Ringling College - Residence Life Room Selection/Lottery Process 2019/2020
Attention Ringling College Students: This packet of information details the Room Selection/Lottery process for the 2019/2020 academic year. This process has been established to allow current students access to campus housing in the most logical, equitable, and fair way possible. The Room Selection/Lottery process will determine your housing assignment for the 2019/2020 academic year. The first step in the Room Selection/Lottery process is to complete the online Housing Contract. This will be located on the Campus Life page of the Ringling website, under Sophomore/Upper Class Housing as of 11:30am on Monday, January 14th. It will also be sent to your Ringling issued email address that day. Remember that by completing the 2019/2020 Housing Contract you are reserving/contracting a space in campus housing for the entire upcoming year. The Room Selection/Lottery process provides the system by which specific assignments are chosen. We are again offering an exciting opportunity for current students to Pre-Select sophomore housing. We will be setting aside the Indian Beach Apartments (56 beds) and Keating Hall (56 beds) for the Pre- Selection process. These buildings will be filled first-come, first-served based on when you submit the Pre-Selection Form. You will be able to find these in the Residence Life office starting 1:00pm on Sunday, January 27th. Last year, sophomore housing filled in a matter of hours. All parts of the Room Selection/Apartment Lottery process are date sensitive—from the date of contract, to the deadlines detailed in the attached timeline. Please pay close attention to these deadlines as they will play an important role in your housing assignment for the next academic year at Ringling College. If you know that you want to live on campus, you need to submit your Housing Contract as early as possible, as this is the first step of the Room Selection/Lottery process, and can impact whether or not you get into a space that you prefer. Many off-campus property managers will falsely tell students that submission dates are not important. Please be cautious of who and from where you get your information from. 2019/2020 ROOM SELECTION/APARTMENT LOTTERY PROCESS Please read this entire packet of information. You are responsible for following all procedures as described. The Department of Residence Life has developed the current Room Selection/Lottery Process in conjunction with the Office of Student Life. This guide includes the following: Link to video depicting how the process works Timeline of important Room Selection/Lottery events and deadlines Eligibility requirements Instructions for Pre-selection of Indian Beach Apartments and Keating Special Circumstances/Emotional Support Animals Instructions for the 4,3,2 person group lottery Housing terminology and an overview of the current housing inventory This process is designed to effectively meet the needs of individuals and roommate groupings. You are responsible for following all procedures as described in this packet and the terms of the Housing Contract Conditions, so please read this information thoroughly. The Department of Residence Life works continually to improve the Room Selection/Apartment Lottery process and we are interested in your feedback, please do not hesitate to contact us as at reslife@ringling.edu or stop by the Office of Residence Life during normal business hours, Monday through Friday, 8:30 am - 4:30pm. There is limited space on campus for returning students. This means that the when we reach our capacity in returner student housing, any students who submit Housing Contracts beyond that point will be added to the Stand-By list until we can accommodate them. If you are placed on the stand-by list upon once we reach capacity, you will not be permitted to participate in the Room Selection/Apartment Lottery process. We anticipate that we will reach capacity of contracted upper-class students within a few hours of the contract release at 11:30am Monday, January 14th 2019.
Timeline of Events and Deadlines Monday, January 14th: Returning Student Housing Contract available at 11:30am Can be found on the Campus Life page of the Ringling Website, under “Sophomore/Upper Class Housing.” The link will also be emailed to you exactly at 11:30am, Monday, January 14th 2019. We expect to be at capacity very quickly. If you wait, housing will be full. Sunday, January 27 th: Indian Beach Apartments and Keating Pre-Selection begins Available in Residence Life Office at 1pm. Pre-Selecting a space will prevent students from participating in the group lottery for apartment style housing. Friday, February 8 th: Special Circumstance/ESA Requests Due Submit requests for accommodations or specialcircumstance consideration by email to Residence Life at reslife@ringling.edu. This includes students seeking to register/renew ESA agreement for campus housing. Monday, March 18th: Roommate Meet & Greet 10:00pm in the Exhibition Hall. Students who have not found roommate(s) for the group lottery should attend this event. Tuesday, March 19 th: 4 Person Group Lottery 10:00pm in the Exhibition Hall. All group members should be present with their student IDs. Thursday, March 21 st: 2/3 Person Group Lottery 10:00pm in the Exhibition Hall. All group members should be present with their student IDs.
Eligibility Requirements Eligibility: Students with outstanding judicial matters such as incomplete sanctions or unresolved judicial incidents must have those matters resolved prior to participation in Pre-Selection or Room Selection/Apartment Lottery. Students must be free of any outstanding financial obligations on their student account with no stops on the account. Students must be enrolled for the 2019/2020 Academic Year (Fall and Spring semesters). Any exceptions must be approved by the Department of Residence Life. Deadlines: To ensure the fairness of this process, dates and times are STRICTLY FOLLOWED. Due to the volume of transactions taking place, individual exceptions cannot be made. Students applying after the deadline do not qualify to participate in the Room Selection/Lottery Process, but will be assigned a bed space after the Room Selection/Lottery process is finished. Roommates: Begin talking with your current and future roommates. You should know with whom you intend to live next year. It is YOUR responsibility to openly communicate with current and potential roommates to prevent any confusion about decisions you are making. Once the Room Selection/Lottery Process is complete, changes in roommates are not permitted except in extenuating circumstances approved by the Department of Residence Life. Should one roommate not return for the next academic year, the remaining roommates will be reassigned or another student will be assigned into that space. These spaces are typically filled from the stand-by list of late applicants. Students without Roommates and Incomplete Groups: Students wishing to live on campus who are not part of a roommate group, or are part of an incomplete group, should attend the Roommate Meet & Greet Event on Monday, March 18th, 2019 at 10:00pm in the Exhibition Hall. This will be a time for students to be paired with potential roommates. Canceling Your Housing Contract: Once the 2019/2020 online Housing Contract is completed, the student is bound to this agreement and will be required to carry out the financial commitment for the term of the contract for both Fall 2019 and Spring 2020 semester(s). Per the Housing Contract Conditions, the only reasons a student may be released from financial liabilities are as follows: Permanent academic dismissal of the student from Ringling College of Art and Design Complete and permanent withdrawal by the student from the Ringling College of Art and Design prior to the opening of the semester
Sophomore Housing - Pre-Selection Pre-Selection allows students to opt into living in predetermined Residence Halls without going through the Group Process. Forms for each of the Pre-Selection opportunities are available in the Residence Life Office starting at 1:00pm on Sunday, January 27th. We recommend you get to the office earlier than that, as a line may form. You must first submit your Housing Contract to participate in the Room Selection/Lottery process. Placement for Pre-Selection will be done first-come first-served based on the date of submission for the Pre-Selection form. Keating Pre-Selection: Keating Hall is designated as Gender Inclusive housing. Keating offers single bedrooms for students seeking a laid-back atmosphere. The building has a designated bathroom for each gender as well as a Gender Inclusive bathroom on each floor. The default meal plan assigned to Keating is the Ultimate 19. This can be lowered to the Flex 15 by emailing reslife@ringling.edu not later than move-in day for the fall semester. As of move-in on Friday, August 23rd, 2019 the meal plan will be set for the 2019/2020 academic year. Keating Hall is located in the middle of campus, across the street from the Health Center and caddy-corner from the new library. Indian Beach Pre-Selection: ***Because Appleton, Idelson and Harmon are being demolished to build a new freshman residence, Ulla Searing which typically houses sophomore students will house freshmen for 2019/2020. Indian Beach Apartments is replacing Ulla Searing in the Pre-Selection process for the 2019/2020 academic year*** Indian Beach has two types of apartments: 1 bedroom/1 bath which houses 2 students in a shared bedroom and 2 bedroom/1 bath which houses 3 students (1 single, 1 double bedrooms).Each apartment is furnished and includes a full kitchen. Students will select their roommates and apply as a group of 2 or 3. Students living in Indian Beach are not required to purchase a meal plan. The Indian Beach complex is located adjacent to the Ringling campus at 1050 Indian Beach Road.
Special Circumstances Special Circumstances: If you feel that you have special circumstances that warrant the Department of Residence Life to consider placement without going through the traditional Room Selection/Apartment Lottery process you must submit a request to Chris Shaffer, Associate Dean of Students, via email to reslife@ringling.edu by Friday, February 8th, 2019 at 4:30pm. Additional documentation may be requested, depending on the circumstances. Emotional Support Animals (ESA): Ringling College of Art and Design is committed to providing appropriate access to its facilities and programs in compliance with the Americans with Disabilities Act, Section 504 of the Rehabilitation Act of 1973, the Fair Housing Act, and applicable state law. These procedures establish the scope of access and procedures for individuals who use service animals, who are accompanied by a service animal in training, and for students living in College housing who require an Emotional Support Animal (ESA) as a reasonable accommodation for a documented disability. The College will determine, on a case-by-case basis and in accordance with applicable laws and regulations and these Procedures, whether an ESA may be present on College premises as a reasonable accommodation to a documented disability. Students who are seeking to register/renew an ESA to have in campus housing must do the following: 1. Contact the Office of Student Access Services to apply/renew the ESA agreement 2. Submit the Housing Contract 3. Contact the Office of Residence Life at reslife@ringling.edu via the Ringling issued email address as part of a “Special Circumstances” request through the Room Selection/Lottery process. The deadline for this is Friday, February 8th. After this date, requests for reasonable accommodations will be subject to availability. The Office of Student Access Services will communicate with the Office of Residence Life in regard to accommodations for students with an approved ESA. Students with trained Service Animals should communicate with the Office of Student Access if the Service Animal will be residing with the student on Ringling Campus to allow for communication with Residence Life for room placement that accommodates an animal.
Instructions for the Group Lottery Process The Group Lottery Process is how students seeking apartment style spaces will go about selecting their specific assignments for the 2019/2020 academic year. All apartment style spaces and any spaces that are unassigned after the Pre-Selection and Special Circumstances deadline will also be available for the 4, 3, and 2 group processes. Only students who have submitted a Housing Contract and are not on the Stand-By list will be eligible to enter the group process. Placement into apartments will begin with the groups holding the highest cumulative point totals. For groups with the same point totals, we take into consideration which group submitted their housing contracts soonest as a tie-breaker. Points System: If a student decides to forego the Pre-Selection process and enter the Group Process, they will need to join with other students in a group seeking a certain type of housing (group of 4 seeking 4 person accommodation, etc). Each student within this group will have a point total based on the following charts; the total of points for the group will determine their place in the selection process. Current Class Standing Points: Years Lived on Campus Points First Year 2 1 1 Second Year 3 2 2 Third or Fourth Year 4 3+ 3 Based on the charts above, a rising senior who has lived on campus for 3 years will have 7 points, the maximum number possible. During the group process, the first groups to be placed into an apartment will be those with the highest cumulative point total, as described in the chart above. The group with the next highest number of points will choose next, and so on until all apartments have been selected. Groups with the earliest cumulative contract dates will be ranked above those groups whose members’ contracted cumulatively later. Groups of 4 - Groups of four will come to the lottery night on Tuesday, March 19th that begins at 10:00pm in the Exhibition Hall. Students will check in with their entire group from 9:30pm-9:59pm for the event. Once there, the group must choose to live in a space that holds four occupants. Groups that do not get placed into a 4 person space will need to decide whether or not they would prefer to participate in the 3 or 2 person Group Processes. Groups of 2/3 - Groups of two or three will come to the lottery night on Thursday, March 21st that begins at 10:00pm in the Exhibition Hall. Students will check in with their entire group from 9:30pm-9:59pm for the event. Once there, the group must choose to live in a space that holds two or three occupants.
Further Information Study Abroad: If you are studying-abroad and are interested in housing for next year, you will still fill out the Housing Contract to begin your participation. Then, you will contact us about what spaces you would be interested in for the 2019/2020 academic year and we will work with you on whatever forms you need to fill out. Stand-By List: If more students submit their housing contracts than the total supply of spaces, any student who contracts beyond the threshold will be placed on a Stand-By List in order according to the date and time they submitted the online Housing Contract. After the completion of the Room Selection/Lottery process, we work to accommodate students from the Stand-By list by placing them into openings that occur over the summer. Communication: You will receive communication regarding the Room Selection/Lottery Process via your Ringling issued email address. Please make sure to check your Ringling College of Art and Design issued email address on a regular basis so you don’t miss anything important! Consolidation Policy: Residence Life reserves the right to consolidate available spaces in order to accommodate requests for full occupancy of a space. Students who reside in spaces where vacancies occur during a semester must understand that they may be assigned a roommate at any time, or be relocated in order to consolidate students for the upcoming semester. Student Withdrawals and Dismissals: Any student who withdraws or is dismissed from Ringling College for academic, financial, or disciplinary reasons will result in an automatic withdrawal from housing. If a dismissed student is later reinstated, they will be assigned to available housing at the time of reinstatement, if available. Notification of Roommates: Students who withdraw from Ringling College coursework for any reason are responsible for notifying their roommates. The College will immediately assign the canceled spaces to students on the Stand-By list, if applicable.
Housing Terminology As we strive to make our Room Selection Process easier, we want to define the terminology of “singles,” “doubles,” and “triples.” The terms do not apply to an entire living unit only the amount of beds in a bedroom. (i.e. a 2 bedroom/2 bathroom Near Campus House with 1 student in one room and 2 in the other is not considered a “triple”, but the room housing 1 student would be a “single” and the room housing 2 students would be a “double”, all contained within a “3 person apartment”.) The same will hold true for the corresponding terms: Single: A bedroom with capacity for 1 student. There will be one bed space in each single room. Double: A bedroom with capacity for 2 students. There will be two bed spaces in each double room. Triple: A bedroom with capacity for 3 students. There will be three bed spaces in each triple room.
