2015-‐16 Registration Packet Dear Warrior Band Family, Band Camp is right around the corner! We are very encouraged at what the season has in store for students, teachers, and parents alike. Please feel free to contact us if you have any questions regarding the registration process or the band department in general. The best form of communication is email. The band room phone number is 682-867-8672 but does not have voicemail. Band Registration Day - Saturday, August 15th Band Registration Day is a single day event in which parents register their child in the Martin Band program. Registering your child includes: • PAPERWORK (parent/student signature required) - All forms are included in this packet except for the Medical Form which will need to be filled out in triplicate and notarized on site (or complete prior to registration day and notarize on your own – forms will be available in the band hall starting on the first day of band camp). Forms included in this packet - AISD Permission to Travel Form, UIL Marching Band Acknowledgement Form, Warrior Band Performance Contract, Photo/Media Permission Form, Band Handbook Rules and Regulation Acknowledgement Form (review the handbook prior to registration on the band website). • MEMBER FITTINGS - Upon arrival, students will finalize any uniform fitting requirements, as well as be fitted for marching shoes. This takes place as the parents have forms notarized and await processing. • BAND FEE PAYMENT - Band fees are paid at Band Registration Day. Families can pay all or part of their total fees. More information can be found on page 5.

If you are towards the end, please come no later than 5 minutes prior to the NEXT group’s assigned time. If you are in the middle, split the difference. This will help us stay on schedule and keep lines smooth. BAND BOOSTER TABLE The Martin Band Boosters will have a table set up at Band Registration Day. The table will include t-shirts, hats, yard signs, shorts, and other spirit items as well as having volunteer and sponsorship information. MARTIN BBC SPONSORSHIP PROGRAM - What is your “Fair share?” The success of our Band Parent Booster organization (or Martin BBC) is VITAL to the success of the Martin Warrior Band. Although every band family pays Band Fees for student participation, total fees collected provide for less than half, approximately 47% of the total operational cost for the Martin Warrior Band. The other 53% of the cost is generated through annual fundraisers held by the Martin BBC which in the past have included selling Christmas Trees and Wreaths, Mac’s at Martin Dinner tickets, Pancake Breakfast tickets, working concessions at football games and Rangers Games, as well as volunteering at other fundraising events held throughout the year. The Martin BBC budget in support of the Martin Band Department is approximately $500 per participant. A band family’s 100% participation in scheduled annual fundraisers is expected by the boosters and the band directors, and meets that family’s “fair share” effort with the annual fundraising campaign. Many families choose to participate in the Booster Sponsorship Program and contribute monetarily in lieu of participating in the annual fundraising events. The Booster Sponsorship Program is a fantastic way to contribute your "fair share" towards the Band Booster Club's efforts. Having sponsorship status also brings privileges in the form of free tickets to annual events, and personal ad space in the winter and spring band programs. Sponsorship Packets will be available at the booster table on registration day.
2015-‐16 Registration Packet BAND FEES The best source of information regarding your Band Fees is the Charms Music database. Every student has been assigned the “Fixed” band fees in Charms. Some miscellaneous expenses may not have been assigned. Your personal Charms Statement will be emailed to you at the address(es) listed in Charms at least two weeks prior to Band Registration Day. If you find any discrepancies or have any questions regarding your statement, please email Mr. McCann prior to Band Registration Day to allow for corrections prior to the event. If you cannot access Charms contact Mr. McCann. Information on how to access Charms, as well as how to access your financial statement is located in the band handbook which can be found on the web at www.martinbands.com/docs. 2015-‐16 Registration Packet Payment options On Registration Day, we will be happy to accept full payment of all fees. This helps out the band program as the initial start-up costs of the marching band season are quite high. That being said, we understand that not all families can afford to pay the entire sum up front. If that is the case, we ask families to consider paying as much as they can afford. At the very least, all miscellaneous expenses must be paid at registration day. These items are purchased right away and we need the money in the activity account in order to pay the suppliers. If you are unable to pay anything on Registration Day, please see Mr. McCann to set up a payment plan. We accept cash or check. Please make checks out to MHS Band.

2015-‐16 Registration Packet MARTIN HIGH SCHOOL WARRIOR MARCHING BAND 2015 COMPETITION PERFORMANCE CONTRACT The following are the competition performance dates for the 2015 Martin High School Warrior Band. It is the obligation of every student to be in attendance and participate in these competitions. Consistent with the guidelines outlined in the band handbook, the only valid excuse for absence to a competition is a family emergency or severe illness, which would constitute an absence from school and/or visitation with a physician. Standard Assessment Tests such as the SAT, PSAT, and ACT are also considered unexcused absences (** - please note the below conflicts with the SAT and ACT test). There are multiple offerings of these exams so please plan accordingly. An unexcused absence from a competition may result in a failing grade in band for the concurrent grading period. It is vitally important that every member be present for every competition. Absences are detrimental to both the band’s musical and visual performances and can ultimately affect the band’s success and advancement in these types of events. Thank you for your understanding. Such use includes display, distribution, publication or otherwise use of photographs, images, and/or video taken of my student for use in materials that include, but not limited to, printed materials such as brochures, newsletters, videos and digital images. _____Unrestricted usage: I give unrestricted permission for my student’s image to be used in print, video, and digital media. 2015-‐16 Registration Packet PARENT/STUDENT UIL MARCHING BAND ACKNOWLEDGEMENT FORM 2015-16 No student may be required to attend practice for marching band for more than eight hours of rehearsal outside the academic school day per calendar week (Sunday through Saturday). This provision applies to students in all components of the marching band. On performance days (football games, competitions and other public performances) bands may hold up to one additional hour of warm-up and practice beyond the scheduled warm-up time at the performance site. Multiple performances on the same day do not allow for additional practice and/or warm-up time.
