Welcome to the Team
Hi everyone! We are so excited to have you as a part of the Xcel Team at Sapphire! This is a year-round team for girls
ages 5 and up. Members of the Team practice 3-8 hours per week, and compete in Bronze, Silver, Gold, and Platinum
Divisions throughout Iowa and Nebraska. We occasionally travel elsewhere within Region 4 for our Regional
Championships held at the end of April. We are thrilled for your child to have a competitive experience in gymnastics,
and it is our goal for her to take away not only a great gymnastics experience, but also life skills from her time as a
competitive gymnast.

Xcel Team Mission Statement
To foster a safe and respectful environment to assist young women in learning the importance and value of
sportsmanship, commitment, goal orientation, and hard-work using the sport of gymnastics as a tool.

Communication is KEY!
It is our goal on the Xcel Team to keep both parents and gymnasts informed and aware of what is happening throughout
the year. The coaching staff will keep parents informed through the following channels:
           Email –Email is the preferred method of communication within the Xcel program. Mandi’s email is
              sapphirexcelcoach@gmail.com . Megan’s email is sapphiregym@yahoo.com .
           Team Website – This is a convenient one stop “shop” that features almost every bit of communication that
              has been directed toward you throughout the year. If you receive an email, if a document needs to be
              turned in, or if a schedule has been released – you will be able to find it on this website!! The address is
              www.sgateams.com
           Sapphire Facebook – This is a great resource for general gym information.
           Sapphire Newsletter – There is a ton of info about upcoming events and all of the goings on at Sapphire in
              this monthly e-publication.
           Formal Feedback – The athletes will be formally evaluated at the end of the Skill Learning Phase. You will
              receive a document that indicates how well she can perform each skill. This will determine her division
              placement for the year. You will also receive a Routine Report that indicates which skills she will be
              competing in her upcoming season.
Please remember that we rely on parent communication and feedback just as much as you rely on our communication.
If there is ever any question, comment, or concern please feel free to address it with your coach, Mandi, the Xcel
Department Leader, or with Megan or Carla, the gym owners. We are here for YOU!

Concussion Management
Sapphire Gymnastics Academy staff members are required to complete coursework in concussion management. All
staff members are well versed in the signs and symptoms that indicate a possible concussion. If an athlete shows
concussion signs/symptoms at any time they will be removed from class and will not be allowed to return until Sapphire
has written proof that they have been cleared by a licensed health care professional. In addition, both parent and
athlete will be required to sign an information/awareness sheet before participation in any practice will be
allowed. Concussion information is available at www.cdc.gov/headsup/pdfs/youthsports/parents_eng.pdf. There is also
a paper copy of this information included with your child's handbook.

Annual Timeline – In The Gym
             May-August – Skill Learning Phase
                 o During these months the girls will be working on learning new skills for the upcoming year.
                 o Each month will have a different focus on each event. Keep an eye on the bulletin board for
                    specifics.
                 o At the end of this phase, the coaches will officially determine which division each child will compete
                    in for the season.

o Students will receive a Testing Sheet and a Routine Report showing how well they did during Skill
              Evaluations, and also what skills have been selected for their competition season. Students will be
              responsible for memorizing these details.
       September-November – Routine Learning Phase
           o During these months the girls will be taking the skills that they have learned in the Skill Learning
              Phase of the year and putting them together into routines.
           o Coaches will teach all Bronze-Gold routines during practice.
           o Platinum girls will have additional choreography times and costs for individual
           o floor routines.
           o There will be no formal feedback procedure during this time of the season. If you have specific
              questions about how your child is doing, please contact her coach directly.
           o In early November we will attend a “Judge’s Critique” as a practice competition for the girls. They
              will warm up and perform for judges, just like they would at a meet. This helps all of us get our feet
              wet, and really helps us identify what areas we need to focus on to get fully prepared for the true
              start of the season.
       December-April – Competition Season
           o This is the FUN phase!! Not that the other phases are not fun, but this is what the girls work toward
              the rest of the year.
           o During this phase the girls have the opportunity to attend the competitions that they have signed up
              for.

Annual Timeline – “The Logistics”
       May – Register and authorize billing for the next year.
       June – Trial month
            o All first time team athletes experience adjustments when entering a new program. If at any time
                 during their first month it doesn’t seem to be working out, they can easily transfer back into the
                 Recreational program.
       July – Meet Schedule, Coaching and Meet Fee Sheet comes out.
            o Each gymnast has the choice of how many meets they would like to sign up for. The only mandatory
                 meets are the Sapphire home competition, the State Meet, and one additional competition of your
                 choice (excluding Regionals). Having two meets before State will give your daughter a fair shot at
                 qualifying for the State competition. Meet Fees are the fees that are charged for your child to be
                 entered in the competition. This fee varies by how many meets you choose. Coaching Fees are the
                 costs associated with sending the coaches to the meets. Once you decide how many competitions
                 your child would like to participate in, you fill out the “Meet Registration Form” and return to the
                 Front Desk. This form will give the option to pay all fees in full or to split payments into 3 monthly
                 installments.
            o Please note that even though State and Regionals both require qualifying scores, registration for
                 those competitions needs to be submitted in advance. This means that we have to preemptively
                 register these girls before knowing if they qualify or not. If you register your daughter for Regionals,
                 and she does not qualify, you will be reimbursed the registration fee. However, it is unlikely that she
                 will be able to register for the competition after the State meet when we do know that she qualified.
       July/August – Size and pay for leotards, warm ups and team bags, along with paying for the USA Gymnastics
        Membership
       July 31st – Mandi will host a “Meet Sign Up” meeting for any families who have questions about the meet
        sign up sheet.
       September, October, November – Meet/Coaching Fees Due – If you choose to divide your meet fees into
        three installments these fees will be charged on the 1st of these months.
       September 4th – Mandi will host an “Understanding Routine Reports” meeting for any interested families.
       November/December – Uniforms arrive

   December 4th - Mandi will host a meeting for all first time families to go over “Everything You Need To Know
        About Competitions”.
       December-April – Competitions
            o Meet schedules will be sent out as soon as we receive them. They will be emailed and posted on
                 the website. Please do NOT call the host gym and ask them if they have the schedule.
            o The State meet will be held in March, and does have a qualifying score. Bronze and Silver athletes
                 must have achieved a 34.0 All Around score prior to State, and Gold and Platinum athletes a 32.0.
       April – Regional Championships
            o Silver, Gold, Platinum, and Diamond athletes have the opportunity to participate in the Region 4
                 Xcel Championships. To qualify, athletes must earn the following scores at the State Meet: 35.5 for
                 Silver athletes, 34.0 for Gold, and 33.5 for Platinum athletes. This year it will be hosted in Madison,
                 Wisconsin. This is a great opportunity for the girls to compete against other teams from Iowa,
                 Minnesota, Wisconsin, Missouri, Nebraska, South Dakota and North Dakota. Other qualifying
                 requirements may be asked of the girls during their season.
       Post Season – Xcel Banquet
            o There will be the awards banquet for the Xcel Season. Details will be given in April and May.

Team Guidelines
       Be respectful at all times.
       Come to workouts prepared…Leo on, hair up, and ready to go!!
       If your child is not feeling well, has an injury, or is having a bad day, please let the coach know. We want to
        make sure we are in the loop!
       Once your child has become a part of the Team Program we ask that she receive instruction only from the
        Sapphire Staff. Please do not enroll her in classes, private lessons, clinics, etc, at another gym. If your child
        is invited to a Birthday Party or Special Event for a friend this is entirely different. Please allow your child to
        attend and have a blast with her friends!
       Parents, please partner with your child’s coach as an important part of your child’s support system in this
        sport. The coach will fulfill the coaching role and it is very important that the parent does not try to step
        into this role. It is, however, imperative that your child know that she has your unconditional support and
        that you are her biggest cheerleader. Athletes have the best chance of realizing their potential when
        parents and coaches partner together.
       The Xcel Team is a year-round commitment. Please understand that if you are not enrolled for part of the
        year that your child will miss an extremely important part of the season. Furthermore, we are not able to
        reserve a spot for students to return if taking time off.
       Behavioral expectations for the girls requires that they abide by the Sapphire Standards of S –
        Sportsmanship, A – Accountability, P – Perseverance, P – Pride with Humility, H – Happiness, I – Integrity, R –
        Respect, E – Effort. Continued violations of these standards will result in consequences, both in class and in
        competition.

Financial Procedures
       Tuition will be withdrawn from the account of your choice on the 1st of each month. Parents will need to
        reauthorize billing forms in the spring.
       If you wish to withdraw from Sapphire for any reason, please see the Front Desk to fill out a Withdrawal
        Form. This form must be filled out 30 days from the 1st of the month before charges are stopped.
       There will be times that the team will not have practice. Our recreational programs are figured on 48 weeks
        (4 weeks per month) for the year. Team is figured on a 50 week year. The Xcel Team will have one week off
        at Christmas and will also have Memorial Day Week off. In addition, we will be closed for other holidays.
        Tuition will not be prorated for these times off, nor will make up times be offered. In the event that we have
        to close for severe weather or cancel classes due to competition schedules, we will do our best to offer a
        makeup time.

   Tuition is paid for the opportunity to participate, just like college tuition or a fitness membership. We do not
            offer makeups/pro rates for the team classes for missed workouts.
           There will be no 10% discount for families with multiple team members. Team tuition is already severely
            discounted per hour, so we are not able to offer further discounts.
           After the Meet Registration Form is signed and turned in, there will be no refund for Coaching Fees or Meet
            Fees. The exception for this rule would be State and Regionals. If your daughter does not qualify for a meet
            that she is signed up for, you will be refunded the associated Meet Fees. Additionally, please see the next
            section for more information regarding late sign up.

Additional Fees Estimate
           USA Gymnastics Membership – All Xcel Gymnasts are required to be registered with USA Gymnastics to
            compete at meets. The primary benefit of this membership is insurance for your child outside of Sapphire. It
            is also the only way for the girls to be registered in competitions.
           Leotard, Warm up, Bag – Cost estimate for this entire package is approximately $260. We will host a
            scheduled fitting for all of the gymnasts to have them properly sized for the uniform, and there will be a $25
            fee if students do not attend, and require an individual appointment. Parents are welcome to sell used
            leotards, providing that we will be using the same one the following year, but Sapphire will have limited
            involvement in these sales.
           Choreography – Platinum athletes will have individual choreography sessions for their floor routines. The
            choreography fee is $150, and gymnasts will be responsible for the purchase of their floor music. Coaches
            will guide this process. Platinum gymnasts will keep the same choreography and floor music for two years.
           Competition and Meet Fees – These are explained earlier in the packet and are estimated at $935 if
            attending ALL meets – A breakdown per meet chosen will be given on the meet registration form. If an
            athlete wishes to register for an additional competition after their meet registration form is turned in, there
            will be a $25 late fee. Late sign up is subject to the availability of the meet host, and this includes the
            Regional Championships. All competitions have their own registration deadlines, and may fill up prior to a
            late registration request. If you are hoping to sign up late for a competition, the sooner you ask the better.
