JOB DESCRIPTION ----------------------------------------------------------------------------------------------------------------------- JOB DETAILS ----------------------------------------------------------------------------------------------------------------------- JOB TITLE - CBMWC Living Seas Assistant TEAM - Conservation/Living Seas WORKING BASE - Cardigan Bay Marine Wildlife Centre (CBMWC), New Quay RESPONSIBLE TO - Living Seas Project Officer RESPONSIBLE FOR - Volunteers, work experience students/trainees as appropriate ----------------------------------------------------------------------------------------------------------------------- OVERALL PURPOSE OF JOB ------------------------------------------------------------------------------------------------------------------- This is primarily an administrative and public facing role, working in a busy visitor centre and office environment with a wide range of people. You will be responsible for the day to day operation of the CBMWC visitor centre and general CBMWC marketing and office administration. You will also be responsible for the administration, marketing and bookings (face to face, telephone, email and online) for Dolphin Survey Boat Trips (DSBT) that come through the CBMWC. The ideal candidate will be outgoing, organised, able to inspire others, self-motivated and trustworthy. ----------------------------------------------------------------------------------------------------------------------- PRINCIPAL RESPONSIBILITIES: ----------------------------------------------------------------------------------------------------------------------- The following tasks are an essential part of the job content: • Manage boat trip bookings for Dolphin Survey Boat Trips (DSBT). Duties to include: o Managing all boat bookings including online, face to face and telephone bookings, sales and other administrative duties associated with DSBT. • Responsible for the day to day general operation and administration of CBMWC including: o Operation of CBMWC visitor centre and associated activity o Coordination and communication of activity between DSBT and CBMWC staff and volunteers o Overseeing daily/weekly volunteer rotas to ensure appropriate coverage of marine monitoring activities and CBMWC visitor centre duties. o Keeping stock of office supplies and place orders where necessary. o Dealing with general enquiries including email, telephone and postal enquiries appropriately o Building up a list of regular building maintenance tasks and ensuring these are carried out appropriately. o Assisting and supporting CBMWC shop manager (volunteer) where required. • Assisting with training, coordination and support of new and existing local and seasonal volunteers (where appropriate). • Assist with maintenance and regular updating of website pages and provide engaging content across multiple social media platforms and accounts. • Encourage and promote volunteering roles and opportunities to members and the wider community. • Assist with development, marketing and administration of the CBMWC Dolphin Adoption scheme • To ensure that health and safety procedures are followed and implemented where appropriate to the role • To maximise every opportunity to promote the Wildlife Trust and recruit new members and assist the team with fundraising including appeals and funding applications. • Build relationships with other local businesses and seek opportunities for sponsorship and financial support for our marine conservation objectives. • Assist with the production and dissemination of materials, reports and information collected as part of our overall Living Seas work and any other publicity required. • Organise events and activities in line with CBMWC outreach activities • To undertake other duties and responsibilities as appropriate and consistent with the objectives of the post that may be requested by the line manager. Background: The Wildlife Trust of South & West Wales (WTSWW) is looking to recruit a Living Seas Assistant for the Cardigan Bay Marine Wildlife Centre (CBMWC). The Wildlife Trust of South and West Wales is the largest charitable organisation working exclusively on all aspects of wildlife conservation in south and west Wales. Our mission is to protect and improve habitats and wildlife in our local area as well as helping people to enjoy and understand their local wildlife. Our vision is for an environment rich in wildlife for everyone. The CBMWC houses our Living Seas Team of staff and volunteers and is also home to our unique visitor centre and gift shop as well as our Discovery room. The CBMWC acts as a hub for marine conservation initiatives in the area and has been involved in marine conservation in Wales for over 25 years. The Living Seas team at CBMWC are dedicated to conserving Welsh marine life through research, education and awareness raising. Dolphin Survey Boat Trips (DSBT) is the original ecotourism boat trip operation in Wales running boat trips for members of the public to see the wildlife in Cardigan Bay since the early 1990’s. DSBT has been working in collaboration with the CBMWC for over 25 years supporting the research and outreach activity of the CBMWC since it’s inception. The Cardigan Bay Marine Wildlife Centre showcases the Wildlife Trust’s Living Seas Work and helps attract new members, supporters and legacies. Therefore it is vital that the Centre operates smoothly and represents both the Trust and DSBT well. • Independence and Judgement You will receive guidance and support from line management and colleagues but will often be the only staff member on site and therefore will be relied upon for good judgement and professionalism. • People and Contacts As this role will involve being the first point of contact, a polite and professional approach is required at all times with visitors to the office, members and the general public on the telephone and face-to-face. Other external contacts will mainly be with local businesses and partner organisations. Internal contacts will be with other WTSWW staff and volunteers. • Creativity and Innovation The main responsibilities require following standard formats and are routine but creativity will be required for marketing, including digital marketing and encouraging membership recruitment and sales of boat trips and dolphin adoptions. You will be part of a small team that is encouraged to share ideas to develop the CBMWC and outreach activities run from CBMWC. • Working Conditions You will be based in the CBMWC office, New Quay which is the base for the Living Seas team. You will be required to spend a great deal of time in the Visitor Centre (April to November) whilst the visitor centre is open but will also be required to spend time in the office, particularly outside of visitor centre opening times. The post is for 35 hours per week, this will include weekend working, particularly from April to November. SALARY AND CONDITIONS OF SERVICE: Salary: £18,000. Full time. This post requires anti-social and weekend working and potentially longer days, particularly throughout the summer months. WTSWW operates a TOIL system. Working Hours: 35 per week. Working location: The post holder will be based at the Cardigan Bay Marine Wildlife Centre, New Quay, Ceredigion. Annual leave: 20 days, plus bank holidays, rising by 1 day each year to a maximum 25 day, plus statutory holidays plus additional discretionary holiday over Christmas/ New year awarded by Trustees. Sick leave: In accordance with the Department of Health’s Statutory Sick Pay Scheme. Pension: Contribution of 3% towards stakeholder pension scheme. Probation: This post is subject to a 6 month probationary period and is initially funded for 12 months, possibility for extension subject to future funding.
