Banquet Policies Updated Banquet Room Hotel and Banquet Center All banquet reservations must be booked in advance through the Banquet Department with a signed contract and a nonrefundable deposit equal to the banquet room fee. If a deposit is given before the contract is signed, the deposit will act as a guarantee for book- ing of the room in place of the contract. The 4-hour use room fee is waived with minimum food & beverage purchase ($600 for Heritage & Legacy Rooms (($100 room fee if minimum for Heritage & Legacy is between $400 & $600)), $800 for Half Hall, $2000 for Banquet Hall) A prospective date may be held with no obligation for 2 weeks. Room rates include 4-hour use of room, each additional hour must be prearranged and will be charged at a per hour rate. Each banquet space has a guest capacity; accom- modations for guest counts exceeding this limit cannot be guaranteed. Dutch Village Event Times Event doors will be open for guests at the event start time listed on the contract. Event rooms will be available 1-hour prior to the start time and 1-hour post-event for the client to setup and clean-up any outside items. Wedding receptions in the Banquet Hall are guaran- teed access 9:00am day-of for setup and vendor access with purchase of the Wedding Package. Set-up access for the Banquet Lobby will be after 10:30am day of due to the Hotels Breakfast. Meal service time will be guaranteed at the time of invoice payment due two weeks out from the event date. Food & Beverage All food and beverage must be purchased through the Dutch Village with the exception of select dessert items and approval by the Event Coordinator. The Inn's service staff will cut and plate dessert items not purchased through the Inn with advanced notice only. All cookie’s must come pre– wrapped by guests or guests vendor and will be displayed by staff with advanced notice. Menu selection and any additional purchases or rentals are due 1 month prior to the event by the Menu Due Date on the contract; menu selections and pricing will be guaranteed at this time. At the time the menu is due, one month out, 50% of the total cost is due. Extra food will be packed by The Dutch Village in disposable containers family style for the guest contact to take home. The Dutch Village will not be held responsible for food items removed from the premises. Alcohol The client is permitted to bring in his/her own alcohol and will be subject to an alcohol allowance fee. Advanced notice must be given at the time of menu selection. Beverage ice and refrigeration will be provided during the hours of the event. Alcohol may not be stored outside of event hours with the exception of wedding receptions in the Banquet Hall which have 9:00am access. Banquet Hall events with alcohol will require a security guard and a bartender. The Inn will schedule the security guard to be paid by the client at the time the final invoice is paid. The Inn requires a minimum of 4 hours for the security guard, but may be increased dependent on the number of hours the event is booked. The client is responsible for coordinating the bartender. Guest Count An exact guest count must be finalized 2 weeks prior to the event by the Guest Count Due Date listed on the contract. The guest count may not be reduced after the guest count due date; this is the minimum that will be charged. If no guest count is guaranteed, the Inn will prepare and charge for the estimated number contracted or the actual number in attendance, whichever is greater. If the guest count exceeds the final count, the Client is responsible for purchasing additional meals and will be billed accordingly. The Inn reserves the right to substitute other available food and service, if necessary, when the count exceeds the guaranteed amount. Payment & Billing The event invoice will be sent to the Client for menu, quantity and event time confirmation after the guest count is received. All events are subject to a service charge and local sales tax. Service charges are associated with the cost of setting, cleaning and preparing for an event. Any gratuities for service staff are at the discretion of the client and their guests. The event balance is due 2 weeks prior to the event by the Balance Due Date listed on the signed contract on the day the final guest count is due. At the time the menu is due, one month out, 50% of the total cost is due. Additional charges incurred during the event will be billed the Monday following the event. All payments are processed through the Banquet Department, during office hours. Same Day Requests/Changes The Inn will make every effort to accommodate last minute changes and additions. Additional service fees may apply. Only the items on the paid in full invoice will be guaranteed. All event changes will be documented by staff on duty the night of the event. Cancelation A cancelation fee equal to the amount of the initial deposit will be incurred for any cancelation or rescheduling of an event. Cancela- tion within two weeks prior to the event date may result in food and beverage charges of the menu selected for the estimated guest count on the contract. Event deposits are not transferrable. Event deposits are only transferrable or refundable in times of a pan- demic and only during a mandated state wide or country wide lock down where events are prohibited by the health department.
