ADMISSION REQUIREMENTS An application for admission into GESS can be submitted online at any time during the calendar year and is subject to the availability of space. Processing the application begins after payment of the entrance fee and the online submission of required documents. Final acceptance and admission into GESS will be based on a comprehensive review of all compulsory documentation, applicant’s language proficiency level and additional learning support needs, if any. GESS reserves the right to accept or reject an application. New students to Grade 11 may start within the first two weeks of Semester 1, after which, no new applicants will be accepted. Direct entry in Grade 12 of the IB Diploma programme is dependent on complete subject alignment. Grade System GESS follows a 12 year system which is different to the 13 year system used mainly by British curriculum schools. Below is a guide to the conversion of grades / years of the two systems. Please note the GESS grade placement system is the system used for placing students in a grade. APPLICATION PROCESS STEP 1 Please upload the following documents: 1. Two (2) most recent school reports. 2. Testimonials and recommendations (if available) 3. Copy of all relevant special educational evaluation/ learning support reports (if applicable) 4. One (1) passport sized photograph 5. Copy of student’s and parents’ passport 6. Copy of each legal guardian’s passport and Letter of Indemnity from the legal guardians (if applicable) 7. Legal custody papers if parents are divorced Please note that the documents in languages other than English and German must be translated into English. STEP 2 Complete the application form using our online application system. All applications must be accompanied with the entrance fee payment of S$2,945.00. A receipt will be provided upon request. STEP 3 Both parents or guardian need to acknowledge their acceptance of the placement by returning the signed Student Contract within three days from the date stated in the Letter of Offer. STEP 4 The following documents must be furnished after acceptance however, prior to the student starting school. Please note that students will not be able to start school until all documents are duly submitted to the Admissions department. 1. Copy of student’s Dependent Pass, Student Pass or the in-principle approval of the Dependent Pass 2. Fees are reviewed annually and are confirmed by the 30th of April each year for the next school year. All published fees are inclusive of prevailing GST (Goods and Services Tax), where applicable. A student can be enrolled on a short-term basis for a maximum of six months only. After the six months, the student must register as a regular student or withdraw from the school. The school fees for short-term enrolment are listed below. The applicable fees are listed for each calendar month and cannot be pro-rated. We do not accept short- term enrolments for Grade 12. Payment Details By Cheque Cheques should be made payable to ‘GESS’ or ‘German European School Singapore’. Please indicate full name of parent and student on the back of the cheque. By Credit Card/ Nets Nets facilities are available at the Reception on both campuses. Mastercard and Visa are accepted for payment at the Main Campus. There is no facility to process charges to Diners Club, JCB or Amex. There is an additional 3% administrative fee for credit card payments. By Telegraphic transfer or GIRO payment Please remember to include parent/student’s name in the transfer order and email the bank remittance to admissions@gess.sg. Tuition fees, Development Levy and material and excursion fees will be invoiced twice yearly. Any other charges (special support program, examinations fees, etc.) will be invoiced as and when they occur. 2. Payment details and GIRO forms are available from the school’s Finance Department and on GESS’ website. 3. GIRO payment option is available over five monthly deductions per semester. Entrance Fee An entrance fee payment is required upon submission of an application form. The entrance fee consists of an enrolment fee of S$2,000.00 and non-refundable administrative fee of S$945.00 (incl. prevailing GST). An invoice for the entrance fee will not be issued in advance however, a receipt can be provided upon request. The enrolment fee will only be refunded in the following circumstances: i) Student is not accepted due to the results of the student evaluation ii) Application is withdrawn by written notice because a student is still waitlisted on the intended enrolment date iii) Application is withdrawn by written notice before a place has been offered The enrolment fee will be forfeited where a place is offered to the applicant but not accepted or if the application is withdrawn by written notice after a place has been offered. Development Levy The Development Levy is payable in respect of every student other than those attending the Toddler Group. The Development Levy is an annual payment of S$4,890.00 (incl. prevailing GST) payable in two equal installments and invoiced together with tuition fees. For the third child onwards and from the second year onwards, the Development Levy will be charged at S$2,445.00. 10 WELCOME TO GESS
Enrolment during a school year If and when a student enrolls during the school year, a proportional tuition fee shall be payable, calculated as per the table below: Enrolment in: Share of annual tuition fee payable: August/September 100% October 85% November/December 75% January 60% February/March 50% April 35% May/June 25% Short-term Enrolment Any student, who is enrolled in the School for not more than six months, shall pay tuition fees according to the short term fee structures (GESS School Fee Structure). Tuition fees will be charged as follows for short term enrolments: Enrolled in: Tuition fees chargeable 1st to 20th day of the month 1 month fee 21st to end of the month ½ month fee Terminating in: 1st to 10th day of the month ½ month fee 11th to end of the month 1 month fee Payment and Delay thereof 1. Tuition fees are payable for a whole semester in advance. Fees are not refundable in whole or in part. 2. Payment of invoices for tuition fees and ‘extras’ (such as learning resources, school excursions/class trips) shall be due within 30 days from the date of invoice. 3. The Principal reserves the right to refuse access to school facilities and lessons to students, whose invoices have not been fully settled. GESS further reserves the right to withhold any school reports or related documents in such cases. 4. Failure to pay the invoices on the due date may result in termination of the student contract. 5. GESS reserves the right to impose compound interest charge on overdue invoices at the rate of 8% per annum. 6. GIRO payments are deducted by the 15th of each month. If a GIRO payment cannot be processed or is rejected due to insufficient funds, a $50 admin surcharge will be charged. The failed installment will need to be paid via cash or cheque within seven days from notice. Failure to settle the amount within seven days may be treated as non-payment of fees and the student contract will be terminated. 7. Responsibility for payment of invoices: settlement of fees is the joint and several responsibilities of each signatory of the application form. 8. An agreement with a third party to pay the fees or any other sum due to the school does not release parents from any liability under these terms and conditions. 9. Any costs/expenses/charges incurred with the enforcement of this By-law, including legal costs, shall be borne by the parents on a full indemnity basis. 10. Written notice of withdrawal from GESS must be submitted to the Admissions Department, not later than 31st October for Semester 1 and 30th April for Semester 2. Failure to give adequate notice may result in the fees for the following semester failing due. 11. Additional rules and regulations regarding terms and conditions are available in the School By-Law and School Fee By-Law documents from GESS Administration. Refund Policy 1. Termination according to Section 4.2 of the School By-law, shall take effect at the end of the school semester (January, July). All tuition and other fees shall be payable in full until the end of the school semester; there shall not be any proportionate refund. 2. For termination during the cooling off period as per No. 2.3 of the student contract, all fees paid in advance will be refunded in full, excluding the non-refundable registration fees as per the school’s Terms and Conditions. School Orientation Induction Once you have received our letter of acceptance, you will be sent details of our orientation programme. Orientation is conducted at the beginning of the academic year in August before the start of the school year. For students starting after this, Orientation is held every Thursday at 09:00. Please note that students are allowed to start school only if they produce their In-Principle approval of dependent pass or student pass before their first day. Copies of the pass must be submitted to us within two weeks, failing to do so, the student will not be allowed to attend school. Books and Uniforms Preschool No books required German Section Textbooks required by the students can be purchased from the School European Section Shop. Textbooks will be provided by GESS for certain grades. The cost of loaned text books are included in the school tuition fees. All GESS students, with the exception of those attending Parent-Child or Toddler Groups, are required to wear a school uniform. The school uniform can be purchased from the School Shop and must be obtained prior to the first day of School. For details please refer to the uniform policy. Bus Service GESS has appointed a transport company to ferry students (from Kindergarten onwards) to our campuses. To register, please complete and submit the online application form found on the GESS website (School Life > School Bus). You are required to submit the form at least two weeks prior to the effective date from which you would like the bus pickup service to start. If you have any questions, please contact bus@gess.sg. School Meals Howe Catering have nutritional information and ingredients lists in place for all menu items being served at GESS. The allergen information will be displayed includes gluten, dairy, eggs, peanuts and tree-nuts. While the kitchen does its best to ensure that recipes are true to the claims made, ingredients and suppliers do change on occasion and cross-contamination is an ongoing risk. If a child has a particular allergen it is important they inform their teacher and a best effort will be made to accommodate their special dietary needs. Menus are published on the school website each month. All students may use their ID cards for payment. The card top-up can only be done online via parents portal or kiosks available on campus. Cash payment is also accepted. The menu for students in Pre-School is still included in their school fees. Co-Curricular Activities (CCA) The Co-Curricular Activities Programme (CCA) at GESS offers over 90 CCAs ranging from various sporting and artistic disciplines to social activities and natural sciences that reflect the school’s diversity of talents and ideas. It is open for students from Kindergarten up to Grade 12. The activities, aimed at different age groups, cover a variety of disciplines from Sport, Music, Creative Arts, Performing Arts, Science & Technology and other life-long skills. These activities are considered part of the school’s educational programme, and students have the choice of joining one or two CCAs, giving them an opportunity to develop new talents or to build up existing strengths. The deliberate restriction to one or two CCAs per student leaves enough room for the students to concentrate on homework, test preparation or any other kind of regular educational requirement. Vocal Instrumental Programme (VIP) Students at GESS have the opportunity to learn a variety of musical instruments within the Vocal and Instrumental Programme (VIP). Our VIP allows students to extend their exploration of the world of music beyond the classroom by learning a musical instrument during and after school hours. GESS has brought together some of Singapore’s finest professional musicians to provide one-to-one tuition in either a 30 or 45-minute weekly lesson. Lessons are offered at an additional fee during the school day and after the school. All students will get the opportunity to perform at our Annual Recital to show off their skills in front of family and friends. Students learning instruments at GESS are also encouraged to participate in at least one CCA ensemble. Language Enrichment Programme (LEP) In Pre-Primary and Primary School, all students can opt for a weekly 90-minutes long language enrichment CCA in the form of the Language Enrichment Programme (LEP) which focuses on the student’s mother-tongue/family language, that is not English or German. The LEP also caters to students, who might not be native level speakers of the languages on offer but who have acquired satisfactory interactive language skills from prior immersion in the language of choice. All visitors to the school, including parents dropping off students, will need to register at the Guard House, providing some form of photo ID and a hand phone number which will then be exchanged for a Visitors pass including evacuation instructions. We aim to undertake this process with the minimum inconvenience to parents and visitors and seek your understanding and cooperation. Regular Visitors may request a GESS Parent ID Card, which includes their hand phone number and can be exchanged for a visitors pass upon each visit, thereby negating the need to register hand phone details and speeding up the registration and entrance process. Cards will be issued on an individualized basis. To obtain a GESS Parent ID Card, please submit a request through by scanning the QR code. Students are issued a Student Identity Card, which they should carry with them at all times. This enables them to use the library and facilitates purchases from the canteen. Unlike student cards issued by Singaporean schools, students cannot use these cards to claim discounted travel on public transport. WILLKOMMEN AN DER GESS 17
Insurance GESS has the following insurance cover for its students: Public Liability Insurance This policy will indemnify the insured against liability to Third Parties, inclusive of students, in respect of accidental bodily injury and accidental damage to property, if and when the German School Association Singapore is found responsible for the incident. (For example, the policy does not cover a ‘clash’ between two students in the course of a brawl, if and when the responsibility is not clearly proven to be of the GESS.) The limit of indemnity for any one accident is S$ 5,000,000.00. Personal Accident Insurance for Students In the event of an accident in school, we would like to ask you to make a claim from your own insurance in the first instance. The school accident insurance should only be used if your own insurance refuses to settle the claim. The claims settlement procedure of the school accident insurance takes approximately 2 months and the maximum cover (“Medical Expense Reimbursement”) is limited to S$10,000 and to S$3,000 in the case of fractures. That means that this accident insurance should be regarded more as a safety net for special cases and for students not covered elsewhere. The school accident insurance is valid worldwide, but does not cover emergency flights. For this purpose, students will be covered by extra travel insurance during class trips outside Singapore for a small fee. Further Information can be obtained from the Administration. Drug Testing Information The use and abuse of drugs by children is an area of major concern - not just for the authorities and parents of children concerned, but also for those responsible for their education. We at the German European School Singapore take this issue very seriously. Singapore law imposes very tough penalties on those caught using, possessing or trafficking unlawful drugs, and grants sweeping rights to the authorities enforcing these laws. Penalties include imprisonment and death penalty. Neither foreign nationals nor students are exempted from these laws. If found in possession or trafficking unlawful drugs in Singapore, students may simply be asked to leave Singapore and denied future entry into the country, or have to face more severe penalties. The School By-law permits the school to conduct drug tests on students of grade 7 and above in cases where there are good grounds of suspicion as well as at random. The Principal shall decide on the procedures of the test and students selected have to participate. If and when a test is positive, the school is required to inform the relevant authorities under Singapore law and may decide what further steps to take, including expulsion of the person tested positive. The school shall not be held liable for any consequences of the aforesaid actions which it may decide to take. 18 WELCOME TO GESS
SCHOOL Association What is the Association? The Association, German European School Singapore, is a ‘not-for-profit’society. This means that every cent is re-invested into your child’s education. The Association is registered in Singapore. The Association runs and operates the school. The members of the Association are, forthe most part, parents of our students. Should I be a member of the Association? If you would like to have a say in the strategic direction of the school, then we strongly urge you to become a member. Members vote on major decisions concerning the school at General Meetings and have access to exclusive information through other communication channels. Important decisions taken at General Meetings have included the introduction of the European Section and the new campus at Dairy Farm Lane. Members also elect the Board of Governors at General Meetings to represent the Association. What does the Board of Governors do? The Association is managed by the Board of Governors. Working with the school management, the Board of Governors provides the strategic direction and develops long-term goals for the school to ensure that our students and teachers have the tools required to receive and provide a high quality education. The day-to-day management is of course in the hands of the school management team. Members of the Association elect the President, Vice-President, Honorary Treasurer, Honorary Secretary and four Ordinary Members. How can I become involved? The school benefits enormously from different types of expertise from the GESS community. If you would like to actively participate in the work of the school by providing expertise for a specific project or joining the Board of Governors, please send an email to GESS.president@gess.sg. An application for enrolment at GESS is accompanied by an application for membership of the German European School Association Singapore. Membership is, however optional. Membership of the Association gives you the right to attend Annual General Meetings and to be involved in the direction of the School, in accordance with the School Rules. Over the years, our portfolio consists of GESS, Tanglin Trust School, Dover Court International, Dulwich College Singapore, Henry Park Primary School, Japanese Association, Julia Gabriel Centre, Chiltern House, Fobissea Music, Fobissea Netball, Singapore Scouts Association, SEASAC and The British High Commission.
