Welcome to the 2021 Cookie Program! We are so thankful you stepped up to participate as your Troop’s Product Coordinator for the 2021 Cookie Program! We know 2020 has been an adventure, to say the least, and we at GSSGC are geared up and ready to kick off the 2021 season with some awesome new opportunities and tools available to our girls and troops to boost their marketing and visibility in this digital world. We know this year will be different than we are used to, but you can be confident that GSSGC, GSUSA and ABC Bakers are all working towards helping you Be Amazing! Getting Started 1. Prepare for the Program Review this Coordinator Guide & the Family Guide for all 2021 Program Information! Get Organized: Being prepared can make all the difference! o Important Forms: mostly digital for 2021 – best practice is to have a parent/guardian's current phone # and email address for all participating girls. o Cookie Storage: create a designated space to STORE product and designated areas for Booth Cookies vs cookies available to restock girls inventory. o Booth Boxes: a prepared box with all Booth Essentials PLUS Sanitizer, Masks and Gloves 2. Schedule and hold a Virtual Troop Parent Meeting Remind Parents/Guardians the importance of the Family Guide Review actions that may be required on their part (i.e. Approval of online Girl Delivery orders) Cover all Important Dates & Deadlines and provide dates you create for your troop like when girls can collect their initial order and when you plan to collect money before sweeps. Confirm Participating Girls are current Girl Scout Members and collect Girl Permission Slips (Online) before giving out ANY cookies. Discuss Troop and Individual sales goals – how does the Troop plan to spend their Proceeds? 3. Register your user account in ABC Smart Cookies Enter your Troop Banking information. Girls will be uploaded on January 8th, so you can confirm your roster is accurate in Smart Cookies at that time. Ordering Cookies The Initial Order, if placed, for Cookie Inventory will be made available for pick-up at MEGA Drop. Collect Troop’s Initial Order at Mega Drop attendance is required!! This regionally run event is for troops who placed their Initial Order by the 12/15/2020 deadline. Troops Coordinators will receive more information, including an assigned pick-up time prior to Mega Drop and site-specific requirements – please stick to your assigned time slot! Due to COVID 19, this year Troops must bring their own loaders! The driver(s) must remain in the vehicle with the engine running. The troop's loaders need to be able-bodied and over the age of 18. Council Staff and Volunteers are limited at each location but will pull your order from the main stacks for your loaders to verify the count before loading into the vehicle. Everyone must have a mask/face shield! Approximate Auto Capacity: Compact Car: Approx. 20 Cases Small Pick-up Truck: Approx. 75 Cases Mid-Size Car: Approx. 30 Cases Full-Size Pick-up Truck: Approx. 150 Cases Small SUV: Approx. 50 Cases Full-Size Van w/Seats: Approx. 100 Cases Large SUV: Approx. 75 Cases Full-Size Van w/o Seats: Approx. 150 Cases Troops must bring their own ropes and tie-downs and netting. The entire Initial Order for each Troop must be picked up, in-full, at one time. Troops with larger Initial Orders may require several vehicles and should consider renting a U-Haul. 3 Vehicle MAX – Troop/Groups MUST enter line together. If, when you arrive at your Mega Drop location, and one or more of your Troop/Group is incomplete, please wait until all vehicles arrive to enter the line. Vehicle must be CLEAR of all items, including car seats, existing trunk junk, etc. NO CHILDREN AND NO PETS If the Coordinator is unable to pick up the Troop’s Initial Order, they must complete a Substitute Pick- up Form to have a responsible ADULT attend in their place. Cupboards Due to COVID 19, Cupboard pick-up safety procedures may cause significant delays. Select Cupboards Open starting January 25th o Check your Cupboard Schedule for specific site days/hours and procedures Planned Cupboard Orders are highly recommended and must be saved in Smart Cookies 48 hours in advance o Walk-in orders may be unavailable the first 2 weeks of the sale, so plan ahead Planned orders will be available to schedule in Smart Cookies beginning January 11th o For troops that missed the Initial Order Deadline o To restock based on girl delivery sales during the early online marketing period o Any additional inventory needed to fill girl delivery or virtual troop booth orders Damages Cookies that have been left in the sun, rain, dropped, or appear opened or damaged in any way, are not sellable. If you have received damaged cookies from Council (Mega Drop or Cupboard), Troops have 48 hours to REPORT and exchange them. Note: If a customer claims that they received a damaged box of cookies, replace them; no questions asked, regardless of who/where they purchase them. Take the damaged box to any of our Council Cupboard locations for replacement. No Returns to Council Once the product has been accepted at Mega Drop or any Cupboard, it is not returnable to Council. We recommend placing a reasonable size initial order, then making light cupboard trips, ensuring that you never have too much inventory on hand. If you find your troop’s inventory is too heavy at any point during the program, Troops can help each other by trading or transferring cookies. Contact your Regional Team anytime you feel that you have too much inventory! ABC Smart Cookies www.abcsmartcookies.com ABC Smart Cookies is our online sales platform which is utilized by Council, volunteer teams, coordinators, parents, and even girls! This system tracks each girl’s sales and keeps all sales data in one place. Click on the YouTube icon at the top of the page at any time to learn about the system, and how to manage cookie box transfers, place a planned order, girl financial transactions, recognition reports and more. Troop Inventory to Girl Transfer Initial Orders and Cupboard Orders should be transferred to girls when they pick-up from the troop Direct Ship Troop Link & Virtual Booth Link Sales are transferred using the Booth Smart Divider Troop to Troop Transfer Transferring Cookies and $ Cases of cookies may be transferred from one troop to another if BOTH troops agree to do so. A Troop to Troop Transfer must be completed in Smart Cookies. Use a receipt book to clearly note the number of packages, both troops' numbers and both signatures and complete the transfer in the system once available. The Product Coordinator of the receiving troop is responsible for completing the transfer in Smart Cookies. Be sure to use the PACKAGE unit of measurement (UOM) if not full cases. Once transferred, financial obligations tied to the cookies will be shifted to the receiving troop, as they signed and are taking responsibility for selling them. Trades Trading $ for $ for a different flavor Cookies (except for Caramel Chocolate Chip) can be traded amongst troops, at any point during the program, and do not require any forms; must be an even exchange ($5 box for $5 box). This is great for Troops who may have a surplus or shortage of a specific flavor that another Troop may have available to trade – consider reaching out to troops via your Regional "Trading Post” on Facebook before collecting additional cookies from cupboard. Cookies must be in undamaged, sellable condition to be accepted as a Trade. Full Case Trades – starting February 26th Troops can trade 1 full case of one flavor for a full case of another flavor at select Cupboard locations. (Limits or restrictions depend on inventory) Mixed Case Trades – starting March 1st Troops can exchange mixed cases, 12 cookies per case, at select Cupboard locations. (Limits or restrictions depend on inventory) o Not all flavors are tradeable with council – including but not limited to Gluten Free Families Returning Cookies to Troops Girls with inventory at home can return cookies to the troop up until February 25 th. Be prepared for this possibility and take this into consideration before picking up more product from cupboard. Remind families that returned product must be in sellable condition and that returning cookies does not relieve them of their responsibility to help the troop as a whole to sell them. Best Practice is to keep in contact with Families during the sale and be mindful of inventory they have on hand, that way there are no surprises. 7 Due to COVID 19, there may be periodic updates or changes to the dates, procedures and information provided in this guide.
Reports Inventory Reports On-Hand Inventory Report: Mandatory While Troop Coordinators should maintain their Troops on hand inventory throughout the program, this form is designed to remind troops exactly how many unsold boxes of cookies their troop needs to sell. This allows Troops who are low on inventory, to submit a planned order and arrange pick-up at cupboard, or for those who have a surplus of cookies, to plan and schedule more booths, if necessary. o Contact all participating girls in your troop to request the total unsold cookies on- hand. o Complete the form online – links will be emailed to you via your Regional Team prior to its deadline: February 8th before 11:59 PM! o Use this as an opportunity to re-energize your girls, find innovative ways to sells and reach those goals! Clean-Up Inventory Report: Mandatory This form is designed to be a final reminder of what the troop needs to sell the remaining inventory during the last weeks of the program. o Contact all participating girls in your troop to request the total unsold cookies on- hand. o Complete the form online – links will be emailed to you via your Regional Team prior to its deadline: February 26th before 11:59 PM! o DO NOT WAIT to contact participating Families regarding their unsold cookies. Reward Reports: Walkabout Report: Complete the form online for each Girl Scout who qualifies for the Walkabout Reward. Must have sold and paid for 200+ boxes by February 2nd o Complete the form online – links will be emailed to you via your Regional Team prior to its deadline: February 4th before 11:59 PM! o Complete the required Transfers in ABC Smart Cookies o Ensure payment is collected and credited to each girl Goal Getter Report: Complete the form for each Girl Scout who qualifies for the Goal Getter Reward. Must have sold and paid for 400+ boxes by January 12th o Complete the form online – links will be emailed to you via your Regional Team prior to its deadline: February 14th before 11:59 PM! o Complete the required Transfers in ABC Smart Cookies o Ensure payment is collected and credited to each girl 8 Due to COVID 19, there may be periodic updates or changes to the dates, procedures and information provided in this guide.
Booth Opportunities Boothing Period begins February 5, 2021 – Only girl links should be shared prior to this date Standard Troop Booths Booth lottery postponed (TBD) Standard Troop Booths are not allowed under current guidance. Additional information and instructions will be provided if /when circumstances change. Direct Ship Troop Link Use the QR code Direct Ship Troop Links and are a new feature in Smart Cookies and below to access available on the Troop Profile page for Troops to share on their own qrcode-monkey.com during the sale. to easily create a QR All troops will have a randomized opportunity to receive sales from the code for your Troop’s National Cookie link based on the zip code that the customer searches. Direct Ship Link Just a reminder that these are direct ship sales only and not your physical inventory. It is also important that the address in your troop profile matches a zip code in our council to be included in the search. Virtual Booth Opportunities Step by Step instructions for Virtual Booth Links will be provided on our Council Website and via email from your Regional Team. o Troops will secure and set up an approved location, date and time where customers can pick up their cookie orders drive-thru style! o The Troop volunteer sets up the event information in Smart Cookies and shares the Virtual Troop Booth link via email, text or social media o Consumers will access the Troop link from which they can make their cookie selections and pay for their order via credit card o Troop Coordinator must approve all virtual booth event orders received o The customer is notified that their order has been approved for pick-up/delivery and their credit card has been charged o The Troop Coordinator works with the Troop girls to review the approved orders to be packed and labeled for pick-up o The Troop sets up their Pick-Up Event at the designated location on the planned date and time o No additional sales can be made to the public during a pick-up event o Please follow all GSSGC and GSUSA Safety Activity Checkpoints and Guidelines 9 Due to COVID 19, there may be periodic updates or changes to the dates, procedures and information provided in this guide.
New Opportunities Business Presentations We have partnered with our Fund Development Staff who have sent a letter along with a video and a sign-up opportunity out to all our funders, banking partners, board and community friends to provide opportunities for troops to make a 20-30 min virtual zoom presentation and sales pitch o Regional Teams will provide a sign-up opportunity to troops for any opportunities we have secured o Girls will use a council-provided PPT, explaining their goals, what the cookie has done for them and WHY they are participating in the cookie entrepreneurial program, and hopefully also make a sale. Troops can arrange virtual presentations with other businesses on their own. o Car Dealerships, Car Washes, Real Estate Offices, Accountants/CPA, etc. The goal is to sell these businesses cookies for them to GIVE away as gifts to employees or customers - NOT for resale. Cookie Program Food Delivery Service - Currently a Khaki Crew Only Opportunity (Cadette, Senior, Ambassador) o Mixed Level Troops can participate with their girls that are Cadette or above Regional Sign-up Opportunity – Additional information will be provided by your Regional Team. o Regional Teams will provide a sign-up procedure to their Region’s Troops to fill shifts weekly at their Regional Office location. o Troops that participate must complete an additional Training and Orientation o End of shift surveys are also required o Troops will be credited weekly for their shift(s) based on the total sales at their Regional Office location o All safety precautions and procedures MUST be followed o Failure to show for your shift or violation of protocols will disqualify the troop from further participation in this opportunity. 10 Due to COVID 19, there may be periodic updates or changes to the dates, procedures and information provided in this guide.
Finances Swoop & Sweeps – enter your Troop’s Bank Account in ABC Smart Cookies ” Swoop and Sweep” refers to the process Council uses to collect payments directly from the Troop Bank Account. As the Troop Coordinator, you are responsible for setting dates and collecting payments. We recommend the first scheduled payment be shortly after the official start of the program after girls have started delivering their Initial Order. Then plan to collect each week following to ensure they are making a payment toward their balance and you are paying down your Troop’s Balance Due to Council. Note: using ABC Smart Cookies to collect payments will automatically credit the girl and troop and reduce the Troop’s Remaining Balance Due and default amount swept. 1. February 9, 2021 All Walkabout monies or 25% of Balance Due. If for any reason 25% has not been collected or deposited into the GS Account, an adjustment can be made by completing the online form provided via email and is due by February 7, 2021. (Note: if you have Walkabout girls, no adjustments can be made below that level.) 2. February 17, 2021 All Goal Getter monies or 50% of Balance Due. If for any reason 50% has not been collected or deposited into the GS Account, an adjustment can be made by completing the online form provided via email and is due by February 15, 2021. (Note: if you have Goal Getter girls, no adjustments can be made below that level.) 3. March 4, 2021 75% of Balance Due. If for any reason 75% has not been collected or deposited into the GS Account, an adjustment can be made by completing the online form provided via email and is due by March 2, 2021. 4. March 25. 2021 100 % of Balance Due to Council (per Smart Cookies). If your any reason the full balance has not been collected and deposited into the GS account, contact your Regional Team immediately! Collecting Payment from Girls Parents and Caregivers can use services like PayPal or Venmo to collect payments from family and friends. However, Troop accounts should never be linked to apps such as these as they are not reliably traceable since monies can also be spent directly from the app, so parents cannot pay the troop this way. Parents can pay the troop via credit card if the troop has set up a mobile payment account or by creating a girl delivery order in the Smart Cookies program. You can also arrange for socially distanced cash drops from your parents. If you have trouble collecting payments: 1. Contact your regional team as soon as possible. DO NOT wait! 2. Send email notifications to families with their balance due, provide ways they can make payments (please offer multiple dates/times) 3. Financial Delinquencies Volunteers handling funds are legally accountable for proceeds from the sale of cookies. Girl Scouts of San Gorgonio Council reserves the right to take any legal action it deems necessary. If there is outstanding debt by the Troop, the Product Coordinator’s position may be in jeopardy. If a troop or individual is not found to be in good standing, they will not be allowed to participate in the Cookie Program until the situation is resolved. These are the types of delinquencies and how to handle them: If the Troop Leader, and therefore the Troop, is delinquent the entire troop may not participate in Entrepreneurial Programs unless there is a new Troop Leader. If there is a new Troop Leader, the former Leader who was responsible for the delinquency may not participate. If the Product Coordinator is delinquent, then the Product Coordinator may not participate in future Entrepreneurial Programs. The troop may participate again as long as they have a new Product Coordinator. If a Parent/Guardian is delinquent the girl’s participation is limited to Direct Ship online sales or Troop Booths, where product and money do not become the responsibility of the delinquent parent/guardians. Note: Troops with outstanding debt may have their proceeds withheld until an audit is performed. This is to be determined on a case-by-case basis at the discretion of the GSSGC Finance Department. Outstanding Debt If you know there is an outstanding debt within your troop (Troop Leader, Product Coordinator, or Parent/ Guardian) let your Regional Manager know as soon as possible. Troop Coordinators will need to submit an Outstanding Debt Report. The following will need to be included in your submission: 1. Girl Permission Slip (must be signed by the parent/guardian) 2. Receipts of ALL product transfers (must be signed by the parent/guardian) 3. Receipts of ALL money exchanged (must be signed by the parent/guardian) 4. Copies of all related correspondence (call log, emails, text messages showing attempts to collect payment) o All attempts to collect need to be very specific, as these will be documented. Be sure to include dates, conversations, meetings and any related notes. 5. Girl Balance Summary Report from Smart Cookies showing the amount owed Once you have collected/printed the required documents (1-5), complete the Outstanding Debt Cover Sheet (https://girlscoutsgssgc.wufoo.com/forms/x12q4bzy1uz6pf8/). You will need to print the Cover Sheet confirmation emailed to you and turn in your complete Outstanding Debt packet at Paper Push. Note: Council will only accept a max of $300 in outstanding debt per troop unless the coordinator has been in contact with their Regional Manager prior to the end of the program. REMEMBER, as soon as you notice a family not making payments, communicate with your Regional Manager. Counterfeit Procedure If money collect is deemed counterfeit by the bank or police, you can follow the steps below to have the “debt” waived by Council. Council will only accept counterfeit bills of a $20 denomination or less, as bills larger than $20 should not be accepted. 1. Receipt Required: When the money is deemed counterfeit by either the bank or police, you must get a receipt to exchange for the counterfeit bill. 2. Complete the Counterfeit Cover Sheet: https://girlscoutsgssgc.wufoo.com/forms/x4uzfqo1yrurl0/ 3. Complete the Counterfeit Report by attaching the receipt to the Cover Sheet confirmation Stolen Product or Money Procedure If product or money has been stolen, it must be included on the homeowners or car insurance claim. You are financially responsible for the debt unless there is verifiable documentation of the validity of the theft. Council will NOT accept “police reports” in lieu of payments. Rewards & Proceeds Troop Proceed PGA Scale (per box) Bonus Proceeds (per box) < 250 83 cents 2020 Fall PGA Bonus: +2 cents 250-399 85 cents Returning Troops Cookie Initial Order: 400-549 87 cents 50% +1 cent 550-699 89 cents 60% +2 cents 700-849 91 cents 70% +3 cents 850-999 93 cents New Troop Recommended Initial Order 1000+ 95 cents (10 cases per girl): +1 cent Standard Reward Plan Girls earn the patches, rewards and Cookie Dough based on the Standard Reward Plan insert This reward plan is available to select per girl in ABC Smart Cookies Extended Cookie Dough Reward Plan This plan allows girls to earn additional Cookie Dough instead of the lower-level items included in the standard reward plan. Girls on this plan will still earn the patches and can qualify for the Walkabout and Goal Getter Rewards. This reward plan is available to select per girl in ABC Smart Cookies Opt-Out Proceed Plan - Opt-Out Applications are due January 4 th , 2021 Requirements: 1. Troop must agree to Opt-Out as a whole; girls may not Opt-Out individually 2. All age levels can submit an Opt-Out Request. Approval will be based strictly on the programming intentions of the Troop, rather than their age group like in year past. 3. Troops who are approved for opt-out will have their Troop Financial Report (TFR) reviewed, specifically to ensure that the opt-out proceeds were used as planned per the request. 13 Due to COVID 19, there may be periodic updates or changes to the dates, procedures and information provided in this guide.
Opt-Out FAQs What does the Troop Earn? An additional $0.30 over base proceeds. How do we decide if we want to opt-out or not? Top Sellers Regional Top Sellers Each region works to honor all of their Top Sellers and their tremendous efforts during the 2021 Cookie Program. TWO Top Sellers from each participating Troop 1st through 3rd place in each level (D, B, J, C, S, A) 1st through 3rd place Regional Overall Top Sellers 1st and 2nd place top sellers must be clear in your Troop for them to be invited to the Regional Top Seller Events. Ties for the top 2 spots will not be accepted! Council Wide The 1st, 2nd, and 3rd place OVERALL Council Top Sellers will be recognized The 1st, 2nd, and 3rd place Council Top Age Level Sellers (D, B, J, C, S, A) will be recognized Note: OVERALL Top Sellers are the top-selling girls in our Council and therefore will not be honored in the "Top Age Level" categories. Closing out the Troop’s Cookie Program Paper Push, likely to be virtual for 2021, is a day set aside for our Volunteer Teams to close out the Cookie Program with every Troop Coordinator (mandatory) and is the deadline for any changes made or debt reports to be submitted. Failure to attend will result in the closure of your Troop as Smart Cookies stands and may result in incorrect reward choices, miscalculations of proceeds, etc. Connect with participating families to close out each girl’s sale including completing booth transfers, reward selections, etc. Collect and deposit all outstanding monies Confirm Troop Inventory is at 0 Review the Recognition Order Summary by Girl Report in Smart Cookies Once everything has been verified in Smart Cookies, print the Recognition Order Summary by Girl Report and the Troop Balance Summary Report.
