Youth Livestock Show & Sale Exhibitor Meeting Q&A Group 1 @ 6- 6:45 pm: Dairy, Dairy Goats, Poultry, Horse & Pony, Dog, Camelids (Departments - Non-Sale Eligible Animals) Group 2 @ 7 - 7:45 pm: Beef, Sheep, Swine, Market Goats, Turkey, Rabbits (Departments with Sale Eligible Animals)
Mission Statement: The Great Frederick Fair Inc. exists to promote Agriculture and the Education of our Youth about the Industry of Agriculture. Strategies/Policies: Education is the Number ONE Priority accomplished by providing 4-H and FFA Members and Youth at Large with a means of Learning by Doing and Showing to the Public their Accomplishments Partnerships with 4-H, FFA, and the Ag Community will promote Ag Literacy and Ag career paths
GFF GOAL/HOPE Provide the Youth Exhibitors an in-person show and sale for 2021 and beyond 4-H & FFA in Frederick County to continue to partner and work cooperatively with GFF to help provide a successful show and sale for youth exhibitors SUMMARY of what’s changing: - Name Change - Administrative Responsibility Change - Sale Date Change: Thursday to 2nd Saturday
YOUTH SHOW (Open to Frederick County 4-H/FFA Members Only) • Eligibility requires exhibitors to be members in good standing in Frederick County 4-H and/or FFA in YOUTH order to participate (Both organizations remain VERY important!) SHOW Superintendents SUMMARY • The Fair sent out a survey of interest to all the current 4-H/FFA Sup’s we had contacts for. 4-H was forwarding to the remainder, so all were informed. Survey of interest results returned, and Fair Livestock Committee assigned Sup’s for Youth Show.

FREQUENTLY ASKED QUESTIONS – Fair/Show • Full Fair vs. Shortened week/one day shows? • At this time, the Fair is planning a FULL FAIR/FULL WEEK/FULL SCHEDULE of EVERYTHING in 2021 – livestock shows, buildings, carnival, concerts, etc. (at the very least, there will be a LIVESTOCK YOUTH SHOW & SALE and OPEN CLASS) • Schedule change for open class. Open Swine & Texas Longhorns will now move in Thursday evening/show on Friday. This made the beef show ring available for the last Saturday for the sale to occur • Under the current MDA/MD/Frederick County Guidelines, livestock shows are permitted • Camper Spots? And the Process? • NO CHANGES in 2021. Yes, same price ($300/week) and same process. Eligibility/need will be confirmed with 4-H and FFA. There is a waiting list/lottery system. Superintendents are given priority.
FREQUENTLY ASKED QUESTIONS – Fair/Show • Will the shows be live streamed again? • The Fair is working on plans to have the Youth Shows livestreamed for 2021 • Barn Decorations? Will kids be stalled by clubs? Can they decorate? • Yes! Exhibitors can still be grouped by clubs. No changes to this – decorate as usual by clubs. • Wash Racks – can water pressure be increased behind beef and sheep barns? • GFF will explore if this is a possibility. Items such as these can be requested on the superintendent’s budgetary item requests also.
FREQUENTLY ASKED QUESTIONS – Fair/Show • Why can’t 4-H have a show during the Fair? • 4-H and FFA Exhibitors of Frederick County ARE showing at our Fair --- just referring to it as YOUTH now! • Superintendents – • Most are already 4-H volunteers/certified • The Fair will run additional and necessary background checks if volunteers are not already certified UMD/FFA volunteers
LIVESTOCK • The GFF Livestock Sale Committee’s goals are to YOUTH SALE • Provide an in-person (and simultaneous online) sale for the youth in Frederick County to sell OVERVIEW their eligible market project • Keep commission fees minimal • Pay exhibitors out in a timely fashion • Date/Time Change: 2nd Saturday, September 25 10 AM – Turkeys & Rabbits 1 PM – Beef, Sheep, Swine & Goats LIVE (IN-PERSON), as well as VIRTUAL (ONLINE)
MISUNDERSTANDING/RUMOR/FAQ “WHY is the Fair “Pushing Out” or “Kicking Out” or “Eliminating” 4-H/FFA? ANSWER: THE FAIR IS NOT kicking out or eliminating 4-H or FFA in any way, shape or form. The FAIR is being PROACTIVE to make an event in person and things will run smooth if all parties cooperatively work together. 4-H and FFA have been included in all correspondence regarding the changes to the show/sale since December 9, 2020.
FREQUENTLY ASKED QUESTIONS Administrative • INSURANCE for exhibitors and superintendents? • The Fair has always had and will continue to have full liability coverage • FCPS Excused Absence • Same as in the past. Fair/4-H/FFA will submit eligible participants for an excused absence – ag education • Logistics of the day of show/traffic and parking, and overheating/exhaustion of animals. • Livestock Sale Committee will work with Fair Board on logistics of traffic. And, with exhibitors to ensure safety of animals and transportation.
FREQUENTLY ASKED QUESTIONS Administrative • Buyers • Tickets – The Fair will provide admission tickets (they will be documented/accounted for via sale committee) • Refreshments – The sale committee will discuss idea/option of refreshments available for buyers • Invoicing, Billing, Tax Forms • The GFF Livestock Committee and Fair staff will take care of invoicing buyers (giving 2 weeks deadline). If necessary, the Fair will take legal action to collect funds. • Payment to Exhibitors • Sale committee’s goal is to pay all exhibitors within 30 days of the sale
FREQUENTLY ASKED QUESTIONS Administrative • Will GFF help promote the sale and attract buyers? • Yes – we will use our marketing partners to advertise the sale and encourage participation of buyers • ADD-ONS • Yes, add-ons will be available as in the past Commission will not be taken from add-ons • Special Sale Animals? • Yes! These specialty animals will be sold with Champions & Reserve Champions – charitable organizations benefiting must be approved by the GFF Youth Livestock Sale Committee
FREQUENTLY ASKED QUESTIONS Administrative • How can you refer to 4-H and FFA if it’s no longer a 4-H/FFA event? • Participants in our Youth Show must be members in good standing of either organization in Frederick County • What if 4-H/UME will not provide the Fair with information on eligibility? • The Fair hopes to continue our valued partnership with 4-H and FFA • In the past, the Fair sends list of exhibitors to both organizations to check eligibility
FREQUENTLY ASKED QUESTIONS Administrative (Sale Rules Reference) If Wolfe Auctions is donating auction services(as an in-kind sponsorship), why is there a commission being charged to exhibitors? • A commission of 4% may be charged on all large breed sales (Beef, Sheep, Swine). A $5 per lot commission will be charged on small breed sales (Turkey, Rabbit, Goat). The Fair Sale committee is working hard to reduce the commission fee with sponsorship dollars. (#14) • The commission helps cover expenses related to the sale (Judges, Awards, Administrative fees (Showorks, IT Support)) Wolfe Auction is not charging the Fair for auction services itself. Why are you charging a 3% credit card fee? • This is standard in credit card processing
FREQUENTLY ASKED QUESTIONS Sale Requirement Details (Sale Rules Reference) Attire for Sale/Show • CURRENT RULE IN SALE GUIDELINES: • Exhibitors selling animals MUST be attired in official 4-H or FFA clothing, including neckpiece. No advertising hats, shirts, etc., will be allowed. (Unless provided by the Fair as part of a sponsorship) (#10) • Show rules are TBA once superintendents work on updating the catalog – could possibly consider adding “show attire” Who are the sale committee members? FREQUENTLY ASKED QUESTIONS Sale Requirement Details (Sale Rules Reference) • Rate of Gain? • GFF Sale Committee has removed rate of gain requirements for 2021. Minimum and maximum weight requirements exist (#6C) • Champions – Showing vs. Selling • For All Species Grand Champion MUST SELL and Reserve Champion may elect to sell provided different exhibitors own them (Pending sale eligibility). (#9) • How many animals will each exhibitor be able to sell? Is there a limit? • Exhibitors may nominate only one of each species for the sale. {****An exhibitor may choose to sell 2 different species of Beef, Sheep and/or Swine. And 1 of each small species. (Turkey, Rabbit, Goats)} (#5)
FREQUENTLY ASKED QUESTIONS Sale Requirement Details (Sale Rules Reference) • Will animals sold be graded by a knowledgeable packer to ensure the buyer gets the best quality product? • Animals must grade Choice or better by qualified individuals, as selected by the sale committee, at the time designated at orientation. All decisions made by graders will be FINAL. Grader, upon request, will give reasons for disqualification. (#6D) • What is the sale order? • BEEF, SHEEP, SWINE AND GOAT SALE ORDER: Species will be divided into groups and sold on a rotating order. Grand and reserve champions of each species will be sold at a scheduled time, {Total sale #s divided by 4 to create the groupings, then rotations of Swine, Sheep, Beef, Goats as follows: Rotations 1 & 2, Champions & Reserve Champions & Specialty Sale Animals (approximately 3:30 -4 pm), Rotations 3 & 4} (#13) • Certified Scales – Do you have scales? Will your scales be certified? • Yes –GFF will have scales. Apple Valley Scales will service and calibrate – they coordinate Frederick visit with Farmer’s Cooperative
FREQUENTLY ASKED QUESTIONS Sale Requirement Details (Sale Rules Reference) • Are animals sold by the head or by the pound? • All species: Beef Steers, Market Sheep, Market Swine will be sold through this sale at fair week weigh-in weight. Market Goats, Rabbits, Poultry will be sold by the head. (7)
FREQUENTLY ASKED QUESTIONS Sale Requirement Details (Sale Rules Reference) • “Insurance Fund” for animals from time of sale to processor? And, who is responsible to get the animals to the processor? • The Livestock Sale Committee will consider creating an insurance fund in the coming years • Due to possible ongoing/unforeseen processor delays, the exhibitor may have to take their animal home. The Exhibitor shall continue to care for the animal following the Quality Assurance Guidelines. The Exhibitor shall be responsible to produce the animal to the proper processor (Chosen by the Buyer) at the proper given time specified by the Livestock Sale Committee. (#26) All turkeys entered into the sale will be processed prior to the sale and sold to the buyer as a processed product. • In the event that a carcass of a livestock-sale animal is tampered with or condemned by the USDA inspectors, within 5 days after processing, the buyer will be given a choice of a full refund of the sale price or replacement of an equal quality and weight animal of the respective species BY THE EXHIBITOR. (#21) • Hauling/Transportation? • Exhibitor. The Livestock Sale Committee will be working on arranging transportation. Ultimately, the exhibitor is responsible. • How will you know the correct animal is sent to the processor? • RFID/Scrapie ID Tags – The Sale Committee will oversee this process.
FREQUENTLY ASKED QUESTIONS GFF and separate/off site 4-H Show/Sale • Weigh-In Dates – June • For 2021, it is important that if you are planning to sell in the GFF sale, you must attend the weigh-ins scheduled for June – this information will be used for proof of ownership • Are kids eligible to sell at the off-site/separate from the Fair 4-H Show/Sale AND GFF? • As long as exhibitor meets show/sale requirements from GFF rules/regulations, then GFF is okay. (GFF does not have details of 4-H rules/regulations or dates/times of their show and/or sale)
FREQUENTLY ASKED QUESTIONS GFF and separate/off site 4-H Show/Sale • Can 4-H host a show and sale on GFF property at a different week than the annual Fair if they choose? • NO. The Fair will not allow a competing sale to occur on site. The Fair is making this change in the best interest of our youth and will be encouraging youth in Frederick County to participate in the annual Fair show and sale. • ALL 4-H and FFA workshops, meetings, etc. are welcomed and encouraged to continue happening at the fairgrounds at no charge to the organizations. If necessary, club leaders/volunteers/superintendents can request to run educational workshops as “youth workshops” and the Fair will happily assist
