Gmail Gmail within G Suite and G Suite Education for Work is the enterprise web mail provided by Google for enterprise use within an organization's’ own domain name and control. Gmail provides business email including advanced spam filtering, instantaneous message search, integrated text, voice and multi-person video chat and other productivity enhancements such as Priority Inbox. Gmail is accessible on any mobile device through a standard email app and has dedicated mobile apps for iOS and Android. Google Docs supports images, tables, equations, drawings, links and more. Social commenting allows for a quick gathering of feedback and approvals from the right people. Each Printer has a license or is an account within G Suite 2.3 Management and Reduction of License Many organizations are buying licenses they would ordinarily not need for G Suite or for other competitive products such as O365 make you pay than they would need. Email: sales@pawait.africa www.pawait.africa KRA/VAT PIN. : P051426617A 2.3.1 Use of Email and Domain Aliases G Suite has a feature that allows for creating alternative email addresses to users that can send and receive emails through a main user’s inbox at no extra cost. ➢ For instance, let us assume the company has over 10 branches or departments and each have an email address such as branch1@abc.com. This department addresses are accessed by the manager who as well has a unique email address such as manager1@abc.com . We can create up to 10 aliases accounts per user and hence offer substantial savings on license charges. ➢ Using individual aliases, we can reduce this by creating branch/department alias that is owned by the manager so that manager1@abc.com both can send and receive emails from both manager1@abc.com and branch1@abc.com . ➢ If you have more than 1 domain that you use in your organization, we can as well add a domain alias or multiple domain aliases to give all users email aliases in the other domain so that say; ➢ If our main domain is abc.com and we have another domains abc.net, and we have users in abc.com with email addresses such as test@abc.com and would love the same users to have the same email on the other domain so that if any user confuses sending an email to test@abc.net instead of to test@abc.com, the emails are delivered to the same user in the primary domain abc.com without any committing for new licenses. ➢ This feature could save the organization license costs ranging from 10-40% 2.3.2 Use of Shared Inboxes though Group Inboxes G Suite through the Groups service allows for shared inboxes between teams with various rules for sending and receiving emails such as blocking the public from sending emails to the group.\ 2.4 Security Management/Measures G Suite has a wide array of security features that serve to protect the organization from threats posed to email. In addition to the default email encryption and https enforcement for access of your organization email, which protects your email from being intercepted by intruders, there are additional slightly sophisticated measures that make your organization email and data even more watertight and protected. Some of the security measures we shall put in place include; 1. Encryption; All data in G Suite Gmail and Google Drive are by default encrypted on transit and on rest. Two Step Verification (2FA/2SV); Enable for use across organization or particular OUs 2. Password Enforcing; Enforce Secure Passwords, password changing durations and unique passwords for all users 3. Activity Auditing; Enable and enforce G Suite Sends admins notifications and where possible, blocks an account if it suspects it has been accessed by suspicious users by way of new IPs etc. 4. Less Secure Apps Blocking; Enable and enforce blocking less secure apps and password specific for such Apps such as Outlook. 5. Spamming Control; Gmail has a strong inbuilt anti-spamming that reduces up to 99% of spam. Train ICT to whitelist/blacklist domains. Also train to show users to mark as spam from inbox 6. Phishing and Spoofing Control; Deploying SPF, DKIM, and DMARC policies that would make it impossible for one to forge emails from your domain. This would do away with such threats 7. Manage Data Sharing through Google Drive; Manage data sharing or external and internal parties. Train users on the various sharing options within Google Drive 9
