The Summerwood Stingrays is a summer-league swim team for swimmers ranging from five to eighteen years of age. Most of our swimmers are Summerwood residents but our team also consists of swimmers from surrounding communities including Lakeshore, Summer Lake Ranch and Water's Edge. The Stingrays season runs from early May through the end of June. The season consists of time trials, dual meets, a divisional meet and season-end invitationals. Dual meets are held at either our Summerwood Central Pool or at the pool of the host team. Our coaches work hard to ensure a fun and safe environment for your swimmer with a focus on swim strokes, endurance and starts and turns. The goal is that each swimmer improves as the season progresses while building relationships with their teammates and coaches. The Stingrays season wouldn't be possible without the help of the families of our swimmers. Our volunteers are one of the keys to a successful swim season. Our team is a member of the Northwest Aquatic League (NWAL) which is the governing body that determines swimming rules and regulations. The Summerwood Stingrays swim team is a nonprofit organization governed by an elected board of directors. NWAL Division Information For the 2021 swim season, the Stingrays will compete in NWAL White 1 Division. There are five other teams in our division – Eagle Springs Flyers, Fall Creek Flying Fish, Bear Branch Bears, Kings River Kingfish and Sand Creek Sea Lions.
2021 Meet Schedule May 8, 2021 Stingrays Time Trials 14111 Summerwood Lakes Drive (Central Pool) A seed time is an official time that is used as your swimmer’s entry into a race at a dual-meet. If a swimmer doesn’t have a seed time in a particular event, they won’t be allowed to swim that event at a meet. Time trials is the opportunity for each swimmer to swim and be timed for any race they intend to swim. It’s is also a great practice for our new swimmers to gain experience in a race atmosphere and for our families to see how a swim meet is run. Attendance is expected to be able to compete in our dual meet the following week. If your swimmer is unable to attend, please let Coach Mark know ASAP. These meets have time requirements for swimmers to qualify to participate. Time standards will be shared as they are made available. Parents will pay for the individual race entry fees for their swimmer to compete and the team will pay for any relay entries. All swimmers who qualify will be contacted so you can determine if your swimmer will participate.
Swim Team Basics Age Groups: 6 and under, 7-8, 9-10, 11-12, 13-14 and 15-18 Swimmers are placed into their age group based on their age on May 31 of the swim season 2021 Fees Swimmer registration $175 – first swimmer $150 – second swimmer $125 – third swimmer Any additional swimmers from your family are free Rookie camp $40 – first two swimmers Any additional swimmers from your family are free Volunteer Fee $350 per family. Each family must give the team a check for their $350 volunteer fee. Upon completion of your family’s volunteer shifts, your check will be destroyed. If your family does not complete the required number of volunteer shifts following the completion of our last dual meet, your check will be deposited by the team treasurer. Other team expenses: Stingrays team swim suit Gear (goggles, kickboard, fins, swim cap, etc.) Please see required equipment to determine what exactly your swimmer needs. Refund Policies Swimmer registration - Refunds will be given ONLY if your swimmer leaves the team prior to Time Trials. Your registration fee minus a $25 handling fee will be refunded. If your swimmer participates in Time Trials and then leaves the team, the registration fee will not be refunded. Rookie camp fees are non-refundable. Practice Practices are held Tuesday through Friday beginning Tuesday, April 27 at the Summerwood Central Pool. From April 27 through May 28, practices will be held in the afternoon following school. Practices will move to mornings following the conclusion of the school year. Practice times are subject to change – typically due to weather – so please monitor email and Remind101. We will do our best to push out information if a change occurs. The team WILL practice in light rain but practice will be delayed or cancelled due to thunder and/or lightning. If parents need to speak with a coach, please do so between practices so as not to interrupt practice. You can also reach out to your child’s lane coach or Coach Mark via email. Rookie Camp Rookie camp offers our new swimmers a week of practice prior to our returning swimmers joining practice. Rookie camp will be held Tuesday, April 20 through Friday, April 23 and is mandatory for our new swimmers who are 10 and under. Participation by new swimmers 11 and up is optional. Swimmers will focus on stroke basics while learning how to share a lane during practice and getting some time on the starting blocks. They will also enjoy a little more personal interaction with the coaches since the practice size should be smaller. 6U swimmers: 5:00 – 5:45 7 and up swimmers: 5:45 – 6:30 Required Equipment All required equipment will be available for purchase at in-person team registration. • Team swimsuit (to be worn at swim meets ONLY) • Swim goggles • Kickboard • Fins • Practice swimsuit • Swim cap (recommended for all)

Declaring for a Swim Meet Registering your swimmer for a meet is done online at https://smwstingrays.swimtopia.com If your swimmer will NOT be attending a meet, please log in and indicate that so that our coaches are aware. • Go to Upcoming Events on the right toolbar. • Scroll until you find the upcoming meet and click on Meet Entry. This will only be available once entries are being accepted. • The meet entry will open and all swimmers in your family should be listed. You will be prompted to indicate which swimmers will attend the meet. • Select edit to start the sign up for your swimmer. • Click on the drop-down menu to declare if your swimmer will or will not attend the meet. • Once you select “attending the meet”, a list of individual available events will open. o For Time Trials, please select all events that your swimmer plans to swim during the season. For younger swimmers this might be only 25 freestyle and 25 backstroke but older swimmers might want to swim all strokes and all distances. o For dual-meets, you will be limited to the number of races that your swimmer can swim and they will only be allowed to enter a race that they have a seed time for. • Click Save. You should receive a message indicating that your meet entries have been saved/submitted. **Relay entries are determined by the team coaches and/or automatically generated by the swim team software and are based on swimmer’s individual seed times. You can however indicate during meet registration if your child is or is not comfortable swimming in a relay. Meet Day Please ensure your swimmer arrives on time on meet morning!! Each swimmer will need to check in with a coach upon arrival. Arrival and warm-up times will be provided the week of the meet. Swimmers should have their races written on their leg or arm using a Sharpie. This can be done prior to arrival. This will help volunteers line your swimmer up for their races. Please list races in numerical order along with the stroke. Each swimmer must participate in warm-ups to participate in the meet. Please ensure your swimmer arrives on time to do so. Where will my swimmer sit during a meet? Due to spacing requirements, all swimmers will sit with their families during the 2021 season. Coaches and volunteers will be announcing events throughout the meet and swimmers will need to report to the designated area to be lined up for their races. Make sure that you pack towels, sunscreen, goggles, swim cap and any entertainment your swimmer might need.
Where can I sit during a meet? At home meets, Stingrays families set up outside the pool fence on the lake side. Visitors typically set up on the parking lot side. Please note – there is NO set up within the fences or near the pool. At away meets, the visiting team will provide us with direction on set up the week of the meet and that will be shared with parents. Meet and Race Scoring The team with the highest total points wins the meet. Scoring for dual meets is listed below. Please note that only those scoring points in a dual meet are awarded a ribbon. Relay Events Individual Events 1st place – 7 points 1st place – 7 points 2nd place – 3 points 2nd place – 5 points 3rd place – 4 points 4th place – 3 points 5th place – 2 points 6th place – 1 point Disqualification At some point during the season, it is possible that your swimmer might be disqualified during a race. Typically, this results from a stroke infraction identified by a stroke judge. If this occurs, an official typically informs the swimmer when they exit the pool and explains why the swimmer was disqualified. Obviously, this can be disappointing to a swimmer so please allow the coaches to work with the swimmer on the issue and be as supportive as you can. If you have an issue with a disqualification, please work with our team president immediately as they can communicate with the officials to address the situation. Volunteers Our swim team is completely volunteer led and our swim meets can’t happen without the donation of your time. Each Sunday prior to the following Saturday’s swim meet, the volunteer sign-ups will open on our Summerwood Stingrays website. You can log on and sign up for the volunteer role of your choice. Please see the appendix for a definition of the various volunteer roles and how to sign up for a volunteer shift. PLEASE NOTE A CHANGE FOR 2021: Shifts will be the entire duration of a dual meet for most meets (exception meet with Eagle Springs) since they will be shorter in 2021. Each family should sign up for one shift per meet. Volunteers must check in with the Volunteer Coordinator prior to the start of the meet. This helps to ensure that all volunteer roles will be filled. Specific check in times will be shared with you in the weekly email sent prior to the meet so please adhere to those times. If you fail to check in at the designated time, you will be removed from your shift and replaced. Volunteer check in can NOT be done via text or email.
If your swimmer qualifies to swim in season-end invitationals, your family will be required to work a volunteer shift as designated by the host team even if your family has met their volunteer requirements. More details will be shared as we approach invitationals. Officials Each meet requires officials to ensure that the meet is run correctly. Officials must complete training and pass an exam to be a certified meet official. If interested, please email smwstingrays@gmail.com. Descriptions of the different official roles can be found in the appendix. Ribbons Due to COVID, ribbons will not be awarded this season. We are working to determine how to recognize our swimmers in other ways. . Results Meet results are typically posted on the team website within two days of the meet. Everything Else You Should Know Awards Banquet We will not be able to host our traditional awards banquet at the conclusion of the season but are trying to identify a way to honor our swimmers in a different way. Team Pictures Team picture dates are TBD. Pictures will be taken at Central Pool and swimmers should wear their team suit for pictures. Suggestions and Recommendations • Label all of your swimmer’s gear – clothes, towels, etc. We will manage lost and found as best we can but items that are not claimed will be donated if not claimed within two weeks. • Don’t leave until your swimmer has swam all of their events. In the event your swimmer gets sick and must leave early, please inform a coach. • Families – there is space for tents and chairs so that you’re comfortable during a meet. Swim meets are a great way to meet your neighbors! • Concessions are available at all meets. You can bring your own food and snacks but each team typically has breakfast, lunch and snacks available as well. • Cheer on all of our Stingray swimmers. The races are exciting for our youngest and our oldest swimmers!
Appendix Volunteer Role Descriptions Timer: Timers are responsible for determining the time achieved by a swimmer in their assigned lane and then reporting the time to a scribe. All timers must attend a short timer meeting prior to the beginning of each meet. As a timer, you will be on the pool deck and you must be able to stand or walk throughout your shift. Scribe: Scribes are assigned to a lane and record a swimmer’s time. Prior to the start of the race, a scribe should confirm the swimmer is in the correct lane. The scribe will then record the times provided by the timers and then provide the time sheets to the meet runner. As a scribe, you will be on the pool deck and must be able to sit for the duration of the shift. Attention to detail and legible handwriting is important. Runner: Volunteer delivers timer sheets and heat sheets from the computer room to the ready bench, referee, starter and scribes. You will also gather the completed sheets and return them to the computer room. Role requires frequent walking throughout shift. Ready Bench: Volunteer helps to organize swimmers by event, heat and lane. You will help get swimmers in the proper order to the staging area behind the blocks and then help to maintain the swimmer’s order. Ready bench volunteers indicate open lanes by placing a kick board on the starting block. As a ready bench volunteer, you will be on the pool deck and must be able to stand and walk the duration of your shift. The ability to lead young people and be calm in the midst of some chaos is important. Tent Parent: Volunteer helps to gather swimmers from the swimmer tent to deliver them to the ready bench as heats are run. Tent parents must actively monitor the progress on the ready bench to ensure swimmers are ready to move as their race approaches. Swimmers are organized in a line first heat to last. As a ready bench volunteer, you will be walking and standing throughout your shift and you must be comfortable supervising swimmers of all ages. Computer Room Support: Volunteer helps in the computer room entering swim time results as well as posting times. You will be inside during your volunteer shift. Merchandise Sales: Volunteer helps to sell team and other merchandise. This requires the volunteer to be in a location near the pool deck for the majority of the meet and stand for the duration of the shift. Concession Sales: Volunteer will work in concessions selling food. There will be three shifts per meet with the first shift volunteers arriving to help set up concessions and the third shift staying after the conclusion of the meet to tear down concessions. You will be standing or walking for the duration of the shift. Snow-Cone Sales (Friday practice and Saturday home meets): Volunteer is responsible for sales of snow cones. Snow cones are sold during Friday practices for most of the season and you would be required to be present for the entirety of practice. Snow cones are sold during Saturday home meets and you would be required to help with set up prior to sales and tear down following the conclusion of the meet.
Friday Night Transportation/Truck Loading: Volunteer will meet the equipment manager at the storage facility to load all of the meet equipment into a truck for transportation to the pool. Saturday Morning Meet Set-Up: Set up begins at 6:00 AM for home meets and 45 minutes prior to warm up for away meets. Volunteers are required for total set up of meet so much lifting and carrying is required. Responsibilities range from setting up all tents and bleachers to installing the diving blocks. All set up volunteers MUST arrive on time! If a volunteer arrives late for set-up, they might not receive credit for the shift. Meet Take down: Volunteer stays until the completion of the meet and will help tear down everything from the meet (ex. lane ropes, tents, starting blocks, etc.) You will also assist with loading everything onto the truck for return to the storage room at the direction of the Equipment Manager. Take down volunteers will also need to meet the Equipment Manager at the storage facility to unload the truck into the storage room. This role requires lifting. Parking Lot Monitor: Volunteer monitors the parking areas prior to and during the meet. Parking lot monitor needs to be in position by 6:45 a.m. and may check in with the volunteer table after the meet begins. Ribbons: Volunteer will assist with placing result information onto place ribbons at home and away meets. Please note that this might require staying beyond the completion of the meet as race results are finalized. Tarp Clean-up: Volunteer will do work at home following an away meet. You must stay until meet take down is complete and then take all tarps home for cleaning. Volunteer will have to deliver the clean, dry tarps to the equipment manager prior to the next meet. Worth two volunteer credits. Set Up for Awards Banquet: Volunteer assists the Events Coordinator with set up for the season-end awards banquet. Please contact the Events Coordinator if interested. Officials Job Descriptions: Computer: Runs the computer during the meets, entering times and printing off results. Clerk of Course: In charge of seeding and organizing the swimmers in the proper swimming order including on the ready bench. Referee: The official in charge of the swim meet. The Referee has the final decision regarding disputes involving rules and regulations. Starter: Calls swimmers to the starting blocks and starts each heat; responsible for calling false starts. Stroke and Turn Officials: Ensure that the swimmers perform the strokes and turns of each event correctly. They can disqualify a swimmer for using improper stroke or turn techniques.
How do I sign up for a volunteer shift? Volunteer shifts will open each Sunday at 8 PM prior to the following Saturday’s meet. Families are limited to signing up for ONE shift between 8 PM Sunday and 8 PM Monday. After 8 PM Monday, families can log back in and sign up for ONE additional shift. There is a limit of one shift per family for each meet. • Go to https://smwstingrays.swimtopia.com/ • Login – In the upper right corner, click on the blue “Login” icon. Enter your login information. • Under the Upcoming Events tab on the right-hand side of the page, click on “View All” This will take you to a page with our season’s schedule. • Scroll down to the upcoming meet and click on “Job Signup” icon to the right. • A list of volunteer opportunities will be displayed along with the time required and a brief description of the role. Click on the shift/role that you want to volunteer for and then at the bottom of the page, click “Save Assignments”.
