COVID-19: SAFETY PLAN (Date Updated – June16, 2021) We are so excited to return to the shores of Long Pond for summer 2021! While we are full-steam ahead with our preparations for camp, safety remains integral to a successful summer. For the continued protection of our campers, staff and the local community, we have prepared our COVID-19 Safety & Response Plan. This plan is a living document that will evolve as we continue to evaluate best-practices and adapt as we receive any new information and guidance from Maine, the CDC, the American Camp Association (ACA) and our health care professionals. While we are taking abundant measures to mitigate risk, nothing is ever completely free of risk. These plans are intended to equip each family with the information needed to understand the measures we are taking to run a thoughtful and protected summer. COMMUNICATION We know it is critical to keep you updated on what we are implementing as mitigation measures against COVID-19. We want you to understand and feel confident in the steps we are taking to minimize risk. In order to run camp this summer, it is clear to us that both testing and creating a semi-private “bubble” are crucial elements to our plan. While we will take every measure possible to minimize risk, we must all enter camp under the assumption that at some point there may be suspected and/or confirmed cases of COVID-19. This known risk does not derail our confidence in our ability to keep our campers and staff safe. Some terms we will be using this summer include: ● Pod - Your pod is your camp “family”. It includes your bunkmates and counselors. Just like at home, when you are with your family, you will not need to physically distance or wear a mask. ● Physical Distancing - We will still be extremely social at camp while maintaining physical distance when necessary (3-6 feet apart). ● Mix and Mask - When campers interact with other pods, they will need to wear a mask when physical distancing is not possible (or until we reach a point in the summer where pods are no longer needed). It is very easy to maintain physical distance when we are outdoors. PRE-ARRIVAL & ON-SITE SCREENING & TESTING ➢ HEALTH HISTORY Parents are required to submit updated Health History information for each camper online through CampInTouch. If your camper has health concerns, medical conditions or may be considered “high risk” with regards to COVID-19 complications, you must seek medical advice from your doctor(s). ➢ CAMPER PHYSICAL FORM We recognize that physical appointments are more difficult to schedule at this time so please try to book one as soon as possible. Physicals must be completed within 12 months of camper arrival. ➢ HEALTH SCREENING BEFORE CAMP Families will receive a Pre-Camp Health Survey. This survey will ask about possible COVID-19 symptoms and exposure. We will email this form to families with more instructions before your child’s arrival. This form should be printed out and completed, and must be handed in on arrival day. If your child is sick, please keep them home. ➢ PRE-ARRIVAL TESTING COVID-19 testing (PCR ONLY) is mandatory for ALL campers and staff. All campers must have a negative test in order to attend camp.
This test must be administered 4-5 days before arrival at camp. We highly suggest that you take a PCR test the Sunday-Wednesday BEFORE your camp session in order to give enough time for the test results to process. If you take the test too late and the results do not process before the first day of camp, your camper will NOT be able to attend. It is imperative that a few days prior to the test and once taken that campers and families are overly cautious and practice social distancing until arrival at camp. YOU are our partners in risk mitigation. The test, which is FREE through most health insurance companies, must be administered 4-5 days prior to camp. Results must be uploaded to your camper’s CampInTouch account prior to arrival at camp. If you do not have proof of a negative PCR test on the first day of camp, your camper will NOT be able to attend. If you arrive at camp or the bus drop-off without a PCR test, we will not accept your camper but will allow your camper to join us within 48hrs of opening day (by Tuesday evening) IF you can secure a negative PCR test and bring proof upon arrival. You are responsible for transportation to camp. If your camper has tested positive for COVID within 90 days of camp but you are 10 days out of testing positive with no fever, you can bring the positive test instead of a negative test. For example, if your camper tested positive for COVID-19 June 15th and your camp session is July 11th, you can submit the positive COVID-19 test from June 15th and as long as your camper is fever-free on day of arrival they will be able to attend camp. If you have questions about this, please call us. For the safety of our community, there will be no exceptions. ➢ STAFF TESTING Staff will be required to take a test prior to or upon arrival and must arrive at camp 10 days before campers for “Quorientation”. Staff also will be required to take Rapid tests onsite at the beginning of each session. ➢ ON-SITE SCREENING & TESTING Upon arrival temperatures will be taken and campers will be administered a Covid-19 test before parents depart. Campers with a temperature of 100.4°, symptoms of COVID-19, or a positive Covid-19 test will need to return home (no exceptions). All campers and staff will take a second test 3-7 days after their arrival at camp. Additional tests will be administered by camp staff for preventive or diagnostic measures as needed. Our plan is that approximately a week after opening day, once everyone has had 3 negative COVID-19 tests (including their pre-arrival test), we will be able to remove the pod system and revert back to a regular camp setup and schedule.
TRAINING & EDUCATION ➢ CAMPER ORIENTATION Opening day at camp includes a welcome meeting with the directors to introduce campers to key staff, general camp rules, and important operational guidelines. This summer, the following items will also be communicated: ● What camp is doing to protect everyone from getting sick ● Ground rules for operating in smaller groups ● Social Distancing and Mask Wearing Protocol ● Hand washing and sanitizing protocols ● Physical distancing guidelines and policies for when masks will be necessary ○ Including sibling get togethers ● Dining Hall procedures ● What symptoms to look out for and when to report them to a nurse ➢ UPDATED PACKING LIST Due to COVID-19 mitigation, we have adjusted and added some items to your packing list for camp which can be reviewed in the Parent Guide - Summer 2021, found on your camper’s InTouch dashboard and at the end of this document. CLEANING & SANITIZATION ENHANCEMENTS ● Designated staff will wear PPE and disinfect all cabins, bathrooms, and public areas daily. ● Kitchen & Dining Hall will be cleaned & disinfected after each meal. ● Hand sanitizer stations will be placed all around camp. ● Equipment will be cleaned and disinfected regularly, usually between use at camper activities as well as at the end of the day. ● Hand washing and/or sanitizing will be enforced throughout the day. ON-SITE MONITORING & PROTOCOLS This summer, camp will add an additional isolation space. Our main health center will run the same as it does every summer. Our isolation health center will be staffed by members of our medical team for any suspected or confirmed cases of COVID-19. There will be an open-air triage area on the outside porch of our Health Center. Anyone requiring medical care will check-in at the triage area first, where initial screening and temperature checks will take place.
Based on symptoms/needs they will be directed where to go, outlined below: ➢ AFTER TRIAGE ASSESSMENT ● All First Aid & Basic Care cases (no fever and/or communicable symptoms) will be directed inside the health center to be treated by our camp nurse. ● Anyone presenting with a fever of 100.4 or greater but no other COVID-19 Associated Symptoms will hydrate and continue to be monitored by our nurse in the triage area. If fever persists after hydration, the patient will be admitted to the health center where they will remain until fever-free for 24 hours without medication at which time they can return to activities. ● Anyone presenting with fever of 100.4 or greater AND exhibiting one or more additional COVID-19 symptoms will get a COVID-19 test. We will notify parents if their child is tested for COVID-19. ● Anyone presenting two or more COVID-19 associated symptoms without a fever will be further assessed by a nurse to determine next steps (strep test, COVID-19 test, etc.) Symptoms that could indicate a COVID-19 infection include fever or chills, cough, shortness of breath, fatigue, muscle or body aches, headache, new loss of taste or smell, sore throat, congestion or runny nose, nausea or vomiting, and diarrhea. In the event that a camper tests positive, she will be immediately isolated from other campers, monitored closely, and treated as necessary. Upon identifying a positive case, the camper’s parent(s) will be notified and asked to make plans to pick up or have someone pick up their child from camp within 24 hours. There will be no exceptions to this, so please take that into consideration in making your plans. If there is a confirmed positive case of COVID-19, we will notify all families by email while maintaining confidentiality in accordance with HIPPA standards. We are not able to share any names or identifying information regarding medical information for any person. The camper/staff member’s pod will be quarantined and a message is sent home to their families to alert them of the positive diagnosis. All campers and staff in that pod will receive a rapid covid test and will quarantine from the rest of the camp. We are required to notify state and local health officials of any confirmed positive test. In accordance with the CDC, we will be subject to closure if 3+ positive or presumptive positive cases occur. TRANSPORTATION ➢ BUS TRAVEL TO CAMP We will change our check-in procedures to be completed in the comfort and safety of your car. All staff interacting with vehicles will wear a mask and gloves. We ask that you adhere to the bus check-in time you are assigned. ● Parents must take their camper's temperature before leaving the house for the bus.
● Parents and campers must remain in their car until it is time to board. ● ALL Campers must bring their own masks and hand sanitizer on the bus. Masks are required on the bus ride. ● There will be NO food allowed on the bus. ● Do not send your camper to camp if they have a temperature of 100.4° or greater. ● All staff are temperature checked before they leave camp to come and meet our campers. ● Bus drivers will be required to wear masks. ● The buses will be sanitized before camp use. ● All buses will have a hand sanitizer available on the bus. ● All campers will have assigned seats with others in their pods. ● If your child is exhibiting COVID-19 symptoms and tests positive on departure day, they will NOT be allowed to ride the bus home. You MUST pick up your child from camp by 3pm that day. ➢ CAR TRAVEL TO CAMP. For safety reasons, parents will be asked to remain in their cars while on camp. Families will be greeted by a staff member at their car during assigned drop-off time at camp. ● Families must take their child’s temperature before getting in the car. Do not send your camper if she has a temperature of over 100.4, or symptoms of COVID-19. ● Upon arrival at camp, we will take campers’ temperatures in the car. Any camper with a temperature of 100.4 or greater, positive COVID-19 test, or COVID-19 symptoms will not be permitted to enter camp. ● Parents will be directed to a camper drop-off area for goodbye hugs in their cars. Staff will then help campers to their cabin. OTHER IMPORTANT INFO ● A strict “No Visitors” policy means that, with few exceptions, only campers and staff will be on camp property. Tours for prospective campers will not be offered. ● Only food delivery trucks and other essential services (ie: propane, trash pickup) are permitted into camp. Drivers will not have any direct contact with campers or staff and will be required to wear PPE and maintain physical distancing while on camp property. ● We will NOT allow packages of any size for campers. If a camper forgets an essential item, parents should contact camp to make arrangements for the camper to receive it. ○ Birthday packages must arrive at camp before opening day. ● Remind your camper that the health center isn’t a scary place. If they aren’t feeling well, they shouldn’t be nervous about being seen by a nurse/doctor. In most cases, they will be seen, treated and returned to camp as quickly as possible. ● We will NOT allow campers to bring snacks/drinks of any kind.
RISK NOTIFICATIONS Parents who decide to send their children to camp this summer will be asked to sign additional risk notifications. ● While the risk of transmitting the COVID-19 virus in an outdoor environment is low, there is no way for us to eliminate that risk at camp. By agreeing to send your child to West End House Girls Camp, you must understand that there is always a risk of your child becoming ill with this or any other communicable disease. ● By agreeing to send your child(ren) to camp, understand that camp tuition will not be refundable for early withdrawal during the season or if camp closes due to positive COVID cases. ● In light of the current COVID-19 environment and the constant development of information about COVID-19, families who commit to camp understand that guidelines, policies and procedures may change at any time due to unforeseeable circumstances and the Maine Department of Health. See the end of this document for additional two waivers. 1. Parent/Volunteer (adult who is dropping camper off) wavier. 2. Camper wavier.
CAMPER EXPERIENCE Campers, We know so much has changed for you in the past 12 months. While many familiar comforts such as learning, celebrating milestones, and plans with friends changed, we have learned more about ourselves, our families, our friends, and our world. This time we have been on “pause” has helped all of us to see things from a different lens and to appreciate what we do have. Our goal is to make camp FEEL as normal as possible. You will make friends. You will grow in independence and resilience. You will be a part of an unforgettable summer! Here is some information to help you understand what camp will be like this year. Some terms we will be using this summer include: ● Pod Your pod is your camp “family”. It includes your cabin group. Just like at home, when you are with your family, you will not need to physically distance or wear a mask. ● Physical Distancing We will still be extremely social at camp while maintaining physical distance when necessary (3-6 feet apart). ● Mix and Mask - When campers interact with other pods, they will need to wear a mask. It is very easy to maintain physical distance when we are outdoors. Starting on arrival day, campers will operate in a smaller pod. Interactions with campers in another pod are allowed in outdoor spaces and with physical distancing measures in place. For example, right now your family might go to the neighbor’s backyard and hang out 6 feet apart. Camp pods will have special events scheduled together. Outdoor programs can be done with friends outside your pod while maintaining a physical distance or putting on a mask. Campers are not allowed to go inside other cabins. Our plan is that once everyone has had 3 negative COVID-19 tests, which should coincide with being in camp for 1 week, we will be able to remove the pod system and revert back to a regular camp setup. ➢ A TYPICAL DAY AT CAMP Campers will attend activities with their cabin group or pod. We are maintaining our regular daily schedule with some adjustments for meal times so packing your backpack for the morning or afternoon is very important.
General Counselors will travel with their cabin throughout the day, while Activity Specialists will provide instruction and skill progression to each camper. ➢ WHAT WILL BE DIFFERENT THIS SUMMER? ● Campers and counselors will sit with their cabin group. Cabins will be at least 10 feet away from another cabin. ● Large camp events will be held only outside with proper distancing and masking. ● Everyone will need to wash and/or sanitize their hands a lot. ● Masks will be worn by campers and staff with people outside of their pod. ● Staff that are instructing at an indoor activity will wear a mask if not with their pod. This summer we will not be offering the following activities: ● Off-site camping ● Off-camp trips (putt-putt golfing, berry picking, etc.) ➢ HOW WILL MEALS AND SNACKS WORK? ● All campers will eat in their pods. Pods will be at least 10 feet apart from other pods. ● Camp will run at 50% capacity to ensure plenty of space to distance in the dining hall. ● We will enhance sanitization between every meal. ● Kitchen staff will be wearing masks and gloves at all times in the dining room. ● We will be moving away from a buffet style and towards family style foodservice so all meals will be delivered to your table and served out by your counselors. ● If someone has special dietary requirements, they will be taken care of as always. ● All snacks will be individually wrapped. ➢ WHAT WILL BE THE SAME? ● WE WILL have amazing activities and evening programs! ● WE WILL have weekly campfires ● WE WILL have Color War
PACKING LIST General Information The following clothing list is designed as a guide for parents and campers. Campers and staff dress informally at West End House Girls Camp (WEHGC). Our general recommendation is to bring clothes that are comfortable and expendable. We discourage designer clothing for three main reasons: • Camp is rustic, and your child will be active. • A relaxed no-pressure environment gives campers the opportunity of not having to compete. • Clothes are very easily lost or damaged at camp. WEHGC implements a strict policy when it comes to “provocative clothing”. A general rule is that undergarments must be worn at all times and may not be visible; and that the area from the navel to the bottom must be covered completely. Laundry Laundry is not available to campers due to our short session lengths. Lost and Found Name tags should be placed on all camper’s belongings. Please use the camper’s first and last name. While every effort is made to help campers be conscious of their belongings and return lost and found articles back to the campers, unlabeled articles are rarely recovered. You can buy labels on Amazon. WEHGC is not responsible for the loss or damage to a camper’s personal belongings for any reason and WEHGC strongly recommends that campers not bring items of value to camp. All unclaimed lost and found clothing is donated to a local charity at the end of the summer. Luggage Luggage should be confined to bedding plus one suitcase or duffel bag. We reserve the right to screen a camper’s luggage. Bedding WEHGC does not provide any bedding, linens or towels. All campers must bring their own sleeping bag (or sheets and blankets for a twin bed, recommended) for their nightly use, plus a pillow and pillow case. Nights can get chilly Prohibited Items Dangerous items are strictly prohibited. No phones, computers, tablets, drugs, alcohol, cigarettes, zape, matches, fireworks, dangerous sporting equipment, other weapons, animals or pets may be brought into
camp. If these or any other dangerous items are found at camp the staff will confiscate them and disciplinary action will be taken. WEHGC cannot guarantee the safekeeping or return of confiscated items. Campers are also not permitted to bring their own personal vehicles to camp. Search and seizure is allowed when possession of illegal substances or weapons is suspected, done by or in the presence of the camp director. I voluntarily accept and assume full responsibility for these risks as well as any and all other risks of the use of Facilities and participation in Programs. I agree that I have full knowledge of the nature and extent of all such risks and am not relying on all such risks being described in this document. Waiver, Release, Indemnification & Covenant Not to Sue In consideration of the use of Facilities and participation in Programs I, the undersigned, agree that West End House Girls Camp, Inc its officers, directors, agents, employees, volunteers, insurers and representatives (“Releasees”) will not be liable for any personal injury, property damage, disability, death, sickness or disease incurred by myself, my family members, dependents, or guests, including minors, however occurring including, but not limited to the negligence of Releasees. I understand that I will be solely responsible for any loss or damage, including personal injury, property damage, disability, death, sickness or disease sustained from the use of Facilities and participation in Programs. I further agree, on behalf of myself and any and all legal successors and proxies, to release and HEREBY DO RELEASE, WAIVE AND COVENANT NOT TO SUE Releasees from any causes of action, claims, suits, liabilities or demands of any nature whatsoever including, but in no way limited to, claims of negligence, which I and any and all legal successors and proxies may have, now or in the future, against Releasees on account of personal injury, property damage, disability, death, sickness, diseases or accident of any kind, arising out of or in any way related to the use of Facilities or participation in Programs, whether that participation is supervised or unsupervised, however the injury or damage occurs, including, but not limited to the negligence of Releasees. In further consideration of the use of Facilities and participation in Programs, I agree to INDEMNIFY AND HOLD HARMLESS Releasees from any and all causes of action, claims, demands, losses, suits, liabilities or costs of any nature whatsoever, including claims of negligence, arising out of or in any way related to the use of Facilities and participation in Programs by myself, my family members, dependents or guests, including any minors.
