Vision We will be the model for private/public cooperation making pickleball accessible to all by creating a positive pickleball experience in the Quad Cities area. Values Sportsmanship Accountability Volunteerism Generosity Logo and Slogan The logo and slogan were selected for their simplicity and message. The stick figure is gender neutral and shows proper playing form to keep the paddle up. The two words Prescott Pickleball can refer to the Prescott Pickleball Association, the Prescott Pickleball Courts, or the website PrescottPickleball.com. The words A Paddle Above represent our Vision statement – quality and excellence to be a model for others. PRESCOTT PICKLEBALL ASSOCIATION The Plan Introduction Welcome to the Prescott Pickleball Association’s Strategic Plan 2018-2021. This document is designed to assist the Board of Directors’ decision-making processes as well as prioritize activities and resources over the next three years. Background Vice President Kevin Costa raised concerns over the Board’s increasing and problematic lack of direction. Topical issues were discussed, opinions were shared, but no tangible results were achieved. As a result of the conflicting messages to the general membership, Kevin felt that a long-range plan will provide the Board with the focus it was lacking. On May 1, 2018, the PPA Board of Directors (BOD) met for their regularly scheduled meeting. One of the agenda items was the discussion of creating a strategic plan. The importance of planning was presented by Kevin including the critical component of good management and governance, the understanding of the need for annual programs and program-focused work plans, and the planning beyond the next year or two. Kevin also presented the steps to complete a strategic plan. The steps encompass agreeing on the planning process; carrying out an environmental scan via a SWOT (Strengths, Weaknesses, Opportunities and Threats) analysis; defining or reviewing the organizations missions, vision and value statements; developing a series of S.M.A.R.T. (Smart, Measurable, Achievable, Relevant, Time-bound) goals; developing action items; finalizing a written strategic plan that summaries the results and decisions of the planning process; and building a procedure for monitoring and modifying strategies based on changes in the environment and/or the organization. The BOD decided to create a Strategic Planning Committee (SPC) with the goal of developing a 3-year plan for PPA with Vision and Mission statements and specific goals. Once published, this plan will be presented to the PPA membership and the City of Prescott. The SPC was comprised of a diverse group of 20 individuals, each providing unique experiences needed to complete a task of this nature. Two full-day workshops were conducted on July 21 and August 4. The information gathered was taken by the Publishing Committee and formatted over several weeks into the PPA’s first published strategic plan. Conclusion Using the PPA’s Mission, Vision and Values statements, along with the results of the SWOT analysis, the SPC created four focalized goals also known as Strategic Priorities, each with a set of action items. The four Strategic Priorities are: Continuous Improvement and Maintenance of the Pickleball Complex Fundraising Efforts with an Emphasis on Four More Increase Volunteer Base Increase Programs and Events 6 Strategic Plan 2018-2021
PRESCOTT PICKLEBALL ASSOCIATION Strategic Priorities and Action Items Ongoing Improvements and Maintenance of the Pickleball Complex The Pioneer Park Pickleball Complex is a City of Prescott (COP) recreational facility in which the PPA has limited roles and responsibilities associated with ongoing maintenance and improvements. It is our goal to maintain existing relationships and lines of communication to openly discuss the pickleball complex needs, especially those that require approval through the COP budgetary process. On the other hand, the PPA has been and will continue to be an active participant in general maintenance through member volunteers. To accomplish both improvements and maintenance, the following action items have been created: Create a PPA operating budget Increase awareness of and input toward Parks and Recreation’s budgetary process Evaluate future complex facilities and improvements Evaluate options for shade and potential locations Evaluate grounds needs and/or improvements including east berm along the rear of courts, vegetation, trees, and gravel Create maintenance cadre and rotation schedule to include amongst other issues courts, paddle holders, net heights, shed organization and wind flags Strategic Plan 2018-2021 7
PRESCOTT PICKLEBALL ASSOCIATION Increase Fundraising Efforts with an Emphasis on Four More Eight courts currently exist at the Pioneer Park Pickleball Complex, which was made possible through a public/private partnership that included the City of Prescott, Yavapai County and the PPA. This partnership accelerated and streamlined the process, greatly reducing the impact to the COP and shortening the timeline for construction, thus benefiting our members. The Arizona Community Foundation (ACF) proved to be invaluable to this process as the PPA was able to create a 501(c)(3) status allowing for tax deductible contributions. The ACF continues to be a valued partner through expanded services to our Association. The PPA will continue to fundraise for complex expansion and capital improvements through the following action items: Develop a formal fundraising plan Evaluate fundraising for expansion to include parking and amenities Evaluate and implement annual fundraising for maintenance and improvements 8 Strategic Plan 2018-2021
PRESCOTT PICKLEBALL ASSOCIATION Increase Volunteer Base Pickleball is recognized as the fastest growing sport in America. The potential for growth in both the number of players and PPA members is unlimited. The PPA already has members that are recognized as United States of America Pickleball Association (USAPA) Ambassadors, Certified Referees and Ranked players. Our membership enjoys a website second to none. However, the website, court bulletin board, and general membership emails do not appear to reach all of our members or the general public in an effective manner. The PPA recognizes that community awareness, involvement, and participation is inadequate and seeks to improve communication, membership, and the volunteer base through the following action items: Increase membership and identify incentives Increase volunteer base/workforce Create a document identifying member profiles and talent/skillset Improve member and public/HOA communication processes Create succession planning guidelines Evaluate existing by-laws and update including expanded positional requirements Improve BOD participation to include follow-up and follow-through Create public relations leadership role Strategic Plan 2018-2021 9
PRESCOTT PICKLEBALL ASSOCIATION Increase Programs and Events The City of Prescott recognizes the value of adding pickleball courts to their existing Parks and Recreation programs. Members and newcomers can participate in Open Play, Challenge Play, or be invited into one of the skill-based round-robin groups. Two major program accomplishments this year included the first USAPA Sanctioned Tournament in Northern Arizona and the first Youth Month Program geared toward increasing youth awareness and exposure to the sport. The PPA recognizes that future programs and events can only be successful through identifying trends and localized needs of our members. To ensure this success, the following action items have been created: Create programs that benefit only members Evaluate demand for organized leagues Evaluate and determine number and types of tournaments Create beginner, intermediate and advanced lesson plans Create beginner, intermediate and advanced classes Develop a program to create revenue-generating one-day events Create non-pickleball revenue, generating social events Re-evaluate court use (schedule of play) 10 Strategic Plan 2018-2021
