LIANZA CONFERENCE 2021 3 WELCOME We take great pleasure in inviting you to attend the Library and Information Association of New Zealand Aotearoa (LIANZA) 2021 Conference. LIANZA is the national professional organisation for the New Zealand library and information sector. Our vision is ‘People and communities connected and empowered by information’ Having just managed our way through a year unlike any we have experienced before we are anticipating the opportunity to come together, review our experiences, share our knowledge and look to the future. The LIANZA conference is an engaging and valuable meeting where library and information professionals share and update their knowledge through inspirational plenary sessions, engaging breakouts and focused workshops. The 2021 conference will, for the first time, offer a full hybrid meeting which will extend participation to both in-person and online audiences. This format will deliver a highly engaging programme to both audiences, providing broader flexibility and participation than previously possible. We anticipate hosting 300 attendees onsite and 200 + online with a programme specifically designed to engage and interact with both audiences. Our sponsors and exhibitors are an essential element of the conference by supporting the meeting and providing an opportunity for our professionals to gain valuable industry information and updates. LIANZA CONFERENCE 2021 5 POSITIVE FEEDBACK FROM DELEGATES The atmosphere of the conference was positive welcoming and warm, catching up with colleagues from other libraries and meeting new people, the presentations which enabled me to increase and update my knowledge. As a first time attendee, I loved – 2019 delegate everything about the conference, the connection, the learning, and being inspired to step up higher in my role. – 2019 delegate VENUE & PL ATFORM The 2021 LIANZA Conference venue is Te Papa Tongarewa, Museum of New Zealand, in Wellington. We are delighted to be holding our Conference within the vibrant hub of Te Papa, an organisation that operates within our own LIANZA community. We will be utilising a wide range of rooms providing a spacious theatre, multiple breakout rooms, intimate discussion areas and good accessible exhibition space. Final timings will be published in the Sponsorship and Exhibition Manual. EXHIBITOR STAFF PASSES An allocation of Exhibitor Staff Passes is included in each sponsorship package. These passes include morning tea, lunch, afternoon tea and the Welcome Reception but do not include attendance to any of the sessions. Sponsors will receive access to an online form to register staff. Additional Exhibitor passes may be purchased at NZ$350 plus GST per person. SPONSORSHIP AND EXHIBITION MANUAL A manual will be distributed to all sponsors four months prior to the Exhibition. The manual will contain details of the online registration process for staff, the pack-in / pack- out schedule, supplier contact details and forms for exhibition and sponsor Conference promotional requirements. ACCOMMODATION Sponsors will be able to book accommodation at Conference hotels. LIANZA CONFERENCE 2021 25 TERMS AND CONDITIONS Bookings and Payment: 1. All prices are quoted (unless specified) in New Zealand dollars and exclude GST (Goods and Services Tax). 2. GST is required to be applied to all packages at the rate prevailing at the date of invoicing or payment, whichever is earlier (currently 15%). If you are registered for New Zealand GST with the New Zealand Inland Revenue Department, the GST paid may be reclaimed on your GST returns. 3. Sponsorship packages and exhibition space will be allocated only on receipt of the signed booking form (on a first come basis per sponsorship level). 4. Confirmation will be sent together with a tax invoice for the full amount. The invoice is payable within 20 days of date of tax invoice. If the payment is not received within this timeframe then you relinquish your right to the requested sponsorship package and exhibition space. 5. Should you require the cost of the payment to be split please contact the Sponsorship Manager. All monies due will be invoiced in full by 30 June 2021, to be paid by 20 July 2021. 6. Applications for packages with a total value of under $5,000, or applications made after 1 February 2020 will be invoiced for the full payment. 7. All payments should be made in New Zealand dollars by bank transfer or credit card (Mastercard, Visa or American Express). Payments made by credit card will attract a 3% fee to cover commissions. All payments due must be received by the Conference Managers prior to the Conference. 8. LIANZA reserves the right to decline sponsors or exhibitors. 9. No sponsor or exhibitor will be allowed to set up their exhibition stand at the Conference until full payment has been received. 10. Sponsors or Exhibitors may not assign or sublet any part of their exhibition space. 11. Sponsors and Exhibitors agree not to hold offsite events that may remove delegates from the conference and exhibition venue during exhibition hours. 12. The Organising Committee may need to make changes to the floorplan, however, changes will not be undertaken without prior discussion with the companies affected. 13. Sponsors and Exhibitors consent to their contact details being shared with Conference suppliers and contractors. Stands: Sponsors installing custom designed stands must provide the contact details of their appointed stand contractor, a plan showing full design dimensions and a graphic of the stand design. All custom build stands must be approved prior to the Conference. Please email these to the Sponsorship and Exhibition Sales Executive at lianza@theconferencecompany.com by 31 August 2021. Furniture hire, barcode scanner hire and provision of internet connections is not included for any of the above packages. These items may be hired from the official Conference contractors. Contact details will be provided in the Sponsorship and Exhibition Manual. Cancellation Policy: If notification of cancellation of sponsorship is received in writing: • between 30 April 2021 and 31 July 2021, you are liable for 50% of the package selected • from 31 July 2021, you are liable for 100% of the package selected. The Organising Committee reserves the right to cancel the Conference in case of circumstances beyond its control. In such a case all monies paid to date will be refunded in full less any expenses incurred. The liability of the organisers will be limited to that amount.
