The trade exhibition will run from 10.00am on Thursday, 12th May 2022 until the conclusion of
Networking Drinks at 5.35pm on Friday, 13th May 2022 and will be located in the Coogee Room within
the Crowne Plaza, Coogee Beach. All delegate catering will be served amongst the trade exhibition area.

Catering is included in your exhibition package for one (1) staff member nominated to receive the
complimentary Full Conference Registration. So that all members of staff can enjoy Morning Tea,
Lunch and Afternoon Tea with delegates, the exhibiting company will be charged $90.00 per day
for each additional staff member who is working at the Exhibition, to cover catering fees charged
by the venue.

TRADE EXHIBITOR INSURANCE
Exhibitors should consult their own insurance company and/or broker for proper coverage of their
exhibits and displays. In most cases you will be able to extend your existing policy. Public Liability
Insurance cover for your exhibition area must be taken out for a minimum of $10,000,000 from the
first day of bump in on Thursday, 12th May 2022 until the completion of bump our on the evening
of Friday, 13th May 2022.

A copy of your Public Liability Certificate of Currency must be sent to Lucia Johnston at GEMS
Event Management via email to ljohnston@gemsevents.com.au by no later than Monday, 11th
April 2022.

EXHIBITOR INFORMATION KIT
The Exhibitor Information Kit, to be sent out at least three months prior to the Conference. The kit
will provide you with all the information you need in order to plan for your attendance as a Trade
Exhibitor at the 2022 CDAA National Conference.

The Conference floorplan will be released soon.

Should you confirm your exhibition booth prior to the floorplan being released, you will be given
priority of the exhibition booths available.

TERMS AND CONDITIONS
A completed booking form is required to confirm your sponsorship or trade exhibition booth booking.
  Exhibition spaces will be allocated on a "first in, first served" basis. Booths will be allocated in order of your preferences on
  your booking form. Where only one preference is provided, and that space has already been sold, a booth will be allocated as
  close as possible to the desired location.
  Payment does not have to accompany the booking form, however payment terms and conditions must be adhered to else the
  booth may be released for sale to another exhibitor.
  Upon receipt if the signed booking form, the Conference Organiser will confirm entitlements in writing and forward a booking
  confimation along with a tax invoice.
  A deposit of 50% must be paid within 14 days of the date of the booking. If payment of the deposit is not recieved within that
  time, the booth will be available for sale to another company.
  The full amount of the booking must be paid within 60 days from the date of the invoice and by no later than 1 month prior to
  the Conference.
  For late bookings, the full amount of the booking must be finalised prior to the Conference commencement date. No exhibitor
  will be allowed to occupy the allocated exhibition space until all monies owing to the Conference Organiser are paid in full.
  All amounts are payable in Australian Dollars. Cheques must be made payable to GEMS Event Management Australia. Direct
  Debits are to be made to the account number listed on the bottom of the Tax Invoice.
  All credit card payments will incur a credit card processing fee as stated on the tax invoice.
  All payments must include 10% Goods and Services Tax.
  Acceptance of sponsorship and exhibition bookings is at the discretion of the Conference Organising Committee.
  Sponsors/Exhibitors are not permitted to assign, sublet or apportion the whole or any part of their package/booked space
  unless prior consent in writing from the Conference Organisers is provided.
  All exhibitors must produce a valid Public Liability insurance Certificate of Currency for the period of the exhibition and this
  must be submitted to the Conference Organiser
  The Conference Organiser reserves the right in unforeseen circumstances to amend or alter the exact site or location of the
  stand and the exhibitor undertakes to agree to any alteration to the site or the space reallocated by the Conference Organiser.
  The Conference Organiser reserves the right to change the exhibition floor layout if necessary.
  The Conference Organiser agrees to provide the exhibitor with an Exhibition Manual prior to the exhibition for the purpose of
  communicating required actions on the part of the exhibitor.
  The Conference Organiser reserves the right to refuse any person including exhibitor staff, representatives, visitors, contactors
  and/or agents entry to the exhibition if they do not hold a Conference name badge.
  The Conference Organiser will arrange security onsite, if required by the venue, during the period of the exhibition but will
  accept no liability for loss or damage.
  The Conference organiser will not be liable and makes no guarantee of the number of visitors to the exhibition. Equally, the
  Conference Organiser will not be accoutable for the level of commerical acitivty generated.
  The exhibitor must comply with all the directions/requests issues by the Conference Organiser including those outlined in the
  Exhibition Manual
  The exhibitor will not display or exhibit in such a manner as to obstruct or affect neighbouring exhibitors. This includes
  blocking or projecting light, impeding or projecting into aisles or neighbouring exhibition spaces.
  The exhibitor agrees to adhere to all Conference venue rules and regulations.
  Official contractors will be appointed by the Conference Organiser to undertake stand construction, freight forwarding (if
  applicable) supply of furniture, electrics and IT Equipment. This is for insurance and security reasons.
  Discounts for any entitlements not used or required will not be provided.
  The exhibitor will submit plans and visuals of custom designed exhibits, if applicable, to the Conference Organiser by no later
  than Friday, 13th May 2022. Exhibitors failing to do so may be denied access to the exhibition to build or may be required to
  cease building.
  All bookings are subject to approval by the Conference Committee.
CANCELLATION POLICY
Sponsorship cancellations received in writing by the Event Organisers, will only be accepted if the sponsoring company
has not yet received coverage in any promotional emails or marketing documents. In this instance, all fees will be
refunded less an AUD$550 administration fee. Sponsorship cancellations received after the sponsoring company has
received the abovementioned acknowledgements, cannot be accepted and will not be refunded. Trade Exhibition
cancellations received in writing by the Conference Organisers by Friday, 11th February 2022 will be accepted and all
fees refunded less an AUD$550 administration fee. Trade Exhibition cancellations received after this date will not be
eligible for a refund.

COVID POLICY
This Conference will comply with government requirements for health and safety as applicable at the time. This may
mean that the format of presentations may change, depending on the circumstances. CDAA will provide ample notice to
all stakeholders should this be necessary.
We recognise that there are significant concerns about the health impacts and travel uncertainties due to the COVID-19
pandemic. Here are our no-nonsense policies in relation to the virus.

Why is the CDAA 2022 National Conference a face-to face event?
One of the important benefits described by delegates to CDAA National Conferences is the richness and camaraderie of
meeting and interacting with colleagues. After three years without this experience, the National Executive has
undertaken a careful risk assessment and decided to make the 2022 Conference a face to face event; subject to any
government health regulations that may be in place at the time.

It is understood and accepted a face to face conference model will not work for all members. The logistics, programming,
costs and implications of trying to run it as an online or mixed source event as well as face-to face, are prohibitive for a
small organisation with relatively small conference attendances, like CDAA.

What happens if we go into another lockdown and state borders are closed?
The CDAA 2022 National Conference is planned as an in-person event at Crowne Plaza Sydney Coogee Beach. If an in-
person event is unable to proceed due to COVID-19 government-imposed restrictions, we will consider our options to
either move to a virtual delivery or postpone to another time.

What if the event has to be postponed?
If the Conference has to be postponed due to an outbreak of COVID-19 restricting travel to, or circulation within, Sydney,
sponsors and exhibitors will be notified immediately, and their booking transferred to the new date. If the new date is
unsuitable, your booking will be refunded in full.

Will I be safe at the CDAA 2022 National Conference?
The health and safety of our delegates, exhibitors, sponsors, speakers and staff is paramount, so we are working closely
with the venue to ensure we follow all government health regulations and hygiene protocols onsite at the Conference.

Crowne Plaza Sydney Coogee Beach has a COVID-safe plan in place, with all attendees required to use the NSW
Government COVID Safe Check-in each day. When in attendance at the Conference, you will be expected to follow the
directions of venue staff and organisers for the safety of yourself and others. We encourage all attendees to practice
good hand-hygiene while onsite at the Conference, utilising the hand sanitiser available, as well as maintaining
appropriate social distancing at all times.
