St Edmundsbury Cathedral Christmas Market 2021 Stallholder and Traders’ Information Form. Thank you very much for contacting us about your interest in having a stall at our Christmas Market this year. Unfortunately, we were unable to hold one last year due to COVID -19. Below are the finer details of what we wish to have at the Cathedral this November. If you have any queries, please do contact us on events@stedscathedral.org . Date and Times The 2021 Cathedral Christmas Market will take place from Thursday 25 November to Saturday 27 November. Access to Cathedral for Set up will be on Wednesday 24 November from 9 am. (Should you require more than a day to set up your stall please let us know!) For the Market itself (Thursday to Saturday), access to the Cathedral will be from 9 am on those three days. The trading times will be from 10 am until 4.30 pm daily. We hope to include some Christmas songs sung by our choirs throughout the day, as well as welcoming the Haverhill Silver Band on the Saturday, which will be a treat! Stalls The stalls are 2m x 2m and will be spatially distanced from surrounding stalls. They will come with a 1.8m x 1m trestle table and 2 chairs. We have limited double stalls of 4m x 2m which will come with two 1.8m x 1m trestle tables and 2 chairs. Stalls will be located in the main body of the Nave, meaning there will be lots of space for stall holders to spread out.
Stall costs are: FEE FOR 1 DAY FEE FOR 3 DAYS Single Stall (2m x 2m) £50 £75 Double Stall (4m x 2m) £75 £140 Access to power £10 £30 If a Cathedral table is not - £5 (single stall) - £10 (single stall) needed - £10 (double stall) - £20 (double stall) and you bring your own, please ensure it fits comfortably within the footprint of your stall and is no longer than 1.8m for single or 3.6m for double stalls) You will keep 100% of your takings. Products We encourage a wide range of products and will endeavour to ensure a varied and balanced choice across the weekend. In line with our Eco Church values, we warmly welcome fairly traded, local, environmentally friendly (e.g. made from recycled materials) products that are fitting for sale in a Cathedral. We actively encourage traders to use the minimum amount of plastic. Decorating your stall Stallholders are encouraged to make their stall look festive and attractive to buyers. All stalls must be covered with cloths that reach to the floor thus concealing anything stored beneath. Whilst we encourage table stands to give height to their displays, large fair style racking must be notified, and an extra charge will apply. There are limited power supplies available, so stallholders are encouraged to use battery operated lighting. All lighting must be LED and PAT tested. Festive, attractive stalls result in greater success as does engaging with customers both actual and potential. Facilities at the Market Coffee and tea will be available to stallholders to purchase from Pilgrims Kitchen during set up time. Light lunches will be available to purchase from Pilgrims Kitchen. There are other lunch options nearby. Limited toilets are available, including an accessible one. A first aider will be on site for the duration of the Market, set up and packing away There will be space for you to stop to off-load your stock but no free parking will be available. There are several car parks available locally. All rubbish must be removed when you leave with your stall. We encourage you to recycle as much as possible. If you could kindly take your rubbish back with you, it will be much appreciated.
Market advertising We will do our utmost to advertise the Christmas Market prominently on the St Edmundsbury Cathedral website in the weeks before the event. We will include details from each trader with links to your website or social media where appropriate. The Market will be promoted extensively through the Cathedral’s local and regional networks. There will be significant advertising via social media. For the immediate weeks prior to the event, posters will be placed around the Cathedral precincts and all across the town, advertising the forthcoming Fair. We welcome and encourage traders to promote the Fair through their own channels. Covid-19 precautions We take Covid-19 extremely seriously and comply with the latest Government and Church of England regulations and will continue to monitor the situation and respond as needed. Precautions to reduce the risk of transmission will include: Distanced tables A route around the Cathedral which will avoid bottle-necks and big crowds. Hand sanitiser upon entry and exit Encouraging traders to offer contactless payment Encourage the wearing of face-coverings in crowded areas We will comply with all other Government regulations. If Covid-19 means that the St Edmundsbury Cathedral Christmas Market needs to be cancelled all bookings will be fully refunded. Payment Full payment is due within 14 working days of confirmation of your booking. If full payment has not been received, we may offer your allocated space to the next person on the waiting list.

Other display equipment Please use this section to let us know any other display equipment you wish to bring. All equipment must fit comfortably within the footprint of your stall (single: 2m x 2m, double: 4m x 2m). Please note it is not possible to affix anything to the historic walls/columns of the Cathedral. What other display equipment do you intend to bring? Terms and Conditions By completing an application form you agree to our Terms and Conditions 1. APPLICATION, SELECTION AND PAYMENT 1.1 Contact details and information regarding your stalls must be submitted by 1 October. 1.2 All invoices must be settled in full within 14 days of issue. 2 FACILITIES AND EQUIPMENT 2.1 All stalls will be located in the Cathedral Nave. The exact location of your stall will be determined by St Edmundsbury Cathedral and this decision is final. 2.2 Your stall must not exceed the dimensions set by St Edmundsbury Cathedral. This is essential for maintaining social distancing. 2.3 No additional display equipment will be allowed unless it is pre-booked. 2.4 No equipment is to be dragged across the floor and any additional display equipment must stand on suitable rubber type matting. 2.5 Nothing is to be fixed to the Cathedral fabric. 2.6 Traders and stall holders are to ensure that all displays are stable with no risk of them falling and causing injury or damage. 2.7 The stall area must be left in the same condition as found. 2.8 Any damage caused should immediately be reported to a member of the Cathedral staff. The cost of repairing the damage may be charged. 2.9 All electrical equipment must be PAT tested; this includes battery operated equipment. 2.10 Portable gas appliances, flammable products and open flames are not to be used. 2.11 Arrangements for delivery of products and set up of stalls will be determined by St Edmundsbury Cathedral and shared with you with at least 30 days’ notice. 2.12 Private car parking at St Edmundsbury Cathedral is not available. 2.13 Traders are responsible for all personal belongings, stock and equipment. St Edmundsbury Cathedral accepts no responsibility for any personal belongings, stock or equipment damaged or stolen. 2.14 All refuse and waste generated will need to be cleared away at the end of the event. We encourage recycling of waste where possible. 2.15 Each stall must have at least one hand sanitiser dispenser available for customers to use before handling your products 2.16 You agree to abide by all Covid-19 safety measures put in place by St Edmundsbury Cathedral, including the wear of face coverings if necessary. 3 CANCELLATIONS 3.1 If the trader terminates the booking, the following cancellation charges will apply: • Within 14 days – 100% of stall fees • Within 15-31 days – 50% of stall fees • Within 31- 180 days – 25% of hire charge 3.2 All cancellations should be made in writing. 3.3 If the Cathedral cancels your booking due to Covid-19, all stall fees will be refunded. 3.4 In the event of a non-Covid national or global event which has a direct impact on the operational delivery of St Edmundsbury Cathedral, Chapter can cancel and/or postpone and/or curtail any event with immediate effect that has an adverse effect on the mission of the Cathedral to serve the people & Diocese of St Edmundsbury.
4 GENERAL 4.1 Please be mindful of other traders. 4.2 St Edmundsbury Cathedral will promote the Christmas Market extensively through traditional and digital Fairing and our networks. 4.3 St Edmundsbury Cathedral accepts no responsibility for footfall to the Market. 4.4 Smoking is not permitted anywhere within the footprint of the Cathedral and its grounds. 4.5 Users of the Cathedral premises are subject to the authority of the Dean and/or an officer or a member of the Cathedral Chapter. 4.6 In the event of an emergency follow the instructions by Cathedral staff and/or members of the emergency services. 4.7 This agreement shall be governed by English Law. 4.8 No variation of these terms and conditions shall be effective unless agreed in writing with St Edmundsbury Cathedral. 4.9 No forbearance shall amount to a variation or waiver of these terms and conditions without prior written agreement.
