This Manual contains general information and technical rules regarding your participation to the exhibition. Every person of your company involved in the planning of your participation is invited to take time to read it. We therefore suggest that you forward a copy to all the people involved in the organisation of your participation to IWC 2019. XIX INTERNATIONAL WHEELSET CONGRESS JUNE 16-20, 2019 VENICE Venue General Information Venice (Italy), San Giorgio Island - Fondazione Giorgio Cini (www.cini.it) The Fondazione Giorgio Cini is a non-profit cultural institution. Located on the Island of San Giorgio Maggiore, at only two minutes by vaporetto from Piazza San Marco, the foundation was constituted in 1951 by Vittorio Cini, in memory of his son Giorgio, with the aim of restoring the Island of San Giorgio Maggiore, devastated after 150 years of military occupation, and of creating an international cultural centre that would reintegrate the Island into the life of Venice. This mission is pursued through the activities of its institutes for advanced studies and its research centres, all focused on the study of all aspects of Venetian culture. Unique in its kind, the ex Benedictine Monastery of San Giorgio Maggiore is a historical site of great architectural and artistic prestige, thanks to the presence of works by the greatest 16 th and 17 th-century Italian Masters. 4 EXHIBITOR MANUAL

Stands should not be left unattended during the congress open hours. Exhibitors must wear badges at all times within the exhibition site. Neither the organisers nor their personnel can or will accept any liability for any loss or damage to any stand, exhibits, materials, goods, property or personal items, if such loss or damage should occur. It is the responsibility of the individual exhibitor to ensure that his stand, exhibits and personal property are secure at all times. In the unlikely event of exhibitors suffering losses from their stands these should be reported immediately to the appointed security contractor, who will inform the police and the exhibition organisers. PLEASE DO NOT LEAVE ANY ITEMS ON YOUR STAND AFTER YOU HAVE PACKED AND REMOVED YOUR EXHIBITS OR STAND FITTING. EXHIBITOR 5 MANUAL
XIX INTERNATIONAL WHEELSET CONGRESS JUNE 16-20, 2019 VENICE General Rules General Information 1) REGISTRATION AND EXHIBITION AREA All Exhibitors must be registered as exhibitors before the start of the conference. The exhibitor fee includes the access at the exhibition area, and the coffee breaks and luncheons during the congress from the 17th to the 19th of June 2019. Please be sure to include names of all company representatives/staff who will be working at the exhibit booth. For more information about registration, follow the link: www.iwc2019.com/fees For any further questions or queries regarding Exhibitor registration, please contact secretariat@iwc2019.com . The exhibition area will be open to the delegates from the morning of 17th to the afternoon of 19th of June 2019 at Fondazione Giorgio Cini, in Cenacolo Palladiano and Chiostro dei Cipressi rooms. The exhibitors will have access to the area half an hour before and after opening times. 2) BADGE COLLECTION Exhibitors who register in advance will receive their badge before the event and will be able to collect the exhibition material at the Registration Desk from 14:00 June 16th. All exhibiting companies’ representatives must have a badge, which must always be worn while inside the exhibition and conference centre. 3) CLEANING The halls, passageways, stands and service rooms will be cleaned by the Exhibition Contractor each day prior and during the opening of the show. 4) DELIVERY OF GOODS DURING THE SHOW Deliveries of goods cannot be made during the exhibition opening hours. Any delivery shall be done before the exhibition opens each morning, previous agreement with the Organisers. 5) FREIGHT FORWARDING The Organisers appointed IES WORKS SRL as the the Shipping and Site-Handling Contractor; Custom's clearance must be arranged directly with the international shipper. Please contact them directly for full shipping information. IES WORKS SRL must receive all agreed materials at the two addresses below, no later than June 3, 2019: • small packages or items: IES Works Srl, Via A.G. Bragaglia, 33 - 00123, Roma, Italy • crates, pallets or set of cartons: IES Works Srl, Via degli imprenditori, 2 - 01036, Zona Industriale Settevene, Nepi (VT), Italy All packaging must guarantee adequate protection of any contents, considering further moving within the monumental complex of Fondazione Giorgio Cini by hand or by using sliding carriages. Any potential indication regarding “high - low” or other information (fragile - do not put weight on it) must be clearly written on every single package. Indication that must always be written on every package: • Sender • Name and date of the event referred to • Name of any person in charge of any materials • Progressive/total number of packages expected: for example, 1/3, 2/3, 3/3 The Organiser is not responsible for any delay or problems, which may occur, related to shipments that are not handled by the official freight forwarder. 6) LANGUAGE The working language is ENGLISH. 7) SMOKING POLICY Smoking is strictly forbidden inside the exhibition halls and all the Foundation rooms. 8) REPRESENTED COMPANIES AND SINGLE EXHIBITORS TAKING PART COLLECTIVELY The exhibitors agree to specify the company names and relevant information on all those represented, and the products and services to be presented in the stands. 9) ALLOCATION OF STANDS The distribution of the stands will be decided upon by IWC in accordance with the general interests of the exhibition. The exhibitor accepts the right of IWC to alter the positions and setting up of the stands, to change the layout or reduce the dimensions at any time prior to the opening of the exhibition, while considering the right of the exhibitor to be duly informed within 15 days of the opening date in order to adapt to the modifications. The total or partial transfer of the stand assigned is prohibited. If this condition is not adhered to, the goods displayed may be removed at the expense of the holder of the stand. Those responsible for unauthorised transfer of the stand will also be subject to a fine equivalent to the total admission fee. 10) DELIVERY OF THE STANDS All areas will be made available to the exhibitors at 14:00 on June 16, 2019, the day before the opening of the Exhibition. Stands must be fully set up the day before the opening. 11) RETURN OF STANDS At the end of the exhibition, and not before, the exhibitors must remove their products and materials and leave the 6 EXHIBITOR MANUAL

The stands must be cleared away by 20:00 on the day of the closure of the Exhibition, June 19, 2019. The Organisers cannot be held in any way responsible for goods, materials or anything else left by the exhibitors on the exhibition premises without supervision. Should any stand not be cleared away within the period above indicated, the responsible exhibitor will be legally obliged to reimburse the Organisers for removal and/or clearing away and storage expenses. Materials found will be carried away to IES Works Srl storage areas and sent to the exhibitor at their own expenses. 12) SURVEILLANCE AGAINST THEFT - RESPONSIBILITY FOR THEFT AND DAMAGE During exhibition opening hours the exhibitors must keep watch over their stand, either directly or through their associates. The Organisers, while providing a general surveillance service inside the exhibition premises for the full duration of the Exhibition, are exempt from all responsibility for any theft or damage which might occur to the detriment of the exhibitor. The exhibitors will also be responsible towards the Organisers for any damage, either direct or indirect, which, by whatever cause, is attributable either to them or to personnel acting on their behalf (including damage caused by fittings or equipment set up either by themselves or by third parties, even if previously inspected by the Organisers). 13) ADVERTISING The distribution of materials illustrating the products on display is permitted only within the stands. No posters/ graphics may be displayed outside the stands. All other types of advertising outside the stands is forbidden, including the distribution of materials in the corridors and at the registration. The display and distribution of all graphic materials - written notices, signboards, posters, brochures, leaflets, handouts, maps, plans, etc. - not strictly linked to the exhibition or whose contents may directly or indirectly be interpreted as a criticism or offence to any country is forbidden. Advertising - with the exception of that displayed within the individual stands - may be carried out by means of the Organisers in all permitted forms. Failure to adhere to the provisions set out above will give the Organisers the right to exclude those responsible from the exhibition. The contents of this article also apply to third parties who intend to carry out advertising or promotional operations of any kind within the exhibition area. 14) DAMAGE TO STANDS The exhibitor should return the stands and the furniture in the conditions in which they were delivered. If not, the Organisers can make a claim and restore the stands to their original condition at the exhibitor's expense. 15) EXECUTIVE PROVISIONS By means of the Exhibitor's Manual, exhibitors take note of the rules for the event that must be strictly respected by the stand owner and his staff, and / or by those working on his behalf. XIX INTERNATIONAL WHEELSET CONGRESS JUNE 16-20, 2019 VENICE General Rules Technical Regulation The Organisers, for the use of the stands and the presentation of the events, prescribe the rules set out below: b) All furnishings, accessories, materials and objects on display and installed in the stand should comply with the standards and be conform with the Italian laws concerning safety, fire and accident prevention and environmental safeguards. c) The organisation management has the right to remove or modify at any time any installations and stands which have not been authorized in advance or which in any case do not conform with the above rules set out below and any supplementary regulations which will be issued when the stand is allocated. XIX INTERNATIONAL WHEELSET CONGRESS JUNE 16-20, 2019 VENICE Shell scheme stands Technical Regulation The stand wall partitions consist of white laminated wooden modular panels. Stands will be ready for exhibitors at 14:00 on June 16th, the day before the opening. Exhibitors may affix lightweight photos, posters, technical information, etc., directly to the shell scheme walls with double sided adhesive tapes or similar, provided that such materials will not damage the panels. Measures of the panels are specified in the image below: 2500 mm 2000 mm (side Standard / Premium) 3000 mm (back Standard) 4500 mm (back Premium) At the end of the exhibition, the exhibitor must remove any adhesive tape or other fastening materials used for decoration from the stand and not leave any damage. Therefore, it is not allowed to use nails, screws, glue and other irremovable materials that may damage the panels. Exhibitors occupying shell scheme stands must ensure that all internal exhibits and displays are contained within the shell scheme structure and do not exceed 2.5 meters in height. 12 EXHIBITOR MANUAL
XIX INTERNATIONAL WHEELSET CONGRESS JUNE 16-20, 2019 VENICE Height & load limits Technical Regulation The maximum construction height is 2.5 meters for all kind of exhibits and displays. It is forbidden to overload the floor of the exhibition halls with a distributed load above 200 kg/sq m; for concentrated loads, the exhibitor shall take all measures to distribute the load so as not to exceed the specified load in any point. Any mobile element of the display or products exhibited must not occupy the corridor area either wholly or partially and must be placed inside the limits of the stand area. ADVERTISING Each exhibitor may carry out trading activities within his stand only on behalf of his company and its representatives by means of promotion and advertising materials restricted to the goods for which he has been granted access to the exhibition. Any type of presentation that does not directly concern the product, to which the event is dedicated, even if carried out for the completion of the display, must obtain prior authorization. SOUND/VISION BROADCASTING/S.I.A.E. COPYRIGHT Sound transmission of all types and the use of audio-visual, radio and television appliances, including those incorporated in the furnishings, are allowed provided the volume of the equipment remains low. The projection of films or slides within the office areas is allowed provided they do not disturb the other exhibitors in the area. The exhibitor shall also comply with the applicable copyright laws, contacting SIAE to pay the relevant charges. Safety rules, prohibitions, responsabilities OBSERVANCE OF THE LAWS AND REGULATIONS - ACCIDENT PREVENTION The exhibitor is obliged to observe all the rules concerning accident prevention and hygiene at work. The exhibitor exempts the Organisers from all responsibility for damages of any kind caused to the exhibitor and his staff and visitors as a result of the failure to observe the relevant rules. SAFETY SERVICE The exhibitor and his employees are obliged to observe the laws and regulations of the local public safety service, as well as all the rules concerning the protection of workers and accident prevention, and damage to staff and operators. RULES AND PROHIBITIONS The Fondazione Giorgio Cini is located in a monumental complex of great architectonical, historical and artistic importance, within which rare and valuable art works are set. It is forbidden for exhibitors to: • apply loads to the structures, walls, lighting fixtures, piping and other elements of the halls; • fix or hang posters, cables, panels, banners, adhesives to the same structures; • spread paint, oil, solvent chemicals or other substances on the hall floors, that might cause damage to the floor or danger to people; • to lay down and fix carpets or similar materials, it is strictly forbidden to use double-sided adhesive tapes with high sticking power, internal paper substrate or weak substrates, or any other material that leaves any trace and residue on the floor after removal; • damage equipment belonging to the Giorgio Cini Foundation and the hall structures; in detail, it is forbidden to hammer nails, shoot staples, stain with paint, glue or adhesive tapes, drag heavy items on the floor, move around the halls with trolleys without rubber-coated wheels; • dig into or modify the floors and grounds in the exhibition areas and in the park; • make direct connections to the utility networks (water, electricity, telephone), either directly or through third parties, not authorized by the Organizers; • tamper with the seals and closures of the power supply cabinets; • carry out any kind of works that imply modifications to the facilities or materials of the Giorgio Cini Foundation; EXHIBITOR 13 MANUAL
XIX INTERNATIONAL WHEELSET CONGRESS JUNE 16-20, 2019 VENICE Safety rules, prohibitions, responsabilities Technical Regulation • leave behind parts of stand installations at the Giorgio Cini Foundation at the end of the event, such as broken items and pieces, packaging, carpets or any residue; double-sided tapes and its adhesive shall be removed completely from the floor; • perform shows or entertainment activities of any sort and nature, even if restricted to the stand area or aimed at the presentation of products, without prior authorization by the Organizers • introduce flammable, toxic or otherwise hazardous materials onto the island, and to light fires without due precaution and the necessary authorization by the competent authorities, and to introduce or use compressed or liquid gas bottles. • exhibit machinery or vehicles with a full fuel tank. Electric energy specifications: power is supplied on each stand at single-phase 220 V voltage (with +/- 10% tolerance) and 50 Hz frequency. For electric systems, the Exhibitor shall only use equipment, cables and materials in full compliance with Italian Law 37/2008, CEI standards and accident prevention regulations. All specifications shall comply with the 64/10 CEI regulation for public performance locations. It is forbidden to remove the covers of indoor and outdoor conduits and pits. The Giorgio Cini Foundation halls are equipped with extinguishers and hydrants suitable for the protection of the halls. The Giorgio Cini Foundation does not guarantee the suitability of these devices for stands, exhibits and other materials. Each Exhibitor shall consider the installation of a suitable extinguisher for exhibited materials in his own stand, also to avoid possible damage to equipment, clothing, valuable items or other. Should the Exhibitor install his own extinguisher, this must be placed in an accessible and visible position, and the stand personnel must be trained to the proper use of the extinguisher. The Exhibitor shall use materials complying with the applicable laws for fire prevention and assumes full civil and penal liability for possible damage deriving from the failure to comply with or the violation of regulations. The materials used for installations shall meet the following requirements. • Only certified material with fire reaction Class I shall be used. • It is forbidden to use plastic materials also in panels (for instance, foamed polystyrene) that do not belong to “Class 1”. • It is forbidden to use non fire-retardant cloth of synthetic fiber, paints and glues non complying with “Class 1”, reed matting, trellis, curtains of wood strips or similar elements. • The Exhibitor is obliged to apply specific fire-fighting treatments to the flammable material that might be introduced into the stand for its installation. Fire-fighting treatments shall be carried out before the materials are installed in the stands by certified professionals, who will then issue a declaration of proper installation. • It is forbidden to use nitrocellulose or oil paints or dyes, to preserve empty packaging inside the stands, or printed and advertising materials beyond the daily needs, to use compressed or liquid cookers, any kind of stove and other electrical equipment. • It is forbidden to smoke inside the halls and all the Foundation rooms. Exhibitors shall avoid the installation of cooking or food-preparation services inside the stands, for safety and fire prevention reasons, for cooking food or even simply heating pre- cooked food. It is forbidden to introduce dogs and any kind of pets or animals into the Giorgio Cini Foundation, except for dogs serving disabled persons. 14 EXHIBITOR MANUAL

Exhibitor is responsible for the good maintenance of the material. Limited stocks of each item are available, in case any specific item is missing a similar one will be provided. FORNITURE AND STAND FITTINGS One stool is included in shell scheme. Three lounge chairs can be provided instead of 4 chairs in Premium booths. Each additional lounge chair is € 120.00 + VAT 4 or 8 chairs are included in Standard and Premium booths. 1 or 2 tables are included in Standard and Premium booths. 4 or 6 spotlights with directional arms are included in Standard and Premium booths.
