani Room, is used as the bridal waiting room and is located on the second floor, above the restaurant's restroom and bar area. The room is only reserved 1 - 1.5 hours prior to the start of the ceremony. If the Imaikalani Room is not available for use, every effort will be made to accommodate you with another room on property. Any personal belongings must be removed prior to the start of your ceremony and taken into your reception room. You will not have access to or use of the room after your ceremony, unless you choose to rent the room for the full day. Full day room rental allows you access and use of the room for an additional 3 hours for lunch events on weekdays, 4 hours for lunch events on weekends, 4.5 hours for dinner events on weekdays and 5 hours for dinner events on weekends. The room is not accessible by an elevator. if maneuvering stairs is an issue, we will arrange for you to use the Honolulu Room, which is located on the ground floor, below the Imaikalani Room. The Imaikalani Room is air-conditioned and equipped with a full length mirror, hand sink and bathroom. It is recommended that you and your bridal party arrive with your hair and make-up already completed and you use the bridal room to change into your gowns. Beverage service is not available while you are using the room because the restaurant is closed for service during this time. You are allowed to bring in your own bottled water or non-alcoholic beverages for yourself and your bridal party. If any alcohol is found, it will be confiscated and returned when you are leaving the property. 01 .p
REHEARSAL PRACTICE All rehearsals are scheduled for no more than 1 hour. Rehearsals are only scheduled on weekdays either between 9am and 10:30am or between 3:30pm and 5pm. Contact your assigned catering manager to schedule a date & time for your rehearsal. SOUND SYSTEM The sound system rental is for your wedding ceremony only and includes one speaker and an iPod connection. A microphone for the minister is an additional charge. You may play background music prior to your ceremony, in addition to the music for your ceremony. Music cannot be played after 11am/5:30pm on weekdays and 10am/5pm on weekends. The Willows management reserves the right to monitor the volume level of the music being played. CHIFFON DRAPING FOR THE CHAPEL You may request white or ivory chiffon for the chapel draping as shown in the photo. Chiffon draping is for the chapel only and cannot be transferred or used in your reception room. PAPER FLOWER DECOR Paper flower decor is for the chapel only and cannot be transferred or used in your reception room. VENDOR ARRANGEMENT We do not offer true wedding coordination, but we are able to assist you with the hiring of vendors for your wedding ceremony. The fee for vendor arrangement is 18% of the total dollar value you are paying each vendor hired with our assistance. This fee is paid to the Willows. While we will book and confirm the vendor's services for you, you will make payments directly to each vendor. CEREMONY DIRECTOR The ceremony director, is to a limited extent, your coordinator for the ceremony. The ceremony director's priority is to make sure the vendor services you have purchased through the Willows, have been fulfilled and all hired vendors are ready for your ceremony. It is not the ceremony director's job to locate vendors you have hired or to follow up on arrangements you have made with other vendors. The ceremony director's responsibilities are over once your ceremony is complete and the ceremony site is cleaned up. 11 .p
BEVERAGE STATION FOR GUESTS The self-service beverage station includes 2 gallons of iced water, plantation iced tea or lemonade. PREFERRED WEDDING CEREMONY VENDORS This list was created to assist you with your wedding planning. You are NOT REQUIRED to use these vendors. You may hire vendors of your choice. WEDDING CAKE We order all of our wedding cakes through Cake Works. You are NOT REQUIRED to use our cake vendor and can use/hire any bakery of your choice. The standard wedding cake consists of two tiers (6" & 9" round tiers, stacked on one another) made with vanilla chiffon and buttercream frosting and topped with fresh roses. You may choose the color of the roses. Alternative flower and cake flavor requests may be an additional charge. Ask your catering manager for a list of alternative wedding cake options. HARP & FLUTE DUO The harp & flute duo is on-site for no more than 1 hour. They will play for approximately 15-20 minutes prior to the start of your ceremony and again for about 10-15 minutes after the ceremony. You will be asked to select a song for the processional and another song for the recessional. You may select an additional processional song if you want your bridal party to walk in to a song that differs from yours. Your catering manager will share a list of song recommendations with you. You may request songs that are not listed, but there will be an additional charge of $25.00 if they do not have the song in their repertoire. FLOWERS You will be asked for a color theme and it is the florist's discretion on the types of flowers they will use. If you have specific flower requests, we will share them with the florist and they will do their best to incorporate them into your order. If your requested flower selections require an additional charge, you will be notified. Please inform us if there are any flowers you absolutely do not want incorporated into your order. All flowers purchased are yours to keep. You are responsible for transporting them off property. 21 .p
Wedding Ceremony Policies 1. CONFIRMATION: All reservations will remain tentative until form has been filled out completely, and returned to the catering office with required deposit. A deposit of one-half the value of the wedding package or a la carte item(s) is needed upon agreement. The Willows will not make any arrangements until a deposit is made. Requested services will be arranged once deposit is received. The remaining balance will be due no later than three weeks prior to date of event. Deposits will be applied to your final payment. 2. CANCELLATION: All deposits are non-refundable. Deposit will not be returned upon cancellation of your ceremony for any reason. Fees will apply to cancelled services that were arranged at the time of initial deposit, even though ceremony is not cancelled. Fees vary by vendor. An 18% service fee will apply to cancelled service fees. 3. PAYMENT: Full payment of all services is due no later than three weeks prior to date of ceremony. We do not accept special billing arrangements. All prices are subject to 4.712% tax and an 18% service fee. 4. CEREMONY HOURS: Ceremonies need to be held between the following hours: Monday-Friday 8:30am to 11:00am / 3:30pm to 5:30pm; Saturday and Sunday 8:30am to 10:00am / 3:30pm to 5:00pm. 5. SET-UP & CLEAN-UP: You are responsible for insuring that the following rules are adhered to by those setting-up/cleaning-up the premises: a. Set-up time may begin no earlier than 8:30am for morning ceremonies and 3:30pm for afternoon ceremonies and must be scheduled with the catering department. b. Coordinate with your assigned catering manager on all decoration arrangements. We do not allow decorations to be attached to any surface by any means including, but not limited to, adhesive tape, staples, nails, and thumbtacks. c. The Willows is not responsible for the set-up and/or removal and discarding of any decorations brought in by the client or outside vendors hired by the client. $100.00 clean-up fee applies. If a clean-up fee is necessary for your ceremony, payment is due in full at the completion of the ceremony. d. Furniture, fixtures and equipment may not be removed without prior consent by the catering department. e. In the event of any missing items or damage to the ceremony site, the cost to replace such items and damages will be the responsibility of the client. 6. DELIVERIES: Materials may be delivered (by client or outside vendor) to the Willows up to two days prior to the date of the ceremony with proper notification and acceptance by the catering department. Client acknowledges the following conditions: a. Any personal property of guests left at the Willows either prior to, during or following your event, will be at the sole risk of the guest. b. The Willows will not be liable for any loss of or damage to this property for any reason. c. Guest acknowledges that the Willows does not maintain insurance covering client’s property and that it is the sole responsibility of client to obtain business interruption property damage insurance covering such losses by client. 7. PARKING: Valet parking may not be available prior to the start of your wedding ceremony. Ask your assigned catering manager for more details regarding parking arrangements. 31 .p
8. RESTRICTIONS: Client assumes full responsibility for insuring the following are adhered to. Should such actions occur, the Willows reserves the right to end event at any time. No discounts or refunds will apply. a. No outside food and drinks allowed. All Food & Beverage must be purchased exclusively from the Willows. All Food & Beverage must be consumed on the Willows property. The Willows reserves the right to confiscate any such outside items, and will return to the client at the conclusion of event. b. No illegal activities allowed (i.e. gambling, sale or use of illegal drugs, etc.) c. No alcohol consumption by minors. d. No smoking allowed. e. No animals allowed, except those used by visually or physically impaired persons. f. The Willows will not tolerate any type of violent, threatening, and / or intimidating behavior. Client agrees to conduct the event in an orderly manner in full compliance with applicable laws, regulations and restaurant rules. Client assumes full responsibility for the conduct of all persons in attendance at the event and for any damage done to any part of the Willows premises during any time the premises are occupied by the clientt, invitees, employees or independent contractors employed by the client. 9. SPECIAL ARRANGEMENTS: All special arrangements (music, entertainment, etc.) must be approved by the catering department. 10. DELAYS: If your ceremony fails to start on time, overtime charges may apply. Should a delay occur, it is not guaranteed that all services will be available beyond the scheduled time. 11. TERMINATION OF AGREEMENT: The Willows will not be held liable for failure to carry out arrangements that are beyond its control including, but not limited to, strikes, labor disputes, accidents, government requisitions, restrictions or regulations on travel, acts of war or acts of God. Upon return of client’s deposit, in no way will the Willows be held liable for consequential damages of any nature for any reason whatsoever. The Willows will only work with and hire reputable and reliable vendors. If the hired vendor cannot perform his/her services all or in part due to fire, injury, acts of God or nature or other cause beyond his/her control, all fees retained to pay for the vendor will be returned to the client and the Willows or the hired vendor will have no further liability with respect to your event. 41 .p
