Participating Partner Information Deloitte Deloitte brought a significant level of technology expertise, and also helped with configuration and project management. Kāpura’s approach was to focus on what they do best - hospitality - and hire technology experts (Deloitte) to work on the technology. In fact,this project would never have been possible in a record breaking 28 days if not for the Deloitte team. Kāpura has also outsourced ongoing upgrades to Deloitte, who is responsible for quarterly updates so that Kāpura can take advantage of the new functionality that SAP rolls out. As a result, the deployment continues to get better with time. “We are extremely proud of the joint success achieved during this rapid implementation of SAP S/4HANA Cloud. At the outset we collectively set an audacious goal, and then worked cohesively in partnership to ensure a successful outcome. With S/4HANA Cloud, we had access to all the features and functions traditionally considered for large enterprises, and implemented them quickly and cost effectively, to support a high growth business. Business Challenges and Objectives Adding ~1 new business unit per month for 4 years led to a collection of non-integrated financial & operational systems. ● These over 50 business units came with over 50 instances of Xero accounting software. Each time someone needed a piece of data, such as how much they paid a specific supplier, they needed to pull a report from each of the 50+ entities. It was so time-consuming that by the time they pulled the last report, the first report they had pulled was out of date. ○ To support this manual effort, they needed to hire an additional finance resource every time they brought on 5 more entities, and an additional accountant every time they added 15. ● In addition, processes were not standardized across the over 50 entities. ● With all of the time spent on getting accurate data, there was little time left to focus on building the kiwi hospitality necessary to support their value proposition of delivering a superior customer experience. With aspirations of continued growth, Kāpura management knew they needed to make a change. The goal was to invest in Kāpura’s people and processes in order to make life easier as the company continues to scale and grow. System requirements included: ● An affordable business solution that could scale as Kāpura grew, support standardized processes, and reduce the employee effort needed to manage finance and procurement transactions. ● Robust IT architecture that could run as fast as Kāpura does. ● A product that provides a seamless integration with existing operational systems. ● A platform for future innovation, including technologies such as artificial intelligence and machine learning. Project or Use Case Details Kāpura went live with SAP S/4HANA Cloud, SAP’s intelligent cloud ERP offering, after a rapid 28-day implementation – the fastest implementation of SAP S/4HANA Cloud globally. The implementation was the first step to allow redirection of staff to an insights-based business partnering model. Currently the largest verticals at the company have a business analyst / insights team. The challenge has been to decrease the proportional headcount of processing staff through growth and opening up the wider business to become further data driven. With the help of Deloitte, an aggressive schedule, & a go getter team, the project was implemented in record time. Although it was completed in record time, the implementation was comprehensive and included: ● New chart of accounts ● Finance (GL, AP/AR, Fixed Assets, Bank and non-Stock procurement). ● Consolidation of 50 bank accounts to 4 ● Credit cards ● 4 main verticals with 50 individual PC/CCs set up ● Data migration from all existing systems into one solution (including deduplication, cleansing, & enrichment) ● Planning and budgeting capabilities ● Integration scope including bank (statements / payments), revenue, and stock movement recognition journals from their operations systems, vendor master data push & payroll integration © 2019 SAP SE or an SAP affiliate company. Additional Information Future Plans: Kāpura chose SAP for its seamless integration with their existing operational systems, as well for the possibilities their platform presents for future innovation. They are looking into technologies such as artificial intelligence and machine learning to deliver unique experiences for their customers and insights for their employees. They anticipate future integration with solutions such as the SAP C/4HANA® suite and SAP Concur® and SAP SuccessFactors® solutions.
