History of the ALVMA’s Conference for Food Animal Veterinarians ALVMA’s Conference for Food Animal Veterinarians was formed in 1992 by Dr. James G. Floyd, Extension Veterinarian, to provide continuing education focused on timely topics for veterinarians engaged in food animal practice. In 2006, Dr. Soren Rodning became Extension Veterinarian, as well as Chair of the ALVMA Food Animal Affairs Committee and Program Chairman. The program has expanded over the years to include some equine and practice management sessions to fully assist the food and mixed animal practitioner. Historically, the meetings were held at The Alabama 4-H Center in Columbiana, AL because of its central location and relaxed rural setting. The conference has seen success over the last 30 years with attendees traveling from all over Alabama as well as surrounding states to attend. Due to the growth of the conference, it was decided in 2020 to move the conference to Auburn, AL. What is New for 2022? Location We will be moving to a new venue in 2022 as part of an effort to provide even higher quality continuing education. We will be meeting on February 11-13, 2022 at The Hotel at Auburn University and Dixon Conference Center, Auburn, AL. At this time, Food Animal Conference lectures will be held at the Dixon Conference Center and the Sunday Wet Labs will be held at Auburn University College of Veterinary Medicine. Celebrating 30 Years This year will be the 30th Annual Conference for Food Animal Veterinarians! We will be taking a walk down memory lane, highlighting Food Animal Conferences of the past. Please feel free to join in the celebration and participate in our theme of Celebrating 30 Years! in any way that you can. We continue to monitor local, state & federal guidelines related to COVID-19 and will comply with any health & safety regulations or recommendations at the time of the event. General Exhibitor Information Conference Location The ALVMA’s 30th Annual Conference for Food Animal Veterinarians will be held at the Dixon Conference Center in Auburn, AL. The address is 241 South College Street, Auburn, AL. Hotel Information ALVMA has contracted a special rate with the The Hotel at Auburn University for the dates of our conference. The hotel is located at 241 South College Street, Auburn, AL, which is connected to the Dixon Conference Center. The group rate will be $129.00 for single or double occupancy (plus tax). To make reservations at the special ALVMA rate, contact the hotel by calling 334.821.8200. To ensure the group rate and space availability, make your reservation no later than January 17, 2022. The room block will close once the block has been met or has reached the deadline, whichever occurs first. Be sure to mention that you are with the ALVMA Food Animal Conference. You can also reserve your room by following this link https://bit.ly/3iqffBT Exhibitor Booth The booths are table top only. The cost of each exhibitor booth is $450.00. This cost includes a six foot table and two chairs, plus one set of meal vouchers for one representative. If an additional meal voucher is needed, it can be purchased at the additional cost of $150.00. The meal voucher includes all breaks, meet and greet, breakfast for two days, lunch for one day and dinner on Saturday night. Additional Saturday dinner meal vouchers can be purchased for $45.00. A double booth can be purchased for $825.00 which includes two tables, 4 chairs and two meal vouchers. Electrical is available at a $7.50/day charge. Complimentary Wifi will be availalbe to all exhibitors and attendees. Exhibit Hall Floorplan Friday Attendees will gather in the Dixon Conference Center auditorium for afternoon sessions. Meet and Greet Meet and Greet will take place in the exhibit area outside of the Auditorium immediately following sessions. Saturday On Saturday, the veterinarians will continue sessions in the Dixon Conference Center auditorium. Breaks/Lunch Breaks and Lunch will take place in the exhibit area outside of the Auditorium. Dinner On Saturday evening, Dinner and Downie Awards will take place at the Lowder Barn with veterinarians and their guests. Sunday On Sunday, wet labs will be held at Auburn CVM and conclude at 12pm. Subject to Change Floor plan and Program are subject to change.
Exhibitor Rules and Regulations Contract for Space The application for space and the formal notice of assignment constitute a contract for the rights to use the space allotted. In the event of fire, strikes or other uncontrollable circumstances, this contract will not be binding. Use of Space (1) No exhibitor shall assign, sublet, or share the whole or any part of the allotted space. Aisles must be kept clear. Exhibitors must comply with all safety, fire and health requirements during move-in, operation and move-out. Booths must be manned and in operation at all times listed in the schedule. (2) ALVMA does not endorse the products/ services of the companies who exhibit during the meeting. (3) ALVMA shall have the right to require dismantling of any exhibit or part of the exhibit which in their opinion is not suitable to or in keeping with the character or purpose of the Food Animal Conference. Exhibit Space All dimensions and locations of the booths on the enclosed floor plan are believed, but not warranted to be accurate. ALVMA reserves the right to make the modifications to the floor plan as deemed appropriate. Booth selections are made by ALVMA on a first come, first serve basis with no guarantee of specified placement. ALVMA make every effort to honor requests to not be placed by certain exhibitors if requested. Hours or Exhibit Move-in may begin at 10:00 am on Friday, February 11, 2022, and must be completed by 12:00 pm. Exhibitor expressly agrees not to dismantle his/her exhibit or do any packing before the closing hours of the exhibit, 4:00 pm on Saturday, February 12, 2022. Move out must be completed by 5:00 pm on Saturday. Exhibitor must furnish show management with an advance list of their representatives. Only 2 badges will be issued per single booth; 4 badges per double booth. Additional badges will be available at the cost of $15 per badge. Liability ALVMA, any officer, employee, or agent of the same, will not be responsible for the safety or the property of the exhibitors, their agents or employees, from theft, damage of fire, accident, or other cause, but will use reasonable care to protect the exhibitor from such loss. Exhibitors wishing to insure their goods must do so at their own expense. Security will not be provided by ALVMA during the times that the exhibits are closed but doors will be locked upon everyone’s departure. In addition, the exhibitor will indemnify and hold harmless ALVMA, any officer, employee, or agent of the same, from any and all liabilities, claims, costs, damages and reasonable fees of counsel incurred in connection with any claim arising out of or caused by exhibitor’s display or distribution of materials, or performance of any music or other material that violates any copyright, patent, trademark, trade name, service mark, or other similar right of any other party. Care of Building/Equipment Exhibitor, or their agents, shall not injure or deface the walls or floors of the building or the booths. No signs or any other articles shall be posted, nailed, or otherwise attached to floors, walls, furniture, or fixtures. When damage appears, the exhibitor is liable to the ALVMA and to The Hotel at Auburn University and Dixon Conference Center. Cancellation/Refund Policy If written notice of the cancellation is received by the ALVMA no later than January 31, 2022 a refund of monies received less a $100 administrative fee will be made. Beginning February 1, 2022, no refunds will be given. Copyright Policy Exhibitors must obtain all necessary authorizations from third parties concerning copyrights, music licensing, patents, trademarks, trade names, slogans, logos, service marks and other similar tangible property rights used by the exhibitor.
