Dear student, Welcome to the Institute of Engineering at the start of a new academic year! To help you find your way through the Institute, this guide provides you with a lot of essential practical information. 1. Organisation 1.1. Communication Intranet: when you log on to www.hanze.nl you will be directed to the intranet. There you will find extensive and up-to-date information about your study programme. Both Hanze UAS and your study department post news items here on a daily basis. Therefore, you are expected to read the news items regularly. Blackboard: from the Intranet you can log on to various applications, such as the electronic learning environment Blackboard. On Blackboard, the content of your study programme is published, as well as information on planning, assignments, announcements, etc.. Blackboard is one of the primary means of communication between lecturers and students. E-mail: every student receives a Hanze e-mail account to which information is sent on a regular basis. You are expected to read your e-mail on a daily basis. GENERAL At Hanze UAS, appropriate manners are the norm, both in spoken and written communication. 1.2. Front Office For all information not directly related to the content of your study programme, you can contact the Front Office. The Front Office is located in the C1 corridor of the Van DoorenVeste, Zernikeplein 11. You can contact the Front Office for: - General questions - Submission of reports (this only applies to the Bachelor’s programmes, not the Master’s programmes). The Front Office is open every day. Intranet – Hanze.nl On the intranet, you will find the latest news from Hanze UAS and your study department, e.g. absence and sickness notifications from lecturers, important messages from your study department, and also useful links to e.g. Blackboard, Digirooster, Webmail and the ICT helpdesk.. You are expected to read the news on the intranet's homepage on a daily basis. After logging on to the website www.hanze.nl, you will be directed to the intranet. 1.4. Blackboard Blackboard is the electronic learning environment that is used as the main tool for providing education at Hanze UAS. Blackboard can be accessed by the shortcut menu on the intranet: Hanze.nl > [ log in] > Quick to > Blackboard. When you click on the Bb button, you will be directed to the learning environment. When participating in education, you need to enrol yourself for the courses you will do. In the BB courses you will find information about the content of the courses and the assignments. During the introduction week, you will receive instructions about the use of Blackboard. 1.5. Email messages Each student receives a Hanze UAS e-mail account. Hanze UAS uses this medium as a source of information. Consult your email account regularly and use it to e-mail lecturers and other employees. Usually a student can expect a response from a lecturer within three working days. Student email addresses are as follows: [name]@st.hanze.nl. Email addresses of lecturers and other staff members are as follows: [name]@pl.hanze.nl. 1.6. Osiris Osiris is the student information system where you register for courses and exams and where you can view your study progress. Osiris can be opened via intranet. On the first page you will find the Osiris button. When you click on this button you will get to the page where you can click on: Login to OSIRIS Student. You will receive instructions on the use of Osiris during the introduction week. 1.7. Examinations and resits You have to register for all examinations by using Osiris (https://osiris.hanze.nl/student). Registration for the examinations is mandatory and done automatically if you have registered for specific courses in Osiris. For resit examinations you have to register separately. You can register until 10 working days before the examination date at the latest. Examinations are written exams as well as assignments, portfolios, etc.. For the exams of period 4 it is better to register for both opportunities (exam and resit). Once your grade for the first chance is known, there is not enough time left to register for the second exam opportunity. 6
DEREGISTRATION If the result of an exam is satisfactory, you will be automatically deregistered. If you would like to obtain a higher grade, you yourself are responsible for re-enrolling for the second opportunity in Osiris. If the registration period has expired, please submit a request to the examination board. Deregistration is possible for written examinations up to 2 days before the test. If you don’t do this, this will be considered a missed opportunity. This is possible for examinations that are offered more than once. A missed opportunity registration counts as an opportunity. 1.8. Examination results You can view your study results and your study progress in Osiris. 1.9. Examination board The Examination Board monitors, evaluates and adjusts the quality of the study programmes of the Institute of Engineering, by means of supervising the examinations and the preliminary examinations. The Examination Board determines in an objective and professional manner whether a student has achieved the conditions set out by the Teaching and Examination Regulations (TER) with regard to knowledge, insight and skills required for obtaining a degree. The TER is published on the intranet of each study programme, under the menu-item Rules and Regulations. Requests to the Examination Board need to be submitted digitally by using the request form. The forms and procedures can be found on the intranet, as well as information about: - Complaints, objections and requests - How to submit a request and what to mention in it - Processing of your request - Lodging an appeal - Composition of the examination board - Frequency of meetings - Examiner list Secretary of the examination board: Mrs. J. 2. Information 2.1. ICT / Helpdesk The ICT department is responsible for managing the computer and audio-visual facilities and supporting the users of these facilities. For personal assistance you can visit the ICT helpdesk; Van DoorenVeste, Zernikeplein 11, Location: A0.13. T.: (050) 595 4566 E: ict.supportcenter@org.hanze.nl Opening Hours: Monday, Tuesday and Thursday from 08.00 - 20.00 hrs Wednesday and Friday from 08.00 - 17.00 hrs Plotting is possible, the plotters are in the Canon shop. 2.2. Mandatory attendance Unless stated otherwise, attendance is mandatory for lectures and practicals. Absence may result in failing (part of) the course. You can find more information about this in the TER (Teaching and Examination Regulations) of your study programme. 2.3. Absence and sickness notifications students In case of absence, please send an e-mail to the examination board (eie@org.hanze.nl). 8
Lecturers can only be required to make additional arrangements in case sickness has been reported correctly. More information about this can be found on this page. 2.4. Absence and sickness notifications lecturers Absence notifications of lecturers will be reported on the intranet a.s.a.p.. If the absence is the result of a long-term illness, the Head of Education of your study programme will look for a suitable solution. 2.5. Study associations The Institute of Engineering has 4 study associations, which organize all kinds of events & activities. 3. Complaints procedures Hanze UAS has a number of regulations for complaints: For general complaints you can contact the lecturer, your academic counsellor / mentor or the head of education of your study department. If your complaint hasn’t been dealt with in a satisfactory way, you can contact the Dean of the Institute of Engineering. In case of sexual harassment, aggression or violence, you can contact the student counsellor (Zernikeplein 7) or the school's confidential counsellor. For more information about the student counsellor, see chapter 8. 10
4. Participation and evaluation Within the Institute of Engineering there are various consultative bodies in which you can participate. Student representatives can participate in: - Student panels - Education evaluations - School participation council (SMR) - Degree programme committee Student representatives are expected to actively promote the interests of education and to be present at all meetings. In addition, the student representatives inform their adherents of the decisions taken. Prior to the meeting, the representatives are presented with the meeting documents. 4.1. Student panels In the student panel, representatives of different classes discuss the previous education period and discuss general issues. The information provided by students and lecturers is used to improve or adjust the programme in case necessary. 11
4.2. Education evaluations All students are expected to participate in the education evaluations by completing the digital evaluation forms at the end of the education period and participate in the annual and/or national student satisfaction surveys (NSE). These surveys provide valuable input for the continuous improvement of education. Participation therefore is important. Outcome of the evaluations and the actions taken as a result of the evaluations are communicated via intranet and/or blackboard. 4.3. School participation council (SMR) Employees and students can put themselves forward as candidates for the participation council and represent the interests of students and employees. The participation council of the Institute of Engineering consists of five staff members and five student members. If you would like to stand for election, you can contact your student counsellor. To attend a meeting, you can contact the SMR's secretary, Gonda Hoekstra, g.g.h.hoekstra@pl.hanze.nl 4.4. Degree Programme Committee The task of the degree programme committee is to evaluate the implementation of the Teaching and Examination Regulations (TER). The committee also advises on the TER before it is adopted. In addition, this formal body gives advice on other education-related matters both solicitedly and unsolicitedly. The committee consists of an equal number of students and staff per study programme. The appointment is for a period of one year. More information can be found here. 12
5. Management team (MT) The Institute of Engineering is led by a Dean. The Dean and the heads of education together form the management team. The heads of education are responsible for the coordination, support and implementation of education for their specific study programme. The Institute of Engineering has 7 teams: Dean: P. 6. Internship and graduation 6.1. Internship During your internship you will deepen or broaden your knowledge in the professional field. You can do an internship at a company in the Netherlands or abroad. 6.2. Graduation You conclude your study programme with a thesis project, which is carried out at a company in the Netherlands or abroad. After completing your studies, you will receive the internationally recognized Bachelor of Science or Master of Science degree. 7. Academic counselling Each student has an academic counsellor to whom he/she is linked for the duration of the study programme. If the academic counsellor in question resigns or falls ill, the student will be assigned another counsellor. 8. Problems during your study If you are facing a problem during your studies, you first contact your academic counsellor. If you can’t find a solution with your academic counsellor or need additional support, you can go to Hanze Student Support, 8.1. Hanze Student Support Although studying is fun and challenging, it can also cause stress and tension. Hanze Student Support is there to help and support you in dealing with this. Speak to a student counsellor or student psychologist, make sure to use the available facilities and schemes, and consider taking a course or group coaching session, which is also possible online. If you should end up having to deal with illness, psychological issues or troublesome family issues or private circumstances, this could have a major impact on completing your degree programme. 10. Rights and obligations 10.1. Teaching and Examination Regulations (TER) The TER is a contract between students and the study programme. It is therefore the most important handbook in which you can find everything related to your study programme; • Description of the programme • Description committees • Programme structure • Final qualifications • Admission requirements • Examinations • Internship, excursions, graduation • Academic counselling • General information on rights and obligations 10.2. Student Charter The Student Charter gives an overview of the most important rights and obligations of Hanze UAS students, both legal regulations and regulations established by Hanze UAS. You can find the most up-to-date version of the Student Charter on the Hanze UAS website, click on this link to go there (Dutch page). The link to the English translation is at the bottom of the page. 21
11. Theme Coordinator The theme coordinator takes care of all organisational matters relating to a theme, e.g.: • Planning and scheduling of the theme • Dividing students into groups • Course of affairs with regard to the guidance of students during that theme The Master’s programmes have programme managers instead of theme coordinators. 22
12. Lecturer The lecturer is responsible for all subject matters of the course you follow, for example: • Content of the lectures • Questions related to the lectures • Problems in the coaching group • Assessment of the theoretical exams, papers and practical exams 23
