Exhibition Manual Instructions Please view each section of this exhibition manual to ensure smooth logistics during the lead up and duration of the Conference. Please ensure all items are completed by the due dates listed. Appendix_01_Indemnity Form in PDF format by Wednesday 15 September 2021. Please Note: exhibitors and sponsors will NOT be granted entry to set up without provision of a current public liability insurance certificate, signed terms and conditions, onsite contact form and full payment for your participation. If you do not have public liability insurance, you must provide a signed copy of the Indemnity Form in PDF format to conference@inhsu.org by Wednesday 15 September 2021. Your stand builders and their sub-contractors must provide a copy of their public liability certificate of currency or the front cover of their Policy in PDF format to conference@inhsu.org by Wednesday 15 September 2021. ExpoNet has developed an Online Exhibitors Kit (OEK) for ease of ordering exhibition requirements for the event. ExpoNet Exhibitor Services will forward the link, username and password for the OEK soon after you receive this manual. Please use the OEK to complete the forms for your stand requirements, including fascia and signage, lighting and power, stand modifications, shelving, furniture, audio visual. If you have any questions regarding your shell scheme booth or the OEK please contact ExpoNet directly. Shell Scheme Inclusions: Stand: 3m x 2m white melamine walls Fascia: 1 x Company Name sign and company Logo in black and white Lighting: 2 x 60w directional Spotlights per booth Power: 1 x single power point (4 amp) per booth Flooring: The venue has carpeted flooring Furniture: At exhibitor’s expense (contact ExpoNet for any furniture requirements) Custom Build Information Open floor space will have designated floor markings and does not include any accessories and equipment such as fascia, carpet, lights or power. If access to electric power is required, please request this through ExpoNet. The following details must be sent to liagh.manicom@ashm.org.au for approval by Wednesday 15 September 2021 • Contact details of your custom stand builders • Custom design plans, with full measurements All contractors must provide their Public Liability Insurance Certificate of Currency to liagh.manicom@ashm.org.au before commencing build onsite. Floor Plan Please note the floor plan is subject to change, however the Conference Organisers will make every effort not to move allocated booths and will advise exhibitors of any significant changes. Deliveries, Storage & Collection Novotel Sydney Manly Pacific The hotel will accept deliveries no earlier than 8:00am Tuesday 12 October 2021. All Deliveries must be labelled with the completed Delivery Form. The loading dock is located on Francis Lane. The Novotel Sydney Manly Pacific will accept all deliveries from 8:00am Tuesday 12 October. The loading dock is accessible 24 hours a day. Please note there is a 3.63M height restriction in the loading dock and there is no pallet jack or forklift on site. The hotel does not accept pallets. A lift is available in the loading dock. The measurements are: Door: 900mm (W) x 2000mm (H) Inside: 1735 (L) X 1620 (W) X 2190 (H) Max load 1350 KG (18 PERSONS) Once the lift arrives at level 1, there is a staff door that you will need to go through to access the conference floor. The measurements of the door are: 710mm (W) x 1980mm (Height) Should this door not be large enough, the driveway at the entrance of the hotel can be used to access the venue from reception. The driveway is located on 55 North Steyne Manly. The hotel’s reception lifts provide access straight to level 1 of the conferencing floor. The lift’s measurements are: Door: 900mm (W) x 2000 mm (H) Inside: 2090mm (L) x 1090mm (W) x 2170mm (H) Max load 1000KG (13 PERSONS) Appendix 03 Delivery Label – Novotel Sydney Manly Pacific Set up & Dismantle All organisers, contractors, exhibitors and their staff MUST wear safety vests and closed in shoes whilst on the loading dock at both venues, service road during the custom build and bump in and out of events. Vests will not provided on-site therefore we suggest packing your own. • During the Exhibition ASHM staff will visit each stand to discuss the pack-up arrangements. • Don’t forget to bring tape/scissors/packaging and your return courier consignment notes for the return delivery of your exhibition materials. • No responsibility can be taken for goods left behind, unlabelled and without clear instructions or collection arrangements. 6
Bump in Bump in is via the loading dock – the address and opening times for this are outlined above. Custom Stand Build: 10:00 Tuesday 12 October Exhibitors access to dress stand: 14:00 Tuesday 12 October Bump out Exhibitors pack up: 18:15 Friday 15 October Custom Build dismantle: 19:00 Friday 15 October Parking Novotel Sydney Manly Pacific has a carpark on-site that is available at a rate of $50.00 per day. Parking is subject to availability and is not guaranteed. Please note, the car park has a height restriction of 1.97 metres. Please note that hotel has limited parking onsite. Within the Manly area there is a wide selection of offsite council parking. Stand Catering No exhibitor or person shall distribute or give away any item of food or drink, not supplied by Novotel Sydney Manly Pacific, to members of the public or trade exhibition visitors without the express written consent of the hotel. Please not that all food items must be pre-packaged. Please contact Novotel Sydney Manly Pacific directly to receive consent. The hotel reserves the right to remove any food and beverage that has not been authorised. Security Exhibitors are responsible for the total management of the exhibits on their booths. The organiser will not be held responsible for any damages, robberies and losses incurred by exhibitors, and compensation will not be provided for the loss of personal belongings and exhibits. Whilst every precaution is taken, Novotel Sydney Manly Pacific or the Conference Secretariat will not accept responsibility for damages or loss of goods and property left in the venue prior to, during or after the exhibition. All goods must be claimed and removed from the venue on the last day of the exhibition. Adequate insurance coverage of exhibits is highly recommended. During the set-up, dismantle, exhibition operation times and all times the area will be open, and we suggest you take care of your goods and that your booth is not left unattended. Please do not ever leave any valuables on your stand. Whilst every precaution is taken, Novotel Sydney Manly Pacific and the Conference Secretariat cannot accept any responsibility for loss or damage which may occur to persons or property at the exhibition from any cause whatsoever. 7
Marketing & Promotion As an exhibitor, your Company’s information will be printed in the conference handbook and included on the conference website. A company profile of no more than 100 words and your company logo is required. Please email your company profile and logo in high-res EPS or jpeg format, min 300 DPI format, to liagh.manicom@ashm.org.au by Wednesday 15 September 2021. The Conference Committee is excited you are participating in the Conference. To assist you in promoting your participation we are providing you with tools to market your involvement in the conference, we suggest you use the logo or web banners in emails, websites, newsletters, print advertising and other promotional materials to let your clients know they can meet you at the Conference. When using the conference logo or banner online, please link them to www.inhsu.org/2021-conference Appendix_07_Conference Logo Appendix_08_Conference Web Banner Registration and Accommodation A Unique ID CODE for any included registrations will be emailed to you, if you have not received your ID CODE please contact liagh.manicom@ashm.org.au As an exhibitor you are entitled to discounted registrations, please register via the online registration system. Please check with your freight carrier to confirm when you need to arrange delivery to be sent. We recommend you pack the following items as your ‘Exhibition Survival Kit’ because you never know when you might need them! • Scissors • Sticky / masking tape • Stapler and staples • Power board and/or extension cord (new or tagged and tested) • Velcro (hook & loop) 8
• Pens and permanent markers • Note pads • Safety Vests • First-aid kit • Courier consignment notes (for returning goods to the office) All organisers, contractors and exhibitors and their staff must wear safety vests and steel-capped boots or shoes whilst on the loading dock, service road or in the exhibition hall during the construction, bump in and bump out of events. Vests will be provided on-site at a charge therefore we suggest packing your own. 9
