MAKING AN APPOINTMENT WITH YOUR DOCTOR ABOUT A ROUTINE MATTER If your problem is non urgent or is a follow up to a previous consultation, you can make an appointment by calling us on 01242 602307. Alternatively, if you ask at reception, you can obtain a password for internet booking. All appointments with our GPs are ten minutes long and are for one problem only. If you have two problems, kindly book a double appointment. We endeavour to offer routine appointments within one week with at least one of our GPs. Often our GPs have to take time out for meetings, clinical development or annual leave and this can push their waiting times up. From time to time we need to use locum doctors to keep our waiting times to a minimum. When you register with the Practice you will be allocated a usual Dr who will be your main point of contact but you are welcome to see any GP in the Practice and can request to change your usual Dr if you wish. MAKING AN APPOINTMENT FOR A MORE URGENT PROBLEM If you are feeling unwell or have an urgent medical problem that you wish to discuss with a clinician, then give us a call as early as you can. Our reception team are trained to manage your call accordingly and you will either be offered an appointment with a GP or with our Nurse Practitioner in our Acute Illness Clinic the same day or signposted to a more appropriate specialist. If you call later in the day and we have run out of appointments, the Doctor will be sent a message asking them to consider whether you need to be seen on the same day or if your problem can wait. This allows us to prioritise those who really require our care at a time when demand is extremely high. Our reception team are also trained in recognising symptoms of an extremely urgent nature and, depending on what you describe, they may advise you to attend the surgery immediately or telephone for an ambulance.
ACUTE ILLNESS CLINIC Our AIC is a surgery that takes place every day into which all patients with minor illnesses or less complex conditions are offered same day appointments. Examples of conditions for the AIC would be coughs, colds, viral infections (flu), rashes, shingles or medication queries. Most days the AIC is run by Nick Puffett, our Advanced Nurse Practitioner. The AIC does not offer appointments for children under 2 years old. REQUESTING A HOME VISIT We do provide a home visiting service for those patients who are too ill or too frail to attend the surgery. If you need a home visit please phone us before 10:30am (except in genuine emergencies) as this helps our doctors to plan their time efficiently. For callers after this time it may not be possible to arrange a visit for that day. Remember that the surgery is set up to assess patients and we have a much greater range of equipment available at the surgery, such as ECG machines, good lighting, resuscitation facilities and so on, than we can provide to patients in their homes. It may be impossible to examine someone properly at home. EMERGENCIES AND OUT OF HOURS CALLS On weekdays between 6.30pm and 8.00am the following morning and throughout weekends and Bank Holidays you can call the main surgery number 01242 602307 and you will be transferred to NHS 111 who will ensure that you get the medical attention you need, if appropriate. If there is any threat to life you should not hesitate to call 999 for an ambulance. EXTENDED HOURS APPOINTMENTS We also offer some early morning weekday appointments and some Saturday morning surgeries offer GP appointments for routine problems along with some Nurse led appointments. These surgeries are skeleton surgeries so emergencies or urgent requests cannot be dealt with.
APPOINTMENTS WITH OUR NURSES The Practice is extremely lucky to have a team of three Practice Nurses (Wendy, Cheryl and Lauren) and two Health Care Assistants (Annita and Donna) as well as our Nurse Practitioner, Nick. Our nurses offer annual review appointments for those who suffer with chronic diseases, cervical smears, coil checks, smoking cessation support, blood tests, ear syringing, foreign travel, childhood immunisations and more. During the autumnal months our nurses play an integral part in ensuring all patients at risk are vaccinated against flu. THE DISPENSARY Winchcombe Medical Centre is able to dispense medications to those patients who live more than one mile away from a retail pharmacy. For the most part, this covers patients in all outlying villages and some areas of Winchcombe. Our Clinical Pharmacist is Aitzol Calleja Tolosa who assist with medication reviews and medication queries. The dispensary team (Sam, Liz, Lynn, Annie, Nadine and Kate) will also print the repeat prescriptions for patients to whom we do not dispense. We require 2 full working days between your request for a repeat and you calling to collect it. If you request something that is not on repeat then a message has to go to the GP before it can be authorised. This can take up to one week. The safest and easiest way to request your medication is by signing up to SystmOnline. Simply ask for a form at Reception and you will be issued with a password. Alternatively you can request your prescription in writing at the surgery. The dispensary does not accept incoming phone calls but they do have an answerphone where you can leave any medication queries and they will call you back. DISTRICT NURSES The Practice is supported by a team of District Nurses who offer care in the community to those who are housebound or suffering with a terminal illness. You can contact the District Nursing team via 0300 421 6070 option 2.
WE ARE ALSO SUPPORTED BY IMPROVED ACCESS APPOINTMENTS From 1 April 2018 the following practices are participating in a pilot scheme to offer SEVEN DAY access to a GP or Advanced Nurse Practitioner appointment: Leckhampton; Cleevelands; Sixways; Stoke Road and Winchcombe Medical Centre. This means that appointments will be available at one of the listed practices on a rotating basis outside of normal working hours. These appointments are pre-bookable through your normal practice, but please note there is no telephone access to the surgeries after 6.30pm Monday to Friday or at weekends. For urgent appointments, on Saturday afternoons and all day Sunday up until 8pm, a county- wide service will be provided from three central locations in Cheltenham, Stroud and Gloucester. We hope that our patients will find these ‘Improved Access’ appointments helpful, particularly those people who need to book appointments outside of normal working hours. VISITING PHLEBOTOMIST We have a weekly clinic where a hospital Phlebotomist (blood taker) attends. This clinic is on a Friday morning and we endeavour to put all appointments for blood tests into these slots. MIDWIFERY SERVICE Our community midwife leads all antenatal care for expectant mothers. She offers appointments at the surgery on Wednesday afternoons. Messages can be left for our midwife at the surgery or if more urgent, she can be contacted on 0300 421 6175 and requesting the antenatal clinic. OTHER SERVICES ON-SITE PODIATRY Gloucestershire Care Services host a podiatry clinic three days a week at Winchcombe Medical Centre. SERVICES WE PROVIDE CRYOTHERAPY Two clinics are held each year for cryotherapy appointments. Please make an appointment with your doctor for an initial assessment, after which you will be placed on the waiting list and notified by letter when a date can be offered for your cryotherapy. We have a leaflet available online and in the surgery if you are interested in this service. These are: The Contraceptive Injection which lasts between 8-13 weeks The Contraceptive Implant which lasts up to 3 years The Intrauterine System which lasts 3-5 years The Intrauterine Device which lasts 5-10 years For more information regarding any of these options please book a telephone appointment to discuss suitability FLU Please support your surgery by having your flu jab with us. The funding helps us provide services to our patients. Patients in the following groups are entitled to a free flu vaccination each year. We publish our dates in early September, so keep an eye out! • Patients over 65 • Those aged six months to under 65 years in clinical risk groups • Pregnant ladies MINOR SURGERY A special clinic is held for minor surgical procedures. Please make an appointment with your doctor for an initial assessment, after which you will be placed on the waiting list and notified by letter when a date can be offered to you for your minor surgery.
TRAVEL VACCINATIONS We all love a holiday and we are pleased to be able to offer a travel vaccination service. However, this work is not described as core work and, for this reason, it is chargeable and it is also not something that we can squeeze in at last minute as our NHS patient work will always take priority. If you would like us to administer your vaccinations for travel, please allow at least six weeks before you depart and complete our travel vaccination questionnaire (available on the website or at reception) before making your appointment. MINOR INJURY SERVICE We are also pleased to offer our patients a dedicated Minor Injuries service. This service is run by our team of nurses and supported by our GPs. If you or someone you are with suffers from a Minor Injury (laceration, fall, bite etc) you can attend the surgery straight away for an appointment. Phoning helps us to make necessary arrangements to treat you but is not essential. We hope you find this service reduces unnecessary visits to A&E. The only exclusion from our Minor Injuries service is suspected broken bones. We do not have X-ray equipment on site so would need to refer any patients attending with a suspected broken bone on to the larger hospitals. CHAPERONES All patients are entitled to have a chaperone present for any consultation, examination or procedure where they feel one is required. Please ask for a chaperone if required, at the time of booking an appointment, if possible, so that arrangements can be made and the appointment is not delayed in any way. Our healthcare professionals may also require a chaperone to be present for certain consultations and this too should be indicated to you prior to the appointment for the same reasons.
THE PRACTICE MANAGEMENT TEAM The Practice Management team handles all non-clinical aspects of the practice. The team is led by Melissa Parsloe with Clare Burton as her assistant and Jane Parry as Reception/Admin manager. RECEPTION TEAM The Reception Team is made up of Sara, Shelly, Carol, Jayne, Helen, Amanda, Annabel and Lauren. They will help you make appointments and advise you how to choose the right service for your medical needs. SECRETARIES Leanne, Greer and Helen are our practice secretaries, managing all onward referrals for secondary care. You can contact the secretaries via the main reception number. SUMMARISER Our summariser Clare processes records coming in from patients’ previous surgeries, and processes letters on behalf of the doctors. DISABLED ACCESS The practice has full wheelchair access with a lift to the first floor areas and a disabled toilet on both the ground and first floor.
CONCERNS, COMPLIMENTS OR COMPLAINTS The Practice Management Team lead our complaints process and will conduct full investigations into any complaints they receive. Our complaints procedure is available at reception or on the website. The Practice Management Team will also gladly meet you or chat over the telephone to address any lower level concerns. The Practice is committed to continuous improvement and discusses all concerns, complaints and suggestions at full team meetings. STAFF TRAINING DAYS Five times a year we close the surgery for an afternoon for essential staff training. On these dates calls to the surgery are handled by an expert messaging company who will ensure anything urgent is prioritised accordingly. We publicise these dates well in advance. RESEARCH As a research practice we work in partnership with the National Institute for Health Research and other local GP practices who form the Cotswold Research Collaboration. This research is exciting as it helps to create new knowledge and inform good practice. Patients at our surgery have been able to take part in national studies from Oxford University, University of Southampton, Cardiff University. A wide variety of General Practice illnesses have been studied such as asthma, coughs, urine and ear infection to sore throats. TRAINING Winchcombe Medical Centre is a training practice, which means that from time to time we have clinical students here on attachment along with four work experience students a year. We will always advertise this in the waiting room and you will be advised by reception if there will be a medical student present during your appointment. If you would rather that they were not present, please advise reception. The Practice also often has GP Registrars (fully qualified Doctors in the final stages of their GP training) working with us, under the supervision on one of our GP trainers.
ZERO TOLERANCE POLICY Staff treating patients have the right to work free from threat of fear or violence. The NHS nationally has adopted a Zero Tolerance policy. If any patients are abusive or violent towards any member of staff of any other person on the Practice premises, the Practice retains the right to have the patient removed from their list. PATIENT CONFIDENTIALITY AND DATA PROTECTION Every member of staff who works for an NHS organisation has a legal obligation to keep information about you confidential. Anyone who receives information from an NHS organisation has a legal duty to keep it confidential. We maintain our duty of confidentiality to you at all times. We will only ever use or pass on information about you if others involved in your care have a genuine need for it. We will not disclose your information to any third party without your permission unless there are exceptional circumstances (i.e. life or death situations), or where the law requires information to be passed on. Please refer to our website for our privacy notice or ask for a copy at reception. WE ARE HERE TO HELP...PLEASE HELP US BY KEEPING THE FOLLOWING IN MIND... Please arrive on time for your appointment and check in on the electronic touch screen or at the front desk. We know that sometimes we keep you waiting and we apologise for this. Our industry is not always predictable and we will endeavour to keep you informed if our clinicians run late. Please notify us if you wish to cancel your appointment, have changed address or phone number. Please do not bring another person with you for a consultation during your appointment. We only have ten minutes for each appointment so each patient needs their own appointment. Please always approach us first for non life threatening medical problems. Patients who attend A&E inappropriately cost the NHS a huge amount each year. Please understand when we cannot offer you an urgent appointment at the exact time that you wish. We will always try our hardest to meet your timescale but if your complaint is urgent, you need to prioritise your health over your work or other commitments.
PATIENT PARTICIPATION IS REALLY IMPORTANT TO US We are extremely lucky to have a highly active Patient Participation Group which supports the Practice, collates feedback and analyses surveys, rallies for increased local health services and arranges free health awareness events. If you are interested in becoming involved in the group, please check out the details on our website. SO MUCH SUPPORT AND INFORMATION ONLINE...
