ORGANISING COMMITTEE Associate Professor Bruno Giuffrè Dr Emily Davidson Dr Cathy Hayter Dr Jennie Noakes Dr Julie Schatz Dr Greg Cowderoy – AMSIG President PLANNING The planning for this meeting commenced in 2018. As the proposed format of the 2020 meeting with the inclusion of three funded overseas speakers differed to the usual AMSIG programmes, the committee sought approval for the additional expenditure for speaker flights at the 2018 AGM. This was confirmed at this time, with a cap of AU$10,000 for each of the speaker’s flights. The PCO met initially with the Committee at the AMSIG Annual Meeting in May 2018 and teleconferences were held monthly from June 2019 until the postponement of the Meeting in mid-March 2020. A special meeting was held on the 11th March with the Committee and the AMSIG Executive to decide as to whether the 2020 Meeting should be postponed. At this time, the rescheduled meeting dates for 2021 were set as the 8 and 9 May, with pre-meeting workshops on 7 May. MEETING LOCATION and VENUE The SMC Conference and Function Centre was chosen as the conference venue. It has a good central location, parking close by and was reasonably priced. The cost of booking an inner-city 4- or 5-star hotel proved to be prohibitive for 2020. In addition to significantly higher than usual daily delegate rate, the hotels wanted “hold-over” fees to hold the exhibition and plenary set up in place overnight on Friday and Saturday nights. POSTPONEMENT NOTES The SMC Conference and Function Centre has been re-booked for Saturday 8 and Sunday 9 May 2021, with pre meeting workshops on Friday 1 May for the rescheduled 2021 Meeting. The 2020 deposit of $29,110.20 have been transferred to the 2021 accounts and dates, with the same terms and conditions. PROMOTION AND MARKETING ❖ AMSIG 2020 PowerPoint slide was displayed at the 2019 Meeting ❖ Dedicated meeting website that was accessed via the AMSIG website http:/www.sydney2020.amsig.org/ ❖ E-flyers were distributed on August 16th, October 31st, December 11th, 2019 and March 6th, 2020. These were specifically targeted to the Outshine AMSIG database (2014 – 2019 Meeting attendees and all AMSIG members). They announced the opening of the Meeting website, call for abstracts, opening of online (and early bird) registration, as well as registration reminders. ❖ “Plenary snapshot” e-flyers were also sent to the Outshine AMSIG database for sessions 1,2,4 and 6 to promote and explain what would be discussed in each session. ❖ An event listing with a link to the AMSIG 2020 website were sent to related websites / societies at key dates in the planning process. ❖ One-page ad per monthly issue in the AMSIG magazine –the e-version of the Skeletal Radiology Journal. ❖ Listing on the RANZCR (http://www.ranzcr.edu.au/ ) events page with link to meeting website. ❖ A half page ad was purchased in the September edition of RANZCR Inside News magazine ❖ 100 promotional flyers were placed on the Future Meetings Desk at the RANZCR ASM, Auckland 2019, NZCPR Meeting Auckland 2020, and other international meetings attended by the Committee such as ESSR and ISS. ❖ The Directors of Training in New Zealand, Queensland and NSW were sent promotional emails to forward to their registrar networks about the meeting. ❖ All committee members were sent several the flyers and distributed them at any local training days, networking events and seminars that they attended. ❖ Regular social media updates via the AMSIG Facebook https://www.facebook.com/amsig.org/ and Twitter pages. https://twitter.com/amsigmeetings \ The images above are examples of the A5 flyer that was distributed at the AMSIG 2019 Meeting and other radiology meetings and radiology practices around Australia and New Zealand. Robert Lambert made a belated request in late 2019 for the Meeting to also cover the return business class flights for his IT Manager Joel Paschke to Sydney who would assist him with the set up for the SpA workshop. This was approved by the committee and the flights were booked via Outshine’s travel broker in New Zealand and charged to the meeting budget. (In lieu of this approval, Robert did secure some cheap return flights for himself to offset the additional costs for Joel’s flights). #Dr Katie Glazebrook self-funded her own flights to and from Sydney and the conference covered three nights’ accommodation in an Executive Room, daily breakfast, and complimentary registration for her and 2 Gala dinner tickets. POSTPONEMENT NOTES On Tuesday 10th March, Anne Cotten advised that she would be unlikely to be travel to Sydney in May due to organizational travel restrictions. Whilst David Salonen and Robert Lambert had no such travel bans in place, they expected them to be in place by the end of March. All 3 speakers had booked and paid for their own airfares. Anne and Robert were offered credits by their airline to be used with 12-24 months and David obtained a full refund. Given that Anne and Robert had already paid out for their flights and were now unable to use them at the booked dates, it was decided that they would be refunded immediately. Both speakers were grateful for this offer. The costs for the reimbursement is $15,325.97 and this has been transferred to the 2021 Meeting under the assumption that the speakers will be able to present (virtually or in person) in May 2021. The costs for Joel’s flights of $11,139.00 were refunded via the travel broker less a cancellation fee of $1,974. AMSIG Annual Meeting 2020 Postponed Conference Report 5
INVITED SPEAKER COMMUNICATIONS • Letter of introduction and a request for the speaker bios and photos, (once the initial approach had been made by the Committee), with a reconfirmation of talk title and times. • Invitation for speakers to register and a request for their learning objectives. All speakers were advised that their talks would be recorded and loaded onto the AMSIG website post meeting for members to view. There were no objections to this request by any of the speakers. POSTPONEMENT NOTES All speakers were contacted by the committee to advise them of the postponement and ask them if they could make themselves available for the 2021 dates. They have all agreed, except for Judy Soper. SPEAKER GIFTS No speaker gifts had been confirmed at the time of postponement. Suggestions were Helen Kaminski hats and Dinosaur Designs housewares. ABSTRACT SUBMISSIONS Five abstracts had been submitted via the online portal submission process by 11th March - 4 e-posters and 1 oral presentation. No review took place as the Meeting was postponed prior to close off date. As per attached programme. WORKSHOPS SpA Workshop – Two interactive workshops were booked on Friday 1 May, based on the CaRE series of cases of axial Spondyloarthritis. They were to be presented by Robert Lambert with the assistance of David Salonen and Anne Cotten. These were for a maximum of 50 pax and ran from 9.00am – 1.00pm and 2pm – 6pm, with delegates accessing the cases from their own devices. Janssen Cilag were the Workshop Sponsors. Ultrasound Workshop – Two hands on sessions were booked on Friday 1 May, as part of the Canon Major Sponsor Package. Mr Stephen Bird, a sonographer from Adelaide was to present the workshops which were for a maximum of 15 pax at 3 workstations. CASE OF THE DAY QUIZ Dr George Koulouris was unable to attend the 2020 Meeting and present the Case of The Day Quiz, and so Dr James Linklater had agreed to present the quiz on this occasion. AMSIG ACADEMY In late 2019, the committee identified the need for some focused registrar training to assist in their preparation for the Part II exams. A 90-minute mock VIVA session was added to the scientific programme on Sunday 3rd May at the conclusion of the meeting. This was promoted to DOT’s, as well as state-wide registrar training networks. There was an unavoidable clash with a training day at a Sydney hospital, but even given this circumstance, there was good interest in this session - there was no cost to attend whether the trainees were attending the Meeting or not. The dinner was open to all attending delegates, industry, and partners. AMSIG member tickets were $100.00 per ticket and non-members, industry and partners were $150.00 per ticket. All rates were in Australian dollars and inclusive of 10% GST. Registrations were submitted via an online registration facility, provided, and administered by Outshine. Delegates received immediate confirmation of their registration with either an invoice or receipt depending on their preferred payment method. The online registration facility was linked to the AMSIG Meeting website. The AMSIG Executive and Committee were given complimentary registration and a conference dinner ticket to the 2020 Meeting, as well as two complimentary tickets for the Executive Dinner on Friday 1 May. POSTPONEMENT NOTES • All delegates were advised via email on the 12th March that the meeting would be postponed. • This was followed up by email to all attendees advising that their registration was cancelled and that a refund had been made of all delegate fees less a $50 cancellation charge from the Meeting registration fee. No other costs (i.e. workshops or dinner tickets) were charged a cancellation fee. • All delegates were also advised that any accommodation booked via the Meeting registration site was also cancelled. The Pullman Hyde Park and Rydges World Square hotels released all accommodation for the Meeting with no cancellation fee. AMSIG Annual Meeting 2020 Postponed Conference Report 7

SOCIAL FUNCTIONS CONFERENCE DINNER The Harbourside Room at the Museum of Contemporary Art (MCA) located in The Rocks was chosen for the dinner. Several venues were considered, but the Committee agreed that a central Sydney location was preferable, so that delegates were not reliant on pre-ordered shuttles and could make their own way to and from the venue. The Harbourside room offers fantastic views over the Sydney Harbour Bridge and Opera House and can comfortably seat up to 200 pax. At previous AMSIG Meetings, the dinners have AMSIG Annual Meeting 2020 Postponed Conference Report 9
always sold out at 100 pax and have been restricted to members only. This size of this venue meant that the dinner was open to all meeting attendees, partners, and industry. Confirmed Numbers at the time of postponement: 95 pax EXECUTIVE DINNER The AMSIG Executive Dinner was provisionally booked at the Alpha Restaurant, a high-end Greek restaurant in their private dining room. About 8 weeks prior to the Meeting, the restaurant advised the PCO that they were undergoing renovations that were not going to be completed in time for our booking with them. At the time of postponement, no new venue had been confirmed. Confirmed Numbers at the time of postponement: 12 pax POSTPONEMENT NOTES The MCA and MCA caterers Fresh Collective agreed to transfer the booking deposits of $4,500 and $5,500 respectively to the re-scheduled date of Saturday 8 May 2021. SPONSORSHIP & EXHIBITION A “Save the Date” reminder was sent to all 2014-2019 supporters in July 2019 and a full proposal was distributed in August 2019 to an Imaging Company database of approx. 80 companies. Regular follow ups were made to this database and in particular past supporters of the meeting. All sponsorship packages included a “space only” 3m deep x 1.8m wide site with a trestle table, power and 2 chairs. Canon were again the Major Sponsor for the 2020 Meeting, following on from their successful investment at this level for the last 3 years. As the Scientific Programme was already full with talks from the international speakers, the option of pre-meeting ultrasound hands-on workshops was offered as part of their sponsorship package. All other benefits of their 2019 package were also included: Meeting Dinner, Barista, Meeting App, Meeting Stationery, two exhibition spaces and 6 staff registrations. Canon’s involvement was confirmed in late August. Janssen-Cilag were confirmed as the SpA workshop in early September. Bruno Giuffrè had several discussions with Janssen-Cilag in 2018-2019 about them supporting the workshop costs including the return flights for Prof Robert Lambert. This was confirmed in September 2019 and they also booked an exhibition site, which was offered to them at a discounted rate given their sponsorship investment. ACCOMMODATION Preferential accommodation rates were negotiated, and rooms held for delegates at the Pullman Hyde Park Hotel and Rydges World Square Hotel. Across the two hotels, 50 rooms were held on Thursday 30th April and 100 rooms for the main conference nights of Friday and Saturday 1st and 2nd May. The 3 overseas speakers were booked into the Pullman Hyde Park for 4 nights in Junior Suites and Dr Katie Glazebrook had opted for a standard room for her 3 funded nights. stay in Sydney (she had an extended stay in Sydney to see family and was at the hotel for 8 nights). All accommodation was administered via the online registration system. POSTPONEMENT A number of the rooms were booked at each venue at the time of postponement. Both hotels very kindly agreed to release all booked rooms and room blocks without penalty. Room blocks have been rebooked for the 2021 dates. CME CERTIFICATE AND POINTS The scientific programme was approved for 11.75 RANZCR CPD Points. The SpA Pre-Meeting workshop was approved for 12 RANZCR CPD Points. At the time of postponement, no application had been made to RANZCR for CPD points for the Canon Ultrasound Workshop. For future events, CPD certificates will be emailed to the delegates by the Meeting Manager after the meeting, with the links to the online Post Conference Delegate Questionnaire. MEETING LOSS/FINANCIAL SUMMARY The final loss statement for the Meeting is attached to this report. The final loss was AU $29,337 exclusive of 10% GST. At the Executive/Committee special meeting that was held on 11th March, the cost to AMSIG to postpone the Meeting was discussed at length. Despite holding insurance cover for the meeting, there was no extension included to cover a cancellation and or shortfall of delegates due to a pandemic and so no insurance could be claimed to cover cancellation costs. The general feeling was that in the case of cancellation, AMSIG wanted to ensure that a minimal fee was levied to the delegates to recoup some of the cancellation costs and so a one-off fee of $50.00 per registration was confirmed. Delegates were refunded directly to their credit cards via STRIPE or a direct credit via the banking system – in line with how they had paid their fees. Outshine had to reach an agreement with STRIPE to be able to refund all credit cards in one transaction as this was not a procedure that they would normally offer. Several credit cards had expired from the time of the registration to the time of the refund. Some of the newly issued cards were refunded automatically or Outshine contacted these delegates and obtained their bank accounts for the refund. Outshine refunded $18,475 to delegate bank accounts and $79,875 to delegate credit cards. Where possible, as the 2021 Meeting is a rescheduling of the 2020 Meeting, some of the costs that could not be recouped were shared between the two Meetings (i.e. design, website build, speaker travel, flight credits that are in place for cancelled Outshine onsite staff flights). A copy of the 2021 Profit and Loss statement is also attached, so show the costs that are currently transferred to the rescheduled meeting.
