LET’S GET STARTED! FIRST, THINGS FIRST… SIGN IN TO SMART COOKIES! What is Smart Cookies? Smart Cookies is the engine that drives the business of Girl Scout Cookies and is the cookie volunteer’s best friend. This cookie order management system links Troops, Service Units, Girls, Council and ABC Bakers, so communication, inventory management and orders run smoothly. Here’s SUCM Tip! Updating Smart Cookies where you will order cookies, track inventory and more. IT’S ALMOST COOKIE SEASON…. The official beginning of the Cookie Season may be weeks away but there are a handful of very important deadlines in the month of November! Below you will find important dates and step-by-step instructions on how to do each important task for this month! What you should know… • Each troop will have 10 selections or “tickets” to enter into the lottery and has the potential to win up to 1 booth time slot of their selection. • Entries can be put in for one or more booth time slots. • Although GSEP works to have some booth opportunities into Smart Cookies before the booth lottery opens, newly acquired and secured booth opportunities may be added later on and will be available for First Come First Serve. How to enter the booth lottery: To enter the lottery, log into your Smart Cookies account and hover over Booth and click on Schedule Booth. In the top of the page you will see the deadline and the limits of requests and opportunities you will have, as mentioned above. You may adjust the map based on location by using the filters. Once you have identified a booth location you are interested in, click on the location and you will be taken to choose date and time slot. Click Save. To view all your selected requests, click on My Reservations. If you need to remove reservations, click on the (…) button on the right side of each time slot and click on Remove Reservation. Booth selections secured through the Council Booth Lottery, will be populated as “Cookie Locations” in the National Girl Scouts Cookie Finder and can be shared easily in social media. Home Delivery Forms— Due November 25 Imagine not having to drive to a Mega Drop location to pick up your initial order of cookies. Cookie Countdown Begins! And all of a sudden it’s December and the official Cookie 2021 Countdown begins! Here is what you need to do for these last weeks before the sweetest season of the year begins. Check out our TeamApp’s documents tab to check it out! Cookies-on-hand Beginning on Thursday, January 21st, girls can begin with their cookie selling efforts. Cookies can be sold in many ways (from selling at their parents’ workplace to selling door-to-door in their community). Door-to-Door Girls can walk about the neighborhood with their product on-hand and a parent/guardian. While socially distancing payment must be collected at the time product is delivered to the customer. Door-to-door safety All girls must have an adult present when selling cookies door-to-door. Girl Cookie Recognitions What can girls earn in addition to the 5 essential skills when participating in the Girl Scouts Cookie Program? As a troop, you must make a collective decision as to which option will be chosen as a Proceed Plan. Cookie Boss Class of 2021– every girl that sells 1,000 or more packages, regardless of the recognition plan they choose, will earn an invitation to attend the Cookie Boss Class of 2021 celebration. This event is for the Girl Scout only and it is chaperoned by GSEP Camp staff. Top 5 Cookie Sellers – We plan to celebrate our Top 5 Cookie Sellers with a special experience just for these girls! Order Adjustment Requests If you happen to have a discrepancy in the inventory you received, an order adjustment request needs to be submitted to the Product Program team within 24 hours of your pick-up. To submit an order adjustment request: - Email memberservices@gsep.org using the subject line “Cookies: Order Adjustment Request” - In the body of your email, include the following: o Troop Number o Date and location of the pick-up o Number of cases and variety of cookies that needs to be adjusted - Once submitted, allow the Product Program team 2 business days to review and process your request. Only submit your request once. - If the request is granted, the inventory will be adjusted in Smart Cookies. - Once reviewed, a decision will be shared with you via email. Damaged orders Did you receive a damaged case of cookies at Mega Drops and/or Planned/Unplanned Order Stations? No worries! You can place a damage order and get credit for the damaged cookies. Before you place a damage order, please do the following: - Open the case and inspect the cookie packages. Often it may seem that the case is damaged, but not all packages are. Once you have inspected all packages and determined how many packages need to be damaged, - Log into ABC Smart Cookies - Under the Orders tab, select Damage Order. - Enter the quantity of damaged packages by flavor. - Click Save What should I do with the damaged packages? If the package seal is not broken, the damaged inventory can be used as samples at Cookie Booths or can be disposed of appropriately. Remember: Damaged orders are placed in packages, not cases. Troops with high or unusual damaged packages may be audited by GSEP and further information or proof can be requested. Ordering Cookies: Planned and Unplanned Order There are two simple ways a troop can order cookies and add to their inventory, Planned and Unplanned Orders! Planned Orders – Pre-scheduled pick-up at a specific Planned Order Station location and time frame scheduled through Smart Cookies. The Planned Order Schedule is available to view in TeamApp. NOTE: MAKE SURE TO BRING YOUR OWN PEN AND WEAR A MASK AT PICK UP. FOR PICK UP ON ORDER BY NOTE: PLANNED ORDERS MUST BE PLACED BY NOON USING THIS SCHEDULE. 12PM How to place a Planned Order: TUESDAY SATURDAY 1. Log Into ABC Smart Cookies 2. Under the Orders Tab, select Planned Order. WEDNESDAY MONDAY 3. Select the desired Planned Order Station, where you will be picking up your troop’s order. 4. Select the desired time your order will be picked up. THURSDAY TUESDAY 5. Enter your desired amount of cases for your order and click save. 6. Once you have reviewed the planned order confirmation, click save. FRIDAY WEDNESDAY Planned Orders Best Practices and FAQs: SATURDAY THURSDAY Partial Order pickups are not accepted. For example: if your planned order is for a total of 50 cases, you must pick all 50 cases or none at all. Orders that are not picked up will be deleted from the troop’s inventory. Transfer Sheets (T-8) are not needed for Planned Orders. Picked up product cannot be returned. We encourage troop to troop transfers to get rid of leftover inventory. Please allow at least 48 business hours for orders to be processed and for the inventory picked up to be reflected in ABC Smart Cookies. Unplanned Orders Best Practices and FAQs: To review the Unplanned Order Station schedule, visit the TeamApp Document tab and look up the posted schedule. Any changes to the schedule posted will be updated in the existing document and announced via email/TeamApp post. Transfer Sheets (T-8) are needed for Planned Orders. The SUCM or SUCBM (Service Unit Cookie Booth Manager, if your SU has one) must manage and assign all SU Booths in a fair and even way. • Family Cookie booths where there are one or multiple girls within one family unit may be with one parent or guardian, but must be approved by the Troop Leader and SUCM (Family Booths are only allowed within GSEP Council boundaries). • Product sold at cookie booths can be evenly divided among the girls that participated at the cookie booth using the Smart Booth Divider in Smart Cookies. For troops to utilize the Booth Divider, the booth location and time slot must be in Smart Cookies and it must be assigned to the correct troop in Smart Cookies. (See page 25 for information on how to use the Smart Cookie Booth Divider) • Out of Council must be approved by Product Program staff. • Girls and volunteers MUST wear masks at all times. • Follow local government regulations regarding social distancing and Covid-19 practices and check www.GSEP.org for the most up to date Covid-19 guidelines. 24
