Welcome to the 2014-15 Harcourts Surf Sports Season. Surf Life Saving Northern Region welcomes you to our 2014-15 Harcourts Surf Sports season. The success of all our events is always dependent on the hard work of many people behind the scenes. In particular the Sports operational committee and Junior Surf operational committee, their work in planning and preparing for the season is vast. Thank you also to all the officials, administrators, coaches, and team managers who are also vital to our events. To all the athletes, enjoy the events and the camaraderie and above all perform to the best of your ability so that regardless of the outcome you are proud of yourself as an individual. Our aim is to provide events that showcase and grow the sport activities within our Lifesaving organisation. We look forward to seeing you at the beach and on the water. 3

Safety Section High Visibility Vests As of 1st October 2013 High Visibility Vests are mandatory at all competitions. If you do not wear a vest you will not be allowed to compete. Please see www.surflifesaving.org.nz/clubhouse/gear- shed/slsnz-high-visibility-vests/ for more information about High Visibility Vests. Event Safety All Harcourts Northern Region Surf Sports events are run under the auspices of a robust Health and Safety Plan. These are reviewed for each event and at all times decisions are made to ensure safety of athletes, officials and spectators. Decisions made may not always satisfy athletes but safety is always paramount. 6
General Section Event Entry Process This outlines the Event Entry Process for all events that require online entry. The “SLSNZ Event Entry System” can be accessed by club management / coaches via SLSNZ Database/Enter members into events. Please read the Carnival Registrations User Manual for event entry support or contact the Event Manager of the event you wish to enter. All events that require an online entry shall close as specified on the Event Memo . All entry fees will be calculated by the entry system following the close of entries and your Club will be invoiced directly. Once these entries have been submitted via the required system, they must be paid via Direct Credit as invoiced by SLSNR. Entry fees are not refundable if members do not take part in the event once entered. Event Entry Costs: Late Entry Event Individual Team Fee + Long Distance Carnival Nil Nil N/A Interclub #1 Nil Nil N/A Interclub #2 Nil Nil N/A Junior Interclub #1 Nil Nil N/A Junior Interclub #2 Nil Nil N/A Junior Twilights Nil Nil N/A NR IRB Event $ 50.00 N/A The Whangamata Classic $ 15.00 $ 75.00 NR Pool Champs $ 35.00 N/A NR Junior Champs $ 40.00 $ 75.00 NR IRB Champs $150.00 $ 75.00 NR Champs $ 50.00 $ 75.00 NR Masters Champs $ 50.00 $ 75.00 NRC's & Masters $ 65.00 $ 75.00 Please note: All substitutes will be charged $10 Cancellation Policy: The following Cancellation Fee and Refund Policy will be adhered to: • If a carnival is cancelled, with no postponement before the first event is conducted, 75% of all entry fees will be refunded to all Clubs (25% retained for administration costs). • If a carnival is cancelled, after the first event is conducted no refund will be given. 7
Late Entry Fee: Late Entry fee will be charged at $75.00 plus the Original Entry. Late Entries will be available as specified on the Event Memo. Team Substitutes: As stated above all team substitutes must be registered in some capacity in the competition as per the entry process. In some instances clubs have to substitute members for their team events which can be problematic if the person who is the substitute is not competing in any other event. Therefore any potential substitutes (who are not already competing) must be entered into event code 300 Substitutes. This is to allow fairness to all by ensuring that all eligibility criteria are met. Team Substitutes entry fee is $10.00 per person. Age: Age group is determined by the competitor’s age at midnight on 30th September 2014. For example, if you were 23 by the 30th of September 2014, you are ineligible to compete in the Under 23 division. Event Registration Process Senior Events A) For Harcourts Long Distance and Harcourts Interclubs #1 and #2: All competitors will be required to sign in; they will then be issued with a wristband that confirms they have met event eligibility criteria. They will be required to wear the band for the duration of the event. B) For all events (excluding Harcourts NR Pool Champs) entered via the SLSNZ Event Entry System: Team Mangers will be issued with named wristbands for their athletes. Athletes will be required to wear the band for the duration of the event. Spot checks will take place at all events during the season to ensure competitor eligibility is being met. Junior Events All Clubs will be required to email SLSNR with their Declaration of Competitor numbers and named Surf Officials by midday Wednesday prior to an event. If competitor numbers increase then Clubs will need to increase surf official numbers. A hard copy of your Declaration will need to be provided at the Team Managers meeting on the day of the event. For all junior carnivals clubs must provide 1 surf official for every 10 competitors (or part thereof).
