MINUTES FROM 2019 AGM Attendees: All members of the TCWO Board of Directors attended the meeting. Rebecca Coleman, and Frances Mercer, TCWO management, also attended. With the TCWO members who were in attendance, Peter McLean deemed that a quorum was established and called the meeting to order at 6:35pm. He then introduced the present members of the TCWO Board of Directors, as well as Becky and Frances. Agenda: The proposed Agenda was agreed upon without changes. Approval of 2018 Minutes: The minutes of the 2018 AGM were reviewed. Peter McLean noted that several issues arising from our last Board meeting had been addressed and resolved. This included: outdoor camera surveillance system for the upper courts, clarification of PCT (permanent court time) policy, and better promotion of competitive team participation. Dan Delorey tabled a motion to accept the 2018 minutes. Seconded by Pierre Pilon. Motion approved. Executive Reports: The following are the reports filed by the Executive members and Directors of the Board. Any discussions/questions/corrections arising from the AGM are also noted. PRESIDENT'S REPORT The past year at TCWO was, again, successful in improving the club’s financial position, enhancing the club’s facilities and providing a range of programs for both junior and adult members. Our Capital Fund continues to grow and the junior programs offered by the club through the National Tennis School reached record levels of participation. The past year saw changes to both staff and Board members. Over the past year several of our stewards have left and new stewards have been retained. Our manager, Frances Mercer, has recently returned from maternity leave. Rebecca Coleman, the club’s Interim Manager, will remain with the club as Assistant Manager. Isabelle Paris (Membership Services) resigned from the Board. We are fortunate to have Carolyn Denyer put forward her name as Membership Services Director. The club has recently retained the services of two Ottawa area tennis pros, Jonathon Adamson and Jordan Sweeny. Both Jonathon and Jordan will be available to provide lessons to TCWO members and contribute to our junior programs.
We have signed a 10 year Service Agreement with the City of Ottawa, effective 2015, which sets out the roles and responsibilities of both the City and TCWO in the operation of the facility. The past year saw many significant improvements to club infrastructure. The coming several years will see additional expenditures culminating in the replacement of the Bubble. Our Facilities Director, Chris Clarkson, will discuss in more detail our accomplishments and future plans. The financial position of the club remains rock solid. Most of the future capital expenses will be self funded thereby avoiding interest charges on bank loans. Our treasurer, Philip Cheesman, will present the club’s financial position in more detail in his report. The club continues to further the development of tennis in Ottawa by: o sponsoring junior tournaments open to all juniors in the Ottawa area; o participating in National Capital Tennis Association Leagues. Note that the TCWO team (Sweet Spots) won the NCTA team championship this year beating a team from Manotick; o organizing a variety of in-house leagues/ladders/tournaments and events targeted to all levels of play. o The club organized, in May 2019, a four day series of events hosted by Daniel Nestor one of the world’s foremost tennis doubles players. The event was very successful and well attended. o Membership levels at the club for the past winter and summer seasons were; o Summer – 165 (April to September 2018); (change of -5) o Winter – 282 (October to April 2018); (change of +29) o Annual – 185 (Current) (change of +19) o The club continues to run various social functions in both the summer and winter seasons. We will endeavour to promote these functions with more vigour to increase participation. Your Board is confident that the current year will continue to see tennis at the TCWO continue to thrive. Peter McLean President – Tennis Centre West Ottawa Peter highlighted that the major expense for the Club in the new year would be the new furnace for the bubble. More details will follow during subsequent reports from the Treasurer and the Facilities Director. He also noted that the junior programs, run by NTS, bring in $120K net into the TCWO. Finally, he updated the membership on changes to the Board and to the management team. A question was raised from the floor regarding the watering of the slippery indoor courts. During the transition from summer to winter play, grounds keeping time is split between indoor and outdoor courts. Once the outdoor courts are fully winterized, time will be devoted to maintaining the indoor courts, although they will not need nearly as much watering as the outdoor courts.
Another question from the floor asked why we need new bubble in 2 or 3 years. The present bubble was not purchased new. There is a lifespan for bubbles, and TCWO tests the fabric yearly to ascertain the accumulated wear. There are already tears and holes in the bubble. We do not want to have an non-reparable collapse and so the bubble will need to be replaced...the good news is that we will funds available in the capital funds to pay for most of this expense. TREASURER'S REPORT Revenue: Revenue overall was up for the club over the previous year: Court Fees in 2018/2019 were slightly down due to lower PCT revenue and lower court utilization. Membership fees in 2017/2018 were lower due to decreased membership and issues with our operating system made tracking membership life cycles more difficult. At this time it is possible that membership revenue is slightly understated for 2018/2019, but will correct itself in 2019/2020. Tennis program revenue slightly lower in 2018/2019 due to lower attendance of the programs and a revised contract with NTS. Expenses: The club saw a decrease in expenses in 2018/2019 due to lower repairs/ maintenance & tennis program expenses (as tennis program revenue decrease, so do the expenses) Repairs & Maintenance: in the summer of 2018 we did not spend much on trying to repair courts 10 & 11 as the board has concluded they likely need to be resurfaced. Tennis program expenses: as mentioned above, as the tennis program revenue decreases the expenses do as well. Utilities: The benefit of the investment in the new LED lighting in the dome has contributed significantly to lower hydro costs. Balance Sheet: Cash: The board has developed a capital plan and with a number of capital projects on the horizon, the board has been putting any funds available in a savings account & redeemable GIC’s to finance such projects. In regard to the ongoing issues plaguing courts #10 and #11, Phil stated that we feel that there is little benefit in investing significant funds into repairing these courts. They will be top dressed and groomed, but only a complete rebuild of these courts will bring them up to standard.
A question from the floor inquired as to why we do not get a full audited financial statement. Phil responded that it would cost around $15K. It may be necessary to do if we need some financing from our bank for a new bubble in the future. FACILITIES CHAIR REPORT Maintenance & Renovations 2019 This year $72,000 was spent on maintenance and renovations to club building and grounds. The following renovations were made: ● old wooden deck was demolished and replaced with patio deck slab and white picket railing ● 140 foot interlock brick walkway with border was added to lower courts from clubhouse building ● 3 new slabs were added along with 3 new sheds to increase storage capacity for materials & equipment ● security system with cameras giving a video feed back to the clubhouse was purchased on all courts The City of Ottawa contributed the following renovations: ● new front gate, to which we added an intercom system to control entry, especially at night ● painted one side of the clubhouse building ● installed an A/C system with oversized ductwork in the clubhouse ● replaced 2 new steel doors in office area Maintenance & Renovations Schedule for 2020 In 2020 we are replacing the 25 year dome furnace. The new equipment will have automatic backup functions and be much more energy efficient, resulting in lower winter fuel operating costs. One advantage to this system is; in the event of a power failure, the air being pumped into the dome will be heated. With the existing system, in the event of a power failure, the air pumped into the dome would be unheated cold outside air.
The other renovation in 2020 is to replace the old homemade pole and tarp tunnel system currently in use for getting from the clubhouse to the dome during the winter. The new structure will be a pergola open frame structure with removable canvas sides and top. A copy of the scope of renovations for the club is available from Chris Clarkson, Director of Facilities. Chris stated that the bubble furnace replacement will cost the Club nearly $200K. When we replace the bubble in the next few years, way may also raise the grade beam and courts by 12- 18ins in order to offset our flooding problems. A question was asked about a new canopy for the new deck. Chris says it is not in our budget right now but we can take a look at it. He also said that we looking at adding a walkway to the upper courts, along with picnic tables and benches in the upper green space. There was a question about new lights for the outdoor courts. The lights are the responsibility of the city, and they have little money for facilities upgrades. Chris is, however, going to try the old indoor bulbs in the outdoor light to see if they help visibility. He also said that he would like to add an automatic sprinkler system to aid in court maintenance. The tournament included Main and Consolation Draws and guaranteed each player 3 matches. Winning Team – Christa Cameron/Michelle Brunette Runner Up – Jennifer Stiell/Susan Simmons Viola, Marcia and Kathy hope to run this open tournament again in 2020.
SUMMER INTERCLUB LEAGUES o TCWO fielded two senior men’s doubles teams, two ladies’ doubles teams and the NCTA Mixed Doubles TCWO Ladies Doubles Blue – captained by Kathy Pilon; players were Baerbel Newman, Leesa Kirschner, Becky Judges, Olga Ivantchouk and Bonnie Lee. The team finished 2nd in Division 1 of 5 teams. TCWO Ladies Doubles Red – captained by Viola Hennessey; players were Viola Hennessey, Kathy Baird, Marcia Burdette, Helena Slozil, and Jana Ramsay. TCWO Red finished 3rd in Division 1 of 5 teams. TCWO Men’s Doubles division 1 – captained by Ken Murray; players were Ken Murray, Tomas Tomik, Mike Bradly, Maurice White, Bruce Ramsay, Paul Kriz and Pierre Pilon. The finished 4th in the league. TCWO Men’s Doubles Division 2 – captained by Fraser Taylor; 12 different members from the club were included in the matches. They finished 4 th in the league and a joint 3rd in the playoffs. Each winner received a TCWO $10 gift certificate; finalist a TCWO $5 gift certificate and the winner of the consolation match a TCWO $5 gift certificate. IntraClub Singles League: During the winter season there are 4 sessions and during the summer there are 3 sessions, with between 40 and 60 players each time. The number of divisions changes as the number of interested players increase or decrease; I have used a standard of 6 players per division to allow for a greater movement of players between divisions. Many thanks to Pierre Pilon for completing the score sheets weekly. Leagues – Our club manager is often asked about reserving courts for ‘personal’ leagues. The only leagues that have reserved courts (during the summer) are the NCTA Mixed, Wednesday MD league and Thursday LD league. With these leagues there is play both at TCWO and at the other clubs that participate in the league. Thank you to all who participated throughout the year in these and other activities, including social round robins, Tuesday morning and Thursday evening doubles and others organized by the club. The chance to play tennis in a friendly atmosphere makes the Club a good place to play, and a good one to join. All members contribute to creating that atmosphere, so thank-you all. Kathy stated that next spring she would put up a sign on the bulletin providing contact information for all captains of city league teams. This will assist members in applying for a spot on these competitive teams if they wish to participate. DIRECTOR OF TENNIS REPORT TCWO Coaching Staff: Our staff Geoff Pearce Director of Tennis, Grant Gibson, Michel Abrogoua, and Ramin Anam instructed the private and group lessons. Jordan Sweeney joined the team in January 2019. Adult Programs: Grant ran the "Lotsa Balls" program again this year. The program was full and averaged 8 people per week. People were very happy and loved all the drills off of our state of the art Playmate ball machine. Michel ran the stoke of the week and Friday drills. Junior Program:
Record 350+ children attended the fall 2018 to fall 2019 sessions. Last year was good but even better this year. In the past the Winter session (particularly Saturdays) was dramatically lower due to competition with the local ski/snowboard industry. Very happy that over the last 2 years’ winter registrations was significantly up and almost fully booked. Record Fall 2019 junior program registration with 207 children attending. National Tennis Academy Sport and Study Program: Year two for our year round program started in September for elite junior tennis players. 2 hours of tennis and 1 hour of fitness, Monday to Friday. High level coaching and competitive juniors looking to be the best that they can be. We now have a competitive program where junior athletes can train every day. The program is full. Little Aces, now called Team Tennis, registration is low. Most parents are looking for tennis instruction over match play. Summer Lessons: We added new summer lessons for 2017. Numbers were low again this year as many of the kids go to play tennis outdoors at their local clubs. March Break Camp: Registration was a little lower than 2018. Summer Camps: We now have two tennis camps: our recreational camp that we have been running for many years plus our new High Performance Camp. Recreational camp registrations were up by over 50 children. To boost the fun, we added archery tag, Stand Up Paddleboard, and weekly visits from Little Ray’s Reptiles. HP Camp ran for 5 weeks and had 50 new registrations. Great feedback from both camps. Wonderful staff made these camps rock! Tournaments: We continue to host our Sunday monthly junior singles and doubles tournaments. Daniel Nestor came to TCWO May 9-13, 2019. NTS hired Daniel Nestor to come to TCWO to run doubles clinics for adults and kids, and also support the 4 star U10-18 Boys and Girls doubles and mixed doubles national level tournament. The feedback from the clinics was excellent. All participants loved the drills and the opportunity to play and talk with Daniel about life on the pro tour. The junior doubles/mixed doubles tournament had over 115 participants. Excellent participation but tough tournament to run with the outdoor courts unplayable due to flooding. Later start date will be scheduled for 2020.
Geoff stated that the new coaching staff is working out well. Overall, programs are well attended, but there is a dip in the winter months as kids get ino skiing and other witer activities. In answering a question from the floor about sharing instructional resources across the city, Geoff stated that we do participate in the Capital Kids program. He also agreed to develop new promotional handout material that could be provided to non-TCWO members. Geoff will also look at improved cleanup on the indoor courts after junior programs are completed. There were some complaints about junior programs using courts #4 and #5, particularly on Mondays and Tuesdays. Geoff and the management team will review the court bookings for these programs. There was a suggestion to sweep courts after play to maintain court playability. It was decided that sweeping equipment will be proved for each court, and it will left to the players coming on the court as to whether or not they want to sweep before starting play. Geoff also confirmed that we do have a ball machine for rental. We need to better advertize this service in the clubhouse. VOTE ON CHANGE TO THE TCWO CONSTITUTION The present wording of clause 4.1.3 reads: "There shall be a minimum of three (3) and a maximum of six (6) Director positions. Director positions for Grounds, Membership and Playing shall be on-going. The Board may authorize up to three (3) additional Director Positions to meet organizational requirements, prior to each election of Directors at the Annual General Meeting." The Board of Directors recommends changing the name of "Director of Membership" to "Director of Member Services", in order to broaden the mandate of the position. Ken Murray tabled this motion, seconded by Al ???. Motion was approved. ELECTION OF NEW BOARD According to the TCWO Constitution, the following members of the Board had completed their two years terms: Vice President - David Cheesman Playing Director - Kathy Pilon Treasurer - Phil Cheesman. In addition, Carolyn Denyer has applied for the position of Director of Member Services.
These four positions were unanimously acclaimed by the members present at the AGM. OTHER BUSINESS The main issue of discussion for members was the new requirement to pay for indoor courts upon booking, either on line or via telephone. Several members stated that it is very inconvenient for them to pre-pay for all their players and then try to collect money later. TCWO management responded that it was becoming increasingly difficult to collect from members (particularly large groups) when they arrive to play. The club has lost upwards of $10K in court fees due to non-payment. One suggestion was to be able to reserve courts with a credit card, which would be held but not processed. Once players arrive and play, any non-payments would be taken off the held credit card number and would become the responsibility of the person who booked the court. TCWO management resolved to review to court payment process and the capabilities of our court management software system (Legend). They would then make recommendations to the Board that would hopefully streamline the process for both members and TCWO staff. One member inquired as to who books for the NCTA team Wednesday evening league on prime courts...Courts #7/#8/#9 when only half of the players playing are TCWO members. As captain, Bruce responded that the club fully supports the TCWO competitive NCTA league team, and this support is reciprocated when we play away games. Furthermore, the desk staff does the bookings, and the courts normally used were actually #9/#12 and #14. The same member then asked why some players can dominate the better courts without getting booked off, while she and her partners always seem to end up on courts #10 and #11. She was told that the present rule is that you must take an open court and not bump other players if one is available. It was recognized that this occasionally enabled players to play on prime courts for more than 1 hour, while others were "relegated" to the upper back courts. One option would be to take courts #10 and #11 out of this booking rule and enable members to book the next court session on the remaining courts in rotation. Members coming in to play would then have the option of going right onto an upper back court, or wait their turn for one of the other courts. This suggestion and other options will be reviewed to see if this issue can be alleviated. Peter confirmed to one member that notification of non-payment of any court fees should be identified promptly (less than 2 weeks) so that a member has the opportunity to check recent financial records and resolve any issue. A member asked a question as to how he could find out when his membership expires, so that he is not surprised when he comes into the club to play. TCWO management will investigate and ensure that members can indeed have information on the type and duration of their membership. Peter McLean, President, declared the 2019 AGM adjourned at 9:30pm.
EXECUTIVE REPORTS -2020 PRESIDENT'S REPORT The past Fiscal Year at TCWO has been unprecedented. Responding to the risks associated with COVID 19 the club decided to close effective March 15, 2020. We were not able to resume operations until late in May. Notwithstanding the fact the club was closed for a one and a half month period in fiscal 2019 – 20202 we were able to generate a profit of $20,000 for the year. In dealing with the pandemic the club participated in Federal Government Assistance Programs such as the Canada Emergency Wage Subsidy Program (CEWS) and the Canada Emergency Business Account (CEBA) which provided needed financial assistance throughout the period of closure. The past Fiscal Year saw changes to both staff and Board members. Over the past year Frances Mercer returned from Maternity Leave. Rebecca Coleman, who had filled the position of Manager, was retained as Assistant Manager upon the return of Francis. Rebecca left the club in January 2020 on Maternity Leave and was replaced by Kate Hultzhuter. We hired three new stewards – Rhiannon, Swara and Jeff. Philip Cheesman left the Board as Treasurer and was replaced by John Fairbairn. Carolyn Denyer joined the Board as Member Services Director. We continued to improve our facilities with the demolition of the club’s deck, replacing it with a fenced stone patio. We installed a stone path to courts 7, 8 and 9. We also signed a contract for the installation of a new furnace, generator and back-up fan. Air conditioning and a camera system were also installed. Junior programs operated with record numbers of participants and contributed $109,000 of profit to the club’s bottom line.. Before COVID19 impacted operations the club participated in NCTA leagues (with great success) and organized a variety of in-house leagues, ladders and tournaments targeted to all levels of play. Membership levels at the club for the 2019-20 winter and summer seasons were; Summer – 81 (April to September 2020); Winter – 306 (October to May 2020); Annual – 168 (April to May)
The club ran various social functions in both the summer and winter seasons. These functions of course were suspended in the Spring of 2020 because of the pandemic. Notwithstanding the challenges facing the club as a result of COVID19 your Board is confident that the current year will continue to see tennis at the TCWO continue to thrive. Peter McLean President – Tennis Centre West Ottawa TREASURER'S REPORT Highlights of the April 20, 2020 Year End Financial Statements The profit decreased year over year by about $80K (from $99K to $20K) because: Membership fees decreased by 15% primarily because the facility was closed from mid-March till past the fiscal year end which meant no fees were earned during this period. In most cases, the memberships were just extended when the club reopened so it will have an impact on the 2021 revenue numbers as well. Maintenance costs were up by about $13K. The investment in IT was up by about $10K. Salaries year over year increased by about $10K. Net contributions from the programs decreased by about $30K. The bank balance remained solid at about $437K. Currently the total of the bank balances (two accounts) is about $500K. Short term Financial Highlights Assuming that there are no new negative surprises from COVID, it is expected that winter court fees and net revenue from the junior programs should keep the bank balances stable during the rest of the fiscal. Revenue from the summer memberships and court fees is quite a bit less than the operating costs of the club so it is normal for the bank balances to drop pretty substantially from May to September. It is important to build up cash reserves as a lot of the club’s assets are getting older and will have to be replaced. For example, the bubble which covers courts 1-6 is arguably the most valuable asset that the club owns (other than the tennis courts) is getting close to its useful life. Courts 10 and 11, despite the ongoing great maintenance efforts of our staff can be challenging to play on in the summer and would probably require a significant investment if we want their playability to improve much. Current plans for 2021 include a pergola for the front deck and replacement of much if not all of the fencing around the tennis courts. Chris will detail those plans much more eloquently in his report. Finally, as the incoming Treasurer in a very uncertain time, we have intentionally tried to keep costs down where we can in case we have to shut down again.. John Fairbairn Treasurer
MEMBER SERVICES CHAIR REPORT We saw an increase in membership from the OAC closing, and as a result we are currently at capacity and will not be offering any new memberships at this time. We have a waiting list, and will admit new members only once our capacity has eased. We are doing this to ensure that our membership base continues to have acceptable access to court times. The numbers are as follows: Adult annual/covid extension (from when closed) 93 Adult Winter 100 Family 10 (35 members, 3.5 per membership) Junior 81 Senior annual/covid extension (from when closed) 96 Senior Winter 113 Youth 31 As memberships expire, the management is reaching out to the members impacted and giving them an opportunity to renew Carolyn Denyer Member Sevices FACILITIES CHAIR REPORT Maintenance & Renovations 2020 In 2020, TCWO spent $206,000 on maintenance and renovations to club building and grounds. That is almost 3 times what we spent in 2019 - $74,000. The following renovations were made this year: removed and replaced 25 year old dome furnace Security fence around dome furnace Enbridge supplied & relocated new gas supply line, gas regulator, & gas valve for the furnace TCWO had to provide a new gas feed line back to the furnace TCWO shared the cost with the City to paint the clubhouse building CCTV video camera system installed on all courts, with video feed back to the clubhouse The City of Ottawa contributed the following renovations this year: painted the rest of the clubhouse building
replaced broken concrete, un-even asphalt with new concrete from entry steps to clubhouse front door replaced the old chain link fence with steel mesh security fence & wider gate at the entry Maintenance & Renovations Schedule for 2021 The following renovations and maintenance projects are scheduled for 2021: ● new awning frame and canopy for the patio deck ● new 50 foot pergola open frame structure with roll up canvas sides for covered walkway in winter months ● chain-link fence repairs in 3 locations for court fencing Chris Clarkson Facilities Chair PLAYING CHAIR REPORT Winter Club 2019 - 2020 The annual Winter Club Championship was not played as the club was closed due to COVID-19. Ladies Doubles Open Tennis Tournament – June 2020 Although initial plans had been made to hold the tournament, we were not able to host the tournament this spring due to COVID-19 Summer interclub league: The Men’s and Ladies’ Doubles interclub leagues were cancelled this summer due to COVID-19 NCTA mixed doubles league: Although it was a late start to the season, TCWO Sweet Spots, captained by Bruce Ramsay, won the Mixed Doubles league. Summer Club 2020 Champions The annual Summer Club Championship was not played to allow the courts to be used by the members without scheduled matches blocking play. Intra Club Singles League: There were 4 rounds of the Singles League with between 40 and 50 players each time; the number of divisions changed as the number of interested players increased or decreased.
Global Tennis Network - I am currently exploring the possibility of using the Global Tennis Network at TCWO. Through this, I would create a Singles Ladder to replace the Singles League and could easily accommodate other ladders (e.g. Mixed Doubles) that members may want to play. Thank you to all who participated throughout the year in these and other activities, including social round robins, Tuesday morning and Thursday evening doubles and others. The chance to play tennis in a friendly atmosphere makes the Club a good place to play, and a good one to join. All members contribute to creating that atmosphere, so thank-you all. Kathy Pilon Playing Chair DIRECTOR OF TENNIS REPORT Geoff Pearce, Director of Tennis; Grant Gibson, Michel, and Ramin Anam instructed the private and group lessons. Adult program Grant ran the Lotsa Balls program again this year. The program was full so we added an extra day. People were happy with Grant and loved the workout and all the drills off our state-of-the- art Playmate ball machine. Junior program Record 300+ children attended the fall 2018 to fall 2019 sessions. Last year was good but even better this year. In the past the Winter session registration (particularly Saturdays) was dramatically lower due to competition with the local ski/snowboard industry. Happy that over the last 3 years our winter registrations were significantly up and almost fully booked. Fall 2019 junior program registration at capacity. Revenue and profit up from 2018/2019. Winter 2020 at near capacity. Covid19 hits mid-March and all programs are postponed with only 1 or 2 lessons left in winter session. All makeups completed in September 2020. National Tennis Academy Sport and Study High Performance Program 2nd year Sport and Study program runs from September-June for elite junior tennis players. The program is full. 2 hours of tennis and 1 hour of fitness, Monday to Friday. High level coaching
and competitive juniors looking to be the best that they can be. We now have a competitive program where junior athletes can train everyday. Several players are now looking to obtain tennis scholarships in the US. Little Aces, now called Team Tennis, registration is down last year and this year we decided to cancel the program. Parents seem to prefer lessons over team tennis. Summer lessons We added new summer lessons for 2018 and 2019. Numbers were low again this year as many of the kids go to play tennis outdoors at their local clubs or attend summer camp instead. No summer lessons 2020. March Break Camp 2019 registration was up from the previous year with over 40 children attending. 2020 March Break cancelled. Summer camps 2019 registration was up from previous years. Great staff! If tennis is not enough, we boosted the fun and added stand up paddleboards, archery tag and weekly visits from Little Ray’s Reptiles. 2020 summer camp have been cancelled. Tournaments We continue to host our Sunday monthly junior singles or doubles tournaments. Great attendance! All junior tournaments will be postponed until we are Covid19 safe.
