The Briarcliff Recreation Advisory Committee meets once per month at 7;00 pm at the WJV Community Center.
The committee is currently adjusting their meeting schedule, and a specific day of each month (ie. Third Wednesday)
will be decided upon by early April. Members of the general public are always welcome to attend and share their ideas!

The Village of Briarcliff Manor is proud to provide a comprehensive year round recreation program for our residents.
Our service area includes those who reside within the corporate boundary of the Village, and those who
reside in the Briarcliff Manor School District. If at any time you have questions, concerns, suggestions for
new programs, or ways to improve our existing programs, please do not hesitate to contact our office.
We are eager to offer you the services that you desire and we are always open to your ideas!
SEASONAL BROCHURES and “RECREATION NOTICES” via E-MAIL
The Recreation Department now prepares three electronic brochures per year, with issues produced for “Fall”,
“Winter” & the “Spring/Summer” seasons. These brochures include information pertaining to most everything we offer,
however, we also encourage residents to join our “Recreation News” email notification system, as new programs may be
announced at any time! In addition to announcing new offerings, we use the system to keep you informed of such
things as upcoming registration dates, deadlines, cancellation announcements and community special events. Simply
visit the Village’s website at www.briarcliffmanor.org, access the Recreation page, and click on the “Subscribe to
E-News” link to register!
REGISTRATION PROCEDURES & DATES - ONLINE REGISTRATION NOW AVAILABLE !
Each program season begins with an initial registration day to kick-off enrollment for the upcoming season’s
programs. Registration forms can be submitted by mail, dropped-off in person at the Recreation Office during regular
business hours, and for many programs, you can now register online. Registration begins at 8:30 am on each of the
registration kick-off dates listed below:

Registration is handled on a first-come, first-served basis. Online registration and registration in-person at the
Recreation Office will begin on the same date, at the same time and will occur simultaneously. “In person”
registrations at the office will be processed prior to those received in the mail. Mail-in registrations will be processed in
the order in which they were received. If you come to register in person, you may register only for members of your
immediate family. If you are delivering registration forms for other people, they will be treated as “mail-ins” and will be
numbered and processed accordingly. Payment for all programs is due upon registration. Cash, checks and credit
cards are accepted at the Recreation Office, while online registration requires credit card payment (Only MasterCard,
Visa and affiliated debit cards are currently accepted, and these transactions require an additional 2.5% fee). Please
see Page 2 for further information regarding our online registration system and the Village’s credit card fee policy.
REGISTRATION ELIGIBILITY & FEES
Village residents (VBMR) and Briarcliff Manor School District (BMSD) residents are eligible for all programs &
services offered through the Recreation Department, including Pool & Tennis Permits and Day Camp programs. Fees
vary according to residency, and the following codes are used to indicate the appropriate fees for program participants:
VBMR = Village of Briarcliff Manor Residents BMSD = Briarcliff Manor School District Residents
In certain situations, select individual programs may also be open to other non-resident (NONR) participants.
This is done for the sole purpose of supplementing resident participation numbers when doing so helps to ensure
program operation or improvement of the program experience. When eligible, non-resident registration forms will be
held for one week after the first date of registration, at which time they will be processed on a first-come, first-served,
space available basis. Non-resident eligibility and fees are indicated within program information by the code - NONR.
ENROLL EARLY !
For most of our programs to be conducted, a minimum enrollment number must be reached. In addition, many
programs have a maximum enrollment number due to factors such as facility size and instructor requirements. For
these reasons, we register participants on a first-come, first-served basis, and almost always set “Register by” dates.

To utilize our online registration system, please click on the link provided on the Recreation page of the Village
website at www.briarcliffmanor.org. If any member of your family has registered for a program or permit with us in the
past, a unique “Household ID” number has already been created for you within our RecTrac registration database. This
Household ID number serves as both your initial user name and password the first time that you login to register online.
Once you have accessed the system, you will be able to reset your user name and password to whatever you wish. If
you have never registered with us before, you will be able to create a new household in the WebTrac system which we
will then verify and approve within 2 business days in order for you to utilize the online registration system. If you do not
know your Household ID number, or have forgotten your password after changing it during a previous WebTrac session,
please call our office at 941-6560 and we will be happy to help you and answer any additional questions you may have.
When you log on to the site, please make sure you review & update all of the information in the system
pertaining to your household and each of your family members. Please pay particular attention to items such as phone
numbers, birthdates, grade levels, emergency contact information and the primary e-mail address you would like
associated with your account. If you have any questions or problems, don’t hesitate to give us a call!
PLEASE NOTE
ONLINE REGISTRATION IS NOT AVAILABLE FOR ALL TRANSACTIONS
Due to the need to confirm residency & eligibility, Pool and Tennis Permit Purchases and Renewals are not
available for online registration. Please purchase or renew your permits at the Recreation Office or via mail.
Due to the need to collect original forms and signatures to comply with Health Department regulations, Day
Camp enrollment is not available through online registration. Please complete all required forms and submit
them with full payment in-person or via mail to the Recreation Department Office located at 3 Library Road.
CREDIT CARD PAYMENTS
Please be advised that all credit card or affiliated debit card charges made to the Village of Briarcliff Manor incur
an additional 2.5% charge that is passed on to the card user. This is done to cover bank fees associated with accepting
payments by these methods and a requirement of law that prohibits the Village from absorbing these transaction fees.
This means that all WebTrac payments will include this additional fee, as will all credit card transactions processed at the
Recreation Department Office. This fee will appear as a separate transaction on your credit card or bank statement.
RETURNED CHECKS
The Village of Briarcliff Manor incurs additional administrative costs and bank fees when checks are returned
due to insufficient funds. The fee for all returned checks is $20 as established by the Village Board of Trustees.
PROGRAM CANCELLATIONS
Programs must sometimes be cancelled due to weather conditions and other situations that occasionally arise.
The Recreation Department strives to notify participants of these instances in a timely fashion and will utilize such
methods as phone calls, e-mail messages, and posted notices to the Village website in an effort to reach you. In
addition, the phone message system at the Recreation Office is updated when cancellations occur and individuals can
check the status of programs by calling the office at 941-6560.
Generally, programs are not held when school is not in session. Cancelled classes and program sessions are
normally made up at the end of the program season and every effort is made to provide participants with full value for the
programs they register for.
REFUNDS
The Village of Briarcliff Manor does not issue refunds unless a program has been cancelled due to insufficient
enrollment. If this occurs, all fees paid, including credit card charges, will be refunded back to the enrollee. Registrants
assume full responsibility for any changes in their personal life, which may affect their ability to participate.
In rare cases, a participant may encounter an unforeseeable, and unavoidable, situation that they feel may
warrant a refund of fees paid. These situations will be reviewed on an individual basis by the Superintendent, who will
then make a refund determination. A processing fee of $25.00 will be retained by the Village in all cases that refunds,
or partial refunds, are granted.
Page 2INSURANCE
The Village of Briarcliff Manor maintains a standard liability insurance policy that does not cover medical costs
for anyone injured during the normal course of participation in any Recreation Department program or at any Village
facility. All persons participate at their own risk.
FACILITY RENTALS
Need a venue for a personal event? Look into renting a Village-owned facility! Residents are eligible to rent
space for private functions at the Community Center, the Youth Center and the Law Park Pavilion. Availability varies by
facility and season, so call the Recreation Office at 941-6560 to discuss your needs. Base rental fees start at $75 per
hour with a 4-hour event rate of $250. Additional charges are required for a Village-assigned facility supervisor, and if
alcohol is to be served. Facility use applications are available from the Recreation Office or Village website and must be
submitted no earlier than 6 months, and no later than 3 weeks, before your desired date of use.
FIELD USE & GROUP USE PERMITS
Use of Village Athletic Fields and Park Facilities for groups and family functions requires a written permit issued
by the Recreation Department. To obtain a Group Use Permit, please call the Recreation Department at 941-6560, or
download the form from the Recreation page of the Village website at www.briarcliffmanor.org. Applicants must be
Village or School District residents age 21 years or older. Please submit Group Use Permit Applications at least 3 weeks
prior to your desired date(s) of use. Village sponsored programs and events always receive priority over requests for
private functions and uses by outside groups. Approval is subject to facility availability, suitability of request and
adherence to application requirements.
PHOTO POLICY
The Recreation Department reserves the right to photograph program participants for promotional purposes.
Images of participants engaging in Briarcliff Recreation sponsored activities may be used in flyers and brochures and
may also be displayed on the Village website and in online publications. Names will not be associated with photographs
used unless prior consent to do so is obtained from the individual, or in the case of a minor, the Parent or legal guardian
of the child.
PROGRAM BEHAVIOR
Participants are expected to exhibit appropriate behavior at all times while engaging in activities and programs
conducted by the Village. We ask all participants to adhere to the following guidelines so that our programs are safe and
enjoyable for all. Additional rules may be developed & implemented for specific programs and athletic leagues as
deemed necessary by staff.
Participants in Briarcliff Manor Recreation Department programs shall:
Show respect to all fellow participants, staff members and themselves.
Refrain from using foul or abusive language.
Refrain from causing bodily harm to other participants and staff.
Show respect and care for equipment, supplies and facilities.
Participants who fail to adhere to these basic guidelines will be removed from a program when it is determined
by staff that their behavior is detrimental to the safety, well-being or enjoyment of the program by others. The decision to
formally remove or suspend a program participant will be made by the Superintendent of Recreation after consultation
with the Village Manager .
SUMMER STAFF POSITIONS
Employment applications for positions such as day camp counselors, lifeguards & pool attendants are now being
accepted. Applications are available on our website & through the Recreation office.
All applicants for paid positions must be at least 16 years of age. Please submit applications early!
NOTE: Our “Counselor-in-Training” (CIT) program is for students entering 10th or 11th grade in September 2019
who will not be 16 years old by 7/1/19. Limited CIT’s will be accepted.
Interested CIT candidates MUST submit applications by March 22, 2019!
The deadline for all other positions is Friday, April 5th.

WATER BABIES Act. #365: Sec. 1
Day/Dates: Wednesday mornings, July 10 - July 31 (4 classes)
Ages/Times: 6-36 months 11:15-11:45 am
Fee: $25.00/couple – Seasonal pool permit required for adult
This program is based upon the American Red Cross Infant & Preschool Aquatics program
designed to help young children become comfortable in and around the water. It also provides parents
with information and techniques to help them orient their children to the water and to supervise water activities in a safe
manner. Active participation by a parent or adult caregiver is required.
PRESCHOOL AQUATICS Act. #370: Sec. 1
Day/Dates: Wednesday afternoons, July 10 - July 31 (4 classes)
Ages/Times: 3-5 year olds 12:00-12:30 pm
Fee: $40.00/child
This program is based upon the American Red Cross Learn to Swim program. It is designed to help
children develop fundamental water skills and will lead to them becoming comfortable in, on and around the water.
Children will be divided into small groups and lessons will be provided by Pool Director Rhonda Nolan and our staff of
certified lifeguards who also serve as instructors for our Day Camp swim lesson programs.
SWIM & DIVING TEAM Act. #285
Season: All practices & meets are scheduled between June 4 - August 1
Fee: $170.00/swimmer in addition to a seasonal pool permit
3rd child fee discounted to $85.00
Briarcliff youngsters 6 years of age and above are invited to participate and represent the Village on
our team. The team program is designed for swimmers, not those who are learning to swim. The coaches
strive to make the team experience one that is fun and rewarding for all. We strive for a successful season but not
without the essential ingredients of participation, sportsmanship and team spirit. The first meeting for parents of team
members will take place on Tuesday, May 28 at 7:30 pm at the Community Center in the Library. Practices are
tentatively scheduled to begin Tuesday, June 4.
LIFEGUARD TRAINING Act. #355: Sec 1

This program is the American Red Cross training program for lifeguards. Participants will learn the skills needed
to prevent & respond to aquatic emergencies. Successful candidates will receive certification in Lifeguard Training, First
Aid, and CPR/AED for the Professional Rescuer. Students will receive a link to the Red Cross online blended learning
site once they register for the program. Base fee is payable to the Village of Briarcliff Manor. $35 Red Cross fee must
be paid online directly to the Red Cross. If interested, please call the Rec Office at 941-6560 for details.

GENERAL INFORMATION & APPLICATION REQUIREMENTS
Please read the following before proceeding to the application on page 8.
Additional information regarding the 2019 Pool season can be found on pages 4, 5 & 7.
ELIGIBILITY
1. In order to purchase pool or tennis permits, you must reside within the boundaries of the Village of
Briarcliff Manor or the Briarcliff School District. Non-residents are eligible to purchase seasonal Tennis
permits at School District rates, and we are once again offering a limited number of Non-resident Family
Pool permits on a first-come, first-served basis. The burden of proof of residency rests with the
person making the application. Appropriate forms of proof include, but may not be limited to a current util-
ity bill, tax bill or lease. Call 941-6560 to check on the acceptability of other forms.
2. ALL persons wishing to utilize the pool facility are required to possess a valid photo ID card/permit, or
be the guest of a photo ID permit holder. A “Daily Use” photo ID permit is required for all Village and
School District residents who want to use the pool, but do not wish to purchase seasonal permits.
Daily Use permit holders will be required to pay $10.00 per visit in addition to the Daily Use permit fee.
3. Family permit options are limited to married spouses and all unmarried children living at home full time
who are not yet 22 years of age as of 5/26/2019.
4. Children who are 5 years of age on May 26, 2019 are required to have permits. All 1st-6th grade full-day
campers must have pool permits. Persons 22 years of age or older on May 26, 2019 must purchase an
adult permit.
5. The Senior Citizen option is for those who meet criterion #1 and can show proof of meeting the minimum
age requirement of 62 (e.g.: Driver’s License, Passport, Westchester County Senior Citizen’s Card).
6. Our permit system is computerized, and all resident permit holders will be required to present their photo
ID upon each entry to the facility.
APPLICATION NOTES
1. All applications will be checked against Village and School District records to confirm eligibility.
2. ATTENTION RENTERS: You must present a copy of your lease as part of the application process.
The Recreation Department reserves the right to verify all leases.
3. The Recreation Department will issue no refunds.
4. There will be no pro-rating of fees, except for new residents moving into the Village during July or August.
5. Seasonal Pool and Tennis permits will only be sold at the Recreation Office - ONLINE REGISTRATION IS
NOT AVAILABLE FOR PERMIT PURCHASES or RENEWALS. If you purchase a Daily Use permit,
and wish to upgrade to a seasonal permit, daily fees paid at the pool will not be applied toward the
upgrade to a seasonal permit.
6. When you receive your photo ID cards, or renew your permit by mail, you will receive a copy of the pool &
tennis rules. Please be sure that all permit holders from your family are familiar with these rules.

RENEWAL PROCESS FOR PREVIOUS PERMIT HOLDERS - Please use the MAIL !
If you purchased a permit between 2003 - 2018, and had a photo ID card produced, you may renew your
permit through the mail. This is true even if you’ve lost your card, as we can produce a new card for the 2019
season from the digital photo image that was captured and stored in the system when you made your initial
permit purchase.
1. Complete the application found on page 8. (Don’t forget to indicate if a new photo ID card is needed - $5.00 charge per card.)
2. MAIL the completed application with proper payment to the Recreation Office - 3 Library Road
Your permit application will be processed and you will receive a receipt in the mail, along with pool
program, schedule & rule information, and any photo ID cards requested.
NOTE: The mail-in method of registration may be used even if a new photo is required for one or more
family members. Those needing photos will simply need to visit the Recreation office to have their
photo taken prior to the production of their card.
PURCHASING PROCESS FOR NEW 2019 PERMITS
1. Complete the application found on page 8.
2. Bring your completed application, along with any other required documentation (proof of age or residency)
and the appropriate fee, to the Recreation Office - 3 Library Road for processing.
3. All new permit purchases require the capture of a digital photo of the permit holder. Photos must be taken
at the Recreation Department Office located on the lower level of the Library at 3 Library Road.
EXPANDED HOURS for Permit sales, including new Photo ID picture taking, are as follows:
Daily Mondays-Fridays: 9:00 am-4:00 pm Starting Monday, March 11
Saturday Mornings: 9:00 am-12:00 pm June 1, 8 and 22

POOL GUEST CARDS – Choose 5 or 10 guest visits per discounted purchase
Fee: $40.00 for 5 guest visits or $80.00 for 10 guest visits
Seasonal pool permit holders are eligible to purchase a discounted guest pass good for either 5 or 10
guest admissions to the pool (Daily Use permit holders are not eligible for this reduced rate guest card). The
guest visits may be used on any day, at any time, however, Permit holders must accompany their guests.
NOTE: Guest pass visits must be used during the 2019 season only - they do not carry over season to season!
TENNIS GUEST CARDS – 10 Discounted 1-hour tennis guests
Fee: $80.00
Tennis permit holders may purchase a discounted, 10-pass tennis guest card. The pass can be used at
any time, on any Village court, however, Permit holders must accompany their guests.

TENNIS COURTS
The Village of Briarcliff Manor operates and maintains ten tennis courts, seven of which
feature a clay playing surface. This fact inevitably leads to the same question each spring; “when
do the tennis courts open?” Unfortunately, the answer is always a mystery as we are very dependent
on the weather. We strive to open the courts as early in the season as possible; however, we must make
sure they are in the proper condition. Until such time, we recommend use of our three all-weather courts; two
Nova-Pro (artificial grass) courts at Chilmark Park, and one hard court (asphalt) at Law Park. We thank you and
appreciate your understanding, cooperation and patience as we work to get all of our tennis court facilities prepped and
operational this spring.
A valid 2019 tennis permit is required to play and reserve court time on all Village courts. When you purchase or
renew your permit, a copy of the tennis court rules will be provided to you. These rules will explain the court reservation
process and include a court directory.
A reminder! The Recreation Department will be checking for permits once the courts open. If you have not yet
purchased your permit, an hourly fee will be required. Please carry your permit with you to avoid any problems.
NOTE: The Village now allows Non-residents to purchase tennis permits at School District rates.
ADULT VILLAGE-SPONSORED TENNIS TEAMS
The Village sponsors Women’s recreational tennis teams that compete against other teams from throughout the
County. Valid seasonal tennis permits are required of all players participating on these Village sponsored teams.
Interested permit holders should call the Recreation Office to inquire if teams are forming and to determine if roster spots
are available. Women’s team matches have generally been scheduled to take place on Monday, Tuesday or Wednesday
mornings. Leagues run from early April to mid-June, and general play on certain Village courts may be restricted during
the times indicated to accommodate team play.
TENNIS INSTRUCTION - Registration begins Monday, April 15
We are very pleased to announce that we have retained the services of
Westchester Turf & Tennis to provide professional instructors for our Youth and
Adult Tennis programs. Whether you are a first time player looking to learn
the basics, or a seasoned veteran looking for that competitive edge, our programs will
deliver what you want. All programs will be taught by trained professionals who
take pride in helping you improve your play and your enjoyment of the game.
We have a variety of programs. Our standard lessons for both children and adults
are offered in 3-week sessions, featuring two lessons per week. Please see schedules on the pages that follow!
When the weather is nice, lesson groups meet on Village courts. If the weather is poor, or dangerously hot and
humid, lessons are moved indoors and take place at the Westchester Turf & Tennis indoor facility located off Route 9A
in nearby Hawthorne, less than 6 miles from Law Park. No guessing, no frustration, no need to watch the skies for rain
or lightning! This unique partnership avoids lesson cancellations and all you need to do is call the Recreation Office at
941-6560 to confirm your lesson’s location when the weather is questionable.
We are excited about the offerings that follow, and hope that you take advantage of this wonderful tennis value.
Additional information will also be included on the youth and adult specific flyers that are produced for these programs.
