What Is A Grant? A financial award Given to a qualified recipient Designated for a specific purpose: • Operating support or unrestricted funding for day-to-day • Capital support for specific construction and infrastructure • Program development restricted funding It differs from a loan in that it does not have to be paid back. ENGAGE – INSPIRE – EMPOWER
Who Awards Grants? Private foundation grants are funded by an individual, family, or community with a specific area of interest. Corporate grants are funded by for-profit businesses. These grant resources may come from company profits, donations from employees, or may be directed through a separated foundation sponsored by the corporation. Government grants are funded by city, region, county, province, or federal budgets. They are designed to meet the needs of the community – locally, regionally, provincially, nationally, and usually address a community’s social, economic, environmental matters. Who Qualifies For Grants? Common “Categories” of organizations, groups, individuals that funders fund: Nonprofit organizations Religious organizations Individuals/Individual Groups – Arts, Science, Environment, Sport, Recreation, Youth, Senior, Vulnerable Communities, Multi-Cultural, Equity, Diversity, Inclusion Tax-supported organizations Public/Private organizations ENGAGE – INSPIRE – EMPOWER
How Do You Determine if You Qualify? 1. KNOW WHO YOU ARE, WHAT YOU STAND FOR & WHAT YOUR NEEDS ARE Who you are with a brief historical reference What you do as a mission or statement of purpose Why you are responding to the needs of your target audience When you deliver your products, services, supports ENGAGE – INSPIRE – EMPOWER
How Do I Determine if Qualify? 2. KNOW THE FUNDERS Grantors are clear as to whom may apply for the funds they offer. As you consider applying for a specific grant, be sure to read its “Qualified Applicants” section first to determine if you or your group qualifies. Study the funder’s website and grant application to find out if you meet the funding criteria. Remember, you're looking for partners, not just funders. Examine these criteria: Funding Interests – alignment is key Review past recipients Geography Budget – alignment is key Ability to comply – Can you follow the timelines Status of your organization – IE: incorporation, audited financials OR CONSIDER A PARTNER ENGAGE – INSPIRE – EMPOWER

How Do I Find Grants to Apply For? Check with local corporations to find out about their grant programs. (Funders like to invest locally.) Ask other non-profits where they seek grants. Study their websites and literature to find out how they are funded. Register on government websites to get notifications. Register on sport and swimming specific websites to get notifications. Connect with service clubs – IE: Lion’s Club; Rotary; Knights of Columbus; Toast Masters Search listings at your public library. Request access to the library’s online data base grant search tools. FIVE STAGES of WRITING THE GRANT 1. Read the grant opportunity 2. Complete the application 3. Submit the application 4. Receive the grant 5. Report your outcomes ENGAGE – INSPIRE – EMPOWER
STAGE 1 – Read the Grant Opportunity Start Early – Assume It Will Not be Easy Dig into requirements, as some of them may take time. Important to determine outcomes and then strategies to achieve them and then budget to deliver on strategy. Access resources provided by the funder; are they willing to meet with you. Talk to organizations with experience in funding applications ENGAGE – INSPIRE – EMPOWER
STAGE 2 – Complete the Application 8 Key Elements 1. Executive Summary Reviewers consider the summary to be the most important element in the application because it offers a “quick and dirty” synopsis of what’s to come in the rest of the proposal. Do a good job here and the reviewers look forward to reading the rest of your application. Write a summary statement first – just one sentence – and use it as a guide to write the entire application. Write the full executive summary (also called the abstract) last, using highlights and main points from other sections. ENGAGE – INSPIRE – EMPOWER
STAGE 2 – Complete the Application 8 Key Elements 2. Organization Description Your mission statement, vision statement, core values, history, organizational structure, board, list of programs, accomplishments and awards, community collaborators, volunteers: you likely have these pieces in your identity content already. Each grant application specifies which to include. Be prepared to edit your existing identity content for each grant proposal. Most applications have strict page, word, and even character count limits. ENGAGE – INSPIRE – EMPOWER
STAGE 2 – Complete the Application 8 Key Elements 3. Statement of Need – The WHAT you do and WHY you do it What is the problem you address? Who do you serve? What difference does your work make for them? Who else addresses this problem, why hasn’t it been addressed before & why are you the one to address it? Present both objective data (footnoted statistics that demonstrate the need) and subjective data (member stories that show your organization’s successful outcomes.) ENGAGE – INSPIRE – EMPOWER

Project Objectives – Be S.M.A.R.T. for the funder S: Specific Use specific language and details that show who, where, or what you’ll do to accomplish in this step. With “who”, “what” & “where” M: Measurable Use language that shows how many, how often, or how much you’ll do to accomplish this step. A: Attainable Use language that shows the outcome or result of accomplishing this step. R: Realistic Use language that shows you understand or quantify the challenges you face in accomplishing this step. T: Time-bound Use language that shows the date or the time period during which you’ll accomplish this step. ENGAGE – INSPIRE – EMPOWER
STAGE 2 – Complete the Application 8 Key Elements 5. Project Description – The Nuts & Bolts of HOW Use your S.M.A.R.T. projective objectives Be concise and meaningful in your description. There are often word limits Inputs: activities, resources, staff, and volunteers you need to operate the project. Throughputs: your plan of action – the timeline, support services, facilities, transportation, curriculum to be used as you carry out project activities. Outputs: what you will achieve as a result of your program. Read the project Description out loud to another member of your organization ENGAGE – INSPIRE – EMPOWER
STAGE 2 – Complete the Application 8 Key Elements 6. Project Evaluation – The Intersection Where Your Projective Objectives Meet Your Project Outputs Your proposal needs to explain how you will track both objective and subjective outcomes. This section includes the evaluation methods you’ll use (attendance numbers; testing; data) and tools you’ll use (such as software, reports, communications.) You can include benchmarks along the way. Project Budget – Know Your Fiscal Facts If the grant is for general operating expenses, then the funder will ask you to submit your agency’s fiscal year budget If you request funding for a specific project, then be prepared to submit a project budget along with your organizational budget, showing where the project fits into the whole The project budget lays out expenses required for the program you’re addressing in the application: staff expenses, facilities, supplies, transportation, communications, training, and other. A budget can be as simple as one page, but you’ll increase chances for funding if you provide justification for each item. ENGAGE – INSPIRE – EMPOWER

Recruit A Writer Many organizations recruit a grant writer as part of their team If you decide to go this route, hire a grant writer who: Aligns with your organization, knows your organization Aligns with the grant-making agency’s funding opportunity announcement Communicates your organization’s experience with restoration projects Is a member of your organizations team Even if you do recruit a grant writer, make sure other members of your team review the application ENGAGE – INSPIRE – EMPOWER
STAGE 3 – Submit the Application Follow the instructions to a “T” Many a strong grant application has been denied or simply not reviewed by the funder because the applicant did not follow the submission instructions. Directions for submission are objective & explicit Adhere to all due dates, funding dates, submission procedures, formatting & required attachments ENGAGE – INSPIRE – EMPOWER
STAGE 4– Receiving the Grant Congratulations - “You’ve been awarded the grant!” Confetti, cheers, and celebration! Private funders typically announce grant awards in a formal letter. Government entities may require you to check a website for the announcement, where you will download your award letter to sign and return to the funder. There is no rest for the weary! The award letter outlines the funder’s expectations as you use the grant as well as a disbursement and reporting schedule. Refer to your S.M.A.R.T objectives. If you overestimate or underestimate the objectives set out in your grant application, you set false expectations. A successful grant application is realistic in its projections, demonstrating that you are a reliable applicant that can accomplish the work you say you will do. ENGAGE – INSPIRE – EMPOWER
STAGE 5– Reporting Your Outcomes See the Project Through - Be Prepared to Deliver on Promise You’ve been awarded the grant, signed the acceptance letter, and have set about to achieve the project’s objectives, but your writing is not over. Funders require, at a minimum, a final report on outcomes. Some funders require an interim report part of the way through the grant period, too. Writers tend to skimp preparation for this stage of writing a grant because they’re focused on preparing a strong application. However reporting is crucial – especially if you want the funder to consider you for a future award – so plan carefully for it. ENGAGE – INSPIRE – EMPOWER
STAGE 5– Reporting Your Outcomes See the Project Through - Be Prepared to Deliver on Promise Planning your interim and final reports begins during Stage 2, as you write your grant application and describe your evaluation plan. Reporting outcomes hinges on how you collect and evaluate data from your project. How you will measure your project’s results? How will you collect data? Your evaluation plan must to be ready to implement once you receive the grant award and begin your project. A clear, ready-to-go system will provide accurate data from Day 1 of the grant period. That data will provide the basis for your reports to the funder ENGAGE – INSPIRE – EMPOWER
