Set amongst the estate land of the Duke of Wellington in Hampshire, it’s a great weekend to round off the of Summer holidays. We have a huge footfall of people that love to join us for our annual event BAR FOOD
Saturday 28th – Monday 30st August Trade Stand Booking Form Winner of SEEL ‘Event of the Year’ 5 years running 2015-2020 Please find below an applica�on to trade at the Wellington Interna�onal Horse Trials and Country Fair together with the relevant terms and condi�ons. Please read through the form carefully and should you have any queries then please contact Yvonne Uprichard 07766 660058 yuprichard@b�nternet.com Temporary Shedding - provided in the form of a long marquee divided into bays with marquee sheet divisions between each one situated around the main areas. Shedding is offered in mul�ples of 3m x 3m spaces. Covered shedding bays cannot be used for catering purposes. Please note shedding bays are limited and will be allocated on a first come basis. (available with or without power) Open Space – an open area to your specified size for you to erect your own stand/ marquee/display on grass. Can be used for the retail of food not for immediate consump�on (no power supply) Catering Sites – a limited number of sites are available for retailing food for immediate consump�on. These are charged on a percentage of takings and allocated at the discre�on of the organizer to be agreed in advance. (Power is payable in advance please ensure you are aware of the electricity supply terms and condi�ons) Traders must provide the following documenta�on with their applica�on: • Evidence of current Public Liability Insurance • Evidence of current Employers’ Liability (if applicable) • Copies of Risk Assessment in rela�on to any significant risks associated with your undertakings. • Cer�ficates of Competency in rela�onship to the set-up, running or dismantling of anything likely to cause hazard or risk to any person(s) – if applicable. • Fire Risk assessment for all Catering Traders. Electricity Supply – we are able to provide an electricity supply to your site at an addi�onal cost. The use of generators is not permi�ed unless supplied by the Organiser. Upon receipt of your completed trade stand form and payment fee we will send you confirma�on of your booking by email.
TERMS AND CONDITIONS 1. On receipt of a completed booking form and fee payment transfer you will receive an email booking confirma�on from Wellington Interna�onal Horse Trials and Country Fair. Only upon receipt of a booking confirma�on will your space be guaranteed. Trade stand space is for three days which you must a�end in full, there are no single day op�ons. 2. The organisers shall determine the posi�oning of the stands, although every effort will be made to accommodate any reasonable requests made in advance regarding the posi�oning of a stand. 3. No trader/exhibitor is permi�ed to change their site posi�on or move to any site other than the one allocated to them without prior permission from the organisers in wri�ng. 4. Traders/exhibitors whose stand forms part of a trailer or lorry which will require addi�onal space in order to posi�on into their allocated space must state so on their booking form clearly so that the organisers can make necessary arrangements. This storage space is not guaranteed and subject to the discre�on of the organisers. Should the storage space be significant then this may be subject to an addi�onal charge. 5. No trade stand will be permi�ed on site before 2pm Friday 27th August 2021. The site will be unlocked for trader set up from 2pm – 6pm on 27th Friday. No traders/exhibitors are permi�ed to set up a�er 6pm on Friday 27th. (Site entrance is opposite New Inn Rg27 0LE) Due to the schedule of the Interna�onal Event Set up hour may change no�ce will be given. 6. All goods and exhibits (including rubbish/adver�sing materials etc) must be removed from site by 6.00pm on Tuesday 31st August 2021 unless prior permission has been obtained from the organiser in wri�ng. The site space allocated must be le� clean and �dy. Traders will be charged £50.00 for any waste le� in their allo�ed space. 7. Traders are not permi�ed to transfer or sub-let their allo�ed space without prior consent and approval from the organiser in wri�ng. 8. Traders will be issued Trade Vehicle passes in advance of the by way of weekend access e �ckets. Addi�onal car passes will be charged at £10 and limited to a maximum of 4 addi�onal passes. Trade stand car passes allow vehicles to be driven to and from the traders/exhibitors area before 8.00am and a�er 6.00pm (subject to event �metable). Please note there is no unauthorised vehicle movement on site between the hours of 8.00am and 6.00pm or when the event is open to the public. Vehicle access for close down will be restricted un�l the event has been closed to the public. Further movement restric�ons may be imposed as necessary, i.e. poor ground condi�ons. 9. Please note there will be limited access to water points in the trade stand area. 10. Any Trader using electricity must source this supply from the Organiser, which must be booked in advance as part of the trade stand booking form. The organisers will not be in a posi�on to facilitate any last-minute requests for electricity supplies. Any electrical equipment must have a valid safety cer�ficate as applicable and in accordance with current legisla�ve requirements. The organiser does not provide adaptor plugs as part of the paid ‘hook up’ service, please ensure in advance your plugs/connec�ng equipment/sockets are compa�ble when booking your electricity requirements. Electricity is supplied during the event opening �mes 8am – 6pm, any addi�onal requirements will be charged. 11. All gas appliances must have a valid safety cer�ficate as applicable in accordance with current legisla�ve requirements. 12. All trade stands should have suitable and sufficient fire-figh�ng equipment in accordance with their fire risk assessment. Stands should have sufficient fire exits for the size and occupancy of the area. 13. Traders/exhibitors are responsible for the safety and security or their stand and therefore must insure against abandonment and public liability etc as standard. There will be no overnight security on site. 14. Overnight camping is permi�ed by pre arrangement only and will be in an allocated area of the event site only, a list of local accommoda�on can be provided as required.

PAYMENT TERMS PAYMENT CONFIRMS BOOKING Cancella�ons made no less than 90 days prior to the event will be refunded less 25% admin fee. Cancella�ons made within 90 days – 30 days prior to event will be refunded less 75% admin fee. No refunds will be issued within 30 days of the event.
