Back Cover 2018 SUPPLEMENT THE FIVE SKILLS Goal Setting: Girls set cookie sales goals and with their team create a plan to reach them. Knowing how to set and reach goals are important skills needed to succeed in school, on the job and in life. Decision Making: Girls decide where and when to sell cookies, how to market their business, and what to do with their earnings. Girls will make many decisions, big and small, throughout their lives. Practicing this in a safe environment will help girls learn how to make good choices. Money Management: Girls develop a budget, take cookie orders and handle customers’ money. Learning to budget and how to handle money will help girls manage their money—from their lunch money to their allowance, and someday their paycheck. People Skills: Girls learn how to talk (and listen!) to their customers, as well as how to work with other girls. This helps them do better in school (on group projects, on sports teams, and on the playground) and later, at work and other collaborative environments. Business Ethics: Girls act honestly and responsibly during every step of the Cookie Program. This matters because employers want to hire ethical employees—and the world needs ethical leaders in every field. 1
COOKIE SEASON 2018 Dear Girl Scout Volunteers, Thank you for changing the lives of so many girls. Your work at Girl Scouts creates leaders and innovators, and ultimately great women who will make the world a better place. The Girl Scout Leadership Experience (GSLE) gives girls a variety of experiences. Girls earn badges, go on exciting trips, explore the outdoors, work on community service projects and, yes, sell cookies. Many people think of the Cookie Program as just another fundraiser, but it’s so much more. Beyond learning important life skills, the Girl Scout Cookie Program is the only income generating program where girls decide how to spend a portion of the proceeds they earned. That’s because at Girl Scouts, everything is girl-led, including the Cookie Program. When girls have a voice and decide what to do with the money they earn, they become courageous, confident, lead with character, and become empowered to transform their ideas into action. It’s all part of helping girls unleash their inner G.I.R.L. (Go-getter, Innovator, Risk-taker, Leader)TM–potential that is realized by practicing grit like a go-getter, problem solving like an innovator, embracing new things like a risk-taker, and demonstrating empathy like a leader. Girls can’t get there without you. Your mentorship is important because you create the environment and structure where girls feel comfortable, can take charge, make mistakes, reflect, and refocus when 2018 SUPPLEMENT needed. Girl-led is not always easy, but it’s worth it! BOOTHING UPDATES Please see the Program Manual for detailed information about boothing. Remember to be a sister to all troops when boothing, SELF-SCHEDULED BOOTHS Troops may begin self-scheduling booths as soon as they have completed training. Please enter your booths into eBudde as soon as possible. This helps speed up the approval process for everyone. Help your sister scouts; we are in this together! Many of our troops have established relationships with local Store Managers and Business Owners. If you find a business is willing to allocate more boothing opportunities than you can schedule within your troop, please don’t let the opportunity slip by. COUNCIL-SCHEDULED BOOTHS IN THE EXTENDED AREA If you live in Metro Phoenix and your troop loves to travel and booth, please feel free to venture out of town, but be considerate of the girls living in the local communities and allow the extended areas to select booths in their town first. Troops may select booths Council-wide on December 9. Troops living in the extended areas should select booths in eBudde for local troops as soon as possible. COUNCIL SCHEDULED BOOTHS Releasing booths: If you can’t staff a booth, release it immediately in eBudde so another troop may take the opportunity. Even if it’s at the last minute, please release the booth. Council scheduled booths are hard to come by. Many troops keep a watchful eye on eBudde looking for these last minute boothing opportunities and will be happy to take your booth. Releasing a booth in eBudde is very easy–you can even do it using your phone. So, please be a sister scout and don’t let those booth opportunities go to waste. Release any booths you can’t use in eBudde, even those last-minute cancellations. How to cancel your booth in eBudde: Log into eBudde, find the spot you want to cancel, unclick the slot(s) and click “Submit.” OPEN BOOTH ROUNDS Open Rounds means that the Product Program Team will no longer audit the number of booth selections a troop makes; however, we still need to be a sister to every troop. Be strategic, select what you need, and allow others to do the same. Open Rounds doesn’t mean it’s a free-for-all. Selecting every unopen booth, regardless if you can staff it, is not appropriate. INITIAL ORDER INFORMATION Initial orders are important! A strong initial order will save you time and energy. If you place a strong initial order, your troop will have enough cookies to cover your demand for the first few weeks of the program. And that means spending less time re-stocking at the cupboard and more time with girls. Your strong initial order also gives the Product Program Team a snapshot of troop inventory needs for 2018 SUPPLEMENT the season. The council-wide initial cookie order is based, in part, on the number of cookies troops order. Troops who under-order, or don’t make an initial order at all, rely too heavily on the cupboards, especially at the beginning of the sale. Over-reliance on the cupboards directly causes council-wide cookie shortages. What’s a strong initial order? The Product Program Team recommends you order 80% of your 2017 total sales, adjusted for girl participation, as your initial order. New to the Cookie Program? We have a formula for that, too. Check out the Initial Cookie Order calculator on our website. It will give both new and veteran troops a personalized, flavor-specific recommendation for your initial order. If you have questions or concerns about the number of cookies you should order, talk to your Service Unit Cookie Team. They are familiar with your area and can help you decide the right amount of cookies for your troop. TROOP INITIAL ORDER REWARD 160 Troop PGA One shirt per participating girl and one additional adult shirt. Additional adult shirts may be ordered at $7 each. 5
GIRL SAFETY AND THEFT Nothing is more important than ensuring the health and safety of girls and volunteers. If a girl or volunteer feels threatened or compromised in any way, they should get to a safe place immediately, call the police and contact the Product Program Team, as soon as possible. For the majority of our girls, theft of Girl Scout Cookies or money will never be an issue; however, there are procedures in place to mitigate loss when theft happens. Fanny packs are recommended and should be used in place of a cash box at booths. However, if you do use a cash box, never let it out of your sight. A small distraction can give a thief the opportunity to grab and dash off with the cash box. »» Starting cash: $30 in one-dollar bills. No more than $100 in your fanny pack/cash box at one time! »» When you have more than $100, remove the money to a safe location. »» Never leave cash in your car or in an unsecured location. Please treat cookie money the same way you treat your own money. It’s simple! If you wouldn’t leave your own money somewhere - don’t leave the cookie money there. »» Do not accept bills over $20. Council will not replace counterfeit bills over $20. When theft is reported to the Product Program Team, they will need to speak directly to the person making the claim. It is our duty to protect the interest of all girls in the Council and thoroughly investigate each claim independently. If an unfortunate event happens and cookie money or cookies are stolen, as with any other theft claim, you will be asked to provide documentation, including a police report. You may also be asked about your personal insurance as a good faith measure. This helps to validate the claim, the amount of loss and to rule out negligence. Sadly, it’s not unheard of for the Product Program Team to receive fraudulent claims of theft to hide the misuse of Girl Scout cookie money. ACH DATES 2018 SUPPLEMENT The Program Manual contains the details of the ACH process, but be aware the ACH takes a few days to process. Money is due in the troop account the Monday before the ACH date. Money is withdrawn from the account the following Thursday. If money is spent between Monday and Thursday, the troop account may be overdrawn. Troops are responsible for all overdraft fees. If you are unsure how to calculate the amount due – vist http://bit.ly/ach-calculator. »» February 5: Money due in troop account for the first ACH withdrawal. The amount withdrawn will be $1.00 per package of cookies ordered on the initial order and cookies picked up at the cupboard through February 4. »» February 8: Money is withdrawn from troop account for first ACH. »» February 19: Money due in troop account for the second ACH withdrawal. $1.50 per package of cookies ordered on the initial order and picked up at the cupboard through February 18. »» February 22: Money is withdrawn from troop account for second ACH. »» March 12: The remaining amount due in the troop account. DIGITAL COOKIE With the Digital Cookie (DOC) platform, the Girl Scout Cookie Program you know and love is better than ever. Fun, easy-to-use tools help your Girl Scout augment her cookie business beyond the booth, with online and mobile channels that make it easy for cookie fans near and far to contribute to her success. Your Girl Scout will use the DOC platform to build a personalized business page where she can earn badges, set goals, use bar graphs and pie charts to track boxes sold and document service projects. Plus, she’ll have fun playing cookie trivia and other games. All registered Girl Scouts will receive an email in January inviting them to participate in this exciting program. This secure online system allows girls to design personalized online storefronts to share their cookie program goals and invite customers to support them. Girls can begin building their website on January 8 and start sending emails on January 23. »» Girls who setup their Digital Cookie website and send 25 emails will earn the Cookie Techie patch. »» Girls who sell 200 or more packages of cookies through their Digital Cookie website will earn the light up ‘Awesome’ sign. Digital Cookie Mobile App: Girls can use their Digital Cookie mobile app on walkabouts and for in-person sales! After girls have set up the Digital Cookie website, they can download the app and use 2018 SUPPLEMENT the same log-in as their Digital Cookie website. In the unfortunate event that a girl transfers out of the troop but has Digital Cookie sales, please contact productprogram@girlscoutsaz.org. THE CUSTOMER DIGITAL COOKIE EXPERIENCE Customers must receive an email from a Girl Scout. Customers cannot go directly to a girl’s storefront. Online storefronts will share cookie and service project goals and customers can see a picture or video of their favorite Girl Scout. All digital cookies are paid for online with a credit card and can be delivered in two ways: »» Cookies are shipped directly to the customer. This is the perfect option for out-of-town friends and family who want to support their favorite Girl Scout! Delivery charges will apply. »» Girls can deliver cookies to local friends and family. This will save on delivery charges, but a parent/guardian must approve the transactions or the sale will be declined. COOKIE PROGRAM MANUAL | 2018 SUPPLEMENT 7
2018 PROMOTIONS & CONTESTS NEW! DESIGN A PATCH CONTEST Calling all artists! Design a Cookies for the Community patch and your creation just might be worn by Girl Scouts across the Council. How to enter: »» Download the template from our website or trace the circle below to a blank sheet of paper. »» Designs must include the title, “Cookies for the Community.” »» Designs may be done on the computer or by hand. »» Designs can have up to four colors (white not included). »» Scan, take a picture, or attach your design and email it to cookiecontest@girlscoutsaz.org with the title of the contest in the subject line. MYSTERY HOUSES Mystery Houses are homes hidden across the Council with a surprise waiting for the first lucky girl to sell cookies. If you find one on your walkabout, email cookiecontest@girlscoutsaz.org with “Mystery House” in the subject line to claim your prize. Prizes include movie tickets, animal plushes or Council gift cards. Hints and locations can be found at http://bit.ly/mystery-house-clues. Winners must claim their prize by March 11, 2018. COOKIE CONTESTS ARE BACK! Perfect for familes and troops to participate. Each contest is a drawing. FIVE individual winners will be randomly selected to win a $75 gift card in each contest, for a total of 15 winners. Council gift cards can be used to pay for camp, membership fees, Girl Scout programs, at the Council shop or for Girl Scout travel! »» Send all entries, except Cookie Commercial, to cookiecontest@girlscoutsaz.org with the title of the contest in the subject line. »» Girls are entered individually and multiple girls in the picture are entered separately. In one email include the full name, email and troop/IGM number of each girl in the picture. »» Cookie Commercials must be uploaded to our Google shared folder for consideration. »» Entries may be shared on Product Program’s YouTube Channel, Council website, social media or Girl Scout events. »» Entry deadline: March 11, 2018. FLAT STACIE CONTEST Flat Stacie is so popular, she’s back again this year and is ready for another Cookie Season! Use the Flat Stacie template on our website or create your own, then send us a picture of Stacie with her favorite Girl Scout, either setting up her Digital Cookie website, selling cookies or talking to customers. One entry per girl. COOKIE COMMERCIAL VIDEO Are you a savvy cookie seller or entertaining entrepreneur? Make your own Cookie Commercial and show your audience why they should buy your cookies! CONTEST DETAILS »» Create your own topic or use sample topics like “Girl Scout Cookies are delicious!”, “Why I love Girl Scouts”, best-selling techniques, Digital Cookies, boothing, walkabouts, a creative sales pitch or a sales strategy. »» Videos must be uploaded to our shared Google folder for consideration. As her mentor, encourage her to walkabout and make sales to her friends and family. Girls should be responsible for turning money in on time, and giving you regular inventory status. Use the Girl Cookie Counter on our website for a fun way to keep track of inventory. To support good inventory management, do not check out more than 120 unpaid packages of cookies to a girl at one time. Troops cannot turn in a Parent Guardian Outstanding Balance Form for unpaid balances of more than 120 packages and are responsible for all balances over that amount. GIRL SCOUT COOKIE GLOSSARY ACH: ACH is the acronym for ‘Automated Clearing House’ and transfers money owed from the Cookie Program to the Council account. Booth (Cookie Booth): A temporary ‘shop’ that is set up to sell Girl Scout Cookies to the general public. There are Council scheduled booths and Troop scheduled booths. Cookie Cupboard: Locations around the Council where troop Leaders and IGMs can pick up additional cookies throughout the Cookie Season. These are generally in a personal home and run by a dedicated volunteer. Cookie Finder: An app and website where customers can enter their zip code to find the nearest cookie booth. Cookie booths must be entered into eBudde to show up in Cookie Finder. Cookies for the Community: A cookie donation program where customers can donate cookies. There are two Cookies for the Community programs: Council Cookies for the Community and Troop Cookies for the Community. Council Cookies for the Community: A cookie donation program where Council donates the cookies for the troop or IGM. Troops and IGMs sell ‘virtual’ boxes of cookies to customers and the sales are documented in eBudde under C-CFC. Council takes care of the donation. 2018 SUPPLEMENT Council Proceeds: The money earned from the Cookie Program that financially supports all girls in the Council. Council proceeds fund girl and volunteer support, girl program, year-round maintenance of our camps, financial assistance for girls and other Council expenses. Council Scheduled Booths: Booths that are scheduled through the Council and are listed in eBudde. They are generally booths at the large grocery chains and the booth schedule was arranged with their district office; troops may not contact them to secure additional booths. Delivery (Cookie Delivery): When the cookies are delivered to the Service Units. In Metro Phoenix, Delivery occurs over two days; and troops are scheduled to pick up their cookies at a designated date, time and location. Digital Cookie/Digital Order (DOC): The Girl Scout platform where girls can set up their own online business to sell cookies to friends and family. Girls can also use the DOC platform to work through age- specific Cookie Badge requirements. eBudde: The online platform used to place the Troop Initial Order, manage troop inventory, assign cookies to girls, document payment of cookies, schedule booths, and order Girl Rewards. Five Skills for Girls: Five key skills that girls develop through participation in the Cookie Program: Goal Setting, Decision Making, Money Management, People Skills, and Business Ethics. 12 GIRL SCOUTS–ARIZONA CACTUS-PINE COUNCIL, INC.
Girl Inventory: The number of cookies a girl has in her possession. Girl Rewards: Girls earn rewards based on their individual cookies sales. Initial Order: The cookie order that troops place prior to the sale. This order should include the majority of cookies the troop will need to fulfill girl orders and the first few weeks of booths. Troops can use the Initial Order Calculator on our website to help determine the number of cookies to order by flavor. The cookies will arrive with Delivery. Initial Order Calculator: A calculator located on our website that can help troops determine the number of cookies (flavor specific) that they should make on their Initial Order. Parent/Guardian Permission: Financial Agreement and Program Requirement–A form that the girl’s parent or guardian must sign before she can participate in the Cookie Program. PGA (Per Girl Average): The average number of cookies sold by each girl participating in the Cookie Program. Girls who are not assigned cookies in eBudde are not included in the average. Program Credits: A reward option on the order card that can be used to pay for Girl Scout travel, membership, at the Council shop, and Girl Program, etc. IGM girls earn additional Program Credits in lieu of troop proceeds. All Program Credits expire 15 months from date of issue. Self-Scheduled Booths: Self-scheduled booths are booths that troops have scheduled themselves. Service Unit Cookie Manager: The Service Unit Cookie Program Manager is a volunteer who manages the Cookie Program for the Service Unit. Standabout: Lemonade-style stands located on private, non-commercial property. They do not need to be entered into eBudde. Troop Cookies for the Community: A cookie donation program where the Troop or IGM sells cookies to donate to a non-profit of their choice. The cookies are taken from the Troop or IGM inventory and are delivered by the Troop or IGM to the organization. The sales are documented in eBudde under T-CFC. Troop Product Manager Agreement: The Troop Product Manager Agreement is an agreement between the Troop Product Manager(s) and the Council accepting responsibility to manage the Cookie Program, including all financial obligations. Volunteers who have not signed the agreement should not handle cookie money. Troop Proceeds: Troop Proceeds are the portion of the Cookie Program earnings that the troop uses to support troop activities. Troop Product Manager: The Troop Product Manager leads the troop through the program. This person(s) is responsible for financial and product transactions, program logistics, girl program and must sign the TPM Agreement online. Best practices suggest this volunteer should not be the Troop Leader. Walkabouts: Girls and chaperones walk around the neighborhood selling cookies door to door.

THE GIRL SCOUT LAWS and the Cookie Program Many people have for asked for guidelines to be used throughout the Cookie Program. We believe the Girl Scout Law is the best source of guidance. I will do my best to be honest and fair - I don’t take cookie orders before the start date of The Cookie Program. friendly and helpful - I say “please” when asking a customer to buy cookies and “thank you” after they buy them. I am helpful by describing the different types of cookies and how we plan to use the funds we raise. considerate and caring - I only take as many cookies as I can sell and only sign up for the booths that I can attend. I don’t expect someone else to sell my leftover cookies. courageous and strong - I smile and say “thank you,” even if a customer doesn’t purchase Girl Scout Cookies from me. and responsible for what I say and do - every week, I turn in my cookie money and let my troop know how many cookies I have left to sell. and to respect myself and others - I am always on my best behavior at cookie booths and on walkabouts. respect authority - I follow the rules set by my Troop Leaders and parents. I am respectful of the businesses that allow us to booth in front of their stores and am always friendly to their customers. use resources wisely - I set realistic individual goals and troop goals. I also help the environment by recycling empty cookie boxes. make the world a better place - I support our community by participating in the Cookies for the Community donation program and in service projects funded by our troop proceeds. and be a sister to every Girl Scout - I support my Girl Scout sisters in their cookie sales.
