WELCOME TO IMMERSE! The entire faculty and sta would like to welcome you to Immerse Artists Experience. We are thrilled you are joining us in Richmond. The day will be fun and action packed full of exceptional classes and positive energy. All of the details for your event can be found here. We encourage you to read through the welcome packet prior to your arrival. Being prepared allows you to get the most out of the experience. REGISTRATION Check-in will take place in our lobby by the IAX Pop-Up Shop on Sunday morning at 7:00am-7:30am. Please arrive before 7:20 as check-in closes at 7:30. We kindly ask that the account holder (1 representative) visit the registration table to receive scholarship numbers and wristbands. Dancers registered through their studio do not need to visit the check-in table, instead, they need to see their studio owner or teacher to receive their number. We recommend that studios designate a meeting time and place, in advance, to distribute these items prior to everyone entering the Immerse space. We are cutting back on paper waste. Account holders will receive their registered attendee list via email prior to the weekend. There will not be a printed list given at the event. Please note: Immerse Artists Experience hold private events. Everyone in attendance must be registered, agreeing to the terms and conditions. This includes teachers, studio owners, studio representatives, observers, dancers, etc. WAIVERS ALL attendees (dancers, teachers, studio owners, studio representatives, observers, etc.) are required to electronically sign the “release and waiver of liability, and use of likeness agreement” prior to the event. Waivers are due the Wednesday before your event. If you would like to preview the waiver, please visit www.iaxdance.com/waiver. A waiver link will be emailed from Dance Bug Support to the account holder two weeks prior to the event. The account holder will then forward the link to all registered attendees. We assure you that the process is simple and quick. A waiver must be e-signed to receive wristbands and to be allowed entry into the event. WRISTBANDS All observers and studio sta registered to attend will receive a wristband. These wristbands must be worn and visible throughout the entire experience. Parent/Guardian observers are only allowed in their dancer’s designated ballroom during classes. Rooms will be routinely checked to ensure the safety of our dancers. Individuals not wearing a wristband are not permitted and will be kindly asked to step out the room. Observer wristbands will only be sold at the event if space allows. A waiver will have to be signed, and security questions will be asked if wristbands are sold. Dancers must have their number visible at all times as this is their pass into the ballroom. WRISTBAND COLOR CODE White: Studio Owner/Teacher Observer; Black: Participating Teacher-Dancer; Gold: Observer VENUE REQUIREMENTS AND RESTRICTIONS Masks are always recommended and encouraged. Health screenings should be conducted prior to arrival and entry. According to the venue, families and studios may choose what is best for them concerning masking. ff ff
CODE OF CONDUCT It is expected that ALL observers will be respectful and courteous refraining from talking during classes and other disruptions at all times. Observers are asked to nd a chair and remain seated during classes. Sitting on the oor is not allowed. Dancers and observers are expected to be kind, supportive, respectful, and courteous. Dancers are also expected to be on time, showing good work ethic and sportsmanship. It’s our desire for everyone to have fun, grow, and make friends. CHANGING AGE DIVISIONS / CHANGES TO REGISTRATION Please double check your registration. Any adjustments or corrections must be made a full week prior to the event. Changes to registration cannot be made the week of the event. If your dancer needs to level down or up at the event, the request must be made by the studio owner by the second class and can only be done if space allows. Class adjustments cannot be made if the room is sold out. FOOD AND DRINK Food and drinks are not provided by Immerse Artists Experience. Attendees are responsible for bringing their own water bottles and purchasing their own lunch. Per venue rules: food, sports drinks, and sodas are NOT allowed in the ballrooms at any time. LUNCH Attendees are responsible for their own lunch. Please be respectful and throw all trash away in the wastebaskets keeping the convention center clean. PHOTO / VIDEO RECORDING BY ATTENDEES IS NOT PERMITTED For the safety of the dancers, to protect the work and choreography of the faculty, and to reduce distractions, photography and video recording from any type of device (including cell phones and cameras) is strictly prohibited in ALL classes. Faculty members will let you know if they approve of recording at the end of their class. Our faculty and sta reserve the right to remove anyone who is taking photos or video, without faculty permission. Those removed will not receive a refund or credit. Attendee photography is allowed during the announcement of scholarships. PROFESSIONALLY PHOTOGRAPHY ONLY $5 In order to bring you a safe, hassle free, and professional environment, Sheldon Smith Photography will be onsite to capture the memories and excitement. These amazing photos are only $5 each! These are the pictures that you see on our social media. Photos will be available for preview and purchase on their website, www.sheldonsmithphotography.com. A direct link to the Photo Gallery is on our website. (Immerse Artists Experience does not pro t from any sales of photos.) PHOTO REQUESTS OF YOUR DANCER You are invited, and highly encouraged, to make individual request for the professional photographers to take amazing shots of your dancer during the experience. Studio owners are also encouraged to make requests. These photos are great for studio promotions and advertising! To request photos of your dancer(s), simply stop by the check-in table, sign up on the photo request sheet, and put the colored sticker on your dancer’s number. PARKING AND ENTRY TO THE CONVENTION CENTER The closest parking can be found at the 3rd & Marshall Parking Deck, 351 North 3rd Street. There is a at rate of $7 for the day. Cash or credit will be accepted upon entry. For those who park on the rst level, exit the deck from the main vehicle entry/exit, walk to the right and cross the street to enter the building. Once entering the building, the event will be straight ahead. For those who do not park on the rst level, please use the elevator/stairs to exit onto Marshall Street, head left to the corner and cross the street to enter the building at 3rd & Marshall. Once entering the building, the event will be straight ahead. If using the facility entrance on level 3 of the parking deck, proceed left across the skybridge and head down the escalator on the left leading to the Immerse area. Please enter using the 3rd & Marshall entrance. FIRST AID For minor injuries, band-aids, antibacterial cream, and ice packs will be available at the IAX Pop-Up Shop. If a serious injury occurs requiring medical attention, please call 911 and notify the nearest Immerse representative. SCHOLARSHIPS The distinguished Immerse faculty will be awarding scholarships. They may choose to award IAX Elite Dancer scholarships (full scholarships for all cities during the current season and following season, including the opportunity to assist), Outstanding Artists scholarships (half scholarships) and Captivating Artists scholarships ($50 scholarships). Additional scholarships may be awarded to the Rhythmic Souls program. Fresh Talent Group will be scouting events giving selected dancers the opportunity to consult with the agency’s owner for possible representation. The faculty will make the decision on what scholarships, and how many, will be awarded. This may vary city to city. Their decision is nal. To redeem any Immerse scholarship, please contact Immerse Artists Experience. To redeem awards sponsored by Rhythmic Souls or Fresh Talent Group, please contact them directly. Studio Owners: Take advantage of this program by reserving your studio’s spots with a $300 deposit. If you are unfamiliar with this program, please contact the o ce.
