KUTHABA BUSH LODGE WEDDINGS INFORMATION PACKAGE Set in the majestic Waterberg Mountains, KUTHABA BUSH LODGE with its spectacular scenery and renowned traditional, warm South African hospitality provides the perfect location to host your special day, all within a comfortable 90 minute drive from Pretoria. The entire lodge is booked out for the duration of the wedding festivities ensuring exclusivity and privacy. The Lodge’s unique decor, rich colours, and textures crafted by hand meld seamlessly with the natural surroundings creating a notion of unity and tranquillity. Whether for an intimate wedding of 50 guests or a festive wedding for 120, our venue and team have the facilities and expertise to make your dream bush wedding a reality. CEREMONY OPTIONS: Two ceremony venues are on offer: ------------------------------ OPTION 1: THE CLIFF VENUE ------------------------------ (3min drive into the reserve): A wooden deck on the edge of the cliffs with a thatched lapa for guests’ seating offers panoramic views over the reserve and dam below. Designed to resemble an eagle taking flight, this venue is symbolic of the journey the bride and groom will embark on in their union, with the wildlife and mountains on the horizon as their witness. After the ceremony, guests will enjoy snacks on the deck at the main lodge area, whilst the bridal couple have their photos taken. OR... “Every great love starts with a great story...” - NICHOLAS SPARKS ‘The Note book’ ---------------------------------------------- OPTION 2: THE FIG TREE ---------------------------------------------- (10min drive into the reserve) Exchange vows under an ancient Wild Fig Tree in the heart of the reserve. Many say there is a calming, awe-inspiring presence under this magnificent tree said to be in the region of between 300 – 500 years old and is the only one of this size in a several hundred kilometer radius. Though a 4x4 is not needed to access the venue, vehicles with a high ground clearance are advisable. Please take note that there is no electricity available at this venue. After the ceremony, guests will enjoy snacks on the deck at the main lodge area, whilst the bridal couple have their photos taken.

BAR/LIQUOR: A licensed bar is available during the reception until midnight. Due to Liquor License regulations, we are unable to permit guests to consume their own alcohol during the time that the licensed bar is operating, except for wine and champagne provided by the bridal couple for the tables, for which the corkage fee applies. Guests may make use of the bar area / facilities and bring in their own alcohol after midnight at no extra cost. WOOD & ICE: Wood and ice available on the premises.* Cost: R 9-00 per bag of ice and R 18-00 per bag of wood. The bridal couple will be charged for the use of ice and wood (if making use of our stock) during the course of the weekend. Please note that the ice usage for the licensed bar is NOT charged for during the Wedding reception. *Subject to stock available. DÉCOR & HIRING ITEMS: Kindly please request more information regarding décor and other items for hire. Please note that we do have gas heaters available if required. Cost: R275 per unit. Gas usage will be charged at current gas prices. ACTIVITIES: Please visit the activities tab of our website for more information. • Hiking, game viewing, mountain biking, dam (birding, fishing), swimming pools • In surrounding areas: • Day spa (15km), Golf ( 13km), horseback rides, elephant rides/interaction ( 60km), cheetah and wild dog sanctuary (50km), zipline, crocodile farm, water park. GENERAL: • One full guided tour of the venue is allocated per couple, for which advanced booking is essential. Should you arrive late for any appointment, your appointment may be shortened. • You may book a follow-up appointment to meet with us prior to your wedding should you wish to discuss finer details - please book well in advance. • The list of recommended service providers serves only as a guideline which can be used at the discretion of the bridal couple and at their own risk. The bridal couple may consign outside service providers of their choice, whether from the recommended service providers list or not. Payments to and booking of external service providers are to be made directly to the service providers appointed. • In order to ensure that guests are booked into the most suitable accommodation, the bridal couple are to allocate their guests’ accommodation and liaise with guests directly in this regard. • Although music and bar cut off times are at midnight, all other facilities after this time will still be available. Background music can still be played after midnight. Management will inform the guests and bridal couple of the volume/s and systems permitted. • There will be no extra cost for the use of the venue after midnight. • Please note that we do not offer menu tastings, although we will provide guidance with the menu selection should you require it. • Please note that should children be attending a wedding at Kuthaba and are more than 5 children, a babysitter is strongly advised. (See Service Provider List) • Candle wax is to be well contained to prevent spillage and accidents. Also, no sparklers or sky lanterns are permitted. • Only natural confetti may be used. • Payment methods accepted: cash or EFT. Regret no card facilities available. KUTHABA BUSH LODGE – TERMS & CONDITIONS The particulars of the Client(s) are as follows: Names : __________________________________________/____________________________________ Home address : _______________________________________________________________________________ _______________________________________________________________________________ Work address : _______________________________________________________________________________ Postal address : ________________________________________________________________________________ Telephone nr. : (H) ____________ (W) _______________ (C) ________________ (H) ____________ (W) _______________ (C) ________________ Email address : _____________________________________/__________________________________________ Identity no(s). : ___________________________________/____________________________________________ • The Client hereby confirms the date of the function to be: (Dd/mm/yyyy) ____________________________________ • Estimated number of guests:________________________ • The Client agrees that until such time as a signed copy of this contract accompanied by the proof of deposit (venue hire fee) reaches the Venue, the abovementioned date shall not be deemed confirmed. • The Venue agrees to provisionally hold the abovementioned date for a period of seven days from date of written confirmation of the Client’s intent to book this date, without deposit payment. • The Client agrees that in the event that the signed copy of this contract and proof of deposit does not reach the Venue within seven days of written notice of their intent to book this date, the date shall be released. • The deposit paid by the Client is non-refundable. • Fifty per cent of any additional payments received by the Venue in respect of accommodation or otherwise, shall be refunded if the Venue receives written confirmation of the Client’s intent to cancel the function, if such cancellation is made at least nine months prior to the date of the function, less five per cent bank charges. • The Venue reserves the right to cancel any booking without liability in the event of any cause beyond the Venue’s control. • Should the Client wish to change the date of the function after having paid the deposit and returned a signed copy of this contract to the Venue, fifty per cent of the deposit paid as well as fifty per cent of any other additional payments received by the Venue, shall be transferred to the new function date if written notice of the Client’s intent to change the date of the function reaches the Venue more than nine months prior to the original function date. • The additional fifty per cent of the new function date’s deposit shall be payable within seven days of receiving written confirmation from the Venue that the intended new function date is available. • In the event that the Client moves the function date into the next year, the Client agrees to pay the Venue’s new rates in respect of venue hire fee (less fifty per cent of the original deposit payment), accommodation and all other costs. • Should the Client cancel the function after having moved the date once, no refunds of any kind will be made by the Venue. • In the event that the Client notifies the Venue of their intent to change the function date less than nine months prior to date of arrival; the Client shall forfeit all monies paid to the Venue in respect of the original function date. • The Client hereby acknowledges that the Venue is licenced to sell alcohol until midnight on the night of the function, at which time the service will end. • As the Venue shall be providing a licenced bar facility, the Client agrees that consumption of one’s own alcohol during the time that the bar service is available, may result in the termination of the bar service on the night. • The Client hereby accepts that the music volume levels on the night of the function shall be kept at an acceptable volume level, as determined by the Venue’s management. • The Client also agrees that the music shall be reduced to an acceptable level of background music at the manager’/s discretion at midnight. • Furthermore, the Client accepts that only the use of the Venue’s sound equipment is allowed at the reception venue, and that no additional sound equipment capable of increasing the volume levels, shall be permitted during the reception or after midnight. • Live bands are not permitted. • The Client agrees to pay for any breakages and/or damage to property howsoever resulting from the act of the Client or the Client’s guest/s, whether purposeful or not. • The Venue agrees to charge the Client for such breakages and/or damages at the industry standard price. • All payments except for those associated with consumption on the day of the function, shall be payable at least fourteen days prior to the function date. • All outstanding payments are to be settled in cash on departure. • The Client agrees to return the completed Wedding Plan and related planning documentation to the venue detailing all requirements no later than fourteen days prior to the function date, and that failure to return these documents timeously may result in the Venue being unable to provide the requested items / services for the function. • Accommodation not booked and paid for by the fourteen days prior to the function date deadline will be considered vacant, and scheduled maintenance may therefore be carried out in such units rendering it unavailable for occupancy. • A minimum of forty wedding guests are required to book accommodation (excluding campsites) at the lodge for at least one night to be able to host a wedding at Kuthaba. Any shortfall will be charged to the bridal couple at the average accommodation price, for a single night stay. • Payment of the Venue Hire Fee (deposit) secures use of the venue only from check-in time on the day prior to the function, until check-out time on the day after the function. • Although the Venue will endeavour to contact the Client prior to making use of photographs, the Venue reserves the right to make use of photographs of the Client’s function for marketing purposes. • Kuthaba Bush Lodge, its employees, managers, or any other persons connected to the function will not be held liable for any damage to property, losses or injury due to negligence or any other cause whatsoever. By signing these terms and conditions, the Client agrees that they have read, understood and accepted all of the abovementioned terms and conditions. Should payment of the Venue Hire Fee reach the Venue prior to these signed terms & conditions, it will automatically be assumed that the Client accepts these terms & conditions. They furthermore confirm all information completed to be true and correct.
