Welcome! Welcome to the Perth East Summer Camp! This handbook provides you with all the information you need to know for camp; staff, daily camp activities, polices and procedures, payment and refunds. Perth East Recreation and Community Services is committed to providing a positive recreation experience for all participants in a safe and inclusive environment. To achieve this goal we have the RZone Policy in place. More information on page 4. Commitment to Children The Township of Perth East is committed to providing a safe, inclusive and quality Summer Camp for participants. Our program is designed to provide children with a variety of fun experiences that promote a healthy, active lifestyle. We will ensure that our staff will provide an environment that promotes healthy child development at all times. Program environments for children will be: Secure and Safe Caring Stimulating Accessible Considerate of person space and special needs Welcoming to all cultures and abilities Program activities for children will: Encourage co-operation, friendship and fun Provide children with opportunities for input, involvement and choice Provide opportunities for active participation and reflection Incorporate varied learning and development stages Camp leaders will: Ensure all children are treated with respect, honesty and trust Employ positive behavior management methods Consistently model appropriate behavior The supervisor will continually evaluate the program and the staff's leadership to reflect the changing needs of the camp and make improvements as needed. 2.
COVID-19 Procedures Drop Off and Pick Up Drop off and pick up of participants will occur outside of program settings and will support physical distancing and cohorts. Drop off and pick up times will be scheduled and set out to parents the week before. Screening All individuals, including participants and staff will required to complete screening daily before entrance into the facility. Screening will be completed online. Entry will be denied to any individual who cannot answer yes to the following questions: I am not experiencing any symptoms of illness such as cough, shortness of breath or difficulty breathing, fever, chills, muscle pain, headache, sore throat, or new loss of taste or smell. I have not travelled outside of Canada in the last 14 day. I have not been exposed to anyone with a suspected and/or confirmed case of COVID-19. I have not been diagnosed with COVID-19 and not yet cleared as non- contagious by local public health authorities. I am not living with anyone currently experiencing and new or worsening COVID-19 Symptoms and/or awaiting test results after experiencing symptoms. A daily record of participants and staff will be kept in order to facilitate contact tracing in the event of a confirmed COVID-19 case or outbreak. Suspected Case of COVID-19 Participants who develop symptoms while in camp will be separated from others and moved to an isolated area until they are picked up. Environmental sanitization of the space and items used by the participant will be conducted once the participant has been picked up. Symptomatic camp participants and staff will be referred for testing. The Township will consider a single, symptomatic, laboratory confirmed case of COVID-19 as a confirmed COVID-19 outbreak in consultation with the Huron Perth Health Unit. Camp participants and staff who have been exposed to a confirmed case of COVID- 19 will be excluded from the program setting for 14 days. 3.
COVID-19 Procedures Continued Face Coverings All participants attending the Summer Camp are required to wear at a minimum a 3-ply face covering. All Camp Staff will be wearing a medical mask and face shield. Personal Hygiene Camp staff will encourage frequent, proper hand hygiene, including incorporating additional hand hygiene opportunities into the daily schedule. Physical Distancing Guidelines Program participants will be divided into cohorts of no more than 10 individuals who will remain together for the duration of the program. Camp staff will be assigned to the same cohort each day. Camp activities will be set-up in a way to encourage physical distancing of at least 2m between camp participants and staff. Equipment and Materials All toys and equipment used during camp will be made of materials that can be cleaned and sanitized. Whenever possible, equipment will not be shared between cohorts. Any shared equipment will be sanitized between uses. Single-use materials will be allocated on an individual basis and disposed of at the end of each day. Frequently touched surfaces will be cleaning and sanitized at least twice a day. 4.
What to wear to camp: Participants are to wear comfortable clothing suitable for being active. Suitable outdoor clothing is to be worn for outdoor activities or travelling to activity destinations. Depending on the weather please dress participants accordingly. Running shoes are required for indoor play. What to bring to camp: Lunch and Snacks Participants are to bring their own lunch each day. Participants are encouraged to bring healthy snacks for our two nutrition breaks thorough out the day. Water Bottle It is important to bring a refillable water bottle daily as participants will be doing many active activities throughout the day. Running shoes Running shoes are required for indoor activities. Participants may leave running shoes at their spot for the duration of the week. R Zone Policy What is RZone? The RZone is a zero tolerance policy that applies to all Township of Perth East facilities and programs. The RZone enforces zero tolerance of violence, vandalism, and inappropriate behavior. Zero Tolerance There will be no hitting, kicking, shoving, spitting, stealing or damage of another person or their property while at camp. If this occurs, parents will be contacts and participants will not be welcomed back at camp. General Rules of Camp 1. Hands and feet must be kept to yourself at all times. No body contact will be tolerated. 2. Speak to others the way you would want them to speak to you. 3. Be respectful to leaders and other participants. Inappropriate comments or behavior will not be tolerated. 4. Stay in activity areas at all times, leaders must be notified if you are leaving for any reason. A buddy system is in place for leaving program area. 6.
R Zone Policy Participant Expectations The Township of Perth East holds a high value of participation among our programs to ensure we provide a safe, secure and healthy environment for all participants. We require all participants to participate fully in our programs, follow our Behaviour Management Guidelines and bring all necessary items required to participate in our planned programs. The Township of Perth East follows a 3-Step Action Plan for all Perth East Programs offered. Staff will keep detailed incident reports, participation forms, and/or logs of incidents as they occur and communicate with Parents/Guardians. Staff will inform parents/guardians of the participant's behaviour if it disrupts the program (fighting, bullying, swearing, stealing, hitting and general misbehaviour.) Staff will work with the participant and Parent/Guardian for positive behaviour outcomes during the communication stage. When a participant does not follow the behavior guidelines as communicated, we will take the following action steps. Step 1: Verbal Acknowledgement Step 2: Written Acknowledgment Step 3: Dismissal/Termination of Program ***All participant situations will be assessed on an individual basis and may warrant immediate dismissal of program at the discretion of the Program Supervisor. There will be no refund of fees for this day.*** 7.
Registration & Payment Registration is available in two ways: 1) Registering Online Registering online is easy! Create an account and add all your family members. Select the program you would like and complete all the required fields. Payment online requires credit card payment. For assistance with registration check out pertheast.ca/programregistration or contact the Recreation Coordinator at 519-595-8375 ext. 325. 2) Register in Person at the Perth East Recreation Complex during the hours of 8:30am-4:30pm. Please call before coming to ensure a staff is available to assist with registration. Payment can be in form of cash, cheque, debit, or credit. Refund Policy Refunds will not be issued to the withdrawal of the Summer Camp. Registered days are considered paid days and cannot be switched for alternate days after registration. Withdrawal requests from the program must be made directly to the Recreation Manager and will only be determined based on medical and/or family emergencies. If the program is cancelled by the Recreation Department, a full refund will be issued. 8.
Forms & Releases Photo Release Photos may be taken of your camper or of the general camp scene. It is important to read the photo release section online when you register. Photos are used for many purposes such as on our online website and for promotion. If you do not want photos taken of your participant please state this at the time of registering. Off Site Activities The Summer Camp may leave the Perth East Recreation Complex to walk to a variety of destinations. These destinations will be sent out to parents before the camp starts and will be scheduled throughout the week. Drop off/Pick Up Guardians For the safety of our campers, parents/guardians are required to sign in their participants when they arrive in the morning and when they pick them up after the program. If parents would like the participants to sign themselves in and out the Safe Arrival Form must be filled out and on file for staff. Please contact the Recreation Coordinator for this form. Guardians dropping or picking up participants must be listed during registration. Only those listed will be able to sign participants in and out. Allergies & Medication For the safety of your participant please ensure staff are well aware of any allergies or medication your participant may have. This information can be listed on your online registration account. 9.
