MEDIEVAL WEEK 2018 PARTICIPATION IN THE PROGRAM FIRST OF ALL, WE ARE THRILLED THAT YOU WANT TO BE PART OF THE MEDIEVAL WEEK! This document contains all necessary information for those who intend to organize an official performance or activity during the Medieval Week. We seek the medieval experience and a broad and high quality program for our visitors. Any kind of performance or activity must have a clear connection to the Middle Ages. All clothing and props must fit into the festival concept. The Medieval Week is a creative center for artists, associations and others. Instead of focusing on a few groups, we aim to enable as many as possible to participate in the programme. The Medieval Week offers an arena for like-min- ded artists who want to test and improve their individual performance skills and seek inspiration in one another. Take the chance to watch and listen, to exchange experiences and collaborate with each other. With more than 40.000 festival visitors, there is a great audience ready to be captivated by your activity! APPLICATION Apply on arr.medeltidsveckan.se – application deadline: 15th April 2018. Approved participation during one year does not automatically imply the participation for the next year. There is a high demand for participation. This has to be balanced with the need of a broad and varied program for our visitors. Medieval Week reserves the right to refuse participation. Approved participation will be charged with 725 SEK incl. VAT per unique production. Your production will be pre- sented in the official program, both the printed and digital version. The charge covers one unique production, no mat- ter if you perform on one or on several occasions during the Medieval Week. There are further options for enhanced visibility such as ads. CONDITIONS As a participating artist you take full responsibility for the production and performance (including ticketing, visitor access, seek necessary permissions and permits, etc.). • You have to apply to be part of the official programme. Use the application form on the website. • All proceeds gained from the event will stay with you as artist / performer. • The Medieval Week does not pay any salary. Furthermore, we do not cover any travel or accommodation expenses. There are options for travel concessions for groups with ruin shows. See page 3 for further information. • You are responsible for the ticketing, including the physical entrance tickets. The Medieval Week does not take any responsibility or guarantee of the cash flow. • You book Church ruins in the web application, see terms and conditions on page 2. • You book all other locations except the ruins on your own and cover all the expenses connected to your event. • If you don’t plan a ruin show, you may choose a time and location without any restrictions. Please beware that your event might require an official permission, such as permits from the police (for example for fire shows). It is your responsibility to meet the current noise directive, please see www.gotland.se/54996! • Your event may not encourage to alcohol consumption in public. WE WARMLY WELCOME YOU TO THE MEDIEVAL WEEK 2018! SHOWS IN VISBY’s CHURCH RUINS • Available ruins: S:ta Karin, S:t Lars, S:t Göran, S:t Per, Helge And as well as S:t Clemens. • You may specify preferred time and location in the application. The Medieval Week will decide on the final schedule and location. • Each ruin has certain conditions. Please see page 4 for detailed information. • In return, every participating group performing in a ruin will be assigned to one of The Medieval Week´s own activities (show, parade, etc.) for a free performance, for example during the Medieval Week’s Ending Party. • We require that each group reserves 8 seats for The Medieval Week´s volunteers and event staff (Official photo graphers, management etc). Each have their own badge that is good for free entry for that person. If these seats have not been claimed 30 minutes before the show starts, you may sell these seats to other visitors. THE MEDIEVAL WEEK PROVIDES • The Medieval Week covers all expenses related to rent and preparation of the church ruins. • Stage, torch pillars, window shades/covering, table & chair for ticket sale. • Volunteers that will help you with rigging and moving props and gear in the ruins. Volunteers should be in the ruin ca 60-30 minutes before the show starts. (Please note, our volunteers can not be charged with any economic responsibilities, and can therefore not assist with selling tickets or merchandise) • Marketing of your show in the printed and digital programme. • Billboards outside the ruins and the tournament arena as well as on the medieval market in order to put up posters. • Option for ticket presale via internet, Visitors Center on the medieval market as well as the tourist information Commission will be charged. CONCESSIONS AND OPPORTUNITIES In order to support your participation, to help you save money as well as to get the most out of your event, we can offer artists with show’s in Visby church ruins the following options: • Travel discounts on ferry tickets (only Destination Gotland) - 2 people + car. Booking via destinationgotland.se after you have been in contact with the festival office. • Collaboration with ABF Gotland (study association). Compensation for expenses related to participation (travel, props, etc.) can be granted up to SEK 300 per production against receipt. The total amount refunded is limited, first come first served. The application form will be sent out during week 33. • Opportunity to ticket presale via our own ticketing system covering several distribution channels (internet, Visitors Center as well as the Tourist Information) for a surcharge of 25kr/ sold ticket.
