OTHS Junior-Senior Prom 2022 - Frequently Asked Questions Friends + Food Truck Festival + Dancing = O’Fallon Prom 2022 Overall Facts 1. When is it? Saturday, May 14, 2022 2. What time will things occur? 6-6:30pm: Check-in. Attendees should plan to arrive NO LATER than 6:30pm. Bring photo ID. 6-6:45: Red Carpet with the Panther Beat in the lobby plus photo backdrops for photos with friends. 7-7:30pm: Awards Ceremony in Ballroom 7:30-10:30pm: Food Trucks 7:30-11pm: Dancing 8-11pm: 360 Photo Booth Registration officially closes at 6:45pm. Once you leave, you will not be readmitted to the prom. 2. Where is it? Gateway Convention Center in Collinsville, IL One Gateway Drive, Collinsville, IL 62234 3. What is the dress requirement? Dress to impress. Students should wear appropriate attire for this formal occasion. 4. Are there restrictions on what type of shoes can be worn? No. The dance floor is designed to withstand all shoes. Prom Table Reservation Information 5. How much does it cost to attend prom and after-prom? $55 per person (all-inclusive for all attendees) This includes admittance to the prom and after prom party plus a voucher for a food truck meal, dessert, drinks, dancing, and photobooths at the prom plus food, drinks, prizes and games at the after prom. Parking is free at Gateway Convention Center. All prom costs are covered by the reservation price. 6. Am I buying a ticket or making a reservation? You are actually making a reservation to attend the prom. Prom is a ticketless event, so you do not receive a paper or electronic ticket. This is done to prevent the potential loss of a paper ticket as well to guarantee that only approved students who purchased a reservation are admitted to the prom. 7. When can I make prom reservations? Students can make reservations starting on Tuesday, April 19 from 3:00- 3:30 in room 1025. Reservation sales will take place in room 1025. Students can continue to make prom reservations before and after school unless noted in room 1025 until May 3 at 3:30pm. 8. Will they run out of reservations? We will not sell out of reservations, but the earlier you purchase your reservation, the more options you will have for selecting your preferred table location AND for selecting a specific food truck voucher. 9. Who can make prom reservations? Currently enrolled OTHS juniors and seniors may make one reservation for him/herself plus one reservation for a guest. The guest can be an OTHS underclassmen in good standing or an approved non-OTHS guest. Any student who has lost extracurricular privileges will not be able to make a reservation, nor attend prom. Students will be denied the ability to make a reservation and attend the prom if there are outstanding school fees. An OTHS junior or senior improperly making reservations for him/herself or someone other than his/her own guest will have their reservation revoked and will be denied the privilege to attend prom. A guest (both non-OTHS and underclassmen) MUST sit at the same table as his/her OTHS host. 10. What forms do you need completed to make a prom reservation? • Table Reservation Form (one pink form per group) • Prom Policy Sheet (one yellow sheet for each OTHS student and one for each approved guest) • Guest Request Approval Receipt for all NON-OTHS students and OTHS Mid-term grads. ALL FORMS WILL BE AVAILABLE IN THE MAIN OFFICE, CAFETERIA, ONLINE, and outside room 1025. 11. Who needs to be present to make the reservation? One person whose name is on the reservation form can purchase reservations for the entire group (up to 8 people) as long as they have all the required forms and money.
12. What if I want to bring a non-OTHS guest? You may invite one guest to prom. The minimum grade level for all guests is the ninth grade and the maximum age is 20 years old as of May 14, 2022. You must plan ahead so that you can get the GUEST REQUEST FORM signed by ADMINISTRATORS AT BOTH SCHOOLS and parents. If the guest is not a student, we need his/her driver’s license number. This form must be turned into an OTHS Administrator before making a prom reservation and you will then bring the guest request approval receipt to show that your non-OTHS guest has been approved. OTHS freshmen and OTHS sophomores who are going as the guests of OTHS juniors or seniors do NOT need to fill out a guest request form since they are current OTHS students. OTHS Mid-term graduates are considered NON-OTHS guests. 13. How can I buy an entire table for 8 people? You will need to submit a completed table reservation form, 8 signed prom policy sheets, guest request approval receipt(s) (if applicable) and full payment. 14. What if there are fewer than 8 people in my group? You can submit a prom reservation form with as few as 1 or as many as 8 names. For example, if you and 3 friends want to sit together, you can reserve 4 seats together at a table. The remaining 4 seats will be available for other students to purchase. 15. Where will I sit at prom? During the reservation process, you will reserve a seat at a selected table based upon your preferences and seat availability. You cannot “save” seats, so if you want to guarantee that you sit by your friend(s), it is highly recommended that you make reservations at the same time using one reservation form. 16. How do I know where my table will be located? When you buy your reservation, there will be a large seating chart with numbered tables. It will indicate what tables/seats are still available. You are able to select seats based upon your preferences and remaining availability. 17. What if we have more than 8 people who want to sit by each other? The best way to approach this is to buy seats at two tables next to each other. 18. How do I pay for reservations? Checks are preferred, but we will take cash. Checks should be made to OTHS. Bounced checks will result in tickets being recalled. If you pay in cash, please place bills in order so that checking out goes quickly. 19. What if I want a refund or decide not to go to prom after making a reservation? Refunds cannot be issued after May 3. Refunds will be paid out via a check from the OTHS Business office the week of May 9. The person who has paid for the ticket will be the person to be refunded. For example, if John pays for himself and Sarah to go to prom, but Sarah decides not to go, John will get refunded because he originally paid for the ticket. 20. When is the last day to buy tickets? May 3rd. Ticket sales will conclude at 3:30pm on May 3rd in room 1025. 21. Why should I buy prom reservations as soon as possible? Various options for table selection and specific food truck vouchers will be greater the earlier a student buys a reservation. 22. Where and when can I ask about prom? Visit Ms. Seipp in room 1025 before 7:45am or after 3pm. Please do not interrupt her classes to discuss prom. You can also email her at seippj@oths.us. 23. How do I know I am on the final reservation list? It is YOUR responsibility to verify that your name is on the prom reservation list the week of prom and to contact Ms. Seipp at seippj@oths.us NO LATER than Wednesday, May 11 with any concerns. Reservation lists will be sent to advisory teachers as well as posted in the cafeteria and in the Main Office. Red Capet and Check-in 6-6:45pm – Lobby 24. How do I check into prom? OTHS students will scan their school IDs. You will only be admitted if your name is on the reservation list. A driver’s license, military ID, or school ID will also be accepted for non-OTHS students. This is a ticketless prom, so you will only be admitted based on if your name is on the reservation list. BE SURE TO SPELL all names correctly and neatly on the order form. 25. What can I do from 6-6:45mpm? After you check into the prom, you will be invited to walk down the Red Carpet as well as take advantage of photo opps with friends. Multiple photo backdrops will be set up in the lobby area. Photo Opportunities 26. Will there be a photographer? Yes, throughout the night, there will be multiple opportunities for photos with friends. From 6-6:45pm, there will be a Red Carpet as well as multiple themed backdrops for students to take photos in front of with their own phones/cameras. From 8-11pm, students will be able to get photos/videos in a 360 photo booth. There will also be roaming photographers taking photos of students. These complimentary photos will be texted to the student as a memento and can be shared with family, friends, on social media, etc.
Awards Ceremony 7-7:30pm – Ballroom 27. What time is the awards ceremony? The senior awards ceremony will begin at 7pm. 28. Where will I sit during the awards ceremony? You will take a seat at your assigned table in the ballroom. Food Trucks 7:30-10:30pm 29. Will I be able to eat at the prom? Yes! The cost for food truck vouchers is included in the prom reservation cost. 30. Why is a meal voucher included in the reservation price? When surveyed, students overwhelmingly asked for vouchers to be included in reservation costs. This also allowed us to secure multiple food trucks for the event. 31. Do I need to bring extra money for food trucks? No, it is already included in the cost of your reservation. When checking into the prom, students will be given two food truck vouchers/bracelets. Students will be given one meal voucher from the specific food truck they pre-select (Doughboy Pizza, Soul Burgers and Shakes, Cheese Shack, El Guaqo Taco, and A Fine Swine). The second voucher allow all students to get a dessert from Sweet Side dessert food truck. 32. How much food will I get? Each truck will serve a meal-sized portion (8” personal pizza, gourmet grilled cheese with tots, burger with fries, handcrafted shake and fries, 2 tacos and a side, loaded nachos with choice of meat). The dessert truck will have multiple options for students to select from on prom night. 33. Can I buy more food with cash? No. Due to restrictions with permits for food trucks, individual sales to students will not be allowed. The prom will be a cashless event. Food and drinks are included with the cost of the reservation. 34. When are food trucks serving food? 7:30pm-10:30pm. They will open after the awards ceremony concludes. 35. Why do I have to pick a certain food truck before prom? By preselecting what food truck voucher you want, we can make sure that each food truck has enough time and enough food to serve our students on prom night. Each food truck has a maximum number of students they can serve in a 3 hour window, so vouchers for each truck will be capped accordingly. 36. What food trucks will be at the prom? There will be FIVE “meal” food trucks and ONE dessert food truck. Trucks will be: • Doughboy Pizza from 9 Mile Garden: 8” Woodfired Pizza • Soul Burgers and Shakes from 9 Mile Garden: Burger and fries OR Crafted shake and fries • Cheese Shack from 9 Mile Garden: Custom grilled cheese and tots • El Guaqo Taco from Soulcial Kitchen: 2 premium tacos and a side • Fine Swine from Soulcial Kitchen: Bountiful Loaded Nachos with your choice of meat. • Sweet Side Dessert Truck from 9 Mile Garden: Dessert options will include cake cups, frozen treats, cupcakes, etc. Many of the food trucks are on social media if you want to check them out. 37. How do I know what food truck to select? Menus are will be posted on the prom webpage and in room 1025 as well as at the end of this document. You may want to consider selecting the same food truck as a friend if you wanted to hang out as you order your food. 38. How will I get my food on prom night? When you check into the prom, you will be given two color coded bracelets. One bracelet will be a voucher for your pre-selected food truck meal and the second bracelet will be your voucher for the dessert truck. The food trucks will be located near the dancing, so when you and your friends get hungry or when you see the line is short, you can go up to the specific truck and order your food and/or dessert. The bracelet will serve as your payment to the food truck. If you don’t want to stop dancing, but your friend is ready to take a break from the dance floor, your friend is able to order multiple meals from a specific food truck as long as the required bracelets are presented on each attendee’s behalf. 39. Where will I eat? You will have access to your assigned table in the ballroom from 7-11pm. Most students will likely take their food to their assigned table to eat in the ballroom, but students can also eat outside at the tall outdoor tables. Those tables will be available on first come, first serve basis, 40. What if I have special dietary needs? See Ms. Seipp in room 1025 to discuss dietary options. 41. Are drinks included? Yes, drinks are also included in the price of prom reservations.
Dancing 7:30-11pm 42. When can I dance? Dancing will occur from 7:30-11pm. Seniors can submit song requests prior to prom via Blackboard. 43. Where will the dancing occur? The dancing will take place outside in a secured, elegant tented area. 44. Why is the dancing outdoors? It will allow for more fresh air plus it will provide closer proximity to the food trucks. After Prom Information 45. Where and when is the after prom party? The after prom party will be held at St. Clair Bowl in O’Fallon, IL. It will be held from 11:30pm-3:00am. Admission is free with the purchase of a prom reservation. Just as with prom, your ID will be your ticket. The after prom will include free food, entertainment, and prizes. 46. When do I need to arrive? You may arrive and leave the after prom party at any time, but once you leave, you cannot be readmitted. 47. Can I attend the after prom without going to the prom itself? Yes! If you do not plan to attend prom but would like to attend the after prom party, you can purchase a ticket at the door for $10. 48. What should I wear? It is up to you. Some students remain in their formal attire and some students change into casual clothes. COVID 49. What COVID protocols will be in place? OTHS will follow the mandates set forth by ISBE and/or other governing bodies as of May 14, 2022. 50. Will masks be required? OTHS will follow the mandates set forth by ISBE and/or other governing bodies as of May 14, 2022. 51. What outside spaces are available? Dancing will occur in a secured outdoor tented area and high table tables will also be available near the outdoor food truck area on a first come, first serve basis for students wishing to eat outside. Transportation Information 52. Parking Info: Parking is free at Gateway Convention Center. There is a large parking lot with ample parking for guests. The address is One Gateway Drive, Collinsville, IL 62234. Pull around the BACK of the Gateway Center and park in the designated area. Enter the prom using the WEST ENTRANCE. West Entrance for Prom Students should turn left into the SECOND entrance into the Gateway Center and then make a right turn into the parking lot. Students should enter the prom using the West (Rear) Entrance to the Gateway Center Ballroom. If being dropped off at the prom, students can have vehicles can pull through the circle drive for drop off at the West Entrance. Parking is free.
FOOD TRUCK INFORMATION Every prom attendee will pre-select one food truck meal voucher at time of reservation purchase. Meal vouchers will be distributed during prom check-in on May 14. Each truck has a maximum number of meals they can serve in the allotted time, so purchase reservations early for best selection. Food Truck Meal Options Soul Burgers Menu 1) Burger and Fries OR 2) 16 Ounce Crafted Milkshake and Fries Shake Flavors: Oreo, Honeybun, Fruity Pebbles, Strawberry, Chocolate, or Vanilla. Cheese Shack Menu Crafted Grilled Cheese Sandwich with Tots Multiple varieties available. Doughboy’s Wood Fired Pizza Menu 8” pizza Cheese Pepperoni Veggie Meat Lovers Supreme Hawaiian Buffalo Chicken Doughboy’s Club Sweet Heat Chicken Quesadilla
El Guaqo Taco Menu 2 Tacos and a side Taco Options: Smoked Pork Carnitas, Smoked Beef Barbacoa Tacos, and/or Grilled Chicken Asada Tacos Slow smoked classic Mexican preparation makes for rich, melt in your mouth tacos. A Fine Swine Menu Bountiful Nachos with your choice of meat: pork or beef. Corn chips topped with queso and pico de gallo, avocado, crema, and a side of salsa. ________________________________________________________________________________________________ Dessert Food Truck Every prom attendee will get one dessert voucher.
