2022 Pop Warner National Championships Welcome 2022 Pop Warner Super Bowl and National Cheer & Dance Championship athletes and spectators! This is the official 2022 Manual. In order to compete, all football teams and all cheer/dance teams must purchase a Universal Parks & Resorts Vacations Travel Package and stay at a select Universal Orlando Resort Hotel or Universal Partner Hotel for the duration of their trip. Here you will find information regarding the travel packages available for the 2022 event, including pricing, add-on options, booking guidelines and more. Travel Overview Congratulations on qualifying for the 2022 Pop Warner National Championship Week. Specially priced packages have been created for your trip to Universal Orlando Resort. In order to compete, all football teams and all cheer/dance teams must purchase the package and stay at a select Universal Orlando Resort Hotel or Universal Partner Hotel for the duration of their trip. • This package is only available through the Group Travel Team with Universal Parks and Resorts Vacations. Spectators can take advantage of specially-priced packages offered by having their names listed on the team’s rooming list. • Hotel availability is based on a first come first served basis. When completing your rooming list, you will be asked to supply your hotel preferences. We will try to accommodate your team’s first choice but will continue down the preference list if needed. Hotel Preference is not guaranteed, and room rates vary based on hotel selection. • Every attempt will be made to block each team’s rooms together; however, blocking is not guaranteed. There are no refunds or resort/room assignment changes if teams are not blocked together. • If you would like to be near a companion team, it is important that you still book your team’s packages in accordance with the schedule outlined within Reservation Policies. Please include the team name(s) in the companion team field on the Rooming List. Every attempt will be made to honor these requests; however, it is not guaranteed. There are no refunds or resort/room assignment changes if teams are not blocked near each other or booked at the same resort. • Standard rooms are for a MAXIMUM of 4 people (including infants) and suites are for 5 – 6 people, 6 people MAXIMUM (including infants). Suite requests with less than 5 people will be turned down and converted to a standard room. Room type is not guaranteed, and room rates may vary. • Airport Transfer is NOT included with your package price. If your team requires airport transfers, it must be noted on the rooming list. Transportation fees will apply. Two options will be available for purchase; shared ride buses or a dedicated team bus. Airport Transfers require an advance reservation. Please refer to the airport transfers section for more information about this service. Bookings for airport transfers will be shut off 72 hours prior to arrival. • Athletes and Coaches on the team/squad rosters will be required to sign a waiver to receive admission to the event at check- in. Spectators included on the rooming list will have admission to either the Orange County Convention Center or Camping World Stadium for the event INCLUDED within the package price. 2022 PACKAGE DETAILS All Athletes and Coaches must book a package through Universal Orlando Resort and stay at the select hotels listed below. No more than four (4) persons per standard room and no more than six (6) persons per Family Suite or Two (2) Bedroom suite. Every room must have at least one (1) adult over the age of 21. Specially priced packages are non-transferrable. Resort availability is limited; teams not guaranteed to get first resort choice or room type. Package Components • A three (3) night minimum* length of stay is required and includes the following hotels; Football Only: Universal’s Endless Summer Resort –Surfside and DoubleTree by Hilton at the Entrance to Universal Orlando Cheer and Dance Only: Universal’s Endless Summer Resort – Dockside, Universal’s Cabana Bay Beach Resort, Universal’s Aventura Hotel, and Loews Sapphire Falls Resort • One (1) Theme Park Admission ticket** per person beginning at a two (2) day Base Ticket option to visit either Universal Studios Florida OR Universal’s Islands of Adventure. • Travel Packages INCLUDE event admission into competition venues and credentials for coaches, athletes and spectators booked within the package. Event admission is non-transferable and non-refundable, if lost there will be a $5 replacement fee. • One (1) admission per person to the Pop Warner Celebration Party*** at Universal Studios Florida & Universal’s Islands of Adventure on Tuesday December 6th, 2022. The Pop Warner Celebration Party Ticket includes food and non-alcoholic beverages, is non-transferable and non-refundable. Scheduled motor coach transportation to and from party will be provided. • Scheduled motor coach transportation service will be provided December 2nd through 10th; Football Hotels to Camping World Stadium scheduled during all competition hours. Cheer and Dance Hotels to Orange County Convention Center scheduled during all competition hours. All Hotels to Universal Orlando Theme Parks – Resort Shuttles will be available subject to normal schedules and routes. All Hotels to the Pop Warner Celebration Party – from 7:00pm to 12:30am on December 6th, 2022. POP WARNER CELEBRATION PARTY Tuesday, December 6th, 2022. Tickets are included with all Pop Warner travel packages. Tickets are non-transferable and non- refundable. Scheduled motor coach transportation to and from the party will be provided from 7:00pm to 12:30am. Get ready for one of the biggest parties Pop Warner has ever thrown. Airport Transfers • Airport transfers are NOT included in travel packages for guests. Transportation is available for purchase between Orlando International Airport and your selected hotel. Transfers can be booked up to 72 hours prior to arrival and must be included on your team’s rooming list. • Universal’s Super Star Shuttle to Universal Orlando Resort Hotels is a per person rate roundtrip. Adult pricing is $39.99, and Children (3-9) pricing is $29.99. This shuttle is open to all resorts guests and is recommend for Teams with players arriving at various times or dates. • Roundtrip Meet & Greet Transfer service provided by Quick Transportation to DoubleTree by Hilton at the entrance of Universal Orlando, is a per person rate. Adult Pricing is $40.00, and Children (3-9) is $30.00. All travelers in the room must be on the same flight and vehicles hold up to 7 passengers. Subject to change. • Airport transfers require an advance reservation. When booking airport transfers everyone in a room must have the same airport transfer type. For teams arriving on the same flight, we cannot guarantee a dedicated shuttle. If your team is arriving on multiple different flights, you will be put on a shuttle with up to 50 additional people. Flight information is due within 48 hours after final payment is made. • A dedicated charter bus can be arranged with Mears Transportation. It will incur a higher cost and pricing is starting from $932 plus tax roundtrip. This is not a continuous shuttle, bus capacity is 54 people, and your team may be waiting for the last person to arrive before transferring to the hotel. Reservation Policies • Universal Parks & Resorts vacations will not accept, or process rooming lists received after the specified dates below. Rooming lists received after these dates will not be accepted. • Final rooming lists and payments are due to Universal Orlando Resort in accordance with the below schedule. • Submitting a rooming list early does not guarantee a selected hotel or room type. • Deposits are non-refundable. Deposit amount will be found on the rooming list and will be applied to the first room. • Any changes or modifications made after the below dates will be charged a fee. Please reference the modification and cancellation section for more detail. • Payments must be made prior to arrival. No payments will be accepted at check-in. Modifications & Cancellations • Please submit any changes or cancellations via email utilizing the Modification/Cancellation form available on the Pop Warner website. Modifications are only accepted via email from the Team Coordinator and cannot be mailed or faxed. Modifications are based on availability and not guaranteed. • Modifications after final rooming list & deposit due date will be charged a $100.00 modification change fee per room. • For cancellations after final payment due date, Universal Parks & Resorts Vacations will keep the team deposit, registration fee per attendee, $100.00 cancellation fee per room and $125.00 per attendee event cancellation fee. • For cancellations 72 hours out or less from event date, Universal Parks & Resorts Vacations will keep the deposit, registration fee per attendee, $100.00 cancellation fee per room, resort cancellation fee of 100% of room revenue, and $125.00 per attendee event cancellation fee. Payments If your team is not paid in full prior to arrival at the hotel, you will not IMPORTANT NOTE be allowed to check-in. No payments can be made at the hotel. • The deposit your team paid to Universal Parks & Resorts Vacations will only be applied to the first reservation on your rooming list. Be sure to list the guests receiving the deposit funds as Room 1 on the Team Rooming List. We are unable to disperse the deposit among multiple reservations. • Accepted payment methods are credit or debit card. • Personal checks, team/league checks or cash will not be accepted for any bookings. • For cancellations 72 hours out or less from event date, Universal Parks & Resorts Vacations will keep the deposit, registration fee per attendee, $100.00 cancellation fee per room, resort cancellation fee of 100% of room revenue, and $125.00 per attendee event cancellation fee. For Credit/Debit Card Payments: • Accepted card types are American Express, MasterCard, Visa, Discover, Diners Club, and JCB. • Primary method of payment is via Credit Card forms which can be emailed. Payments can also be made by calling (888) 647-7711. Please have your reservation number, resort name, check-in and check-out dates, and payment amount available. • IMPORTANT: Most debit and credit cards have a pre-determined daily spending limit. Booking Checklist ❑ Step 1: Regional Qualifier - Once a team qualifies at Regionals, they will be directed to a Florida Citrus Sports staff member to provide a team contact for completing the booking process and providing rooming lists. If a staff member is not present, forms are to be emailed. Note: At Regionals, a Team Contact can submit a rooming list and deposit form, and the staff member will send those to Universal Orlando Resort for processing. ❑ Step 2: Download & Complete Rooming List & Deposit Form – Teams will be contacted on the Monday following competition by their designated representative at Universal. Their representative will provide a key list of due dates and any forms that they are missing. Rooming lists and deposits are due in accordance with the reservation policies. All forms and rooming lists should be sent to PopWarnerGR@universalorlando.com. Incomplete rooming lists will not be accepted. Rooming list must be saved in Microsoft Excel format. No other file format will be accepted including PDF, JPG, etc. ❑ Step 3: Group Reservations Team to Confirm Pricing – Once a rooming list is received, it is processed by Universal representatives. They will evaluate the hotel preference and room type selections. If they must adjust the rooming list, they will send that back to the Team Contact to review and approve. Please allow 48 hours to process the form. Pricing may or may not fluctuate depending on what is requested and what is available at time of booking. Hotel and Room Type are not guaranteed. ❑ Step 4: Team to Accept and agree on final rooming list – The Team Contact must sign off on final rooming list in writing for Universal Orlando Resort to process booking. If a deposit is not paid, reservations will not get processed. ❑ Step 5: Once Booked - The Team Rooming List will be emailed back to the team coordinator with the team’s Resort assignment, reservation numbers and package totals. Modifications can be made after this time, but they will result in a $100 charge per room. ❑ Step 6: Payment – Submit all package payments in full by the final payment due date noted in the Reservation Policies section and on the Rooming List form. Any unpaid balance will prevent entire team from checking in. ❑ Step 7: Flight Information – If a room is purchasing airport transfers, they will need to provide their flight information within 48 hours after final payment. ❑ Step 8: Package Fulfillment - Reservations paid in full by November 26th, 2022 will have their Theme Park tickets, party passes and competition tickets mailed to the address on the rooming list. For all reservations paid after November 26th, teams will pick up their package components at their respective hotel. ❑ Step 9: Know Before You Go – 1 Week Prior to the event dates (December 2nd – 10th), Universal will send the team contact a final document of what to expect during their visit. Address: South Concourse: 9899 International Drive, Orlando, FL 32819. EVENT TRANSPORTATION: Event transportation to and from the Orange County Convention Center will be provided from Universal’s Endless Summer Resort - Dockside Inn and Suites, Universal’s Cabana Bay Beach Resort, Universal’s Aventura Hotel and Loews Sapphire Falls Resort. For teams that plan to drive to the Orange County Convention Center, there is a $10.00 Parking Fee, per entry/per day and $15.00 for oversized vehicles per entry/per day. . More information will be available at resort check-in regarding designated transportation or driving locations. TEAM PRACTICE, ONLINE RESERVATION: The Head Coach must reserve a practice time online. Email invitation to be sent to the Head Coach on Wednesday, November 30th, 5 PM EST. 2022 Cheer & Dance Nationals December 5 – December 8, 2022 Orange County Convention Center, Orlando, Florida TEAM PRACTICE AREA: Arrive 15 minutes prior to Practice Time and report to the Orange County Convention Center, South Concourse, Team Entrance, Practice Area. The Practice Area can be accessed through the Main Entrance, escalator/elevator down to the lower level, main floor. Rostered coaching staff and athletes (with team book) will be admitted to this area. Four teams will move through each station at the same designated time. The time slot includes: • 20 Minutes stretch time on one (1) matted panel to stretch, tumble and warm up basic stunts if time permits. (19 Minutes, 1 Minute to Exit Area) • 20 Minutes practice time on 54’ x 42’ matted surface – nine (9) panels, with music station. (19 Minutes, 1 Minute to Exit Area) • 20 Minutes Book Check / Music Check You may bring your own portable speaker, etc. for this Scheduled Practice Time. Each nine (9) panel matted practice area will be equipped with laptop that contains your team music (provided by Statement of Acceptance Music Upload or submitted by the Region Cheer and Dance Coordinator). MUSIC & BOOK CHECK AREA: The practice area is also the location for your official music and book check, immediately following your designated practice mat time (listed above). BOOK CHECK: The Head Coach will present the team book to be checked for accuracy and validity. If any paperwork is found missing or tampered with the athlete(s) in question will not be permitted to compete. The team book includes a copy of the Certified Team Roster and an Absentee Form for any athlete absent from the certified roster. The team book must include the following for each participant: 1. Identification Card/Standard Player Contract 2. Proof of Age 3. Physical Fitness and Medical History 4. Participant Contract and Parent Consent 5. Proof of Scholastic Fitness 6. YCADA Training Certificate (for all rostered staff positions) 7. For Cheerleading Teams Only: Skills Progression Sheet For Cheerleading and Dance Teams: Pop Warner Head Coach Declaration Checklist WAIVERS/LANYARDS: At time of Book Check, the Head Coach will also register (waiver-lanyard exchange) for the event. Rostered team/staff entering the Orange County Convention Center, must have a credential to enter the facility. *New for 2022 – electronic waivers will be used and the links sent out prior to arrival to all head coaches upon packages being paid in full. It is highly encouraged to have all coach/adult and athlete waivers signed prior to travel to expedite your on-site experience. 2022 Cheer & Dance Nationals December 5 – December 8, 2022 Orange County Convention Center, Orlando, Florida MUSIC CHECK AREA: Immediately following Book Check, the Head Coach will proceed to a Music Preview Station to listen to and verify the team music. Music has been uploaded to this station following your Region Championships and/or Statement of Acceptance. After that time, there are no further changes to the routine music at Nationals with the exception of routine music that received a rules Music Deduction (i.e., suggestive music or inappropriate for family viewing, etc.) at Region Championships. This type of Music Change (Music Deduction at Regions) must be submitted to National from the Region Coordinator no later than 5 business days following the Region event. New for 2022 No Music Changes / Submissions on location. 1. Music is accepted in MP3 File Format Only. 2. Music should be labeled as follows: (i.e., Langhorne Lions Pop Warner, JP, SC2, L) • Team Name as Listed on the Statement of Acceptance • Age Level (TM, MM, JP, PW, JV, V, B, CH) • Skill Level (SC1, SC1-LTD, SC2, SC3, SC4, CC1, PP, TD, HH) • Cheer Size (S, M, L) • Co-ed • If more than one track for a routine: Track 1 of 2, Track 2 of 2. If your book and music are in order, this station should take no more than 15 minutes. If there are any discrepancies, the Region Cheer & Dance Coordinator will be on hand to resolve any challenges with the Head Coach. 2022 Cheer & Dance Nationals December 5 – December 8, 2022 Orange County Convention Center, Orlando, Florida WARM UP AREA: A Pop Warner volunteer will welcome your team and escort them to the Warm-Up Area. The Head Coach will present the Team Book for Photo Identification Check for each athlete/rostered coach. At this location, the rostered coaching staff must wear the event lanyard to enter the warm-up area, backstage, coaches’ seating area and awards ceremony with their team. Each Pop Warner athlete must have the Pop Warner Patch secured to the uniform in order to proceed. The Head Coach should also come prepared with a backup copy of the team music (CD/iPhone/iPad/iPod, etc.) even through it has been uploaded to the warm-up area and performance floor. This station should take no more than 10 minutes. If discrepancies, the Region Cheer & Dance Coordinator will be on hand to resolve challenges with the Head Coach while the team and other rostered coaching staff will be permitted to keep with your scheduled warm-up time. Once the Identification Check is complete, a Pop Warner volunteer will escort your team to one (1) of three designated mats (1, 2, 3) for warm-up, tumbling and stretching for a timed, 10 minute period (9 Minutes, 1 Minute to Exit Area). The team will be asked to immediately move to one of three warm-up areas (1, 2, 3). A 54’ x 42’ surface will be provided (nine (9) panel matted surface) for a timed, 10 minute practice floor (9 Minutes, 1 Minute to Exit Area). The area will be equipped with a sound system (with uploaded music) for your warm- up time. As soon as warm-up is complete, a Pop Warner volunteer will escort your team immediately backstage to the performance floor, entrance area. PERFORMANCE FLOOR, ENTRANCE AREA: The team will move backstage (from the warm-up area) to the staging area. Members can leave team bags backstage in a designated area until your performance time is complete. The rostered coaches will be permitted to stay with the team until they are directed to the Rostered Coaches’ Area on the main floor. When it is time to enter the performance floor, the emcee will announce your team to the floor as listed in the Statement of Acceptance. The athletes will enter the raised Performance Floor by ramp access, stage right - entrance, directly behind the performance floor, back of the mat, and exit stairs, stage left. (Reference 2022 Rule Book, Youth Cheer Routine Guidelines or Youth Dance Routine Guidelines.) PERFORMANCE FLOOR, COACHES’ VIEWING AREA: There is a designated area for the Rostered Coaching Staff on the main floor while your team performs. Coaches will enter the Performance Floor stage right and move to the main floor. Coaches’ lanyard must be presented in order to enter the area. 2022 Cheer & Dance Nationals December 5 – December 8, 2022 Orange County Convention Center, Orlando, Florida PERFORMANCE FLOOR, MUSIC STATION: The rostered Coach, in charge of music with lanyard, will be directed to the Music Station at least 10 minutes prior to performance, enter stage right. There will be two stations, Preview and Performance. A Technician will operate the Performance Music Station (Press Play). At the end of the performance, the rostered Coach, in charge of music, will wait for the team to exit the floor and then join the remaining staff to exit area curtain (stage left) to collect the team and belongings. PERFORMANCE FLOOR: The competition area for the National Championship will be approximately 54’ x 42’ deep (nine (9) panels). This is a raised platform with entry ramp access and exit stairs. JUDGES and EVENT SPOTTERS: The Judges’ Area will be directly in front of your team during their performance. Competition spotters will be provided for safety. ATHLETIC TRAINER: An Athletic Trainer will be in the warm-up area and the exit area of the performance floor. In accordance with and in addition to the Revised Article 17 of the Pop Warner Rulebook, injured participants may not return to practice/performance without explicit approval from the assigned event medical personnel, but not limited to, Athletic Trainers and/or Emergency Medical Technicians (EMTs). EXIT AREA: A team will exit the performance area, stage left rear, back of mat, and wait for the coaches to return from the Coaches’ Seating Area. A volunteer will retain the team belongings and each athlete will receive a Gatorade in this area. The team will be directed to the Orange County Convention Center Lobby Area. MEDIA/INTERVIEW STATIONS: Head Coaches and/or Teams may participate in an interview along with an Entertainment Representative inside the venue. Those interested will participate in a brief interview that may be live on the overhead screen and/or on the event livestream. In order for us to collectively share our stories throughout the event, remember to use the hashtag #PopWarnerCheerandDance and Tag Us @PopWarnerCheerandDance. SPECTATOR VIEWING AREA: Fans should arrive ten (10) minutes prior to the team’s scheduled performance time at the Performance Floor Spectator Entrance. Fans will be directed into a secured area that will be closed before the team takes the floor. When the team’s routine is complete, the fans will be escorted out of the viewing area in time for the next performance. All fans entering this area must show good sportsmanship, respect for the performers and also be aware of the Judges’ view. Fans will not be permitted to bring noise makers, megaphones, signs, shakers, etc. into this viewing area. A photographer is on hand to provide action photos of your team. Photographs will be available for purchase at the Orange County Convention Center. Camera, video or any type of recording/photography including cell phones will not be permitted in this Spectator Viewing Area to avoid distraction for the performers and judges.
