Program Information The Girl Scout Cookie Program® is an awesome starting point for building on these five essential skills that girls can use for a lifetime: Goal setting—as she sets cookie sale goals and makes a plan to reach them. Decision-making—as she decides how her team will spend the cookie money. Money management—as she makes a budget, takes orders and handles customers’ money. People skills—as she learns to talk and listen to all kinds of people while selling cookies. Business ethics—as she is honest and responsible every step of the way. Sale Begins January 2 - May 14 • Cost: $4.00 or $5.00 per box. Rebate: $.60 per box. • Cadette, Senior, & Ambassador Troops can choose rewards or 5¢ extra per box sold. • Rebates will be direct deposited into your troop account. If your troop is paid in full, the first round of rebates will be deposited by March 26, 2018. • Cookie will be delivered earlier! First deliveries begin February 12. • Patches & Rewards are cumulative up to the 350+ level. 500+ level will be invited to a special Cookie Celebration and choose an awesome reward. 4
Cookie Vocabulary ACH - Automated Clearing House is the banking system that allows GSSC to direct deposit rebates into the troop account. Booth Locator - Visit girlscoutcookies.org & type in your zip code to locate a cookie booth near you. Cookie Booth - A stationary sale of Girl Scout cookies at a public location. Cookie Captain - New program offered to top selling Cadettes, Seniors, and Ambassadors where they mentor younger girls on the cookie program. Cookie Cupboard - Local sites where additional inventory is stored and where troops can pick up additional cookies. Cookie Planner - New online tool from Little Brownie Bakers to help volunteers plan their cookie season. Visit www.cookieplanner.littlebrowniebakers.com to learn more. Cookie Rookie Training - Training held for new or returning Troop Cookie Chairs on how to have a successful cookie season. Check gssc.us/cookies for training dates and times. Cupboard Receipt - This is a 4-part carbon copy receipt that must be signed any time a troop picks up additional cookies from a cupboard. Make sure you keep one copy of the receipt for your records. Troops are responsible for ALL additional cases of cookies taken from a cupboard during the sale. All payments must be made within 2 weeks from the pickup. Digital Order Card (DOC) - This year, girls will be able to sell cookies online using the Digital Order Card. Girls create a custom website and send out a link to their site via email to potential customers. Customers can order cookies and have them shipped to them, girl delivered or choose to donate the cookies to our Operation:Cookie Program. eBudde - Bakery website used by Troop Cookie Managers to order cookies, track troop/girl sales, record troop finances, and calculate, order and submit rewards. Initial Cookie Sale - Portion of the sale that takes place prior to February 3. There are special rewards given for this part of the sale. Little Brownie Bakers (LBB) - Little Brownie Bakers is our bakery partner for the cookie sale. They supply our council with cookies and have great resources to help girls and volunteers to be successful in the cookie sale. Visit www.littlebrowniebakers.com for information, resources, and more! Operation:Cookie - In this council-wide project, customers can purchase virtual packages of cookies that GSSC will deliver to the military. The girls collect the money but do not physically take possession of the cookies. Service Unit Cookie Manager (SUCM) - Volunteer mentor for troops and individual girl members in an assigned service unit. Troop Cookie Manager (TCM) - Volunteer manager responsible for monitoring the cookie sale for a single troop. Troop Receipt Books - Each troop is given a pocket sized receipt book to be used when collecting any form of payment from girls & their families. They may also be used at booth sales to keep track of money. 5
Patches & Rewards Rewards are cumulative, which means girls will earn the reward for the highest level achieved and each reward at the lower levels of achievement up to 350 boxes. 500+ level can choose one awesome prize. February 12 They will coordinate pick up with all the troops in the Service Unit. You are responsible for the products you sign for. February 23-25 National Cookie Weekend (see page 14 for details) Initial Sale Money Due. All initial sale money is due to be deposited March 5 into a Capital One Branch using the deposit slip that is assigned to your troop. Make sure to keep a copy for your records. How To Get Started Troop Pre-Sale NEW TROOPS GSSC policy requires each troop to have a bank account. If your troop leader has not already opened an account, help her to get an account set up. For assistance, please contact the Membership Department at membership@gssc.us. Rebates will only be direct deposited to the troop bank account when the troop bill has been paid in full. ALL TROOPS LJLJIf you have not already fill out an ACH attachment form from the Fall Product Sale Program, please send to the Product Sales Department in Commack or email to productsales@gssc.us LJLJAll Troop Fall Chairs must fill out the Troop Manager job description and hand it in to the Service Unit Cookie Chair - They will then be added into the eBudde system to have access to their troop’s information. •• We recommend creating a new email address to help you manage the Cookie Program. This helps emails from getting overlooked in your personal email account. LJLJAll girls who wish to participate must be registered with GSUSA. For assistance, email membership@gssc.us. •• Arrange with the Troop Leader the date, time & location for training your Girl Scouts & parents/guardians. CADETTE & OLDER TROOPS •• Older girl troops have the option of opting out of recognitions and earning an additional $0.05 per box. To opt out of rewards, go to your Settings tab, click “edit settings,” then check the box “ Opt out of rewards for additional proceeds.” Save by hitting “update.” Initial Sale •• When you initially sign into eBudde, every troop will use the password – Toff7926 (case-sensitve) ◦◦ Each volunteer, with a signed agreement on file, should have access to the eBudde system - https://ebudde.littlebrownie.com. If you have trouble logging in, please email productsales@gssc.us. UNDER THE INITIAL ORDERS TAB - All orders must be entered in BOXES not cases 1. Click a girl’s name; you will see an entry row load at the bottom of the screen. Click one of the squares to begin entry. 2. Enter the total cookies sold by the girl in BOXES for each variety, including Operation Cookie (the first column listed OC) Press tab or use your computer mouse to go to the next column. When you’re finished with the girl, press ENTER on the keyboard or the OK button on the screen. 3. Repeat for each girl. 4. SAVE the page. You can still make edits after hitting SAVE, even if you log out of the system. This allows you to partially enter your order, leave and come back later to complete or make changes. 5. Review the totals at the bottom of the screen for your order. If correct, click SUBMIT ORDER. This means the order is FINAL. You cannot change the order once it has been submitted. Contact your Service Unit Cookie Chair or the Product Sales Department if changes are necessary after this point. 10
How To Get Started Initial Sale (cont’d) LJLJWhen the initial sale product arrives, your SU Cookie Chair will contact you to arrange the pickup for the troop’s product - Initial deliveries begin the week of February 12. LJLJSet up a time and date with the families in your troop to pick up their orders - Have them sign for all product received and issue receipts for payments given to you. Always keep records of transactions and receipts. LJLJAll initial sale money is due by March 5 - You will be given deposit slips to use at any Capital One Bank. Be sure the deposit slip has your troop number encoded on the bottom left of the slip. If it doesn’t, don’t use it! Email productsales@gssc.us for additional deposit slips. Money can also be paid at www.gssc.us. SPECIAL NOTE It is suggested by Council that you round down your initial order. The system will automatically total the troop order and round it up to the nearest full case. Please adjust your order downward to full cases. Catch Up Orders LJLJAsk for the parent/guardian’s help in keeping things organized - Choose dates that you will go to the cupboard and have the parents/guardians email you with the additional products that they need. Have them sign receipts. Always keep a record of what is picked up. LJLJBe sure to allocate any additional product from the cupboards to the girls so they will receive the proper rewards at the end of the season. Visit www.gssc.us for directions on how to allocate product from catch up orders and booth sales. Troop Wrap Up LJLJVerify that all cookies ordered have been allocated to the girls. LJLJAll money should be deposited into any Capital One Bank using the deposit slip assigned to your troop by May 14. Payments can also be made at www.gssc.us. LJLJBe sure to hand in copies of your deposit slips to your Service Unit Cookie Chair. GSSC will verify that they have been properly applied to your troop. LJLJGirl recognitions will be shipped directly to your Service Unit Cookie Chair. Once received, they will distribute them to the troops accordingly. 11
How To Get Started Parent/Guardian & Girl Training ••A great way to get your Cookie Product Sale moving is to get your girls and their families super excited. Here are some tips and tricks: LJLJHost a Cookie Program Training night for girls and their families - Explain the purpose of the program as a troop opportunity to generate funds and hand out program materials. This can also be done at the end of a regularly scheduled troop meeting. LJLJCollect and hold onto a signed Parent/Guardian Agreement - DO NOT give out any product without having this form on file. This is what saves the troop from owing money that a family does not pay. LJLJInspire! Encourage! Motivate! You are the face of the program - Your program introduction will have significant effect on the girls’ enthusiasm and parent/guardian support. Be sure to share your contact information with the families for any additional questions they may have. LJLJExplain to the families that the rewards are cumulative - For example: If a girl sells 100 boxes, she will receive all the rewards up to and including the 100 reward. This is up to 350 boxes. Girls who sell over 500+ boxes get to choose a premium reward and will be invited to our All-Star celebration! For example: if a girl sells 1,000 boxes she can choose one 1,000 level reward or two 500 level rewards. LJLJReview the 5 Skills with the girls - Goal Setting, Decision Making, Money Management, People Skills and Business Ethics. These valuable skills learned at the heart of every product program will last a lifetime! LJLJTroops & girls should set individual and collective Cookie Program goals - Ask the girls to vote on how they would like to use the program proceeds. Reinforce how individual goals help the troop achieve its overall goal and fund troop activities. LJLJReview all important dates and deadlines - Meeting deadlines is critical to the success of the program; stress the importance of timeliness to families. LJLJExplain about Operation Cookie. LJLJExplain what Catch Up Orders are and when they will start. LJLJReview cash handling procedures - Set clear expectations for conduct and collection of monies due to the troop. Booth Sales - Feb. 2 - May 14 1. Find a location in your area to have your booth sale. If you are having trouble locating one, call your SU for help. Great locations include banks, supermarkets, and houses of worship. 2. Confirm the date, time & location with your SU Cookie Chair. 3. Call your cupboard at least 1 week prior to the booth sale OR go to www.gssc.us to reserve your booth sale. Product must be picked up and returned to the same location. 4. Have fun! Sell, Sell, Sell! Booth Sale Patch 5. Deposit funds collected to the nearest Capital One Bank with the deposit slip from your booth sale pickup. DO NOT USE A BLANK SLIP FROM THE BANK. 6. Return any product that was not sold to the cupboard with the receipt from your deposit. 7. After the booth sale has been entered into the system (about 1 week), be sure to go back into eBudde and assign the product sold to all of the girls that attended that day. Cupboards help volunteers complete initial orders and obtain cookies for additional orders, catch-up orders and booth orders.
