Dear Colleague, What a year 2020 has been so far?! We all began with so many aspirations and excitement for change and change certainly happened. We have learnt so much about ourselves and the organisations that we are part of, but ultimately, we continue to work together to create better outcomes for our children and young people. Over the last 7 months, my team and I have experienced our own challenges and have had to evolve in many ways, but our primary purpose remains unchanged - our determination to support schools and learners. I would like to take this opportunity to say thank you for your never-ending confidence in the services that we provide. Whether it is support from your account manager, our education improvement team, or whether you’ve taken part in Digital Music lessons or worked with our outdoor education, property and technology teams, we will continue to support all of our customers through the good times and the not so good times, to inspire futures. Annual Renewals 2021-22 Every year we review our services and how they are delivered to ensure that we are providing value for money. As you will have noticed, this year we are releasing your renewals information slightly earlier so that you have enough time to review and decide on the services that you wish to renew. For SLAs finishing on 31 March 2021, your SLA Renewals window is now open and will remain so until Thursday 31 December 2020. By releasing your renewals information earlier, we are: • help you make better and informed choices • help you to manage your budget more effectively • help you to reduce administrative tasks at varying points in the year To view and renew your services, please visit the Entrust Online Buying Portal. You can also find additional information on pages 7 & 8 of this guide, explaining how to access your list of services and how to renew these for the year ahead. For a full breakdown of our products and services, please refer to the Entrust Product Catalogue. SLA Renewal Deadlines We would appreciate it, if you could confirm your SLA choices before: • Thursday 31 December 2020 for SLAs that end 31 March 2021 • Monday 31 May 2021 for SLAs that end 31 August 2021 If you have not checked-out by the above deadlines, we will assume renewal of your SLA and automatically renew any packages that have not been checked-out on your behalf. We do this to ensure continuity of your services and protect you from incurring additional charges. IMPORTANT NOTE The following services operate a different buying cycle to accommodate teaching delivery across the academic year as follows: The Music Service buying cycle will open for 2021-22 on the 1 March 2021 and will close on the 1 June 2021. The Music Service will contact schools directly in March with full details. The Staffordshire County Council packages sold through the Entrust Online Buying Portal (Legal Services, Insurance, Admissions, Free School Meal Entitlement and Library Services) are covered by Staffordshire County Council terms and conditions and will not be auto-renewed. For these services, you will need to select the package you require and follow the standard checkout process. To browse our full offer, simply visit our Online Buying Portal at: http://entrust.education/ Introducing of Sophos Antivirus and Anti-Ransomware At no additional cost to your school, Entrust will be migrating schools that are currently using Symantec anti-virus protection across to Sophos Central, the best-in-class cloud-managed security suite. Further information and migration processes will be shared shortly. Additionally, following the joint alert from the DfE and National Cyber Security Centre (NCSC) on the increasing volume of targeted ransomware attacks on the UK education sector, we would like to introduce the Sophos Intercept-X anti-ransomware product as an optional upgrade, once migrated to our core Sophos Central Endpoint & Server protection. In order to drive the best value for our school community we ask you to register your interest to allow us to quantify the demand and drive the best price to you. Approved BACS Bureau Entrust is registered as a BACS Approved Bureau – helping you to manage your day-to-day financial transactions securely and cost effectively. Our service is quick, accurate and simple and includes payroll, creditor and supplier payment, payment collection and fees refunds. Accurate – The service has been tested for security, reliability and contingency arrangements. We’ll ensure only authorised users access the system and we have a full BACS recovery system should it ever be required. Quick - We know how many financial payments schools and academies must make and how time sensitive they can be. We ensure a quick and streamlined process. You won’t need a swipe-card or any special software installing. Simply upload your file to our website and we’ll do the rest! Music Services during COVID-19 Face to face music teaching has now returned to most Staffordshire settings following extensive risk assessing and the tremendous efforts of many of our schools and their leaders. Entrust can offer the following options to commence music delivery safely: • Weekly lessons in school with risk assessments based on the latest government guidance and advice from Staffordshire County Council’s Health & Safety team. • Secure and safe weekly digital lessons, in school time or out of school hours (for individuals and groups) delivered via Microsoft Teams. • A bespoke and locally designed specialist music curriculum for delivery without singing or instruments (if required) • YouTube resources (lessons, singing, information and advice) • Digital ensembles for all pupils (from any school) to access without charge Please talk to us about the best approaches for your setting or join one of our free of charge training sessions on the latest guidance for Music Education. Entrust Outdoors – Residential Visits At a time where connection to friends, family, society and the natural world are impacted for so many of our young people, there are few interventions that are as well-evidenced as that which quite literally lies outside your door. Not only can outdoor adventure residentials with Entrust Outdoors support better learning back in school but also in the home and in the developing home-school learning partnerships, allowing reimagining, refocusing and reforming around all our young people’s futures. Remote Backup for Cloud Services Entrust is pleased to offer a new backup service, that can protect your data held within the Microsoft Office 365 or Google G Suite cloud services. This new offering is complementary to the current Whole School Backup (WSB) offering and provides the same level of additional protection and security to your cloud-hosted data as received for your on-premise hosted data. Frequently Asked Questions I’m new to the school, how do I find out what contracts I have with Entrust? Please contact us by emailing accountmanager@entrust-ed.co.uk. One of our Account Managers will contact you and will arrange to meet with you to talk through all of your contracts and how you can access all of the details on our online solutions tool - SLA Online. How do I keep updated with the latest news from Entrust? If you would like to receive newsletters and updates from Entrust, please email information@entrust-ed.co.uk. SLA Online is our e-commerce platform (also known as our Online Buying Portal) which allows you to book onto training courses, register for events, renew service level agreements and purchase pay-as-you-go products. You can access SLA Online at: http://entrust.education/ How do I get a login for SLA Online? You can register for an account here. You will also find a link on the homepage of SLA Online in the top right hand corner. I’m not sure how to use SLA Online – are they any guides? You can find a selection of guides on SLA Online under ‘resources’. You’ll find a page titled ‘How to use the Entrust Online Buying Portal’. Alternatively you can contact your Account Manager who will be happy to meet with you and show you the key features of the tool. You can find contact details for our Account Managers on page 8. How do we know what we will get from our SLAs? Details of what’s included in your SLA can be found in the service schedule on SLA Online. 1. Log in to SLA Online and click on ‘Services’ in the main navigation banner. 2. Select the relevant service to go to the ‘Service Home Page’. 3. On the right-hand side under ‘Useful Links’ click on ‘Service Terms and Conditions’ and this will take you to all the Service Schedules detailing what is included, and also the overarching terms and conditions for Entrust and Staffordshire County Council. 7.
Where can I find your terms and conditions? Terms and conditions can be found on SLA Online under ‘Useful Links’ on the ‘Service Home Page’. 1. Log in to SLA Online and click on ‘Services’ in the main navigation banner. 2. Select the relevant service to go to the ‘Service Home Page’. 3. On the right-hand side under ‘Useful Links’ click on ‘Service Terms and Conditions’ and this will take you to the overarching terms and conditions for Entrust and Staffordshire County Council. How do we know when our contracts are due for renewal? You can run reports from SLA Online which will show you all of your pay-as-you-go transactions and your current contracts. This includes your contract periods. You can find the ‘contracts and transactions reports’ under the ‘buy and more options’ section on the right hand side under the ‘services’ tab. How do we buy services through the MAT? All Entrust services can potentially be bought by a MAT via SLA Online. MAT staff with responsibility for finance, for example Finance Director / Bursar / School Business Manager, can be set up with access to the MAT account and all the subsequent schools sitting within the MAT. You can then purchase products as an individual school or as a collective. Please contact your Account Manager if you would like your MAT to be set up on SLA Online. I’m converting to an academy – what happens with my current SLAs? We can arrange a bridging contract until the academy buying cycle commences. This ensures continuity of service before, during and after your conversion. To discuss your conversion further, please contact your Account Manager. 8.
