Request of IMDS data submission 1.1 Target of IMDS data request (1) Parts of vehicles, motorcycles, outboard motors, and ATV sold in the European market. (2) Parts of vehicles, motorcycles and outboard motors sold in Japanese market. (3) Parts of model for which Suzuki needs investigate other than above. 1.2 Schedule of IMDS data collection (1) For new or full change models, the IMDS data submission are requested at same time for all the parts registered in our Production-BOM several months before mass production prototypes of the models. For the part number at the top structure (Level-1), IMDS data submission deadline are usually set as 90 days after request, and the child parts are set as two weeks before (14 days) from the deadline of Level-1 parts. (2) For the parts whose part numbers are newly added or changed after the data submission request described above (1), a request will be made when these part numbers are registered in the Production-BOM. (3) In order to comply with the schedule for checking compliance with laws and regulations by IMDS data and calculating the recyclability rate, etc., at Suzuki, the data submission deadline set may be changed forward. In such a case, Suzuki will notify the suppliers concerned of the subject components and the newly set deadline via e-mail, and please respond by new deadline. 1.3. Workflow of IMDS data submission (1) Data submission request When a new parts number is registered in Production-BOM, we send a requesting e-mail to the (refer to next page) supplier’s window person with attaching a list※ of the part numbers, part names, deadline for data entry, etc. Submission requests are sent by the delivery parts number unit. Submission requests will be sent by the part number without color codes (15 digits, and end is -000), so please submit the data with representative color. If each color ha different components, the data is needed to submit color with the highest environmental impact as a representative. And also, if you can’t possible to evaluate which color codes have the higher or lower environmental load, please contact to IMDS general window. The classification details are following. Table 1 Request classification for data submission Request Classification Description New data entry This means that data submission request for new parts / materials including the case that the number changed due to design change. Deadline Change This means that the deadline is changed. The described date in attached file is new deadline. MDS modification This means that it is need to modify (update) the data, because there are any defects in accepted data. MDS correction This means that there are any defects in submitted data and data are rejected. Refer to the error code described in Table11 for rejected reason. Please note that error reasons are only described by English according to the specifications of the IMDS. If you have any questions, please contact the IMDS general window. Approaching deadline This means that information that the deadline is less than 14 days Reminder This means that data submitting deadline has already passed. Version 5.0 IMDS Operation Manual March, 2021 2. Method of entering IMDS data This manual describes the entering rules for creating IMDS data for our company. Please follow the IMDS User Manual and IMDS Recommendations for anything not described in this manual. [LinkingTable for IMDS UserRecommendations 1 IMDS Manual] Title IMDS login page → Help・Online User Manual [Linking for IMDS Recommendation] IMDS login page → login into system → IMDS menu「Help」 → Recommendation 2.1 Matters strictly observed by suppliers when entering IMDS data (1) Confirming the contents of the latest SES N 2402 (Restricting Use of Environmental Impact Substances) certainly. Products supplied to us have to comply with SES N 2402. And suppliers have to confirm the latest SES N 2402 and understand prohibited substances, their uses, the start date of restriction, and thresholds etc. (2) Entering the declarable substances certainly. Declarable substances are defined as substances requiring declaration or prohibited by GADSL and SVHC and other substances that are required to select an application ID. Suppliers have to refer to the latest information in below web site. GADSL:http://www.gadsl.org, SVHC:ECHA http://echa.europa.eu/ Declarable substances have to be reported us by IMDS data. Declaration must not be replaced as wildcards (Misc., not to declare, etc.). In addition, in the case that a substance that has been reported as replacing wildcards in the data submitted once has been changed to a substance requiring declaration, and the time of the change is during mass production of the parts, please promptly update the data to disclose the substance and resubmit it to us. (3) Entering data in the final product state For organic solvents, raw materials, and other process chemicals, only substances remaining in the final product should be entered. The paint or sealer should be entered as cured composition. Please collect the composition ratio information of constituent materials certainly from material supplier that are purchasing. (4) Entering the materials data for each homogeneous material. Every homogeneous material has to be entered as a separate material by IMDS. A "homogeneous" is a consistent material composition that cannot be mechanically separated into two or more different materials, and each layer of a surface treatment, such as plating, they are defined as a "homogeneous material". For example, if "Galvanized + Chromate" or "Undercoating + Intermediate coating + Top Coating" are applied in parts, each layer have to be entered as separate material data. For details, please refer to the Recommendations 001, Annex I 1.1, etc certainly. (5) Entering the materials that are indicated on the drawing and being finally remained. It is no need to enter any materials that does not remain in the product actually used in the vehicle, such as rust preventive oil applied temporarily (being removed later). In addition, it is no need to enter any materials that are not attached to the vehicle, such as release paper that is temporarily attached to the adhesive surface and dust cover. If you are not sure whether it is need to enter or not, please contact the SMC IMDS general window before submitting the IMDS data. 5
Version 5.0 IMDS Operation Manual March, 2021 2.2 Method of entering each type of IMDS data For all items, they have to be entered by "English" with half-pitch alphanumeric characters. There are “Mandatory”, “Optional”, or “Unnecessary” on each item, please refer to each entering method. And also, the content defined as the item of "Mandatory", they have to be entered according to the content corresponding to the table. 2.2.1 Method of entering Materials data The materials data have to be entered according to instructions in Table 2. [In case of submitting parts data] In the case of materials classification 5.1.a-5.3, entering is Symbol mandatory. Mandatory In the case of materials for the 5 other than 5.1.a-5.3 and their (Conditional) weights are greater than 5g, entering is mandatory. Enter the material symbols based on norms/standards such as ISO1043, ISO1629, ISO11469, ISO18064, ASTM D1600 or SES N3220. e.g. PA-GF30, EPDM (Do not enter the > < symbols.) Select the appropriate one from the Search menu referring to Classification Mandatory “VDA Material Classification”. If norms/standards material such as JIS and ASTM are used, Norms/Standards Optional enter the standard that specifies the “Name” and “Material code”. Refer to Suzuki Engineering Standard (SES) and enter the In-house Norms Optional appropriate standard number. Enter the name of the company that manufactures the material. Version 5.0 IMDS Operation Manual March, 2021 2.2.2 Method of entering Substances data The chemical substances data have to be entered according to the instructions in Table 3. And be careful not to make any mistakes when entering mandatory items such as part number, description, and supplier code. Version 5.0 IMDS Operation Manual March, 2021 3. Description of error code Submitted IMDS data will be rejected if they do not comply with the instructions given in “2. Method of entering IMDS data”. And message stating the reason for rejection are described in the “Reason for Denial” field on the Recipient data window and also described in the “Reason for correction/modification” field of the email sent separately. For rejected data have to be corrected by referring to the “Reason for Denial” message in Tables 10 and 11 and then please resubmit data to us.
