Job description Location: Office-based in Oxford, or home-working, UK, with the expectation that you will come into the office in Oxford on a regular basis. Salary: £20,000 to £24,000 pro rata Hours: Full or part time (22.5 to 37.5 hours a week) Reporting to: Finance Manager Job purpose You will assist the Finance Manager in the running of the Finance Department, administering all day-to- day income and expenditure transactions. You will also take responsibility for Viva’s global accounting entries and bookkeeping. Key responsibilities Your responsibilities will include: • Take primary responsibility for all Viva bookkeeping and banking matters. • Manage purchase and sales ledgers including creating invoices for sales and office rental payments, and entering income with care over any restricted coding and gift aid status. • Process all transactions to the accounts system in a timely manner and file all related paperwork. • Manage and process payments by the organisation (e.g. direct debits, electronic transfers). • Liaise with bookkeepers in the US, Hong Kong and Uganda in the processing of transactions to the accounting system. • Manage credit and debit card payments to and by the organisation. • Ensure the QuickBooks system is reconciled on a monthly basis – reconciling to bank statements, trade creditors and debtors, and dealing with posting errors etc. • Process expense claims and invoices, in a timely and accurate manner, aligned to internal controls and processes. • Administer the generation of Gift Aid claims. • Take responsibility for appropriately processing information received in various ways. • Champion accuracy in coding. • Produce weekly bank balance reporting to assist in cashflow forecasting. • Various other finance/admin tasks as required (e.g. queries, supporting other teams). Terms, Conditions and Benefits Salary and Annual Leave • This is a part- or full-time role for Viva, located either at its Oxford offices in the UK or home- working in the UK, with the expectation that you will come into the office in Oxford on a regular basis. • The full-time salary range is £20,000 to 24,000 per annum, depending on experience. • Holiday entitlement for full-time staff is 25 days per year plus 8 public holidays (pro rata for part- time staff).
