Status Hotel Contract Cancellations ION GNSS+ 2020 Hilton, Union Station Hotel • ION “terminated booking with cause” without liability under “materially impossibility clause” • After several negotiations, Hilton has accepted the termination without damages, with the expectation of preserving the potential future business. Drury Inn St. Louis at Union Station • ION “cancelled” 90-days in advance without penalty St. Louis Marriott Courtyard • ION “terminated booking with cause” without liability under “materially impossibility clause” • Marriott waived all damages
Status Hotel Contract Cancellations JNC 2020 Northern KY Covington Convention Center (NKCC) • ION “terminated booking” without liability under “Force Majeure Clause” which included any circumstances or emergency making it inadvisable … to provide the facility … or hold the meeting. • NKCC accepted ION’s termination without damages Cincinnati Marriott RiverCenter, Embassy Suites Cincinnati RiverCenter, Courtyard Cincinnati Covington & Holiday Inn Riverfront • ION “cancelled contracts due to impossibility” clause including “disaster” and “other emergency beyond ION’s control making it materially impossible for ION to perform obligations…” • All hotels accepted ION’s cancellation without damages
Hotel Contract Renegotiated Pacific PNT 2021 Hilton Waikiki, April 19-22, 2021 • Only hotel contract with attrition, meaning if sleeping rooms are not filled ION pays for empty sleeping room nights. • June 2020 Beaty approached hotel to either terminate contract or renegotiate terms. New terms of Pacific PNT hotel agreement: • Hotel agreed to remove attrition from contract. • ION agreed to move up the reservation cut-off date to March 15 (two weeks earlier), though hotel agreed they would continue to honor the group rate after the cut-off based on room availability. • ION agreed to adjust registration fees so that the registration rate discount for attendees staying at the Hilton would increase from $200 to $500. This would incentivize attendees to stay at hotel. ION would still exempt locals and HI homeowners from paying the higher rate. • ION Member Rate Staying at Hilton = $990, not staying at Hilton, $1,490 • Add’l. explanation will be provided CFA and online • ION will not get complimentary concessions if contracted room block is not met (complimentary suite for ION president and staff rooms).
Future Meetings & Contracts Pending ITM/PTTI 2021, January 25-28, 2021, San Diego, CA • Abstracts due October 7: will have a better idea of status after this date ITM/PTTI 2022 and 2023 • Executive Committee approved Long Beach as a location. • Beaty has contract for Hyatt Long Beach she is sitting on to see if adjustments need to be made prior to execution of future events.

New Initiatives to Boost NAVI’s Impact Factor • Personalized email sent to each author immediately after journal publication with instructions and templates for promoting their article on their Twitter, Facebook, and LinkedIn accounts • Video abstract instructions and submission portal created within the Author Resource Center • Announcement sent to all Spring and Summer authors about video abstract contest; all participants will receive ION swag and winner of best video will have their video promoted at conferences • Weekly social media post from ION’s Twitter, Facebook, and LinkedIn accounts that highlights an article published in the latest issue of the journal • ION Webinar series that promote recent papers published in NAVIGATION through author live streamed webinar
NAVIGATION Author Resource Center https://www.ion.org/publications/arc.cfm PURPOSE: Provide authors with information about the journal, steps on how to submit manuscripts, ways to promote their articles, and an overview of how ION promotes their research after publication. This one-stop shop for authors includes these helpful tools: • Instructions on how to format a manuscript • Strategies to boost search engine optimization • Templates for generating social media posts • Easy-to-use guide for creating a video abstract The resource center also highlights the following about the journal: • Aim and Scopes • Abstracting and Indexing information • Journal Impact Factor (JIF) • ION award for NAVIGATION articles • Marketing initiatives
#5. Status ION National Office Staffing
Status ION National Office Staffing • Brianna Snow hired March 25, 2020 as an Assistant Editor. Right now (due to COVID) Snow is working exclusively with NAVIGATION (NAVI) with the goal of ION self-publishing NAVI in open access forum in January 2022 when ION’s contract with Wiley ends. As social interaction allows, Brianna will hopefully assume Beaty’s management responsibilities with NAVI, and editorial coordination and copy writing for the ION Newsletter. • ION staff worked from home March-July 7; Beaty working in physical office daily. • Beginning in August, the ION office closed on Fridays and compelled staff to use annual leave for one day per week. Staff has been advised that with the exception of the ION GNSS+ period the last two weeks of September, the “Friday furloughs” are currently scheduled to last through the end of January and staffing will be re-evaluated at that time. • Staff has been advised there will be no annual bonuses this December. This translates to a 15% pay cut for Beaty, a 7% cut for Buongiovanni and less than 4% for all others.
