About Experience Africa Experience Africa, in conjunction with the African Travel and Tourism Association (Atta) is the first dedicated 3-day Africa B2B travel tradeshow in the UK, providing an exclusive platform to connect key suppliers from across Africa with the most relevant, active buyers from the UK and Europe. From years of experience and research, we identified a real appetite from UK and European buyers for a more inclusive show with a revised format, dedicated to Africa. Hosted Buyer Criteria Hosted Buyer Benefits A Hosted Buyer will receive a credit towards their travel and accommodation costs for the show. A hosted buyer can receive a credit of up to €500 depending on the number of days attending. Becoming a Hosted Buyer All buyers based outside the UK will automatically be considered for the Hosted Buyer Programme. There are no extra obligations for hosted buyers. Once your application has been qualified and approved, that's it! You will then just proceed with the phases as per all buyers. Note – you will need to notify us of your travel arrangments by 25th March 2019. Hosted Buyer places There are a limited number of places on each buyer programme. The places are allocated to approved applicants on a first come-first served basis. Allocation per company A maximum of one buyer per company will be eligible to be hosted. Therefore, although we may allow up to 6 people per company, additional delegates will not be eligible for the hosted buyer credit. 8

In order to get the most of Experience Africa 2019, we highly recommend the 3 –day programme. However, we also offer 2-day programmes to tailor your attendance to suit your schedule. Hosted Buyer Policies The key objectives of Experience Africa are to build awareness for African travel, increase engagement with Africa as a destination and to support others striving toward this goal. The vast majority of buyer delegates are very considerate of their commitment to attending Experience Africa and meeting with suppliers. However, we have had a number of buyers who have not fulfilled their obligations to our agreed expectations. Late cancellations and no-shows set off a chain of events, which heavily affect the outcome of the event. Firstly, it hugely impacts event operations, but more importantly it impacts supplier satisfaction based on the investment made by them to meet with buyers. In order to mitigate the impact on the event and suppliers, we have introduced a considered Cancellation Policy, which we must stress is borne out of necessity, rather than by desire. Hosted Buyer Obligations • All registered hosted buyers should notify Experience Africa of their travel arrangements no later than 25th March 2019. Failure to do so will trigger the cancellation of their participation to the hosted buyer programme. • Hosted Buyers are required to complete the appointment selection stage and attend all pre-scheduled appointments to receive the reimbursement. 10
Hosted Buyer Policies Cancellation Policy All registered buyers (registration is free) will have until the 3rd May 2019 (8 weeks before the event) to cancel their registration for Experience Africa without incurring a penalty. Any cancellations received on or after the 4th May 2019 will be subject to our Cancellation Policy. Note, delegates may still cancel and avoid any fees after this date, provided they are replaced by a person with an equivalent role and seniority within their organisation. • Cancellations received on or after 04 May 2019, will be subject to a cancellation fee of £150 per diary. This date is within 8 weeks of the event and marks the end of appointment selection and the beginning of the match-making appointment phase. Hosted buyer credits will also be rescinded. • ‘No-Shows’ to Experience Africa will be subject to a fee of £85 per day of missed appointments. Please note, cancellations made less than 24 hours before the first appointment, will be classified as a ‘No-Show’. Hosted buyer credits will also be rescinded. • If a delegate is at Experience Africa, but is reported to have failed to attend two or more pre- scheduled meetings without explanation, no fee will be charged, but they may be excluded from attending future Experience Africa events and eligibility for any buyer incentives will also be reconsidered. Hosted buyer credits will also be rescinded. • If a delegate at Experience Africa leaves early and fails to inform the exhibitors about their departure, the delegate will be classified as a ‘No-Show’ and charged a fee of £25 per appointment (maximum fine of £85 per day). It will be the exhibitor’s responsibility to report buyer attendance at the appointment, so please make sure you inform them in time and leave your business card. Hosted buyer credits will also be rescinded. 11
