WELCOME TO SHANGHAI SMIC PRIVATE SCHOOL 欢迎来到上海市民办中芯学校 A warm welcome from The SMIC Private School! We are glad to have you here as part of our family. We hope you had a smooth arrival here and are settling comfortably in your new home. The information you will be reading in this booklet will help you navigate your new neighborhood and learn some new systems. Again, please do not hesitate to contact us for any questions you may have. Our contact information is listed at the end of this booklet. The First 24 Hours Airport Pickup Before your arrival in Shanghai, you will be informed of your designated “Welcome Volunteer,” who would meet you at the airport. Once you’ve exited the customs checkpoint, you should find your “Welcome Volunteer” greeting you with a “SMIC School” sign at the arrival lounge. In case you could not locate the volunteer, please go to the information desk and ask them to make a phone call to either your designated Welcome Volunteer or one of the people on the contact sheet at the end of this booklet. If you have a smartphone already, you can connect to the airport’s free Wi-Fi and send messages or make a phone call through WeChat. Special Note In an unlikely scenario where your flight is delayed, or you have to reschedule your travel plan, please contact our HR director at your earliest convenience (Email: evie_tao@smicschool.com | Mobile: 136-3886-3248). Exchanging Money After you arrive in Shanghai, before exiting the baggage claim area, we recommend that you exchange the foreign currency you brought with you at the currency exchange kiosk. Your credit card and ATM card might not work here. 3
Safety At the airport, for your safety, please DO NOT accept any offers from strangers for help (e.g., volunteering to carry your suitcases, giving you directions or offering taxi services). If you need help, please go to the airport ground staff. Luggage Carts Shanghai airports provide luggage carts for free. The carts are located in the baggage claim area or ask the ground staff for assistance. Taxis If you could not find the school volunteer, please contact our HR staff or your welcome volunteer immediately. Please stay at the airport until you are picked up. CAUTION: in the extreme case where you have to take a taxi by yourself at the airport, be careful of those who approach you and claim you don’t have to wait in line for a taxi if you ride with them – those are unlicensed taxi drivers. We do not advise you to take those cars for safety reasons. Normally, the school will pick you up from the airport when you first arrived. However, if you take a ride from the Pudong International Airport on your own to SMIC Living Quarter (LQ), it should cost around 100-130 RMB. Arriving at SMIC Living Quarter You will stay in your assigned apartment directly after arrival. The address of your apartment and the rent information will be provided in the “Onboard Logistics Email” from HR. The volunteer will help you move into your assigned apartment. In addition to the basic furniture prepared for you, we have also prepared a set of bedding items and a welcome bag, including mineral water, snacks, Metro Card, some toiletries (e.g., shampoo, shower gel, toilet paper). Please note: You can contact our housing administrator, Ms. Jean Huang, at Jean_Huang@smicschool.com if you have any questions prior to your arrival. She will meet you at the LQ service center to go over the necessary documents and help you finish the moving-in procedure. 4
Temporary Residence Registration All foreigners must register at their local police station within 24 hours of arrival. Failure to do so will result in a monetary fine. The school will help you with the registration process. What is needed: ▪ Your identity documents/passport ▪ Proof of residence form (from the LQ service desk, the small, round building just south of the front LQ traffic circle – HR can help you with this) Upon registration, the police will issue you a printed Temporary Residence Registration Form. You must re-register at your local police station each time you move. Moving into Your Apartment For the most part, the housing procedures are handled by the apartment Service Center and the HR department. After moving into the apartment, you should contact the Service Center and front desk for any housing-related issues or matters. A WeChat contact of a repair coordinator will be shared with you upon arrival. Apartment Assignment The housing administrator, Ms. Jean Huang (5855-4588 ext. 153) or the HR Director, Ms. Evie Tao (ext. 585), will contact you about your assigned apartment before you arrive in Shanghai. Contact them if you are unclear. Apartment Inspection The housing administrator should have inspected your apartment before you arrive. It should be relatively clean. Please note that the concept of “cleanliness” in China is vastly different from what you may expect from your home country. You can also hire a maid (āyí 阿姨) at about 30-35 RMB per hour. You will have to provide cleaning supplies. Ask your colleagues or neighbors for referrals. You could also find recommended maid ( ā yí 阿 姨 ) information from“ teacher bulletin board in outlook public folders.” After you moved in, inspect the apartment thoroughly and make a list of any damages or repairs that needed to be done. Do share your list and your concerns with Jean Huang, the housing administrator. More information regarding the apartment lease and security deposit will be communicated through emails from HR. 5
Communication and Smart Phone Smart Phone It is essential to have a smartphone in China for all kinds of purposes, such as communication, shopping, payment, translation, getting around, etc. Please refer to appendix 9 – Digital Resources in the latter part of this handbook. Please be aware that Google is inaccessible in China. The google-based phone system will not work here. WeChat is a popular form of communication in China, which be used for free long distance/international calls. Make sure you install that on your smartphone before arriving in China. Getting Online and Contacting Home Internet (China Unicom) representatives visit SMIC LQ every Saturday and Sunday from 10:00 am to 4:00 pm. You could sign up for an internet package for your apartment there. Please remember to bring your passport and money when you visit them. If you need access to the internet before purchasing your SIM card and internet, you can drop by the school and use the school ’s Wi-Fi network to email home. Utilities Electricity, Water, Natural Gas For most residents of the LQ, utility bills will appear in your mailbox every one (electricity) or two (water, natural gas) months. Be sure to give HR the utility bills from months prior to your arrival. You do not have to pay for those bills. See Appendix 3 for a key to understanding your Chinese utility bills and finding the payment amount. Bills can be paid in several ways: Family Mart (the one Show your bills and pay. No extra charge, close to MHS gate) only for the current month’s bill 6
At most convenience Online through websites like Alipay, stores WeChat, or Fufeitong (some English; requires online banking) Be prompt in paying your bills. None of the convenience/grocery stores handle late or last day payments. You will need to make a weekday trip to the water or electricity company to settle your outstanding bill, or call the utility company and request another copy of the missed bill. Utilities may be cut off until bills are settled. If you forget to pay your bill, check with the apartment Service Center if a representative from the utility company will be coming to the office. Sometimes you can leave your payment (plus a surcharge) with them. Exceptions: Natural Gas If you live in Zhang Jiang SMIC Living Quarter Phase I, Building numbers 1-29: Gas cards can be recharged at the nearby gas company located at 2451S South PuDong rd, Shanghai Pudong Gas Co., Ltd (上海燃气浦东销售公司第一营业所张江服务 站). Medical Help Many hospitals in Shanghai have a VIP section catering to foreigners. They offer shorter wait times and English-speaking staff. Expect to pay more for the VIP treatment. If you have any questions as to which hospital to go to, or if you have a medical emergency during non-work hours, call the 24-hour hotline on the back of your insurance card. The person answering the phone will speak English and can contact the hospital so that they will expect you. Bring your insurance card, your passport, or a copy of your passport to the hospital. Always let someone at the school know (your mentor, team leader, department head, Senior Directors, SA/AA director, principal, or HR) and try to get a Chinese speaker (your local friend, TA, school staff) to go with you. If it’s an emergency, please call HR or any of your colleagues for help. 8

MOVING If you are considered shipping your belongings from your home base or another foreign country to Shanghai, do contact different international shipping companies to get more information. If you are already in China and are moving to Shanghai, have a Chinese-speaking friend call the legitimate moving companies below to avoid being cheated by fly-by-night companies. Negotiate the price ahead of time and stick to it. Many imitators would stuff ads in your mailbox or place stickers on your elevator and door, but the following companies have proven records of quality service and accountability: Tiger International Moving Company Tel: 96964 Note that there are charges entailed for any of the following: moving up and down floors (with or without an elevator), insurance for moving a television, moving a heavy appliance such as a refrigerator or washing machine, charge per truckload, charge for extra heavy boxes, etc. It is helpful to get the name and employee number of the person you speak with on the phone so that you can contact them directly once the movers present you with the bill. 14
BANKING To exchange your salary to foreign currency, you are required to produce several documents to the bank (i.e., your passport, labor contract, foreign expert certificate, income statement, and tax report). Contact Ms. Evie Tao or Ms. Gina Lee for the documents. It is also possible to exchange up to USD 500 per day with only your passport and no other documents. Note that both foreigners and local residents have limits to how much USD they can buy per calendar year. The process is somewhat complicated and requires a lot of Chinese (or a teller with above average English). There will be volunteers from SMIC to help you with these procedures. If you would like to go to the bank and set up the utility deduction on your own, bring your passport and your utility bills. Bring your passport any time you go to the bank. Banks are closed for lunch, and not all branches have weekend hours, so go between 9-11 a.m. and 1-3 p.m. Expect long lines and make sure you get a number. Patience is the key! POST OFFICE & COURIER SERVICES There are three post offices near the LQ that deal with international mail. Try to bring a Chinese speaker with you as getting the service you need is often very complicated. Post offices are often crowded, and most people do not wait in line. Use the attached “Address Format” if you want to know how to write down your address. Note: postal workers often act as impromptu custom officers, and you might be required to open your package for inspection. WeChat (available in multi-languages) – an app that incorporates many functions such as messaging, social networking, online banking and payment, taxi services, ticketing, news, and much more. Most organizations and service providers have created public accounts on the WeChat platform to interact with their clients. The school also operates four official accounts on WeChat for students and parents to subscribe to. OpenRice – an app similar to Yelp that allows you to find and review restaurants and store deals around you. Shanghai Metro – a multi-languages app of Shanghai Metro System. It provides route suggestions, duration, and ticket prices between two stations. Sherpa’s – On-line food delivery service in English Baidu – an app for translation Epermarket – Online grocery delivery service in English 30
