VIRTUAL PLAYBOOK OVERVIEW This Playbook will describe the procedures for the State Championships and provide a resource for questions. The 2021 Washington Men’s Gymnastics State Championships is taking place on the virtual platform of Google Drive. This is a sanctioned event. All SafeSport and USA Gymnastics policies must be followed, including but not limited to: no flash photography, only active USA Gymnastics members may be allowed on the competition floor, etc. Due to ever changing local restrictions, it will not be structured as real-time/same-day in case gyms are still in Phase 1 and only allowed to “train/practice”. STEP 1: REGISTER DEADLINE HAS PASSED Athletes & Coaches For State Championships • Register like any other meet on usagym.org • Send your entry fees immediately to: Mt. Baker Gymnastics 1635 S Walnut St. Burlington, WA 98233 • As per discussed in the 2020 State Meeting, the entry fees will remain the same: $100/athlete $125/athlete if also competing Technical Sequences STEP 2: SCHEDULING COMPLETED Your Team’s Video Recording Time • E-mail Kristin Miller, usagymwa@gmail.com the date & time(s) your gym will be recording & uploading routines. • Due to larger teams and/or state restrictions, please indicate if multiple times/sessions are needed. o If your gym is in Phase 2, you must also provide a back-up schedule if the local region is bumped down to Phase 1. • A judge will be assigned to overview the recording process, either virtually or in-person. o This oversight judge is to ensure only one attempt, proper warm-up procedures are followed, and local COVID restrictions are being followed. • If you need help with the scheduling, please contact Kristin Miller, usagymwa@gmail.com • Video submission/upload Deadline o Friday, March 12, 10:15pm PST o If your schedule meet extends past this time, your routine(s) will not be judged. 2
STEP 3: GOOGLE DRIVE SET-UP Coach(es) Uploading Videos • A set of Google Drive folders will be shared with your gym on Friday, March 5, 2021. o These folders are specific to your gym o Each gym will receive links to six folders (one per event) o Per SafeSport and USA Gymnastics Rules & Policies, please do not share the videos that you upload to the Google Drive folders (or the link to the Google Drive Folders). • An athlete roster will be provided to your gym. o The number to the left of the athlete name is the athlete’s competition number. o This number needs to be added to each athlete video. • Labeling the videos: o Rename each video file with the athlete’s number (from the athlete roster provided) and name. ▪ If you have two athletes in the same level, please include their last name in the video file name. o Example file name: 7033Kristin ▪ Note: I want to keep the file names short and sweet, so there is less data entry. ▪ Note 2.0: You can change the file number before or after you upload the videos to the appropriate Google Drive folder. Just make sure you rename the video file. • Recording the videos: please say the athlete name, level, and division just prior to or during the salute of the gymnast. o This is to help you, in case things get shuffled in uploading Athletes/Parents • Can watch each other at your in-house events that follow State of Washington COVID-19 regional restrictions and guidelines. 3
STEP 4: MEET DAY Recording Guidelines For Best Recording • USA Gymnastics Virtual Competition Playbook for video angles o The entire event must be in view ▪ No following giants around the bar, we need to see the swing and the handstand on events ▪ You may track the athlete from salute to run through the vault and landing (as we have to judge the run in compulsory routines). ▪ If you are not sure, ask your onsite observing judge for the best location to film from o This was also e-mailed to you with this document. • Put the phone on “Do Not Disturb” to avoid notifications. o This prevents disruptions for the judges viewing. • Use Wi-Fi, as this tends to be faster for uploading videos. o Identify the areas in your gym with the best wi-fi prior to your scheduled meet day. o Consider recording the videos, confirming you have all the videos, then renaming and uploading them to Google Drive • Video Quality Recommendations o HD 720p or, o Full HD (FHD) 1080p (30fps) • Use landscape perspective on the phone on a tripod Warm-up • USA Gymnastics competition guidelines must be followed. o Only active USA Gymnastics members allowed on the floor. o No flash photography. o Provide a general warm-up (20-30 minutes) o Provide event warm-up time 4
▪ 1 minute per athlete for each event for compulsories ▪ 1 minute 30 seconds per athlete/event for optionals • Local COVID Regulations must be followed. o The latest Washington guidelines were e-mailed. o Masks when not actively competing. o Following occupancy standards (may be limited in Phase 1) o Small groups and maintaining distance as feasible. Competition • The gymnast needs to be ready to salute • Press the record button. • Quickly ensure the phone is recording. • Gymnast salutes the camera and competes his routine. o Briefly announce the gymnast name and level. • Upon landing, he salutes the camera, stop recording. o That’s the routine, just like in-person competition. • Open the appropriate Google Folder (apparatus and level) o Upload the competitor’s video and rename with the following format: NumberName ex: 7033Kristin o Note: Tech Sequences only will use TSNumberName ▪ Ex: TS1403Kristin • Repeat this process with the next gymnast. Parent Viewing – In-person only • Per SafeSport and USA Gymnastics policies, videos uploaded on Google Drive will not be shared with anyone outside the gymnast, coach, and legal guardian of the individual athlete. • Just like any other competition, if they choose to film their athlete in-person from the spectator area, that is okay. Judging • Judges from Washington will be assigned by the WGJA Assigner o One judge panel per event o One in-person or virtual judge to observe in-house 5
o Judging begins March 13, 2021 at 8:00am. o Judging ends March 13, 2021 at 6:00pm. • Guidelines for consistency: o Routines will be judged by level in the following order: ▪ Level 6, 7, 8, 9, 10, TS, JD, 5, 4 ▪ A judge is allowed snack breaks, a lunch break, a dinner break, and restroom breaks as needed; as long as they complete their assignments in a timely manner. ▪ This allows for the judges to warm-up and complete the more difficult routines before fatigue sets in. ▪ Also allows coaches a little more time to inquire about the D- score (especially for optional athletes). See next bullet point. o Do you have a D-score inquiry? ▪ By March 6, 2021, a document from WGJA will be sent out to outline common questions such as this. ▪ This will also be located in the inquiry folder shared with everyone. ▪ The inquiry form can be submitted on March 13, 2021 between the hours of 6pm and 10pm. You can expect a response that night. • Any inquiries received after 10pm will not be considered. Any received prior to 6pm will be considered. o Completing an Inquiry (only if you have an inquiry) ▪ Print out or download the template • Please start typing in the provided template while it is in in the Google Drive folder! ▪ Complete the template to the best of your ability ▪ Submit your completed inquiry form to: • Judge.Boman@gmail.com OR • Upload into the shared inquiry folder • You can scan, use a picture, or upload the doc 6
o Landings/Equipment Guidelines ▪ Soft landings allowable only if a regular landing surface is not available or would provide undue burden to rearrange your gym • Guidelines/duties for the onsite observing judge: o General warm-up time/open stretch: 20-30 minutes o Event warm-ups: ▪ 60 seconds per compulsory athlete ▪ 90 seconds per optional athlete ▪ Example: if there is only 1 optional athlete, he only gets 90 seconds to warm-up on the event. o Keep an eye on the clock, give warnings for warm-up timing, as well as fall timing. ▪ Falls will also be timed within the videos by the judging evaluating the routines. ▪ DO NOT PAUSE THE VIDEO IF A GYMNAST FALLS! o Ensure non-USA Gymnastics members stay off the competition floor unless they are essential volunteers (videographers or cleaners). o Standard equipment checks, like we are supposed to do when we are judging in-person. o Ensure all people in the building are following COVID-19 guidelines, mask wearing, social distancing, and cleaning requirements (per USA Gymnastics and State of Washington requirements) ▪ Mt. Baker and my sanctioning privilege is on the line for actions taken at other gyms! o Help gyms determine video recording angles. Benefit of the Asynchronous Model • Judges will be able to judge one level at a time. o This allows for greater consistency between scores. ▪ Think of those in-person sessions where the judge must keep track of 9 different rules for Levels 6-10, JD! 7
• Able to follow Phase 1 and Phase 2 COVID restrictions by spreading out recording sessions. • No delays/waiting around due to delays in uploading or waiting for gyms in other facilities to finish routines. Disadvantages of the Asynchronous Model • Feels a little less like a competition due to no immediate score report. Scores will be completed when all videos are uploaded. STEP 5: AWARDS Athletes/Parents, Coaches Organization of Awards Presentation • Each awards session will take place on Zoom per the schedule. o The Zoom meeting and password will be provided to the coaches of the athletes who participated in that level. ▪ Example: if a gym does not have Level 6 athletes, that gym will not receive the Zoom info for Level 6 awards. o The Zoom awards will not be recorded. o Please consider SafeSport and only share the appropriate Zoom link with the parents of the athletes who participated in the level and age group (based on the schedule). ▪ I know some of their teammates may want to watch the awards session, but we want to keep the numbers low so athletes can be seen and acknowledged. During Awards o Awards will start on time! o Stay on mute and keep your video off. o When an athlete is named, he will turn the video on ▪ This will allow only those on the “podium” to be acknowledged more clearly. ▪ There will be a group salute, then please turn the video back off for the next event and/or age group. 8
Awards Schedule – Sunday, March 14, 2021 o Awards will start on time and names will be announced fairly quickly, so please be attentive. ▪ Level 6 – 1:15pm-1:45pm ▪ Level 7 & 8 – 2:00pm-2:30pm ▪ Level 9 & 10 – 2:45pm-3:15pm ▪ Level JD – 3:30pm-4:00pm ▪ Level 5 – 4:15pm-5:00pm ▪ Level 4 – 5:15pm-6:00pm o Note: I kept the Level 5s and 4s to the end of the day, just in case we go over on time due to having more athletes and age groups than the other levels. I also tried to keep the awards between lunch and dinner hours. STEP 6: POST-MEET WEEKEND Athletes/Parents, Coaches, Judges Medal/Award Distribution • Medals and Awards will be distributed in-person by Kristin Miller or by mail within 1-2 weeks of the competition. • Any coaches/judges/athlete gifts/attire will also be distributed in the same manner or mailed by Mt. Baker Gymnastics If your athlete qualified to Regionals… o Did you register for Regionals? Deadline is 3/15/2021. o All athletes qualify this year. Judges • Prepare a quick synopsis of common errors that can be sent to coaches in preparation for regionals. • Any additional instructions pre-, during, and post-meet will be disseminated through WGJA. 9
STEP 7: STATE MEETING Coaches, Judges Board, and optionally Judges Judges Meeting 2021 • For the judges only • Information will be provided by WGJA State Meeting 2021 • For judges, coaches, and gym owners • Will occur through Microsoft Teams, meeting link will be provided at least 2 days prior to the meeting. • Date Change: Saturday, March 20, 2021 at 1:00pm • Within 1 week of the meeting, an agenda will be sent out. • This is an odd-numbered year, therefore it is an election year: o If you are interested in running for State Chair, please e- mail Kristin Miller usagymwa@gmail.com the following information: ▪ Full name ▪ Role within the sport ▪ Statement for why you should be State Chair • No more than 1 page, double-spaced ▪ This information will be shared will all gyms so they are adequately informed of their options 10
