This exhibitor information pack includes everything you and the team representing your organisation need to know about attending the careers fair. Please feel free to email events@canterbury.ac.nz if you have any further questions after reading through this information pack. We look forward to seeing you there. To ensure the full experience is available to all attending the day, please do not dismantle or remove your stand prior to 3.00pm. Stand information Each stand is 2.4m x 1.2m and includes: • Velcro-receptive walls (2-3 sides) • 1 table • 2 chairs • tablecloth • power and wireless internet access What to bring We encourage you to make your stand engaging and interactive to attract interest and make your organisation ‘stand out in the crowd’. When planning your space, please consider the following: • Bring along a recent graduate from UC who is now with your organisation. • Bring brochures and/or information about the opportunities you have available, and display material suitable for the stand size. • Space is limited so we recommend a maximum of two pull up banners per stand. • We recommend a maximum of three representatives per stand. • Representatives should wear a name badge. • Please bring your own multi-plug or extension cord if operating more than one item or if the power cord on your equipment is not very long. This equipment should be tagged and tested. • If you would like to hire additional equipment for your stand (e.g. TV screen, computer etc.), we can recommend suppliers that are experienced at working on campus. Please consider the size of your stand when making these arrangements. Contact our UC Event Coordinator for more information (see Contacts list). 4
Tips for Employers Employability is a key attribute that is encouraged, fostered and developed by UC for all its students and graduates through curriculum, internships, work integrated learning, work placement, co-curricular activities and career development. As such students at all levels of study are encouraged to attend Career Fairs. These provide the opportunity for students to learn and engage with industry and to become better informed about knowledge skills and qualities sought, and ultimately ensure their preparedness and relevance to the opportunities the industry offers. Hints and tips for engaging with students at a Careers Fair • Staff with friendly people Choose staff who are keen to engage, are outgoing, polite and have a ready smile to represent at your stand. • Think about the audience Who are you trying to attract to your company? People are more comfortable to approach others who are similar to them. This means that when you are on a university campus it can be very helpful to have young employees attend the fairs. If students don’t think they fit your organisational culture they are less likely to apply. • Be approachable Encourage your staff to get out from behind the table to engage with students and get talking. It is also not a good idea to be on your mobile phone and eating food. • Stand out from the crowd Make your booth stand out. Use large photos, charts, posters and make sure they are eye-catching. The use of vibrant colour can also help make a great impression. • Be engaging Having videos or presentations available for students to watch can be a great tool to keep students engaged, especially if they are waiting to speak to you. Be creative and memorable. • Social media Let everyone know you will be there beforehand by promoting it on social media using hashtags and tagging UC. Try live streaming from the fair on Facebook, or post photos on Instagram while you are there. • Free stuff Students like giveaways! Lollies, pens, magnets, drink bottles etc. will help improve the number of students coming to talk to you 5

Delivery and collection of materials Delivery of materials If you wish to send material in advance, please email details of the material to our UC Events Coordinator so it can be inventoried. Items should arrive no later than Friday 6 May 2022 and must be addressed correctly as follows: UNIVERSITY OF CANTERBURY **STEM CAREERS FAIR – 12 MAY 2022** [YOUR COMPANY NAME] C/O WAREHOUSE 20 KIRKWOOD AVENUE ILAM CHRISTCHURCH 8041 Materials will be at your stand when you arrive for set up. Note: Delivery cannot be guaranteed for items that are labelled incorrectly or received after 6 May 2021. Collection of materials Please ensure arrangements are made for any leftover material or display equipment to be taken away at the end of the event. If you wish to courier materials, please arrange for them to be collected on the same working day or the day immediately following the event. Items must be clearly labelled and left at your stand with the appropriate courier tickets/documentation. Any items left behind that are not labelled for courier, or collected within seven days will be deemed to have been abandoned. Drop off point There is one drop off point where you can leave your material before parking. Please do not leave your vehicle unattended in this area. To allow space for other exhibitors please leave your materials with a student volunteer and continue on to the Clyde car park. Access to this car park will be off Creyke Road and marked with a UC Flag by the roadside. Recommended access points are indicated in purple on the map below. Access times Due to a large number of stalls accessing the drop off zone, we ask that you come as close to the following times as possible. This is to reduce the amount of cars in the drop off zone at any given time. • Stalls 1-30 | 8.30am-9.10am • Stalls 30-60 | 9:10am-10.00am If you cannot make it into your time slot then there will be overflow time from 9.25am-9.50am to unload your equipment. Parking If you choose to include one car park space in your registration, free parking will be available for one car in the Clyde car park (P). You can access the Carpark off Arts Road or University Drive. On arrival, you can collect a parking pass to display in your vehicle window from a student volunteer at the drop off point or the help desk. Please note that parking passes will not be posted out in advance. 9
Set up and pack out Set up Please ensure you allow enough time to set up. All stands must be set up in time for the welcome at 10.15am. Student volunteers and staff will be on site during this time, please feel free to find us near the help desk or see the Contacts list for phone numbers. Pack out There may be some attendees that arrive in the last 30 minutes of the event, so please do not dismantle or remove your stand prior to 3.00pm when the event closes. If you have spare marketing collateral available, please leave this on your table for collection by the UC Careers, Internships and Employment team to display in their resource area post event. Please ensure you take all other materials with you, or label items for courier collection the following day (see Delivery of materials). Any items left behind that are not labelled for the courier, or collected within seven days will be deemed to have been abandoned. Catering If you did not confirm dietary requirements in the registration process, please email details of any special dietary requirements to our UC Events Coordinator before 28 April 2021. Note: We cannot guarantee that catering will allow for special dietary requirements received after the date stated above. In the refreshments area: • Tea and coffee. • Water station for refilling your water bottles (please bring your own drink bottles and we can fill them up during the event). • Morning and afternoon tea. Lunch will be delivered to your booth between 12-12.30pm. TIP – If your stand has one representative please make yourself known to staff or student volunteers, who will be able to assist you with refreshments so you don’t need to leave your stand. 10

This has important information for managing any emergency situation, as well as assembly areas. In the event of an emergency, UC staff will provide instructions. Emergency exits Ensure you know where the emergency exits and assembly areas are. Please do not obstruct any exits or walkways with your equipment or materials. Fire alarm If you hear the fire alarm, leave the venue immediately via the nearest exit. Please follow UC staff instructions and go with them to the allocated assembly area. Earthquake Stay where you are, take shelter – stop, drop and hold. Do not evacuate unless instructed by UC staff. Please follow UC staff instructions. Health & Safety STEM will only be going ahead on campus if we are in Alert Level 1. QR codes will be at the entrance to all buildings at UC for students and exhibitors to sign in with. Some hand sanitisers will be provided however please feel free to bring your own hand sanitiser. Please report any health & safety concerns or issues to the information desk. First aid A limited first aid kit will be available at the Help Desk, for minor injuries such as paper cuts etc. However, if you require more comprehensive first aid assistance, please notify staff who will call Security for assistance. 11

COVID-19 • The University of Canterbury STEM Careers Fair will only be going ahead in level 1. • If alert levels increase from level 1 within 2 weeks of the event we will cancel the on campus Careers Fair and they will be held on Zoom. This will be communicated to all exhibitors. 13
